2 The Protection of Personal Information (POPI) Act, No 4 of 2013 The Protection of Personal Information Act has been signed by the President and comes into full effect on a date to be proclaimed. The purpose of the Act is to give effect to the constitutional right to privacy by safeguarding personal information, when processed by a responsible person, subject to justifiable limitations. Therefore, when processing personal information, the University and persons acting on its behalf must do so lawfully; and in a reasonable manner that does not infringe the privacy of the person to whom the personal information relates. 4 Section 1: Introduction The Online Registration Student Task functionality enables you to verify or update personal information; verify year-end results communication preferences; sign agreements and complete the enrolment for your active programme of study in PeopleSoft as part of the registration process. A completed student task will be assigned to the Faculty Administrator if you have successfully enrolled onto your courses. 5 Section 4: Logging into PeopleSoft Go to the UCT Website: Select the Main tab Scroll down and select the I am a Student in the dropdown list Select And I want To Access PeopleSoft in the drop down list Helpdesk sss-helpdesk@uct.ac.za 5 Helpdesk numbers: / 4720

6 The PeopleSoft landing page will open Enter your Campus ID in uppercase in the User ID field Enter network your Password in the Password field Click on the Sign In button Click on the Sign Out button to logout of the Student Administration Self Service system Helpdesk 6 Helpdesk numbers: / 4720

7 Section 5: Completing the Online Registration Tasks Students must complete the online registration task hyperlink listed on their To Do List in the Student Center. The online registration hyperlink will be linked to students respective faculties. Navigational path: Self Service> Student Center Click on the Faculty of Commerce Online Registration hyperlink under To Do List Helpdesk 7 Helpdesk numbers: / 4720

8 The Student Task WorkCenter page appears and displays a welcome message Read the instructions displayed on each task and ensure that you update all the required necessary information. Click on the here hyperlink to read the Students Responsibilities document Click on the Mark As Read button You must click on the Mark as Read / Mark As Complete buttons once you have completed a step. Click on the next button to proceed to the next step. On the Addresses task, read the instruction before updating addresses Click on the Edit button to make changes to the existing address if your address has changed Helpdesk sss-helpdesk@uct.ac.za 8 Helpdesk numbers: / 4720

9 The Edit Address page appears You must ensure that the Postal Code entered is correct for the Suburb/Town/City you have selected or have manually entered. If the two fields DO NOT correspond, you will encounter an error. Check if the Country selected in the Country field is correct Should your default Country be incorrect, click on the Change Country hyperlink to select the correct country. Select the Postal Code lookup button to search for Postal Code by entering the name of the Suburb/Town/City Enter the Suburb/Town/City name in the Suburb/Town/City field The Search Result page appears Select the Suburb/Town/City from the Search Results list Enter the Street Address or Postal Box Number in the Address Line 1 field Enter the Suburb in the Suburb/Town/City field Helpdesk sss-helpdesk@uct.ac.za 9 Helpdesk numbers: / 4720

10 Select the lookup button in the Suburb/Town/City field to search for the name of the Suburb/Town/City Enter the Suburb/Town/City in the Suburb/Town/City field The Search Result page appears Select the Suburb/Town/City from the Search Results list Click on the OK button Helpdesk 10 Helpdesk numbers: / 4720

11 The Addresses page appears Tick the Address Type checkbox to select the address type Click on the Save button The Change Address confirmation page appears Click on the OK button On the Names task, check that your Primary Name is correct You will have to contact the Faculty or Student Records Office if you want to change your Primary Names. If you wish to change your Preferred or Former names, click on the Add a New Value Click on the Add a New Value button The Names page appears Select the Name Type in the Name type field Select the Prefix in the Prefix field Enter the Name in the Name textbox Enter the Surname in the Last Name textbox Click on the Save button Helpdesk sss-helpdesk@uct.ac.za 12 Helpdesk numbers: / 4720

13 Click on the OK button On the Phone Number task, read the instruction on the Phone Number page Check your preferred contacts if they are correct. You may add an additional contact number if necessary. Click on the Add A Phone Number button Enter the Phone Type into the *Phone Type field Enter the Telephone Number in the *Telephone field Enter the Country Telephone Code in the Country field Tick the Preferred checkbox You must tick the preferred checkbox for your preferred contact number. 14 Click on the OK button On the Addresses task, read the instruction on the Address page Check that your Personal and Fee payer address are correct. 15 The Address confirmation page appears Click on the OK button On the Emergency Contact task, read the instructions and update the emergency contacts Click on the Add A Contact button Helpdesk sss-helpdesk@uct.ac.za 15 Helpdesk numbers: / 4720

16 The Family and Emergency Contact page appears Tick on the checkbox if the person you are adding is a current or former UCT student Enter the Contact Name in the Contact Name field Select the Relationship in the Relationship dropdown list Tick the Same Address as Individual checkbox if the address of the contact person for emergency is the same as yours Click on the Edit Address hyperlink should you wish to update an existing record of the contact person for emergency Tick the Same Phone as Individual checkbox if the phone number of the contact person for emergency is the same as yours Enter the Phone Number in the Phone number field for your emergency contact Click on the Save button The Save confirmation page appears Click on the OK button Helpdesk sss-helpdesk@uct.ac.za 16 Helpdesk numbers: / 4720

17 On the Demographic Information task, complete the Self-Declared Race page Select your Ethnic Group in the Ethnic Group dropdown list Click on the Proceed If Correct button On the Communicate Results task, select between Fee Payer and Parent for the preferred address for your results to be ed to Select Yes in the Parent dropdown list should the parent be the one receiving the results or Select Yes in the Fee Payer dropdown list should the Fee Payer be the one receiving the results Click on the Save button Helpdesk 17 Helpdesk numbers: / 4720

18 The Personal, Demographic and Fee Payer Information confirmation page appears On the Personal & Demographic Information task, you must confirm that your personal and demographic information is correct and read the rules in the text frame field Tick on the Confirm checkbox You will notice that as soon as you have ticked the Confirm checkbox, the system displays a date stamp of confirmation. Click on the Save button On the Declaration task, you need to declare that you have read the terms and conditions of your admission to the university. Tick on the Accept checkbox You will notice that as soon as you have ticked the Accept checkbox, the system displays a date stamp to the Declaration. 19 On the Registration task, you must complete your course enrolments. Depending on the program you have enrolled for, the courses will be pre-populated and you will only be required to click on the Register button. Should the program that you have enrolled for differ, you will need to contact your faculty. Click on the Register button You will only be allowed to click on the Register button once, thereafter the button will be greyed out. In order to continue you MUST click on the Mark as Complete button. Click on the Mark As Complete button Helpdesk 19 Helpdesk numbers: / 4720

20 On the Registration Report Task you will be able to view your successful course enrolments. The Unsuccessful cross will indicate that you are not enrolled for the course/s. If you have one or more enrolments which are Unsuccessful, as displayed below, you will need to contact your Faculty or you can contact Student System Support via Helpdesk 20 Helpdesk numbers: / 4720

21 Once your enrolment has been processed, click on the Proceed button On the Complete Task tab, contact information will be available if you have experienced any problems during the Online Registration Process. Click on the Finish button The Online Registration task will not be avaliable on your To Do List once you have completed the task. Helpdesk 21 Helpdesk numbers: / 4720
