4 Tax Professional Account Set-Up You are preparing tax returns, so you are considered a Tax Professional you need a Third Party account.

7 Account Set-Up: User Information

8 Account Set-Up: Demographic Info Tips: Orange triangles indicate required fields. Blue question marks have explanations and additional information. Previous takes you backwards. Next takes you forward. Cancel deletes the request.

9 Account Set-Up: Web Account Tip: Make your username similar to your firm or your name.

10 Account Set-Up: Security Token Tip: Submit means send it the Department of Taxes If you select text message, make sure to enter a cell phone number! Both show as required fields (orange triangles), but once you select one, you don t need to provide the other one.

12 Account Set-Up: Security Token Tip: You can use the hyperlink in the or go back to the myvtax home page to login.

13 Log In If you clicked on the hyperlink, your username is entered. You still need to enter your password and click on Log In. If you didn t use the blue hyperlink, type in your username and password. Then click on Log In.

14 Trust This Brower??? If you answer No, you will be required to get a new security token every time you log on. If you select Yes, a security token will not be required on this computer, unless your cookie settings don t allow it. If you have to get a security token every time, talk to your IT person about the security setting and whether they can be changed. Log In: Security Token

15 Third Party Home Page If your I Want To menu doesn t match this screen, you are likely in your Business account and not your Third Party Account. If you have a Business Account, you don t have the option to request a Commissioner s Certificate.

16 Menu: View Session ID If you call us seeking assistance, we may ask to do a View Session with you. This allows us to see your myvtax webpages, but nothing else on your computer. We ll ask for the 6- digit support ID.

17 Settings in the upper left corner brings you to a new page where you can update your contact information, subaccount management, change your password, etc. Logon: Settings

18 Activity Center The Home Page provides you with your logon information, any Alerts from the system, starting point for new documents, accounts, submissions, and correspondence. You can return to this screen at any time by clicking on the Home icon.

19 I Want To... The I Want To menu provides a starting point for new documents and other common actions Tip: If you don t have this set up with these options under the I Want To menu, you are likely in your Business account instead of the Third Party/Attorney account.

20 I Want To: Create Additional Username You can create additional users, but do not have direct access to their account from the Master Account. Tip: Submit to send to the Department for processing. Save when you re not quite ready to send it along for action. Cancel equals DELETE the request, not just the page.

21 Additional User: Cancel Access

22 I Want To: Send us a Message Send and receive secure messages and attachments to the Department of Taxes. Use Add to attach documents. Submit to send to the Department. Cancel to delete the whole thing.

23 When we send you a message or reply to one of your messages, you will get an . Alerts: You ve Got Mail!

24 Alerts: You ve Got Mail! You can see new messages in the Alerts pane. To view messages either: Click on the There is unread notice to open up the messaging system Click on the Correspondence tab and then the message or View Messages

25 myvtax Messages Messages work similar to Unread, Inbox, Outbox. Send us a message from here or use the I Want To menu. Unlike , this is the secure means to communicate with the Department of Taxes. Do not FAX or the Department!

26 I Want To: File a Real Estate Transaction Return To start a new Real Estate Transaction Tax Return, select File a Real Estate Transaction Return from the I Want To menu. Note: RW-171 and Schedule A are currently available only as a pdf on the website.

27 Requests: Make a Credit or Debit Card Payment The ID, Name, and ID number should be the taxpayer s information, NOT the preparer s! Only for ACH Credit and Debit payments. To pay by paper check, print the voucher from inside the specific return.

28 Property Transfer Tax Return Takes you section by section through the return. PTT-172 Next takes you to the next section. Previous takes you back one section. Cancel deletes the entire return. Save saves your information for future editing.

29 PTTR: Verification Code The verification code is a unique identifier for the return. It appears on the 2 nd screen of the return and when you click on Save Draft. It is used with your address to share the return with other parties.

30 PTTR: Save Draft When you save your return, you get a confirmation screen. The address of the original preparer and the verification code appear on this screen.

31 PTTR: Primary Parties Enter the primary buyer and sellers information. Addresses should be post-transfer.

32 PTTR: Primary Parties Valid Data Don t fake the ID number. This will delay processing and potentially lead to a bill for your client Request a pseudo number via web message if necessary. Phone number or address- don t need both. Don t have everything? The required fields check box will suspend the requirements.

33 Click the Yes on the bottom of the Primary Parties screen to add more parties. No addresses for additional parties! Copy row will copy all of the information to a new tab. Add additional Transferor/Transferee will create a new tab. Remove Transferor/Transferee will delete that tab. Need to Add More Parties?

34 PTTR: Property Information Not sure what the code means? Want to see the instructions? Click the hyperlinks. Some fields become required based upon your answers to other questions. Parcel in more than one town? Check the box and complete the return. Complete another return(s) for the other town(s). Claim an Exemption 20 on the other return(s), so that you only pay the tax on one return. No Land? Check the box!

35 PTTR: Additional Information This page has the same functionality as other pages. Hyperlinks for helpful documents. Orange triangle= required field. Plain white background field=optional text field. Green arrow=pull down list. Check box to suspend required fields. Don t forget to enter the Current Use Information.

36 PTTR: Exemptions and Property If there is not a property transfer tax exemption, select 00 None for Question E1. If there is no land involved in the transfer, then select 00 None for the land gains exemption. Tip: You can get a list of the descriptions be clicking on the Quick Reference Guide hyperlink or once you make a selection by clicking on the blue i next to the field.

37 PTTR: Withholding Information Tip: Want to go back to another section? Click on the numbered arrows. This only works backwards, not forward.

38 PTTR: Rate Schedule and Tax Due Fill in J10 and J11 first. The system will autofill and calculate based upon these numbers, and the data & exemptions on the form. If you don t get the calculation you expect, check your answers and make sure the required field checkboxes are unchecked and you ve completed all of the fields.

39 PTTR: Attachment You can add attachments to the PTTR. These can be seen by the town clerk and the Department of Taxes. Please attach an explanation if there s more than one parcel covered by one deed. (In the future, this will be done more elegantly.)

40 PTTR: Preparer Enter your address information and check the box indicating that we can discuss this return with the preparer. This information is not optional and there s no bypassing checkbox.

41 PTTR: Submit Returns to Town & Print Payment Voucher Tip: If you are paying by check, print the Payment Voucher from this screen once ALL of the information is correct. (SSN/FEIN, Closing date, and tax calculation). You can also do this later in the process.

42 PTTR: Print Voucher The voucher will print with all the required information from the return. The closing date & SSN MUST match the return for the payment to credit the appropriate account!!! Don t fake the SSN/FEIN! Not tax due? No voucher needed.

43 Submit to Town? Do NOT submit it to the town until the closing is occurring! If you need to get it back from the town, call them. They will need to uncheck the box and Save. This will send the return back to you for editing.

44 PTTR: Send the Deed and Paper Copy You must send a paper copy of the PTTR and the deed to the town. Do not send a paper PTTR to the Department. Do not print the copy to send to the town until you have sent the return via myvtax. Select Print to print a copy of the return. A pdf will open that you can print. Send any payment to the Department with the PTT-173 (Voucher). of the PTTR to the Town

45 Need to Share a Return? To share a return with another user, you need the address of the account used to create the return and the Verification Code. You get the verification code at the start of a return and when you click Save.

46 Save Vs. Submit Vs. Cancel Save saves the document to your account. Save plus Check Mark for a PTTR sends it to the Town. Submit for the other returns and documents sends it to the Department. Submit happens overnight, so you can still go in to edit on the same day. If you want to submit it after this, then you must submit again. If you save after editing a submitted return, it does not submit. Cancel will delete your return. It will be on your Requests- Deleted tab, but can t edit or re-open.

47 I Want To: Access an Existing Web Request If you need to share a return with another party, provide them with the address used to create the return and the verification code (NOT the confirmation number). They will have the ability to edit and submit the return.

48 Status: Submitted to Town After you ve submitted it to the town for recording, you can cancel the request prior to the town doing the recording. This will delete the return. Also, here s another opportunity to pay!

49 View Requests: Look at Your Returns Current Version You can access of all of the returns you ve started and submitted either by clicking Activity Center and then View Requests, OR click under the request in the Alerts menu.

50 View Requests: Look at Your Returns New Version (November 2017) You can access all of the returns you ve started and submitted either by clicking Submissions and then View Submissions OR click under the request in the Alerts menu.

51 Submitted or Not Submitted??? Discrepancy between submitted to the town for recording versus submitted to the Department for processing. Confirm by looking at the detailed Status of the Return or by clicking on the Attorney View tab.

52 The status will change once the town has entered the recording information. PTTR: Submitted to the Department

53 Land Gains Populate Information LGT-177 and LGT-178 LGT-177 & LGT-178 will pre-populate with PTTR information just enter the verification code and . This will pre-populate the Transferee, Transferor, and Property Info Screens. If this changes, you will need to correct it on all of the returns.

54 Land Gains Populate Information LGT-177 and LGT-178 You ll get a new Verification Code for this tax return. This will only populate the existing information from your PTTR. If you update the PTTR, you need to come back into the related LGT return, migrate to this screen, and Save Draft to get the LGT return to update with the new PTTR information.

56 LGT-177 & 178: Property Information This information has been pulled over from the PTTR. Red Triangle = Logic error. This will typically have an explanation also. You ll need to correct it on the PTTR and correct it here as appropriate.

59 See the instructions if you have questions on the number of taxable acres and the Sale Price attributable to land (Questions G2 and G4). LGT-177: Taxable Land

60 Your answer to I5 regarding Simultaneously Filing will change the amount of Tax Due (I3). LGT-177: Tax Calculation

61 Then Click on Print the Payment Voucher LGT-177: Tax Due? Tax Due? Want to pay with a Paper Check? Check this box!

62 You ll get an confirming recent activity when you submit the return. LGT-177: Submit it!

63 Depending upon your yes/no answers, additional schedules (LGT-179) will open up on the next page(s). LGT-178: Exemptions

64 LGT-179: Selling Expenses Answering Yes to the Selling Expense Question will cause this schedule to open up. If you answered No, then you won t see this. Same concept applies to other questions.

65 LGT-178: Sale Information The PTTR information on the value and the selling expenses carry forward to this page. If these numbers seem incorrect, check your returns and answers to the various questions.

66 LGT-179: Buildings Schedule If you answered Yes back on the statewide percentages in Other Information, you ll need to enter the percentage of gain on land (see the? for percentages). If you answered No, then you ll need to enter the value of the land (Question 1) and add attachments showing proof of this value (lister card, appraisal, etc.).

67 LGT-179: Buildings Schedule If you answered Yes back on the statewide percentages in Other Information, you ll need to enter the percentage of gain on land (see the? for percentages). 68 You ll enter the timber or timber rights on this page. Everything else is based upon prior questions. LGT-179: Land & Structures Cost

69 LGT-178: Tax Calculation Tax is automatically calculated based upon all of your prior answers. Not getting the amount/answer you anticipate? Review the return and correct as appropriate.

70 LGT-178: Withholding Refund Calculation Refund and tax due automatically calculate based upon the amount of advance payment or tax withheld by transferee.

71 LGT-178: Add Attachments You must document land value, improvements, etc. by attaching documents. If you don t prove it, then we will likely adjust the return!

72 Enter bank information or leave blank if you want an old-fashioned payment. LGT-178: Refund Due?

73 LGT-177 & LGT-178: Payment Due? Pay by ACH credit card (3% processing fee). Pay by ACH debit. Pay by alternate method check the box, print the payment voucher, and send the voucher in with a check.

74 I Want To: Request a Commissioner s Certificate You can now prepopulate the Commissioner s Certificate Requests from your PTT-172 data!

75 I Want To: Request a Commissioner s Certificate If you select Real Estate Withholding, you ll be required to note the reason for applying.

76 Commissioner s Certificate: Property Info Not everything carries over from the PTT-172. See Question 3a, as example.

77 Commissioner s Certificate: Transferor/Transferee Tip: If you enter a non-usa address, make sure to select the country. The system will then determine required fields and formats.

78 Based upon your answers, the system will open and close fields for editing, along with offering logic on why something can t be done. Certificates: Additional Questions

79 Certificates: Real Estate Withholding White background fields need input from you. Grey background fields are auto-calculated.

80 Certificates: Land Gains Tax Due

81 Certificates: Attachments At least one attachment is required to submit. You may need more than that! Click to see a list of required attachments. If you fail to provide the appropriate attachments, processing will be delayed.

82 Certificates: Checklist

83 Commissioner s Certificate Standard processing time is 10 business days for complete requests. Complex requests or incomplete information will increase processing time. We are not responding to status requests unless it has been more than 10 business days. You will receive notification via the Alerts Messages. Use the checklist!

84 Requests: Views The various tabs can provide you different subsets of information. The Attorney View is most helpful for information on returns, but does NOT include Certificate Requests.

85 Too Much to Look At? Filter and Sort To sort a column, click the column heading. The triangle will indicate that it has been sorted. <Ctrl> and click to do a secondary sort. You ll see a double triagle to show this sort. To filter (search), click Filter, type in your search term, click Enter.
