1 If you are not a current Skyward user, you will have to Cindy Crace (ccrace@gcs.k12.in.us) or Sandy Cook (sacook@gcs.k12.in.us) to obtain your Login and Password. If you are a current Skyward user, your Login is the same as your User Name for the Skyward software. Your Password is also the same. NOTE: In the future if you would like to get to this website without having to go through the GCCS website, make a shortcut to your desktop. In the upper left corner, click on File > Send > Shortcut to Desktop. Updated 04/12/12 1 of 13

2 The format for the Skyward Employee Access website has been updated. In the near future, they will stop using icons/buttons (pictures) to navigate the software. Their new format will have tabs, lists and drop-down menus which have been designed to decrease the number of clicks an individual has to make per session. The new format is also supposed to eliminate the need to memorize numerous paths in order to obtain the desired information. Currently, when you log into Skyward Employee Access, you will still have the ability to use icons; however these icons are supposed to only be available for a limited time. Because of this, these instructions have been updated using the new format. Click on Desktop View in the bottom right corner of the screen. NOTE: The right and left navigation arrows will take you back and forth through the software. Updated 04/12/12 2 of 13

3 Below is the new Desktop View format for Skyward Employee Access. You can click on any system that is available to you. System availability is based on your user access in the Skyward software. Click on Employee Access in the system list. Updated 04/12/12 3 of 13

4 To view your pay history, click on Employee Information > Payroll > Check History. Note: The drop down arrow next to each header expands and contracts the list of options available for that area. If an arrow is pointing down, the list is expanded. If it is pointing to the right, the list is contracted. When you leave an area or exit the software the arrow will stay the way you left it. 5 You will see a list of your pay checks. The most recent will be at the top of the screen with a blue bar across it. You can also use the arrows to the right side of the list to scroll to a specific check. The example below is from 03/18/2005. Click once anywhere on the row of the check you want to view to highlight it. To view the highlighted check, click on Show Check. Updated 04/12/12 5 of 13

6 All of the check information may not fit on the screen at once, so use the arrows to the right of the screen to scroll down to your deduction and benefit information. You can also click on the Print button in the upper right corner of the screen to print your check information. When you click on the print button, you have to choose how you would like to print your social security number. After you make your choice, click on this Print button to finish the process of printing your check. If you have any questions about the information contained on your check, please call the payroll department at your convenience. Updated 04/12/12 6 of 13

7 Sometimes an individual will need a report containing several pays. If you would like to print a report of your pay history, click on Employee Information > Employee Information > General Information. Click on Report Options and check the boxes that contain the type of information that you want to appear on your report along with the date range of your report. Click on Create Rpt to view the requested information and print your report. Updated 04/12/12 7 of 13

8 Starting with tax year 2010, you can print your own W2 through Employee Access. Click on Employee Information > Payroll > W2 Information. Updated 04/12/12 8 of 13

9 The most recent year posted should already be highlighted. Click on the View W2 button to the far right of the screen and your W2 will open in the Adobe Reader software; from here, you have the option to print your W2. NOTE: The salary information below has been covered. Updated 04/12/12 9 of 13

10 One of the most interesting features of this software is the Check Estimator. With this tool you can enter changes to your filing status, exemptions, pay, deductions and benefits and then the software will calculate your new net pay. This feature will not make changes to your actual pay check. It is just a tool that you can use to see the outcome of any changes you may wish to make. On the first screen, enter the changes you wish to make and then click on the Continue Check Estimator Process button in the top right corner of the screen. Enter any changes you wish to make to the second screen and then click on the Calculate Check button in the top right corner of the screen. A pop-up will appear in the middle of the screen that gives you the choice to either View Report or go Back. If you choose View Report, it will open in the Adobe Reader software; from here, you have the option to print your modified check information. Updated 04/12/12 10 of 13

11 You can also view your time off history in Employee Access. Click Time Off > My Status. Updated 04/12/12 11 of 13

12 A list of time-off codes will appear; along with columns containing the information for Allocated, Used, Remaining and Available time. The Allocated and Used columns contain time-off information accumulated since June 2004, so the amounts in these columns are of no use in determining how many allocated and used days you have so far this year. The column that is most helpful is the one entitled Remaining. This column contains the amount you have left for the school year. The information in the Remaining and Available columns should always be the same. NOTE: Certain areas of the time-off screen have been covered. Updated 04/12/12 12 of 13

13 In order to view specific days off, click on the arrow to the left of any of the time-off codes to expand the list of days. When you are finished using the Employee Access software, please make sure to Back out of the area you are in until you can Exit the program. This is especially important when you are using a computer in an area where other individuals may have access. As always, if you have any questions or concerns involving the detailed information in Employee Access, please call the Administration Building and ask to speak to a member of the payroll department.
