5 Access to My HR Profile 1. Open your browser to the Human Resources 1 web page. 2. Click on My HR Profile. 3. Type your User Name (E + your employee number without the three first numbers and the other leading zero, for example, if your employee number is , type E12345)

9 Navigation in My HR Profile My HR profi e is easy to use. The tool is divided into two sections: L outil est divisé en deux sections : Personal Information and Employee. Each section has it s own main page where a menu opens other functions. You may return to the main page of each section by clicking on the corresponding tabs in the upper section of the screen. The Personal Information tabs allows you to view your personal information such as your addresses, telephone numbers, addresses and emergency contacts. The Employee tab allows you to view your past pay information, your tax forms, your job summary and search an employee number (Person Search is only available upon request). 9

11 Complete Structure of My HR Profile Click on the Personal Information and Employee tabs to return to the previous page or to the main page of each section. Click on Site Map to obtain a complete list of the My HR Profile structure. 11

12 12 Click on Show Details to obtain a detailed list of the My HR profile structure.

13 Addresses and Telephone Numbers Address and telephone number update in My HR Profile 1. You have the possibility to enter addresses that will be valid at a future date. Banner will automatically deactivate the "old" address and activate the "new" address that becomes valid based on the Valid From Date that you will enter. 2. The address and phone number update can be done in one step but you can also update the telephone number without modifying the address. Telephone number removal Note that you must always have a Primary Phone Number, however you may delete any phone numbers under the Other Phone Numbers section. 1. Click on Personal Information. 13

14 14 2. Click on Update Addresses and Phones. 3. Click on the type of telephone number that you are modifying. 4. Click on the telephone number that you wish to delete.

15 UNIVERSITY OF OTTAWA Click on Submit. The phone number has been deleted. 6. Click on Return to Menu. Address and telephone number update in My HR Profile Note that you cannot modify an address or a phone number in the past. You cannot remove an address, we must always have an address on file. The deletion of an address,

16 16 for example, a mailing address, must go through the Human Resources Service at infohr@uottawa.ca. 1. Click on Update Addresses and Phones. 2. Select the Address To Insert or Update. 3. Click on Submit. 4. Type your Postal Code without a space.

17 UNIVERSITY OF OTTAWA Select the radio button to indicate whether you are entering a Canadian address or a United States address. Changes to an international address must go through the Human Resources Service at infohr@uottawa.ca. 6. Click on Validate Postal Code. 7. Click on the line which contains the series of street numbers of the address that you are inserting. 8. Type the street address number in the Street Address No.

18 18 9. Type any other information related to the address in the other appropriate fields. 10. Click on Save Address.

19 UNIVERSITY OF OTTAWA Banner inserts today s date in the Valid From This Date : DD-MON-YY field. If the address must become valid starting at a later date than what is displayed, type another date in the format DD-MON-YY (MON= THREE FIRST LETTERS OF THE MONTH). 12. Type the new telephone number in the appropriate fields if you need to add or modify one. You can enter the telephone number in the Primary Phone Number section or in the Other Phone Numbers section.

20 Click on Submit to save the new address and telephone number. The updated address is displayed. If you have put a future date in the Valid From this Date, the system will add Future in front of the date. 14. Click on Personal Information to return to the update personal information menu.

21 UNIVERSITY OF OTTAWA 21 Modifying your telephone number(s) Note that a phone number must always be attached to a valid address. 1. Click on Personal Information. 2. Click on Update Addresses and Phones.

22 22 3. Click on the type of telephone number that you are modifying. 4. Type the new telephone number in the Primary Phone Number section or in the Other Phone Numbers section. Do not include any spaces or hyphens.

25 Emergency Contacts Updating, deleting or adding emergency contacts You are able to update, delete or add emergency contacts in My HR Profile. Adding an emergency contact 1. Click on Personal Information. 2. Click on Update Emergency Contacts. 25

26 26 3. Click on New Contact. 4. Enter or select the information relating to the emergency contact such as the order, the relationship, the first name, the middle initial (when required), the last name and the phone number in the appropriate fields. 5. Click on Submit Changes. The new contact is displayed.

28 28 3. Click on the name to update. 4. Enter the updated information of the emergency contact in the appropriate fields. 5. Click on Submit Changes. The new information is displayed.

29 UNIVERSITY OF OTTAWA Click on Return to menu. Emergency Contact Removal 1. Click on Personal Information. 2. Click on Update Emergency Contacts.

30 30 3. Click on the name to removed. 4. Click on the Remove Contact. 5. Click on Submit Changes. The contact has been deleted. 6. Click on Return tomenu.

31 Exit My HR Profile RH contains all your personal information therefore, please ensure to exit before closing the window. 1. Click on Exit from the left of the top menu. 31
