CareFusion Specimen Collection Verification is a computer software application that allows authorized users to collect specimens for laboratory testing and simultaneously identify the patient, view lab orders, print specimen labels and document collections at the patient bedside. CareFusion Specimen Collection Verification helps ensure that it is the right patient, right order, right test and right time of a scheduled collection. Directions / Guidelines Correlating Screen Overview of the CareFusion Device - Press Red button on top right-hand corner to turn device on and off - To adjust the backlight, press the backlight button on/off or tap the power button and release - A hand strap is provided for easy device handling - The stylus is located on the side of the device for screen navigation (see bottom right picture) - Yellow buttons used for barcode scanning Page 1 of 13

2 Logging In - Ensure device is turned on (use red power button, top right corner) - CareFusion Collection Specimen Verification application will be launched 1. Tap the Specimen icon and the login screen appears 2. Log in by typing in your user id where the blinking cursor appears. Tap into the field next to password and enter it - Electronic keyboard access: tap on keyboard icon at bottom of applicable screen (see picture #2). Minimize it by tapping icon again - If login is successful, a message indicating the device is Authenticating User appears Barcode Scanning/Label Printing Tap on Specimen Icon 1 2 Use the keyboard to enter assigned ID and password 3. After logging in, the Nursing Units List screen will appear. Scan the patient s wristband. 3 - Aim the scan window at the bar code and press yellow scan button - Ensure red scan beam covers entire bar code *Do not stare into the beam. Do not scan near a patient s face or eyes. Scan patient Wristband Page 2 of 13

3 - The Scan LED light appears red to indicate scanning is in process - LED light then appears green and a beep sounds to indicate bar code was successful - Release the Scan Button 4. The Confirm Patient screen displays patient identifiers: patient name, MRN, unit/room/bed, date of birth (DOB), sex, age, race, provider s name. Confirm Yes or No 5. Preview Lab Screen displays the labs ordered for the patient. Tap on lab and then tap on Labels to run a batch print (all collection labels) 6. After labels print, place on tubes, collect specimen(s) and scan barcode(s) on each label(s). 4 Label tubes and scan barcodes Status changes to Collected Tap on Close. Send Specimen to Lab Labs will have a colored background indicating a particular lab status Green; Partial = More tubes to be collected Yellow; Incomplete = Incomplete Collection Blue; Collected = Order Collected Red Text = Stat lab Scroll Bar 8 8. 4 Barcode Scanning/Label Printing 3. After logging in, the Nursing Units List screen will appear. Scan the patient s wristband. 9 - Aim the scan window at the bar code and press yellow scan button - Ensure red scan beam covers entire bar code *Do not stare into the beam. 5 Reprint Label 1. To Reprint a label, tap Action at bottom of the screen and then tap Print Individual Labels 2. Check the box next to the appropriate lab and then tap Print at bottom of screen Reason for Use: if a label becomes compromised or lost, the ability to reprint a label becomes necessary 1 Click on Action & Print Individual labels 2 Check the appropriate lab and tap Print Incomplete Labs 1. If a lab cannot be collected, select lab, go to the bottom of screen, tap Action and then tap Mark Test Incomplete 2. From drop down box, select reason test cannot be completed and tap OK 3. If Other chosen, a text box displays enabling user to clarify reason for incomplete collection - The background color of the lab on the Preview Lab will highlight the collection in Yellow and Status will indicate Incomplete Reason for Use: Lab order may change, RN may be interrupted and unable to complete lab collection 1 Click on Action and Mark the Test Incomplete 2 Page 5 of 13

6 Patient Notifications 1. If a notification regarding the patient needs to be posted (i.e. no lab draws from right arm ), go to Preview Labs screen, tap Patient menu on bottom of screen. Tap Notifications 2. Tap Add to type patient notifications or select from appropriate template(s) 3. To Edit or Delete an existing notification, select notification and tap Edit or Delete - Patient s record will be updated. Tap Close to return to Preview Lab screen 4. When accessing the patient s profile, the added notification will display. Tap Close to return to the Preview Lab screen 1 Click on Patient and Select Notifications 3 Type Text in Notification box or select Template 2 4 Additional Information 1. Preview Lab Screen: there is one entry for each collection order. Read horizontally and each order includes: Sample ID # Date/Time test to be collected Test name Status Priority Container type 1 2 Page 6 of 13

7 - Tap the Collection Details to view details of that collection including quantity and volume (picture #1 and #2) - If present, tap the Flag hyperlink to view any special collection instructions 2. Patient I.D. Manual Lookup - User may lookup patient without scanning by entering patient s MRN into the Patient ID space after logging in - After entering MRN, user must give reason why manual entry is entered rather than scanning the barcode Printer - Control Panel: contains Feed Button advances printer media. Also realigns the labels Printer Status icons Scroll Button Power Button LCD screen Select Button See descriptions to the right - The printer will connect to the CareFusion device via a cable Page 7 of 13

8 Printer Battery - Can last up to 8 hours if idle; 3-6 hours with heavy use To replace battery, rotate belt clip to access battery compartment Insert battery and rock into place until it locks in place When the battery is first installed, Control Panel indicators may briefly turn on and then go off which indicates the battery is not full charged Loading/Peeling Off the Labels Follow instructions at right Cleaning - In case of a bio-hazard condition, exterior of the printer can be cleaned by placing a minimum of 70% isopropyl alcohol on a 4X4 to wipe away the bio-hazard. Printer Battery Installation and Charging To charge battery, use single charger and insert plug from charger cable into battery s charger jack. Plug charger into A.C. outlet Loading and Peeling Off the Labels 1. Pull Media Supports apart. 2. Insert labels & let supports close. 3. Supports adjust themselves. Labels should spin freely 4. Close media cover. 5. Press Feed button to realign labels manually or labels will automatically realign themselves once next print job is selected. 6. Peel labels from Feed. Page 8 of 13

9 CareFusion Battery - Installation: Insert top first into battery compartment in the back Note: Position with battery charging contacts on top of charging contacts in battery compartment - Push battery down into compartment until battery Release Latch snaps into place - Insert cover,bottom first, then press down on top of cover - Close Battery Cover Latches on either side of battery cover *Note The Battery Cover Latch has grooves that must be aligned in order for the device to close properly. Forcing it without aligning the grooves could break the cover latch - Charging: Insert CareFusion device into slot to begin charging - Battery is fully charged in four hours - LED light indicators as listed in chart to the right Page 9 of 13

10 Charging a Spare - Insert spare battery into accessory s spare battery charging slot with charging contacts facing down - Gently press down to ensure proper contact - When charging properly, the LED light will blink amber. A solid amber will display when fully charged. - Spare battery fully charges within four hours Identifying a Low Battery - Locate the Navigation bar at top of device screen Main Battery is Low Main Battery is Very Low Backup Battery is Very Low - The device makes an audible tone and will flash a yellow light. Tap battery icon to acknowledge the warning. The icon will disappear and reappear intermittently until battery changed or recharged Page 10 of 13

11 Troubleshooting - Rebooting the CareFusion device Warm Reboot: hold down Power button for 5 seconds As soon as device starts to boot, release power button Calibrating the CareFusion screen - Calibrating the screen: follow instructions to the right - Battery: remember to check the battery light if device is working slowly. Battery may be low - Backlight: if device does not work, ensure backlight is on. It must be on for device to function - Network problems: NetMeter is a network monitoring tool on the CareFusion device. It pops up in poor network areas. It disappears when the signal is strong enough to process transactions. Try moving the device up or down a foot or move forward or back to pick up a stronger signal If certain areas are consistently problematic, contact your manager or Network Administrator - IT procedures: for error message resolution, please refer to your manager or system administrator To calibrate from login screen, tap Options menu and Calibrate Screen Poor Network Signal Tap in center of the target displayed on screen. The target will move around the screen five times. Tap the center of target each time to align the screen. Page 11 of 13

12 Cleaning and Isolation - A disinfectant solution of 70% or greater isopropyl alcohol may be used to wipe down the CareFusion device. Spray the solution onto a soft cloth and wipe down the device thoroughly - The CareFusion device may be placed in a clear plastic bag for use in isolation precaution rooms. The bar code scanner and touch screen will function through the plastic bag. Remember to discard the plastic bag prior to leaving the room. Page 12 of 13
