1. PURPOSE: This procedure describes how to migrate mail currently residing in Gmail to Office 365. It should be used if you want to migrate some or all mail from Google to Office 365.

1 1. PURPOSE: This procedure describes how to migrate mail currently residing in Gmail to Office 365. It should be used if you want to migrate some or all mail from Google to Office 365. This is not a mandatory part of the migration to O365 and it is your decision and responsibility to execute or not to execute this procedure. This procedure is not applicable if you want to have a fresh start with Office DESCRIPTION Every user can configure the mail migration from Gmail to Office 365 himself. This can be done by use of connected accounts. Once configured the O365 Connected Accounts feature will copy all new mails from Gmail to O365 once an hour. When you use Connected Accounts, the original sender information is always preserved. This means that a message sent from your friend Sue to your connected Gmail account will appear in your Office 365 mailbox, and you will see Sue as the sender of that message. If you set up forwarding from another account to your Office 365 account, messages will not keep their original sender information. Important note: Transferred mails will NOT be organized as they were in Google Mail: you will need to sort them 3. PROCEDURE 3.1. PREPARE GMAIL ACCOUNT Log in to your Gmail account and clean up your mailbox (delete unimportant mail, etc.) Delete mail from your deleted items folder 1. Select bin 2. Select all items 3. 4 Enter you Gmail username and password and press OK You will get a warning that the connection is not secure, you can ignore this error You will get a message that the account couldn t be connected, this is normal we will configure it manually. 5 Enter the credentials of your Gmail account: Name: Firstname LastName enter your eeb4 address Username: enter your eeb4 address Password: Your eeb4 password How to migrate Gmail to O365 EEB IV Page 5 of 8

6 Enter the incoming mail server name: pop.gmail.com Authentication: Basic Encoding: SSL Port: 995 And press OK You will get a summary of what Office 365 will do with the connected Gmail account Press OK How to migrate Gmail to O365 EEB IV Page 6 of 8

7 Your Gmail account is now configured as connected account and you will receive your Gmail now in your new Office 365 account. You will need to confirm a verification mail that is sent to your Gmail account To do this connect to your Gmail account and open the mail coming from Microsoft Click on the verification link How to migrate Gmail to O365 EEB IV Page 7 of 8

If new mail is sent to your Gmail account it will also be copied
