1 2017 Girl Scout Olympics Information and Registration Forms Who: Daisies, Brownies, Juniors and Cadettes When: Saturday, January 21, Rain Date: TBA Where: Bernardo Yorba Middle School Fairmont Blvd. Yorba Linda, Time: Check in starts 7:00 AM; Opening Ceremony starts at 8:00 AM Projected ending time is approximately 3:00 PM Costs: Early Bird Fee - $10.00 per Scout if complete registration is received on or before Dec 1, (Includes patch and participation ribbon for girls, and all the activities). In order to qualify for EARLY BIRD your registration must include payment, as well as complete and accurate contact information for your 3 volunteers on the field and the Responsible Adults that will be supervising your girls. Fictitious information is not acceptable. Registrations fee received after Dec 1, 2016 will be $15.00 per scout. This date is firm! All troops must also supply the use of three adult volunteers per troop. Two additional adults per troop are also required to supervise the girls with rotations. If you have a multi-level troop one of your adults will need to go with each grade level. Please help me, help you... The online registration will require you to input contact information for your Troop Leaders, and the volunteers from your troop. This information is used in mailings and phone calls from our committee. STOP Here is when the fun begins...when you are in the process of obtaining your 3 VOLUNTEERS, please get COMPLETE ACCURATE contact information, including; Name, first and last, Mailing address, Phone numbers, AND addresses. We do contact these volunteers and leaders and we need this information in order to do so. If you can give me this complete and accurate information it will save me hours and hours of extra work. This is information you will need in order to complete you troops registration. IMPORTANT INFORMATION! PLEASE READ! Please understand that we MUST limit the number of adults on the field in order to control the event for the safety of the girls. Therefore, the ONLY adults that will be allowed onto the field are the FIELD ADULTS or EVENT VOLUNTEERS. TROOP LEADER will be the contact person for the troop. FIELD ADULTS are the Responsible Adults to supervise the girls on the field. EVENT VOLUNTEERS help with the different events throughout the day.

Please follow the step by step instructions for registering your troop. After you have completed registering your troop, go to the link payment form and print a copy of the payment form and include it with your payment. Don t forget... Early Bird Payment is due by December 1, Remember that Multi-Grade troops will be split up when competing so that every girl competes with her own grade level! For example: All girls in 2nd grade will be traveling around the field together from event to event, all 3rd grade girls will be traveling around together in a separate group from event to event.therefore, girls in each grade will need supervision in these groups by leaders/parents from your troop. Opening ceremony: Opening ceremony will include a Parade of Troops. Your girls can design a Troop Banner featuring your troop. Troop banners do not need to be expensive. It can be a fun troop activity for the girls to do in advance of the Girl Scout Olympics. Troops will walk around the field with their banner in a parade to their official starting point for the opening flag ceremony and announcements. Banners can be placed around the field for display. Potlatches or SWAPS can be a fun thing to pass out to your new Girl Scout friends you meet. Please Note: We strongly advise you to bring some activities for your girls; crafts, songbooks and snacks for down time between events. Girls could make potlatches to hand out to other troops if they wish. You may bring your wagons and blankets. It is also acceptable for you to set up a base camp outside the field area. Chairs, blankets, tarps or Sit Upons and E-Z Ups would be advisable. Patch Design Contest: We will have our patch design contest again this year. See the attached form for girls to submit their design. The winning design will be used for our patch, staff T-Shirt and the girl will be recognized at the Olympics. You are responsible for your own lunch, and are encouraged to support The Senior Girl Scout Troop at the snack shack. (See attached flyer). Don t forget to participate in the canned food drive as well. If event has to be rescheduled due to rain other unforeseen cause there are no refunds. No TAG-ALONGS - NO Strollers -They will not be allowed onto field however, they may watch from the stands. Login Page Request Access In order to use this system, you must request access by using the Need Access section s click here link. Request Access Page On the Request Access page, enter your troop number and your contact information, and click Request Access. Note: Your troop s Registration User ID and Password will be sent to the address entered on this page. Page 1 of 5

Request Access Email After you submit your information on the Request Access page, your request will be sent to the GSO Registrar for approval.

Password Notes: Passwords are automatically generated to be secure and are not user changeable.

If you lose or forget your password, go to the Login page and enter your User ID, address, and click Retrieve in the Lost Password section. Important: The address must be the same address that was used when originally requesting access to this website. Login Page Login After receiving your User ID and Password, go to the Login page and enter them in the Login section, and click Login. Page 2 of 5

Registration Page On the Registration Page, enter your Troop Level, Service Unit, and click Save Registration to continue your registration process.

After you click Save Registration, you will now be able to enter the information for the adults and girls who will be helping and participating in the GSO. Although not shown in the image on the right, there is a section for Girl Scouts. Important: In the Troop Information section, there is an area called Status. This tells you how many people (and type) you need to add in order to submit your registration. There is a minimum and a maximum amount of adults and girls needed to be registered in order for you to submit your registration. This number can be found in the Troop Information Status area and on the base of each section. Please Note: There are three categories of adults: Leaders, Field Adults, and Event Volunteers. The Leader information is used as GSO troop contacts. Leaders cannot be on the field unless they are signed up as either Field Adults or Event Volunteers. Field Adults are adults who will be on the field with their troop at all times. Event Volunteers are adults who will run the events. Adults entered as Fields Adults cannot be Event Volunteers and vice versa. However, adults entered as Leaders can be either Field Adults or Event Volunteers, but not both. Please don t forget to save your registration before logging out. Page 3 of 5

Ready to Submit Registration When the minimum number of people has been reached, the Troop Information status will show "OK to Submit Registration.

Important: Please be sure to enter any additional patches that you want, and enter your Check Number in the Accounting section before submitting your registration.

Please be sure to double check the spelling of your Girl Scouts as this is where the information for placement ribbons and medals come from. Ready to Submit Registration When the minimum number of people has been reached, the Troop Information status will show "OK to Submit Registration. The Submit Registration for Approval button will now be enabled. Important: Please be sure to enter any additional patches that you want, and enter your Check Number in the Accounting section before submitting your registration. Submit Registration When you click Submit Registration for Approval, you will see a message box asking if you really want to submit your registration. If you need to make changes to your registration, please click Cancel. Otherwise, click OK to submit your registration. Once your registration has been submitted, you will be unable to change it. If you need to modify your registration after it has been submitted, please contact the GSO Registrar. Mail Payment and Form After you submit your registration, please click the Payment Form link (see above image, circled in red) in the Accounting section. This will take you to the Payment Form page. Print and mail this page along with your payment as instructed on this page. The Registrar will not approve your registration until your troop s payment is received. Page 4 of 5
