4 This package contains the update to the U.S. directories for Satori Presort and ZIPCount. (PrintForm also uses directory information, but does not access the directory files directly.) All directories in a given monthly release have the same effective and expiration dates now that the USPS is releasing the directories on a monthly basis. The effective and expiration dates for the January 2015 directories are as shown: Effective date Must use by Expiration date 1 Jan Feb Feb 2015 The effective date indicates the first day that the directories can be used. The must use by date indicates the date that the directories must be used by. The expiration date indicates the last day that the directories can be used. You can begin processing mail immediately using these directories that have mail induction dates that fall within this range. In any given month, there are three sets of directories that are valid to use to process mailings. The following table lists the currently valid directories (as of December 2014) and their notable dates. 5 Download your directory files by following the instructions in the you received from Satori Support announcing that the USPS address directories are available. After you download the monthly directories, place all directories in the appropriate location for the software you are using. The Satori Presort installation program installs the software, but not directories. If you are using WinRAR, follow these instructions to install the directory files on Windows: 1. Locate and double-click <<filename>>.zip file. WinRAR prompts you for the location in which to place the zipped directory file. 2. Browse to the folder where you want WinRAR to place the zipped directory file and click Install. If you are using WinZip, follow these instructions to install the directory files on Windows: 1. Locate and double-click the <<filename>>.zip file. 2. Click Extract. 3. Select the folder where the files will be unzipped. 4. When the unzip process is finished, exit the unzip program. If you use a different tool, refer to the instructions for that tool to extract and install the directory files. To install the directory files on UNIX: 1. Locate the.zip directory file that you want to extract. 2. To extract the.zip to the location where you keep your directories, type unzip -d <<destination path>> <<filename>.zip>
6 The directories included in this release are: Directory Name ZIP-City File (ZCF) directory Mail Processing Center (MPC) directory Zone directory Delivery Statistics File (DSF) directory Facility directory Mail Direction directory Filename 1501_zcf.dir 1501_mpc.dir 1501_zone.dir 1501_dsf.dir 1501_facility.dir 1501_maildirect.dir Applicable mailings All All PER, PSVC BPM, and Parcel Select Walk-sequenced All Purpose Can verify that zip codes are valid. Also used in sorting and labeling of 5 digit containers. Contains information about the service areas of SCFs, ADCs, NDCs, and other facilities, which used for sorting mail and for forms and labels. Used in creating containers and labeling using the USPS labeling lists. Determines the zone "distance" between entry and delivery point. Used for saturation mailings to check the number of stops to determine density was met for the saturation rate. Contains information about USPS drop ship facilities, such as drop site keys, names, and delivery addresses. All Used to determine where mail should be dropped based on when the drop will occur, so that you can receive discounts. Mail Direction data determines where and when mail pieces are dropped so that you can receive discounts. The mail direction files included in the directory releases are the Mail Direction directory (YYMM_maildirect.dir) and the Facility directory (YYNN_facility.dir). This update includes changes to the labeling lists in the MPC directory (YYMM_mpc.dir). Labeling Lists are used during the processing to group, create, and label bundles, trays, sacks, and pallets at various preparation levels. Details about the most recent Labeling Lists will be published in USPS Postal Bulletin Published USPS Postal Bulletins are available at l5dgs.tbl
7 The county.txt file is a file provided for your convenience that contains the county code information that is in the ZIP-City File (ZCF) directory (YYMM_zcf.dir), which can only be read by Presort. When using the Zone directory, printed reports from Presort display the ZAP date information as ZAP-ZC An Edjob patch script has been included with the Presort directory files that contain single occurrences of ZIP+4 facility changes or single occurrences of drop site key mapping changes (<x>: \windows\jan15_md.upd or \unix\jan15_md.upd). Only these types of changes are updated in the Entry Point blocks with this script. For instructions on running Edjob, see the Edjob User Guide. However, there may be other changes to entry points that are not included in the update script. You will need to monitor these yourself and manually edit your job files as appropriate. The following entry points were changed for the December 2014 directories: Entry point Drop key Old ZIP Code New ZIP Code GRAND JUNCTION CO EZ EAU CLAIRE WI EY If you installed the December 2014 directories and ran the associated Edjob script at that time, this entry point has already been updated in your job files. If you did not install directories for December 2014, you will have to update this entry point in your job files. See Setting up SCF, ADC, and NDC entry points in the Presort User Guide for instructions. From January to July 2015, the USPS will continue network consolidations of mail processing facilities. Consolidations that move mail processing from one facility to another will align with major releases of the Labeling Lists, which occur in January, April, and July, Those month s directories will contain these changes. When entry point facilities are closed or moved, they will no longer be valid, and you will have to update your job files with new entry points. 8 The USPS is now releasing directories on a monthly basis. This section serves as an overview of how Presort manages the monthly directory releases. See the Presort User Guide and Job File Reference for complete information. Directories have a three-month lifecycle, comprised of three phases: Notification, Active, and Outgoing. Directories are valid for mailings with estimated drop dates that fall in the Active phase or Outgoing phase for that directory release, which are during the second and third months of the lifecycle. 1. Notification phase During the first month, the directories will be available to you approximately five business days after the USPS has released the final versions of those directories so that you can review the upcoming changes and plan for mailings with estimated drop dates that fall within the next two months. The directories cannot be used for estimated drop dates that fall within that month. 2. Active phase During the second month, the directories become effective on the first day of the month and are valid to use for mailings with estimated drop dates in that month and the next month. This is the preferred directory set to use for mailing dates that fall within that month. 3. Outgoing phase During the third month, the directories are valid to use only for estimated drop dates in that month and expire at the end of that month. There is a newer set of data files in a different release that are in active phase, but files in the outgoing phase are acceptable to use for mailings with estimated drop dates in that month. The following example demonstrates the lifecycle for USPS Release 1 (as indicated in the 2015 USPS Labeling List and Mail Direction File Release Schedule), also referred to as the "January directories." These directories can only be used for estimated drop dates that fall in January and February, The filename structure for each of the January directories is 1501_<directory>.dir. (The filename
9 structure for the directory files includes the year and month that the directory becomes effective: YYMM_<directory>.dir.) In December, the "January directories" in Release 1 are in the Notification phase and cannot be used for estimated drop dates in December. They can be used for estimated drop dates in January and February. In January, the "January directories" in Release 1 are in the Active phase and the directories can be used for estimated drop dates in January and February. In February, the "January directories" in Release 1 are in the Outgoing phase and the directories can still be used for estimated drop dates in February. In March, the "January directories" in Release 1 cannot be used because they will be expired by February 28. Either the "February directories" in Release 2 (1502_<directory>.dir) or "March directories" in Release 3 (1503_<directory>.dir) can be used for estimated drop dates that fall in March. Validity of a data set is determined by the mail induction date, which is the date that the Postal Service takes control of the mailing. In Presort, the mail induction date is referred to as the estimated drop date. For mailers who drop ship, the estimated drop (mail induction) date is the day the mailing is unloaded from the truck at the Postal Service entry facility. The mail verification date is the date that the USPS verifies and accepts the mailing, which happens after the estimated drop (mail induction) date. For mailers who do not drop ship, the mail verification and estimated drop (mail induction) dates are the same.
10 When selecting the directories yourself in Presort and ZIPCount, we generally recommend using the Active directories. However, in some cases, a different directory may or should be used if you have: Multiple estimated drop dates Estimated drop dates that span two consecutive months Estimated drop dates that fall in the first week of the month More information about how to select the right directories for these and other scenarios is provided in the Presort User Guide. Presort can automatically select directories to use, but you can also specify the directories yourself. We recommend letting Presort select the directories, however specifying them yourself is the default behavior. When Presort selects the directories, the Active directory set will generally be used by default, but if it is not available, the Outgoing directories for the previous month will be used. If there is no directory set available for your estimated drop date(s), you will receive a message. In the Presort Auxiliary Files block, enter the location of the directories into the USPS Presort Data Folder parameter and leave the individual directory file parameters blank. We recommend letting Presort select the directories automatically to ensure that the correct directories will always be used for your mailing. You do not need to change the individual directory file parameter entries each time you run your job at a later date; you will just need to make sure that the path name in the USPS Presort Data Folder parameter is correct and that the current directories are located in that folder. You use the same parameters in the Presort Auxiliary Files block to specify the directories yourself, but populate them differently. If you choose to select the directories yourself, keep in mind that you will have to make the appropriate changes in the jobfile each time you want to use different directories. How you specify the directories to use depends on where they are located: If the directories you want to use are all located in the same folder, enter the pathname of the folder that contains the directories into the USPS Presort Data Folder parameter, and specify the appropriate filename with no path (YYMM_<directory>.dir) in the individual directory file parameters.
11 If the directories you want to use are located in different folders, specify the appropriate full path and filename of the directory ([path]yymm_<directory>.dir) in the individual directory file parameters. Leave the USPS Presort Data Folder parameter blank. ZIPCount does not select the directories automatically. You will have to specify those directories yourself in the ZIPCount Auxiliary Files block. Enter the full path and filename of the directory (Location & YYMM_<directory>.dir) in the individual directory file parameters.
