2 P L A T I N U M E D U C A T I O N A L G R O U P Platinum Planner User Guide Platinum Planner is an online web application tool for Clinical Management. We know the site has a lot of functionality behind it, so we have provided this guide to help you through the process of learning the site so you have the tools you need to use it effectively and confidently. As always, Platinum Educational Group provides exceptional customer service along with this guide. We are ready to help you whenever or wherever you need it by phone or . 4 P L A T I N U M P L A N N E R U S E R G U I D E Page 1 INTRODUCTION The Platinum Planner Mobile App is a companion app available with a student subscription to PlatinumPlanner.com. The app is available to students after they have completed their school enrollment. Mobile App Features After installing the Mobile App, you will be able to use the app to: View, sign up for and create clinical opportunities. Document a clinical opportunity including entering time, notes, other information, preceptor information, and patient information. Complete any associated forms. Upload images from your camera and attach them to their opportunities. Ability for a preceptor to give a digital signature right from the app! Create a new lab. View upcoming labs, document current labs, or review documentation from completed labs. When documenting labs, students will be able to document their skills and complete any forms associated with the lab. Upload images from your mobile devices camera. Work offline! When you don t have an internet connection available. View current classes along with their details. Sign up for any additional classes available for your course. View your progress report and see your overall skill status of your course. INSTALLATION & LOGIN Find and Install the App 1

5 The Platinum Planner mobile app is available from the Apple App Store and the Google Play Store for students to download for free on their device with their subscription to PlatinumPlanner.com. In the Apple App Store or Google Play Store search for Platinum Planner. Install the Platinum Planner app then open the app to sign in and get started. Sign-in Use the same and password you use to sign into your online account at PlatinumPlanner.com and click the Login button. 2

6 STUDENT OPTIONS Click on the mobile menu indicator on the top left of the app to see the Student Options. Home The Home screen is the default screen you see when you log into the Platinum Planner Mobile App. The home screen is where you will see any important items that need to be addressed. You will also see the Course if you are a student in multiple courses, under the important items. Courses Note: The following course section only applies to students who are enrolled in multiple Courses. Please skip ahead if this does not apply to you. 3

7 Click on the Courses menu items to change the Course you want to manage in the Platinum Planner App. Classes Click on the Classes menu item to view the Classes you are enrolled in in the Course. Click on the class in the list to see the full class details. You can view class start and end dates, instructors, skills and skill minimums required to complete the class. Click the Available button to see available classes. Click on the class to see class details. 4

8 Click the Request to Join Class button if you would like to join the class. Labs Click on the Labs menu item to view your Labs. You will see your Ready to Document Labs on the default screen. Click the other tabs in the top grey bar to see Upcoming, Submitted or Completed lab documentation. 5

9 In your Ready tab, select the lab skill you are ready to submit documentation on. You will see 4 buttons on the bottom. Skills, Forms, Documents & Submit. Skills button Click the blue Skills button. Click the Skill to start your attempt(s). Click on the Time to select, then select Patient Type and Age Group. If this is a peer reviewed lab, choose your Peer Reviewer from the drop down. Add in any Notes needed about the lab. Choose if you are Successful or Unsuccessful at performing the skill. Click the Save Skills button to save the skill attempt. Add as many attempts as needed or required. All attempts will appear with the required form(s) to complete on the next screen. 6

10 Fill out the form(s) completely then click the Submit button. Your completed forms will show in your skill attempts. Important! Scroll down and click the Save Skills button to save the attempt and the form you just completed. 7

11 Forms The form(s) you just filled out will also show when you select the Forms button in the Lab Details. Documents The Documents button will show all documents associated with your lab skill. Click on any of the listed documents to download them in.pdf format. To upload an image back into the documents section, click the Select Image button on the top right and take a photo on your device. Give the photo a 8

12 filename, then click the Upload button. You will see your photo listed in the Documents section. Submit The Submit button is where you will submit your Lab Documentation that you have completed to your instructor. You can Review Documentation or Submit Documentation. Note: Once your documentation has been submitted you will NOT be able to make additional changes to it. Peer Review Labs If you have labs from your peer or instructor to review, those labs will show in this section. 9

13 In the ready tab, click on the lab to peer review. Click on the Skills button and choose a skill to review. Note: The instructor or peer can select skills for you to peer review. If you don t see a skill in the selected area, click unselected and select a skill to review for your peer. Next, fill out any forms associated with the skills. 10

14 Review any documents associated with the peer review will show in the Documents section. Submit or review the peer review lab by clicking the Submit button. Make sure to choose the peer to Submit To if you need to send it back to them. Otherwise submit it to your Instructor. Once you submit the lab, it will now show in your Submitted lab tab. Scenarios If you are enrolled in a class that is a scenario class, the Scenario menu item will show in the mobile menu. This section is for peer reviewing another student in a scenario. 11

15 Click on any of the scenarios listed in the Ready tab to begin the peer review. If the peer reviews are yellow they have been returned to you for your review again by your instructor. Click on the Evaluation button to fill out an evaluation. 12

16 Click on the Documents to see the documents. Save changes if you would like to come back later. Click Submit Documentation to submit the scenario peer review. Opportunities Click on the Opportunities menu item to view your Opportunities. You will see your Ready to Document Opportunities on the default screen. Click the other tabs in the top grey bar to see Upcoming, Submitted or Completed opportunities. 13

17 In your Ready tab, select the opportunities skill you are ready to submit documentation on. You will see several blue buttons on the bottom. Preceptors, Time/Notes, Patients, Forms, Documents & Review. When all of the information has been entered the Submit Documentation button will become active. Preceptor Click the Preceptor button then select the preceptor on the Opportunity. Click the Save Preceptor button. Time/Notes Click the Time/Notes button. Set the Shift Start and End dates and times, Total Patient Time, Total Physician Time and your Clinical Summary Notes. 14

18 Click the Save Time/Notes button. Patients Select the Patients button. If you have not entered any patients yet, click the New button on the top right of the screen. 15

19 Fill out the New Patient form. Select the Time, Patient Age, Sex, Type, Chief Complaint and any additional notes. Select the skill performed from the dropdown list and choose if the skill attempt was Successful, Attempted or Observed. The skill will show on the top in the Skills Performed area. Click the Save Patient button. 16

20 You will be brought to a review screen were you can Delete or Edit the patient. Click the Documentation button on the top left to go back to your Documentation. Forms Clicking the Forms button will show all forms required to complete for the Opportunity. Click the Begin New Form button to start completing the form. Click the Submit button to save the form information. 17

21 You will see a review of the form along with an Edit button if you need to edit the form information. Click the Documentation button on the top left to go back to the Opportunity. Documents The Documents button will show all documents associated with your Clinical Skill. Click on any of the listed documents to download them in.pdf format. To upload an image back into the documents section, click the Select Image button on the top right and take a photo on your device. Give the photo a filename, then click the Upload button. You will see your photo listed in the Documents section. Review Click the Review button to review all information you completed on the opportunity. 18

22 If your information is correct, click the Close button in the review screen. You will be brought back to the Opportunity Details. Click the Submit Documentation button. You will be brought to a preceptor signature screen where your preceptor will need to sign the screen to confirm your presence. Click the Submit Documentation button once again. Messages 19

23 Click on the Messages menu item to view your Messages. Your Inbox will show as the default. On the top grey bar, you will see 3 tabs, Inbox, Outbox and Compose. Click Outbox to see sent mail. Click Compose to send a new message. Click the blue button on the top right to choose a recipient for the . 20

24 Choose your recipients, type in your subject and message then click Send. Reports Click on the Reports menu item to view your Progress Report for your Course. At the top of the Progress Report you will see a summary percentage of the total hours you have completed for the course. You will also see a summary percentage of the total skills you have completed for the Course. Underneath the summary percentage you will see a breakdown of your required Hours in each category. 21

25 Scroll down to see a breakdown of the skills you are required to complete and the percentage completed in your Labs and Opportunities (Clinicals) for the Course you selected. Settings Click on the Settings menu items to see your App Settings. Important! The app will give you a prompt asking Planner Would Like to Access Your Calendar choose OK so that the app can sync to your phones calendar and notify you of all your upcoming Labs and Opportunities. Sync Calendars 22

26 Once you have granted the App access to your Calendar, you will need to turn on the Sync Calendars toggle to fully enable the sync to your calendar so that it can notify you of all your upcoming Labs and Opportunities. Target Calendar The Target Calendar option under Sync Calendars allows you to choose the Calendar you would like your upcoming Labs and Opportunities to show up in if you have multiple calendars on your phone. Note: If you change the target calendar, new events only will show in the new target calendar. We recommend that you do not change the name of events that appear on your calendar on your device. If you change the name of the event, the app will no longer sync that event. Force push will ensure that your latest local changes are pushed to the website. Please contact customer service before using this feature. Reload Local Cache only needs to be used if your information is not displaying correctly in the App. 23
