5 What s new in DocQscribe 7.1 Corporate rebranding After the merger, M*Modal rebranded itself to reflect the best attributes of the two companies in an effort to unite its employees, clients, and partners under one brand. As part of the rebranding effort, M*Modal designed a new corporate logo and selected a new color palette, which the company is incorporating into its products. DocQscribe s layout in the 7.1 release includes the new color palette and logo, and a new set of icons, which you can see when accessing the Login window: Figure 1. DocQscribe s new color palette, logo, and icons. Note: While DocQscribe s appearance is new, it retains the same functionality, keystrokes, and procedures available in previous versions. Feature enhancements for boosting productivity M*Modal has added a number of enhancements to DocQscribe in the 7.1 release that are intended to help boost your productivity. For example, DocQscribe allows you to use phonetic spellings when searching for physician names to quickly locate difficult, or unusually-spelled names. And, you can use the new DocQscribe browser to quickly research medical terms and drugs on the Internet with sites like Google and Drugs.com. That is, instead of leaving DocQscribe, starting a browser, and searching for a term on the Internet, you can go straight to the definition of a term from a document you are editing in the DocQscribe browser. In addition, you can display word replacement suggestions and definitions from a search engine, as well as information from Wikipedia and Wiktionary, directly in the text editor panel on the Document Editor. 7 What s new for Demographics and ADT What s new for Demographics and ADT Figure 3 shows the rebranding changes on the Demographics and ADT window for DocQscribe 7.1: Figure 3. The rebranded Demographics and ADT window. Notice that the central panel no longer includes the ADT and CCList tabs. The CC List functionality has been moved to a new panel, which is described in Updating the CC List on page 10. Using the Action Group The Demographics and ADT window includes a new action group with the following options: Show CC List: Press Alt+W or click Show CC List to open the new CC List panel where you can add physicians to the CC list. For more information, see Updating the CC List on page 10. Import: The Import option only becomes active when working on a split job. In that case, you can press Alt+. or click Import. The import functionality works in the same manner as previous releases. OK: When you finish updating the job s demographic and ADT data, press Alt+O or click OK to save your changes. Cancel: Press Alt+C, or click Cancel to cancel any changes on the Demographics and ADT window and continue to the Document Editor. DocQscribe 7.1 Release Notes 3

8 What s new for Demographics and ADT Using silence acceleration The DocQscribe 7.1 release is reintroducing the silence acceleration feature, which was available in previous versions of DocQscribe. Silence acceleration, which is enabled by default, automatically increases the speed of the audio during playback in speech-recognized jobs when DocQscribe encounters periods of silence or hesitation. The audio returns to normal speed when a silence or hesitation period ends. The new silence acceleration indicator is located beneath the playback speed icon: Figure 4. The silence acceleration indicator. To temporarily suspend silence acceleration, press Ctrl+; (semi colon) at any time when listening to audio. You can determine the status of the silence acceleration functionality by looking at the silence acceleration indicator: White: When the indicator is white, silence acceleration is not enabled. On the Demographics and ADT window, this occurs when the job has not finished downloading: Figure 5. When white, silence acceleration is not available. Green: When the indicator is green, silence acceleration is enabled for audio playback: Figure 6. When green, silence acceleration is available. Red: When the indicator is red, silence acceleration has been suspended: Adjusting audio tone Figure 7. When red, silence acceleration has been suspended. The DocQscribe 7.1 release is also reintroducing the tone feature, which was available in previous versions of DocQscribe. Adjusting tone can help improve the sound quality of an audio file. The new Adjust audio tone option resides on the audio control bar: Figure 8. Adjust sound quality with the Adjust audio tone option. To decrease the tone setting, do either of the following: Press Ctrl+Shift+NUMPAD- (minus) Click the Adjust audio tone icon and drag the tone slider down: Figure 10. To decrease tone, drag the tone slider down. Performing physician searches The new physician search feature, which is available from the Demographics and ADT window, enables you to perform phonetic, "fuzzy," searches when you are unsure of the spelling of a physician's last name. For example, if you know a physician's last name sounds like "Steven," you can enter "Steven" as search criteria and DocQscribe may return a list of names that sound similar, such as "Stephen," Stephan," and "Stefen." To change a dictator in the Demographics panel: 1. Do either of the following: To change the dictator, press Alt+N or click the ellipsis button in the Dictator section. The Select Physician window opens, as shown in Figure 11. To change the Dictated For physician, press Alt+F, or click the ellipsis button in the Dictated For section. 10 What s new for Demographics and ADT DocQscribe automatically populates the Job Physicians list with all physicians currently associated with the job. Note that DocQscribe displays question marks next to all custom physician names in the list. 2. Do one of the following: To select a physician in the Job Physicians list, use the Up and Down arrows to select the desired physician and then press Alt+O, or click OK. However, if the physician is identified as a custom physician, perform a physician search first to verify whether the physician resides in the DEP database. Important: The healthcare systems that deliver jobs to DEP often send only physician last names, first names, and provider IDs. DocQscribe may identify physician names in the list as custom physicians when they actually exist in the DEP database. Before selecting a custom physician, always perform a physician search. This ensures that DocQscribe includes all data for the physician from the database and that DEP can route the job properly. Continue to step 3. If the physician is not listed, continue to step 3 to search for the physician in DEP. 3. If you cannot find the desired physician in the Job Physicians list, or the physician is identified as a custom physician, perform a physician search. Start by entering search criteria into one or more of the available fields. If you are uncertain of the spelling of the physician s last name, and you want to perform a phonetic, fuzzy search, please note the following: To enable DocQscribe to return good matches for a fuzzy search, enter as much of the physician s last name as possible, with your best guess for the spelling. When performing a fuzzy search, DEP uses the last and first names and, if supplied, it uses the access code and specialty to filter the results. Therefore, the more search criteria you supply, the narrower the results and easier it will be to find the desired physician. The fuzzy search returns matches for last names, first names, and middle names. For example, if you entered Steven for the last name, DEP could return the following results: Stevens, Timothy Jones, Steve Smith, David Steven DEP ignores the % wild card in the First Name and Last Name fields for fuzzy searches. But, the % wild card will be used for specialty and access code matching. Note: DEP cannot perform a fuzzy search if both the First Name and Last Name fields are empty. 11 What s new for Demographics and ADT 4. Press Alt+S, or click Search Physician (note that you cannot press Enter to initiate a physician search). Any of the following may occur: If DocQscribe retrieves a list of physician names that match your search criteria exactly, with no fuzzy phonetic matches, it displays all matches in the Standard Results list, like the example in Figure 12: Figure 12. DocQscribe returns a standard list of matches in the Standard Results list. DocQscribe places your cursor in the Standard Results list by default. Use the Up and Down arrow keys on your keyboard to move through the list. If you move your cursor out of the list, note that you can press Alt+B to return to it. Note: DocQscribe only displays a list of the first 100 physician names matching your search criteria. If you supply minimal search criteria, and your search yields more than 100 matches, DocQscribe displays the following message: Showing first 100 results, please refine search criteria. If you were unsure of the spelling of the physician's name and entered a partial name, or a phonetic spelling, DocQscribe may return fuzzy phonetic matches, as well as names that are more of an exact match. In this case DocQscribe displays names in both the Standard DocQscribe 7.1 Release Notes 7

12 What s new for Demographics and ADT Results and Fuzzy Results lists, like the example in Figure 13: Figure 13. DocQscribe returns a list of standard matches and phonetic, fuzzy, matches. DocQscribe places your cursor in the Standard Results list by default. Use the Up and Down arrow keys to move through the list. If you cannot find the physician name in the Standard Results list, press Alt+Z to jump to the Fuzzy Results list to look for the physician name. Note that you can press Alt+B to return to the Standard Results list. If you were unsure of the spelling of the physician's name and entered a partial name, or you entered a phonetic spelling and DocQscribe does not find any exact matches, it displays all results in the Fuzzy Results list, with no results in the Standard Results list, like the example in Figure 14: Figure 14. 13 What s new for Demographics and ADT DocQscribe places your cursor in the Fuzzy Results list by default. Use the Up and Down arrows to move through the list. If you move your cursor out of the list, note that you can press Alt+Z to return to it. 5. Do one of the following: If you can find the desired physician in either the Standard Results or Fuzzy Results, press Alt+O, or click OK. If you cannot find the physician in the DEP database using any search criteria, you can press Alt+N or click the New tab where you can create a custom dictator for the job. For more information, see Creating custom physicians on page 9. If you want to perform a new search, and you want to clear the current list of search results, you can press Alt+R, or click Clear. Creating custom physicians If you are attempting to change either the Dictator or Dictated For physician in the Demographics panel, but are unable to find the physician name when performing a search on the Select Physician window, you can create a custom physician. Important: Creating a custom physician does not update the DEP database. The custom physician information is only stored with the job. To create a custom physician: 1. On the Select Physician window, press Alt+N or click the New tab: Figure 15. Enter information for the custom physician on the New tab. 2. Enter the physician's name and any other information you have about the physician in the available fields. Note that you can press Tab to move down the field list, or Shift+Tab to move up the list. In addition, you can press Alt plus the underlined letter on a field name to jump directly to that field. For example, you can press Alt+D to jump to the Credential field. 3. When you finish entering the physician s name and supplying other, available information, press Alt+O, or click OK. DocQscribe 7.1 Release Notes 9

14 What s new for Demographics and ADT Updating the CC List The process of adding physicians to the CC list is similar to the process of adding physicians on the Demographic panel, because the CC list also uses the Physician Search features with the new fuzzy phonetic searches. To add a physician to the CC list: 1. Press Alt+W, or Ctrl+L, or click Show CC List in the action group. DocQscribe opens the CC List panel, like the example in Figure 16: Figure 16. Search for physicians with the CC List window. DocQscribe automatically populates the Job Physicians list with all physicians currently associated with the job. Note that DocQscribe displays question marks next to all custom physician names in the list. 2. Do one of the following: To select a physician in the Job Physicians list, use the Up and Down arrows to select the desired physician and then press Alt+D, or click Add to add the name to the CC List. However, if the physician is identified as a custom physician, perform a physician search first to verify whether the physician resides in the DEP database. DocQscribe places your cursor in the Fuzzy Results list by default. Use the Up and Down arrow keys to scroll through the list. Note: DocQscribe only displays a list of the first 100 physician names matching your search criteria. When you supply minimal search criteria, and your search yields more than 100 matches, DocQscribe displays the following message: Showing first 100 results, please refine search criteria. 5. Do one of the following: If you can find the desired physician in either the Standard Results or Fuzzy Results, press Alt+O, or click OK. If you cannot find the physician in the DEP database using any search criteria, you can add a custom physician to the CC list. For more information, see Creating custom physicians on page 9. 16 What s new for Demographics and ADT Creating custom physicians for the CC list If you are attempting to add a physician to the CC list but are unable to find the physician name when performing a search on the Select Physician window, you can create a custom physician. Important: Adding a custom physician to the CC list does not update the DEP database. The custom physician information is only stored with the job. To create a custom physician for the CC list: 1. On the CC List panel, press Alt+N, or click New to open the New Contact window: Figure 17. Enter information for the custom physician on the New Contact window. 2. Enter the physician's name and any other information you have about the physician in the available fields. Note that you can press Tab to move down the field list, or Shift+Tab to move up the list. In addition, you can press Alt plus the underlined letter on a field name to jump directly to that field. For example, you can press Alt+Z to jump to the ZIP Code field. 3. When you finish entering the physician name and other information, press Alt+O, or click OK. Searching the NPI database If you cannot find information about a physician in the DEP database for a field on the Demographics and ADT window, or on the CC list, you can also press Ctrl+6 to open the new DocQscribe browser and search the National Provider Identifier (NPI) database. While the DocQscribe browser is mainly intended to help you research medical terms and drugs when editing or transcribing jobs, the NPI search can help you locate physician information: For a detailed explanation of the new DocQscribe browser, see Researching with the DocQscribe browser on page 13. For instructions on searching NPI site with the DocQscribe browser, see Searching for physicians in the NPI database on page 20. DocQscribe 7.1 Release Notes 12

17 What s new for the Document Editor Figure 18 shows the rebranding changes on the Document Editor window for DocQscribe 7.1: Figure 18. The rebranded Document Editor window. Researching with the DocQscribe browser Prior to DocQscribe 7.1, if you wanted to research a drug on a site like RxList, you had to set DocQscribe aside, start a browser, go to the RxList site, and then perform a search. DocQscribe 7.1 includes a new, built-in browser that you can open from any job you are editing or transcribing to quickly search for medical terms, drug names, and even physicians. You can search the following sites with the new DocQscribe browser: Google: Press Ctrl+1 to search with Google. Drugs@FDA: Press Ctrl+2 to search Drugs@FDA. RxList: Press Ctrl+3 to search RxList. Drugs.com: Press Ctrl+4 to search Drugs.com. WebMD: Press Ctrl+5 to search WebMD. National Provider Identifier (NPI) database: Press Ctrl+6 to search for physicians in the NPI database. Important: The availability of the sites listed above may vary depending on how your Service Center is configured. You may have access to different sites, or more sites, in the DocQscribe browser. 18 You can also press Ctrl+0 to view the results of the last search you performed with the DocQscribe browser after closing it. When you search with Google, RxList, or Drugs.com, the DocQscribe browser also displays related information from Wikipedia and Wiktionary in separate panels on the browser window. However, your cursor must be in the text editor panel prior to searching to ensure that DocQscribe can pass selected text in a job to these sites through the browser. If your focus is on a tab in the reference panel group, or a pop-up window is open, or you are working on the Demographics and ADT window, DocQscribe cannot pass text to these sites. In this case, you must manually perform a search when the selected site opens in the DocQscribe browser. In addition to using the shortcut keys, you can also access the sites listed above with the options on the new Browser Lookups sub-menu on the Tools menu, as shown in Figure 19: Figure 19. You can also access sites in the DocQscribe browser from the Browser Lookups menu. Researching with Google You can open Google in the new DocQscribe browser directly from a document you are editing or transcribing to search for medical terms and phrases, or drug products. To research with Google: 1. Do one of the following: To look up a word, place your cursor next to the word, in the word, or select the full word. To look up a phrase, select the entire phrase. For example to look up non-hodgkin lymphoma you would select all words. 2. Press Ctrl+1. DocQscribe passes the selected word or phrase to Google, Wikipedia, and DocQscribe 7.1 Release Notes 14

19 Wiktionary, and displays the results in the DocQscribe browser, like the example in Figure 20: Figure 20. Press Ctrl+1 to pass a word or phrase to Google in the DocQscribe browser. The DocQscribe browser displays the following information when you search with Google: The entire sentence containing the word or phrase you are looking up displays at the top of the browser window. In addition, the search word or phrase is highlighted with bold text. Under the search text, the browser displays tabs for each of the available search options. For example, if you wanted to research with Drugs.com instead of Google, you could press Ctrl+4 to open the Drugs.com site. Google s search field is automatically populated with the selected word or phrase. All you have to do is press Enter, or click Google Search. However, you can change the text in the Google search field. The bottom half of the window displays two panels: the one on the left displays results from Wikipedia, and the one on the right displays results from Wiktionary. However, DocQscribe may not always get results from Wikipedia or Wiktionary. In these cases, one or both of the panels may display the following message: No Article Found. 3. Press Enter or click Google Search to search for the term or phrase in the Google search field. Notice that you can press Alt+B, or click Back after you perform a search to return to the previous page in the browser. 4. When you finish researching, press Alt+C or click Close to close the DocQscribe browser. DocQscribe 7.1 Release Notes 15

20 Researching with You can research drug names in a job you are editing or transcribing with the Drugs@FDA site. However, DocQscribe cannot pass selected terms directly to the site, which means you must manually perform a search when Drugs@FDA opens in the DocQscribe browser. To research with Drugs@FDA: 1. When you encounter a drug name in a job you want to research on the Drugs@FDA site, press Ctrl+2 to open the site in the DocQscribe browser: Figure 21. The FDA site in the DocQscribe browser. 2. Type all or part of the drug name in the search field and follow the on-screen instructions to perform a search. If you cannot find the desired information on the FDA site, remember that you can press Ctrl+ the number preceding a tab name on the DocQscribe browser to search with another site. For example, you can press Ctrl+4 to search with Drugs.com. 3. When you finish researching, press Alt+C or click Close to close the DocQscribe browser. DocQscribe 7.1 Release Notes 16

21 Researching with RxList When you research a drug with RxList, DocQscribe passes selected text in your job directly to the site, which automatically performs a search. When the RxList site displays in the DocQscribe browser, you can scroll through the results to locate the desired information. To research with RxList: 1. Place your cursor to the right of the word you want to look up, or place your cursor directly in the word, or select the full word. 2. Press Ctrl+3. DocQscribe passes the term or phrase to the RxList website, which automatically performs a search and displays all matching results, like the example in Figure 22: Figure 22. The RxList site displays search results. The DocQscribe browser displays the following information when you search with RxList: The entire sentence containing the search term or phrase displays at the top of the window, in which the search term or phrase is highlighted with bold text. The search results display on the RxList site in the center of the browser. Scroll through the results to locate the desired information. If you cannot find what you need, use the Search field at the top of the RxList page to perform a new search. And, remember that you can press Ctrl+ the number preceding a tab name on the DocQscribe browser to search with another site. 22 DocQscribe does not get results from either Wikipedia or Wiktionary, one or both of the panels may display the following message: No Article Found. 3. Researching with Drugs.com When you research a drug with Drugs.com, DocQscribe passes the selected text in your job directly to the site, which automatically performs a search. When the Drugs.com site displays in the DocQscribe browser, you can scroll through the results to locate the desired information. To research with Drugs.com 1. Place your cursor to the right of the word you want to look up, or place your cursor directly in the word, or select the full word. 2. Press Ctrl+4. DocQscribe passes the term or phrase to the Drugs.com website, which automatically performs a search and displays all matching results, like the example in Figure 23: Figure 23. The Drugs.com site displays search results. The DocQscribe browser displays the following information when you search with Drugs.com: The entire sentence containing the search term or phrase displays at the top of the window, in which the search term or phrase is highlighted with bold text. The search results display on the Drugs.com site in the center of the browser. Scroll through the results to locate the desired information. If you cannot find what you need, use the DocQscribe 7.1 Release Notes 18

23 Search field at the top of the Drugs.com page to perform a new search. Remember that you can press Ctrl+ the number preceding a tab name on the DocQscribe browser to search with another site. The bottom half of the window may display results in the Wikipedia and Wiktionary panels. If DocQscribe does not get results from either Wikipedia or Wiktionary, one or both of the panels may display the following message: No Article Found. 3. When you finish researching, press Alt+C or click Close to close the DocQscribe browser. Researching with WebMD You can research medical terms in a job you are editing or transcribing with the WebMD site. However, DocQscribe cannot pass selected terms directly to the site, which means you must manually perform a search when WebMD opens in the DocQscribe browser. To research with WebMD: 1. Ensure that your cursor is in the text editor panel. 2. Press Ctrl+5 to open the WebMD site in the DocQscribe browser: Figure 24. The WebMD site in the DocQscribe browser. 3. Enter the medical term or phrase you are researching in the available search field and click Search. WebMD displays all results matching your criteria. DocQscribe 7.1 Release Notes 19

24 If you cannot find the information you are looking for on the WebMD site, remember that you can press Ctrl+ the number preceding a tab name on the DocQscribe browser to search with another site. 4. When you finish researching, press Alt+C or click Close to close the DocQscribe browser. Searching for physicians in the NPI database If you cannot find a physician in the DEP database when performing a physician search, you can search for the physician s name in the NPI database. To search for physicians in the NPI database: 1. Press Ctrl+6 to open the NPI search page: Figure 25. You can search for physicians in the NPI database. 2. Read the on-screen instructions and then enter the information you have about the physician to search the NPI database. 3. When you finish searching for a physician, press Alt+C or click Close. 25 Using word replacement suggestion lists If you encounter a term in a job that you believe is incorrect, you can easily view a list of word replacement suggestions from a search engine directly in the text editor panel. For example, if you think the speech recognition process used an incorrect medical term, you can quickly view a list of similar words, as well as definitions from Wikipedia and Wiktionary. Using the standard suggestions list With the standard suggestions list, you can quickly see a list of words and phrases spelled similarly to one selected in a job. In addition, to aid the word-selection process, you can view definitions from Wikipedia and Wiktionary, when available. To use the standard suggestions list: 1. Do one of the following: To look for a replacement suggestion for a single word, place your cursor next to the word, in the word, or select the entire word. To look for a replacement suggestion for a phrase, select all words in the phrase. For example, to look up subcutaneous tissue select both words. 2. Press Ctrl+P, or choose Show Suggestions from the Tools menu. DocQscribe passes the selected word or phrase to a search engine and displays the results in the Standard suggestions list, like the example in Figure 26: Figure 26. 26 4. To view definitions from Wikipedia and Wiktionary, press your Right arrow key. DocQscribe passes the word or phrase to both sites and displays the results, if available, in two panels over the text editor, like the example in Figure 27: Figure 27. If Wikipedia or Wiktionary do not return results, DocQscribe displays the following message in the appropriate panel: No Article Found. 5. Do any of the following to work with the Standard suggestions list: After pressing the Right arrow key to view definitions from Wikipedia and Wiktionary, you can continue pressing the Up and Down arrows to move up and down the suggestion list. To view the definition of another term, press the Right arrow key again. To close the Wikipedia and Wiktionary definition panels, press the Left arrow key. To close the Standard suggestions list altogether, press Esc. 6. To insert a word from the Suggestions list into a job, press the Up or Down arrows to select it and then press Enter. 27 Using the Wikipedia suggestions list If you cannot find the desired word in the standard suggestions list, you can use Wikipedia to search for replacement suggestions. To use the Wikipedia suggestions list 1. Do one of the following: To look for a replacement suggestion for a single word, place your cursor next to the word, in the word, or select the entire word. 28 Viewing definitions from Wikipedia and Wiktionary You can quickly view the definitions of medical terms and phrases in a job you are editing or transcribing from Wikipedia and Wiktionary. Note, however, that this process only provides word definitions, with no replacement suggestions. To view definitions from Wikipedia and Wiktionary: 1. Do one of the following: To view the definition of a single word, place your cursor next to the word, or in the word, or select the entire word. To view the definition of a phrase, select all words in the phrase. 2. Press Ctrl+W, or choose Show Wiki Definitions from the Tools menu. DocQscribe passes the selected word or phrase to Wikipedia and Wiktionary and displays the results in panels over the text editor, like the example in Figure 29: Figure 29. 29 Using silence acceleration The silence acceleration indicator on the Document Editor window functions just like it does on the Demographics and ADT window. Silence acceleration is only available when you are editing speech recognized jobs. However, it cannot start until a job has been fully downloaded in DocQscribe and either the audio playback has been stopped and started, or you have done one of the following: Changed the audio position by pressing Ctrl+M to synchronize the audio with your cursor Pressed Ctrl+J to jump to the next QA marker or Ctrl+Shift+J to jump to a previous QA marker Double-clicked a word in the text editor Determining the silence acceleration status You can determine the status of the silence acceleration functionality by looking at the silence acceleration indicator, which is located beneath the playback speed icon, on the DocQscribe toolbar: Figure 30. The silence acceleration indicator. The color of the silence acceleration indicator identifies its status: White: When the indicator is white, silence acceleration is not enabled due to the reasons explained in the previous section: Figure 31. When white, silence acceleration is not available. Green: When the indicator is green, silence acceleration is enabled for audio playback: Figure 32. When green, silence acceleration is available. Red: When the indicator is red, silence acceleration has been suspended: Figure 33. When red, silence acceleration has been suspended. DocQscribe 7.1 Release Notes 25

30 Suspending silence acceleration If you notice the audio sounds choppy, or the audio for the text is cut off, or it otherwise sounds poor, and you believe it is related to the silence acceleration feature, you can temporarily suspend silence acceleration to improve the audio quality. You can press Ctrl+; (semi colon) to suspend silence acceleration at any time while listening to dictation. You can also suspend silence acceleration from the Audio tab on the Options window, as described below. Note that silence acceleration is disabled temporarily for the current job. It will be enabled by default for the next job you download. To suspend silence acceleration from the Audio tab: 1. Press Alt+T, then O, or choose Options from the Tools menu. The View tab opens on the Options window by default. 2. Press Alt+A to open the Audio tab: Figure 34. Suspend silence acceleration from the Audio tab. 3. Press Alt+R, or click the Accelerate silence playback (speech recognition jobs only) option to deselect it and temporarily suspend silence acceleration. Adjusting audio tone The DocQscribe 7.1 release is also reintroducing the tone feature, which was available in previous versions of DocQscribe. Adjusting tone can help improve the sound quality of an audio file. The new Adjust audio tone option resides on the audio control bar on the Document Editor window: Figure 35. Adjust sound quality with the Adjust audio tone option. This option functions like the same option on the Demographics and ADT window. For more information, see Adjusting audio tone on page 4. 31 Inserting physician names To insert a physician name into the body of a document, you will use the new Physician Search feature with the fuzzy, phonetic search results. To insert a name into the body of a document: 1. Press Ctrl+N or choose Insert Name from the Tools menu. The Insert Name window opens: Figure 36. Search for physicians with the Insert Name window. DocQscribe automatically populates the Job Physicians list with all physicians currently associated with the job. Note that DocQscribe displays question marks next to all custom physician names in the list. 2. Do one of the following: To select a physician in the Job Physicians list, use the Up and Down arrows to select the desired physician and then insert it into the job. However, if the physician is identified as a custom physician, perform a physician search first to verify whether the physician resides in the DEP database. Important: The healthcare systems that deliver jobs to DEP often send only physician last names, first names, and provider IDs. DocQscribe may identify physician names in the list as custom physicians when they actually exist in the DEP database. Before selecting a custom physician, always perform a physician search. This ensures that DocQscribe displays all appropriate data for the physician in the job. Continue to step 3. If the physician is not listed, continue to step 3 to search for the physician in DEP. 3. If you cannot find the desired physician in the Job Physicians list, or the physician is identified as a custom physician, perform a physician search. Start by entering search criteria into one or more of the available fields. If you are uncertain of the spelling of the physician s last name, and you want to perform a phonetic, fuzzy search, please note the following: To enable DocQscribe to return a good match for a fuzzy search, enter as much of the physician s last name as possible, with your best guess for the spelling. When performing a fuzzy search, DEP uses the last and first names and, if supplied, it uses the access code and specialty to filter the results. Therefore, the more search criteria you supply, the narrower the results and easier it will be to find the desired physician. The fuzzy search returns matches for last names, first names, and middle names. For example, if you entered Steven for the last name, DEP could return the following results: Stevens, Timothy Jones, Steve DocQscribe 7.1 Release Notes 27

32 Smith, David Steven DEP ignores the % wild card in the First Name and Last Name fields for fuzzy searches. But the % wild card will be used for specialty and access code matching. Note: DEP cannot perform a fuzzy search if both the First Name and Last Name fields are empty. 4. Press Alt+S, or click Search Physician (note that you cannot press Enter to initiate a search). Any of the following may occur: If DocQscribe retrieves a list of physician names that match your search criteria exactly, with no "fuzzy" phonetic matches, it displays all matches in the Standard Results list (see Figure 12 on page 7 for an example). If you were unsure of the spelling of the physician's name and entered a partial name, or a phonetic spelling, DocQscribe may return fuzzy phonetic matches, as well as names that are more of an exact match. In this case DocQscribe displays names in both the Standard Results and Fuzzy Results lists (see Figure 13 on page 8 for an example). Press Alt+B to jump to the Standard Results list and use the Up and Down arrow keys to scroll through the list. If you do not find the desired physician name in the Standard Results list, press Alt+Z to jump to the Fuzzy results list and scroll through the list. If you were unsure of the spelling of the physician's name and entered a partial name, or a phonetic spelling, and DocQscribe does not find any exact matches, it displays all results in the Fuzzy Results list, with no results in the Standard Results section (see Figure 14 on page 8 for an example). Press Alt+Z to jump to the Fuzzy Results list. Note: DocQscribe only displays a list of the first 100 physician names matching your search criteria. When you supply minimal search criteria, and your search yields more than 100 matches, DocQscribe displays the following message: Showing first 100 results, please refine search criteria. 5. After locating the desired physician name, insert it into the document using one of the options under the search results list, which are the same options available in previous versions of DocQscribe. 33 Performing job searches The DocQscribe 7.1 release includes a new Job Search feature that allows you to search for reports in the DEP database that were submitted for the patient currently assigned to the job, or by the assigned physician, or by the assigned Dictated For physician. Important: The availability of the Job Search panel is configured for each service center in DEP as follows: Enabled. When fully enabled, you can search for jobs and copy text from them into your current job. Enabled without job copying. In this case, you can search for jobs, but you cannot copy text from them into your current job. Disabled. When disabled, you cannot access to the Job Search panel. Accessing the Job Search panel To access the new Job Search panel, press Cltr+O, or click the Job Search tab: Figure 37. Search for jobs with the Job Search panel. Note: When you open the Job Search panel, DocQscribe automatically moves the Job Summary panel above the other panels, like the example in Figure 37. For more information, see Configuring the location of the Job Summary panel on page 34. The Job Search panel includes three search options: Patient: The Patient option is active when a job includes one of the following types of ADT data: Medical Record Number Account/billing number Last name DocQscribe 7.1 Release Notes 29

34 First name Date of birth Admission date Dictator: The Dictator option is active when information about the physician resides in the DEP database. If you created a custom dictator, the Dictator option is disabled. Dictated For: The Dictated For option is active when information about the physician resides in the DEP database. If you created a custom Dictated For physician, the Dictated For option is disabled. The following sections explain how to perform each type of job search. Searching for jobs created for the patient The following sections explain how to search DEP for other jobs created for the patient currently assigned to a job, as well as how to use the functionality available in the Job Search panel. To search for other jobs created for the patient: 1. Press Alt+P, or click Patient. DEP uses either the patient s account number or medical record number, depending on which is available, to search for other jobs. DocQscribe displays matching jobs in the Job Search panel, which are ordered by admission date or creation date. Figure 38 shows a job retrieved by DEP: Figure 38. Job search results for the patient. Note: The text in the Selected Job panel is read only. That is, you cannot edit or otherwise change it. DocQscribe 7.1 Release Notes 30

35 The initial search results are based on the most recent 30 days worth of jobs from date on which they were created. DocQscribe displays the following information for each job in the Results list: Work type name Client facility name Date of service Dictator name If DEP does not find other jobs for the patient, it displays the following message in the Job Search panel: No results to display. 2. Use the Up and Down keys on your keyboard to move through the Results list. DocQscribe displays the contents of each document in the Selected Job panel. If necessary, you can press Alt+M, or click the More option under the Results list to retrieve results from the next most recent 30 days worth of jobs. Note: If DocQscribe fails to find or download a job you selected in the Results list, it displays the following message: Figure 39. DocQscribe displays an error message when unable to download a job. To search a downloaded job: 1. Press Ctrl+F, or click the Find field under the Selected Job panel. 2. Start typing search criteria. As you type, DocQscribe immediately searches for matching text in DocQscribe 7.1 Release Notes 31

36 the job, which it highlights in yellow, like the example in Figure 40: Figure 40. When you perform a search, DocQscribe highlights matching text in yellow. Note: You can press Escape to clear the Find field. 3. Press Alt+N or click Next at any time to jump to the first highlighted word matching your search criteria, which DocQscribe highlights in orange, like the example in Figure 41: Figure 41. 37 4. Continue pressing Alt+N or clicking Next to jump to subsequent matches in the document. Note: You can also use the Ctrl+[ and Ctrl+] shortcut keys to jump directly to the next or previous headings respectively. To copy and paste text from the job into the text editor: 1. With your mouse, select the text you want to copy from the job in the Selected Job panel. DocQscribe highlights selected text in blue, like the example in Figure 42: Figure 42. DocQscribe highlights selected text in blue. 2. To copy the selected text, you can either press Ctrl+C, or right-click on the selected text and choose Copy from the available menu. DocQscribe copies the selected text. 3. Next, insert your cursor in the text editor panel where you want to paste the copied text. 4. Press Ctrl+V. DocQscribe pastes the copied text at your cursor s location. DocQscribe properly formats all copied section headings. Important: DocQscribe often displays reports in the DocQscribe User Output format. However, if DEP returns the final version of the report (in RTF format) in the Selected Jobs panel, neither the Next Ctrl+[ nor the Previous Ctrl+] shortcut keys are available. In addition, DocQscribe pastes all copied headings into the text editor as plain text. Searching for jobs created by the dictator To search for jobs created by the dictator of the current job, press Alt+I, or click Dictator. DocQscribe displays a list of all jobs dictated by the physician in the Results list. The initial search results are based on the most recent 30 days worth of jobs from date on which they were created. DocQscribe orders the jobs in the Results list by work type, if there are exact matches, and by the date on which they were created, with the most recent job at the top of the list. DocQscribe displays the following information for each document: Work type name Client facility name Date of service Patient name If DEP does not find other documents for the dictator, it displays the following message in the Job Search panel: No results to display.
