2 INTEGRATION GLOSSARY Data synchronization The process of establishing consistency of data between a source and storage, and the continued harmonization of that data over time. Password fatigue (aka password chaos, identity chaos) The feeling that results from being required to remember a large number of passwords to conduct business and maintain a daily routine. According to a 2002 survey by NTA Monitor, a typical intensive computer user has an average of 21 password-protected accounts. Password fatigue often results in stress and the adoption of habits that compromise security, such as relying on written passwords or using the same password for multiple accounts. Role The ability of an individual user to perform a specific task, such as view, create or modify a file. Roles are defined according to job competency, authority and responsibility within the enterprise. Section In Podium s Academic Groups and related SIS software, a specific class listed under a course of study in an academic department. SSO Single sign-on. A property of access control of multiple related, but independent, software systems. A user logs in once to gain access to all systems. Our goal has always been to get people to go to the Web site first. It is our central information and academic repository. Podium s integration with pickatime puts everything right in the portal, and it has made a huge difference in terms of saving time. Since the information is importing right from Podium, the chance of errors is also greatly reduced. If it s right in Podium, it s right in pickatime. Tony Trumbo Director of Technology Ensworth School Single Sign-on Single sign-on access between Podium and pickatime allows users to move seamlessly into the virtual appointment book software by clicking on a link that can be installed on any Podium page or portal. No additional usernames, passwords or URLs are needed. SSO reduces password fatigue among users and decreases the volume of password-related phone calls to the IT department. WhippleHill installs the integration for its client, at which time a new Manager role, pickatime Manager, then enables the integration by saving the school s pickatime ID into the manager s setting screen in Podium. Once the integration is enable, pickatime becomes available in a list of authentication resources within the school s link categories to create the single sign-on connection. The link can be added to any secure page or portal. By clicking the link, the user will be taken from any Podium page or portal directly into the pickatime system. 3 Parents will see the available time slots to meet with their child s teachers and can select a time that works best with their schedule. Teachers can adjust the lengths of their appointments and monitor registration. Administrators have access to real-time reports that outline information about the appointments that have been set and a log of a parent s appointment history. Data Synchronization Schools running Podium s Academic Groups module may also take advantage of an automated import that transfers all their applicable section information to pickatime, including teachers and student rosters. As a result, less time is needed for administrative setup. Upon single sign-on, a parent can select a block of time by clicking on its corresponding color. 4 The pickatime administrator can build new conferences, import data and run a variety of reports. The WhippleHill Importer will automatically import enrollment data so that families are paired with the correct teachers and sections. Using this integration, a single sign-on or SSO link can be placed on any secure page or portal. Students, Parents and Teachers can use the single sign-on to access pickatime without a new username and password. This integration also offers an automated data importer that works with WhippleHill s Academic Groups. Schools that are not using AC Groups can still take advantage of the SSO. The pickatime Manager can activate this integration with one, simple settings task. By simply entering the school s pickatime ID, the integration can be activated. The integration is basic and simple, but offers all of the functionality that you need to save administrators and users headaches during conference time. The automated WhippleHill Importer quickly imports your Academic Group enrollment data, making conference set-up a snap. Your users can log into WhippleHill and access pickatime with one click, no additional login information required.
