2 About IVANS E-Commerce Server IVANS E-Commerce Server (ECS) Internet Solution allows agents to download carrier information using their broadband connections. IVANS Transfer Manager and ECS provide end-to-end compression resulting in a faster transfer of large files. How ECS Works Transfer Manager handles the communication sessions with ECS. Senders forward data files to the ECS mailbox, where they can be retrieved by trading partners. Features and Benefits Agents can use a broadband Internet connection to retrieve files from ECS. The solution is fully managed by the agency management system vendors and IVANS. Transfer Manager can be used with either IE or ECS to reach your entire trading community. Users have access to a Web-based management tool for administrative tasks and online inquiries. Getting Started Transfer Manager is integrated into more than 30 agency management system platforms, so no additional agency software or training is needed. As agencies and trading partners are enabled on Transfer Manager, IVANS systems will update the carrier s and the partner s Transfer Manager installations, and traffic will be diverted through ECS.

3 Re-Sends Using the IVANS ECS Server Carriers can re-send policies, or allow their agents to re-send policies, right from the ECS Administration website. This capability simplifies the process of re-sending a policy or file to the agency, reducing processing time and support calls. 3

4 How to Re-Send Using IVANS ECS Server Using IVANS ECS Server to re-send policies is simple. Follow the following steps to guarantee your policyholders will experience the best possible customer service your company can offer. 1) In your Internet Browser of choice, enter in this URL Address: Note: For easy access to the IVANS ECS Server, please save the URL in your Internet Browser s Favorites.

5 2) To log on, use your IVANS ECS Account Code, User ID and Password. Note: If you do not know your password, open IVANS Transfer Manager software, select Configuration - Support Mode, then select Configuration - Mailboxes, and finally, select your ECS mailbox. This should display your password.

6 3) Once you are logged on, select User Main Menu

7 4) Select the Mail Menu button

9 6a) Direction - Make sure Received is selected before searching

10 6b) Search On - Enter the full or partial policy number you wish to be re-downloaded. Select the Partial Match check box if the complete policy number is not entered. 10

11 6c) Format - Allows the user to sort fields in either ascending or descending order. Field that can be sorted include: Policy Number, Insured, Effective Date and Expiration Date. 11

12 6d) Once the criteria for the policy you need re-sent are entered in the following fields below, and select Retrieve Results. 12

13 6e) The search results will be displayed. Select the Mark For Re-Send box for the policies you wish to re-send. Then select the Re-Send Selected Policies button to send the files to your management system. Note: If the policy you wish to re-send has not previously been sent and received by you, it will not be included in the results. 13

14 7) You will receive confirmation that the policy has been re-sent to your mailbox. 8) To complete the re-send, now run a process through your management system to pick-up the re-sent policy. For Online Help: Select Contact IVANS ECS Support in the bottom right-hand corner of the screen. 14

15 Before Requesting a Policy for Re-download: Some actions should be considered before submitting a policy for re-send. 1) Check with your Download Coordinator to confirm that the functions to retrieve and process the download files are current. 2) If your agency management system has a Suspense For Hold Function, confirm that all transactions have been assigned and applied. 3) After determining the download date, check the agency management system s download report for that day for the transaction status. If the transaction went to history instead of updating the policy, please contact IVANS Technical Help Desk by calling , select 3, then select 5. 4) Do a search by Policy Number. 5) In some management systems, if a policy loads to a wrong customer, you can copy it to the correct customer.
