1 Prior to generating letters, the entity configuration must be set depending on what type of letters your building chooses to generate. If you know your building will only be using Attendance Letters by Total, then only check the Total option. However, you may check all options. Go to Student Management\Office\Attendance\Setup\Configuration 1. Check the boxes for at least one the Entity-Year Attendance Options. NOTE: Selecting the option Stop Displaying/Counting Attendance When a Threshold is Met limits the Attendance Detail printed to the minimum number of absence required to justify the letter. 1 Entity-Year Attendance Options Skyward Quick Reference Guide Attendance Letters Page 1

2 Thresholds A Threshold defines the number of absences (the threshold), the Letter Type (Class, Period or Total) and the Term Type (Term, Semester, Year or Date Range) required for the student to receive an attendance letter. Go to Student Management\Office\Attendance Letters\Setup\Codes 1. Click on Threshold Do one of the following: To add a Threshold, click Add To edit a Threshold, select it and click Edit Click Threshold 1. your Letter Type (the options you see are based on how your entity configuration is set.) 3. your Term Type 4. your Threshold 5. 3 Letter Attendance Type Codes Letter Attendance Type Codes are user-defined groups of Absence Type Codes that are used in conjunction with a Threshold to generate Attendance Letters. A Letter Attendance Type Code defines the type(s) of absences you want to include in the criterion. For example, you want only Unexcused absences or you want both Unexcused and Excused. Go to Student Management\Office\Attendance Letters\Setup\Codes 1. Click on Letter Attendance Type Do one of the following: To add a new Letter Attendance Type Code, click Add To edit an exiting Letter Attendance Type Code, slece the Letter Attendance Type Code and click Edit. Determine Letter Type 3. Enter Class Attendance Type (A user defined unique identifier to help you distinguish between absence types) 4. Click on Absence Types button to define the Absence Type Codes to be included in this group. 5. NOTE: Accumulation Method is only available when the letter type is Class recommended seeing is Repeatable. Non-Repeatable was created for another state DO NO USE. Letter Type Enter Class Attendance Type 3 5 Set up Absence Types 4 Date Range If you created a Threshold with a Term Type of Date Range, you must create a date range parameter. 4 Running Attendance Update When you are ready to generate Attendance Letters, you must run an Attendance Update using an Update Template that allows you to identify which students are flagged as having met the selected criteria for Attendance Letters. The Attendance Update must be ran prior to running the Attendance Letters. Go to Student Management\Office\Attendance Letters\Update Templates 1. Click Add to create an Attendance Letter Update template. Create a template for each Letter Type, Attendance Type and Term Type Combination.. Configure the Attendance Letters Update screen using one of the Class, Period, or Total Letter Type options. 3. and Run The following example is a template for Total Absences for a Full Year with the Threshold set at 10 absences in order to qualify for an Attendance Letter. 5 Once the Attendance Update has been ran, you can now generate Attendance Letters. Go to Student Management\Office\Attendance Letters\Letter Templates 1. Click Add. Configure the Attendance Letters screen. The following example is a template for Total Absences for a Full Year with the Threshold set at 10 absences in order to qualify for an Attendance Letter. It is also set up to print using Custom Attendance Letters. Your Attendance Update Template and Attendance Letter Update must match in order to generate Attendance Letters.
