20 Custom Notebook Pages You can also create your own Modify Existing FDN Pages 1. Request specific pages from RFC a. Example Part 6C: Custom Calibration Forms 2. Send changed pages to RFC for approval a. Information can be added, but nothing can be removed from existing FDN pages Create New FDN Pages 1. Such as Drying Forms, Drip Injection 2. Run them by RFC a. We might have some good suggestions b. This is an iterative process (forms improve with use & review)

21 Changes to IR-4 FDN Pages IR-4 FDN pages are revised yearly 1. Ken Samoil at IR-4 HQ is the mastermind 2. Proposed changes are sent out yearly with request for comments (usually in summer) If you have an issue with current FDN pages 1. Reply to Ken s during comment period (please copy WR RFC) 2. Or send suggestions any time 1. Explain why the current page is not working (maybe scan an example?) 2. Suggest what will work better 3. There will be a cutoff date for changes, but all suggestions will be considered RS

28 Tidbits and Reminders Importance of Rechecks Adjuvant Life Expectancy Responding to QA Audits eqa Response Time Change Sample Shipping

29 Why do output recheck at the trial site? Protocol says so! It s just good practice. SN

30 Real-Life Scenario Output calibration at office day before application ml/sec. Recheck output at trial site ml/sec. (+10% of original calibration) SOP said don t need to do recheck at the trial site for airblast sprayer. Would have been 18% over-application, but no one would have known!

31 Moral of the story Calibrate at the trial site (preferred) or Recheck at the trial site (protocol requirement)

32 Adjuvant Stability Clark Oman s Adjuvant Tale Contacted the manufacturer of Bio 90 Printed code on container corresponds to the production date Bio 90 good for 2 yrs from production date Container had actually expired November 2014 GLPs say no outdated reagents, therefore it would have been a compliance issue if Clark had used the Bio 90. SN

33 Adjuvant Stability Clark then purchased Activator 90 to replace the Bio 90 Manufacturer said good for 3 years from production date Activator 90 was already 2 years old when Clark purchased it

34 Adjuvant Stability IR-4 Advisory # allows use of an adjuvant for up to 5 years from date of purchase, but if a manufacturer supports a shorter stability time you need to use their date.

35 So what do you do now? Adjuvant Stability Call the manufacturer to find out their stability. Buy smaller quantities of adjuvants if you know they will expire before you use the whole container. Rotate them into use by the field station because they may not care if they re expired.

36 Adjuvant Stability GLPs say (Section ): Deteriorated or outdated reagents and solutions shall not be used. In order to prevent a compliance issue, if a manufacturer assigns a shorter expiration than 5 years from date of purchase, you need to base your expiration date on their recommendation.

39 eqa reminder: eqa FRDA Response Time The response timeframe for Field Raw Data Audits has been shortened from 45 days to 30 days. The response timeframe for expedited trial Field Raw Data Audits has been shortened from 21 days to 14 days. SN

40 Shipping Reminder If not shipping ACDS, plan ahead! Contact the lab before shipping Get confirmation That someone will be there to check samples and put them in freezer Ship Monday-Wednesday So they arrive before Friday! Samples need to stay frozen or we ve lost a trial RS
