2 Background The Massachusetts Virtual Epidemiologic Network (MAVEN) is a webbased surveillance and case management system that enables state and local health departments to appropriately share public health, clinical, and case management data efficiently and securely. Infection Preventionists communicate with DPH-Epi-of-the-day (EOD) regarding reportable disease cases of importance that need additional information and follow-up by Infection Preventionists. The functionality allowing IPs to access identified cases was integrated into MAVEN in April 2017 Created notification for disease events Created three workflows for notification and follow-up for cases assigned to you/facility 2

4 Epi of the Day Epi-of-the-Day is a group of Epidemiologists that you are partnered with on cases of importance you can see who is assigned in the Administrative Question Package 4

5 Logon to MAVEN MAVEN is accessible by logging into the Virtual Gateway(VG) at Use the username and password provided by the virtual gateway(sent by ) to login and access the MAVEN system 5

6 MAVEN Roles/Groups Role-based access Can see events/cases assigned to your facility or shared by local boards of health notification of cases of relevance to Infection Preventionists IPs have the ability to create events when needed (N. meningitidis) as an example. When you create events an notification of that immediate disease event is sent via MAVEN to MDPH and LBOH 6

7 Using MAVEN: Splash screen Once you have logged into MAVEN, you will initially be brought to the splash screen which will highlight notifications, recent events, and assigned tasks. 7

9 MAVEN Toolbar Create: create a case when needed Search window : Search for event from your facilitywith other search parameters Print: Print Templates Workflows: events that are pending your action Tasks: Open for all pending assignments

10 MAVEN Toolbar contd.. Share Cases: share cases with your facility when needed Push Pin: A list of your most recent events. This will be the easiest way to find your facility s events after your have opened it once Home: brings you back to main dashboard Help Section: pertinent documents Search Bar: Enter the MAVEN ID associated with your facility 10

11 Using MAVEN: Search Window You can quickly search/view a MAVEN event/case by searching on the Event ID by using the Search bar Enter the MAVEN Event ID and click the blue search button 11

12 Using MAVEN: Push Pin After doing this once, you can then use your push pin to view/access your last 30 events. 12

13 MAVEN Workflows Immediate Notification workflow for new events/cases assigned to your facility. Pending- Follow-up workflow to manage pending events/cases that you are still working on. Shared Cases workflow when DPH/Local Boards of Health need to ask for information for relevant cases. 13

16 MAVEN Wizard Captures relevant clinical and risk information within the question packages that is needed by EOD and LBOH. Quicker data entry of information using the wizard. Specific wizards created for each event/case assigned to your facility. 16

26 Scenario: Grp A Strep lab creates an event in MAVEN Positive lab received either via fax or electronically. Event is created and EOD notified they confirm the case and contact LBOH. EOD determines a request for additional information is needed from clinical facility/hospital. EOD assigns the event to the facility and sends out an to the group. 26

33 Communication Event Communication Events contain LBOHs general information as well as contact information for MAVEN users and non-maven personnel. To view LBOH contact information, you ll need to search for the town s Communication Event and open the LBOH Database Question Package You can save these under your pushpin for future use if you like by click on the star 33

37 Key Concepts and Tips MAVEN is a web-based surveillance system. Events/Cases are used to track specific kinds of information, including disease, town and facility-specific information. Permission to see events in MAVEN and the information in those events is based on access assigned to your username. You will only see the event ID associated with your facility. 37

38 Key Concepts and Tip (cont.) Always select the X at the top right of the event when you are finished working in your identified event. Never use the browser s back button - instead use the Dashboard buttons to navigate. Access the Help Button for MAVEN tip sheets, guides and links to pertinent information. 38

Account histories are maintained and accessible for all events for security and tracking purposes. The MAVEN case/event ID associated with your facility can be ed which does not violate HIPAA rules.
