3 Note: Icons and indicators previously defined will not be included in the following displays. Ad Hoc Use to create an order for a med that already has an order with a different dose & time Indicates patient has not been scanned Indicates patient has been scanned Tap to display Task lists. Use arrow to move down list. Med has been discontinued. Indicator displays on Overdue meds only. Rx Note Tap + hold to view order detail comments. Medication order has been modified Indicates med order has not been nurse reviewed. Indicates the med order has not been verified by a pharmacist. Indicates a note entered by a nurse. 3
4 Used for back charting. Tap to enter administration date/time. Also used to view current Performed Date/Time. Comment Tap to enter comment * Comment has been entered Tap to view. Comments can be viewed on the MAR and MAR Summary tabs. Infuse Volume Time -. Tap to increase the infuse time for IVPB These icons and indicators display on the To Be Signed task list only Med is available for signing. Indicates a rate change entered via CareMobile. Indicates med was back charted. Tap to view med Details. Tap back charting indicator (calendar) to view the administration date/time entered. Indicates the med order was created in CareMobile (Ad Hoc). 4
5 Using the PDA HHP PDA Bar Coding Device To turn on the PDA: 1. Tap the Power button. Do NOT Power off the device. 2. Waking Up appears on the screen for a few seconds. 3. Check to make sure the device has a full battery. Battery icon at the top of the screen indicates battery status. 4. Tap CareMobile icon Battery icon indicates a full battery Power button To scan medications and the ID band, press Scan. The scanner emits a green bar that must be on the barcode. To exit correctly: 1. Tap Workflow at the bottom of the window 2. Tap Exit Scan button NOTE: Do not tap the Exit icon to turn off the PDA. It exits out of the charting view and opens the IS view. If clicked, a password window opens that does not accept your password. Do not click Exit. The icon does not turn off the PDA. Your password will not work. 5
6 Checking the Battery Status The bar at the top of the screen indicates the battery status. Battery has full charge. Battery has a high charge. Battery has a high charge. Battery has a low charge. Battery has a low charge. Battery has a very low charge and requires charting. Other Battery Status Indicator In CareMobile Tap the Battery icon in CareMobile to view the actual battery level. 6
7 Realigning the PDA Screen When a number or letter tapped is not the one that is entered on the screen, the online keyboard needs to be realigned. 1. Tap Align Screen on the opening window. 2. The align screen window opens. Follow the directions. Tap firmly, not quickly. You may have to do this several times. 3. When you return to the Setting window, Tap OK to exit the window. 7
8 Screen Options 1. Tap Text Size-Allows user to adjust the text size. Tap General or OK to return to main screen. 2. Staff may choose to change their view to a Landscape (right-handed) or (left handed) view. 3. Tap keyboard icon for keyboard access. 8
9 Changing PDA Volumes 1. Tap Volume Control Icon on the PDA screen. 2. Tap and slide the bar to the right or left. 3. Tap X to close the window. Volume Control changes both the tapping and scanning volume. To access the Volume Control and Calculator in CareMobile when charting: Volume Control: Press the red key and then the B key. Calculator: Press the red key and then the A key. Light button on the keypad Press to backlight the keypad. Press again to turn off the light. 9
10 Adjustment of Backlight To adjust the resting display backlight brightness: 1. Tap Backlight icon. 2. Tap Brightness tab. 3. Adjust level by selecting arrow and dragging to desired brightness level. NOTE: Do NOT make changes to the Battery Power or External Power tabs. PDA problems Reset your PDA when it locks up or gives you problems. Resetting (sometimes called a warm boot or a soft reset) will release freezes & other problems. 1. Press the CTRL key and the ENT key on the keypad at the same time. 2. Hold down the buttons until the screen is blank and the lights at the top are flashing. Change the battery at the beginning of your shift and every 4 hours as needed. 10
11 Logging into CareMobile the 1st Time 1. Tap CareMobile icon. 2. Enter your user name in User Name field. The next time the PDA is used tap the dropdown arrow. The last 7 user names will display. Tap your user name if listed. 3. If keyboard does not open, tap Keyboard icon. 4. Tap Password field and enter password. 5. Tap OK. Keyboard Icon 6. Occasionally an Alert opens informing user that he/she has never logged into this device. 7. Tap OK. 8. The log in window opens again requiring you to enter your password again. 9. Tap OK after entering your password. Your patient lists will not display in CareMobile the first time you log into CareMobile. See the following page to create lists. 11
12 Location and Custom Lists in CareMobile (PDA) 1. Tap Tasks at bottom of window 2. Tap List Maintenance 3. Tap Edit next to PowerChart Lists 4. Select desired lists and tap OK 12
13 5. Tap As of to refresh view To Add patients to the Custom List Go to PowerChart to add patients to your Custom List To Remove patients from the Custom List 1. Tap the box next to the patient s name 2. Tap Remove 13
14 Cleaning PDAs PDAs should be cleaned at least daily with Sani-Cloth Plus wipes. Make sure the wipe is not dripping wet Squeeze excess liquid from Sani-Cloth Plus wipes so the solution does not run onto the screen. Isolation When PDA is left in room and patient has vacated the room: 1. Clean with Sani-Cloth Plus wipes. 2. Squeeze excess fluid from wipes. Isolation Process when it is not possible to have a dedicated PDA Duplicate patient ID bands placed in the anteroom for scanning is a violation of hospital policy and a significant safety risk. You must scan the ID band on the patient. Outside Patient Room: 1. Scan and prepare meds outside room. 2. Gown up to enter the room. 3. Take PDA into the room. In the patient room: 1. Scan the patient ID band. 2. Set down the PDA in the patient room. 3. Administer medications. 4. Complete charting on the PDA. After Medication Administration: 1. Remove gown and gloves in the room. 2. Perform hand hygiene with alcohol gel. 3. Re-glove and squeeze excess liquid from Sani-Cloth Plus wipes so the solution does not run onto the screen. 4. Clean PDA with Sani-Cloth Plus wipe. 5. Leave room with the PDA and discard gloves. 6. Perform hand hygiene with alcohol gel. 14
15 Troubleshooting the PDA The PDA will not turn on Solution: The battery is dead and requires changing. After inserting a new battery, the PDA may require you to realign the screen and select an organization. 1. Tap Align Screen 2. Tap Align Screen 3. Using the stylus, tap the target firmly 4. To select the Organization, log in, then and accurately at each location on select Tasks, then Pick Organization. the screen. 5. Select Organization by tapping your facility 6. Tap Select 15
16 The screen went black Solution: Tap the screen in a corner and the screen will return. The screen dimmed to save power. The PDA does not stop spinning Solution: Reset the PDA. Press CRTL and ENT buttons on the keypad. Password disabled on 1 st try The previous user name defaults into the field. Another user enters his/her password without changing the user name, inactivating the other user s password. Prevention: Always check the user name before entering the password. Before entering password check User Name field for correct name. Helpful Hint: To change your password you must be logged out of CareMobile before making the change in PowerChart. Otherwise, the PDA will lock up. The location list does not have current patients The view in CareMobile needs refreshing just as PowerChart does. Solution: Tap As Of to refresh the lists.. 16
17 Name band does not scan Solution: Check to make sure your PDA is working properly (scanning light is present). If not change the battery. Check for correct organization. If the PDA automatically cold booted due to a run-down battery you have to select an organization. 1. Tap the correct location if it does not appear in the window 2. Tap Select When the Organization does not appear you must exit out of CareMobile and login again. On the patient list open the organization window 1. Tap Tasks at the bottom of the window 2. Tap Pick Organization 3. Tap the correct organization 4. Tap Select Scan the 2 dimensional not the linear bar code. Get another name band if the preceding suggestions do not work. The bar code may have been damaged. Scan the 2-D bar code. Do not use 17
18 Defective PDA Solution: Label the PDA with a red Defective - Do Not Use sticker and call the Help desk. Use another PDA to administer meds. Fill out the Defective sticker with the following information: Person reporting Date/Time Dept/Unit Discovering Explanation (A brief summary of the problem, along with the asset # of the device, found on back of PDA) Please call the Help Desk (56053) and they will send someone to check/replace the device. Leave a message if a support tech isn t available, including the following information: Has more than on person tried to log in to the same device? Give the full name and extension of user(s) having issues. What is happening/not working (error message, spinning wheel, blue screen)? Report the device number that is located on the back. Report your unit and the specific location the problem occurred. 18
