3 Westfield Little League Team Manager's Manual Introduction Welcome to the League Athletics Managers' Manual for Westfield Little League. This documentation is designed to make it easier for you to use the different features associated with your club's website. These capabilities will make it easier for you to communicate with and manage your team. This manual will explain step by step how you can: Post Message on team page Send message to team Add game results Upload documents to team page Upload pictures Update team member contact information Important Security Policy: Only the team manger, and or designated coaches should possess their team manager password. This password should not be given to parents under any circumstances. Any team found to be in violation of this security policy will have their Team Manager password disabled. All of the above features will be available to you after you are signed in under the "Admin" section of the site. 3
4 Also, additional field specific help is available on each form by clicking the blue help dots to the left of each field. Good luck with your team and have a great season. How to Login Team manager functions require the user to login to the administration page of the web site. Click on the lock on the top of the web site home page to access the Administration Login screen. Enter your first and last name followed by your assigned Team Manager password. Click the submit button. 4
5 The Team Manager Administration Menu will appear. The functions available are posted in bold; those not available are grayed out. Functions available within each category can be selected from the colored category boxes or from the side menu tabs. 5
6 Accessing Your Team Page To access you team page click on the horizontal tab labeled Teams and Schedules, just under the Westfield Little League page banner. Each team in Westfield Little League has its own web page. The Westfield Little League team organization is as follows: Baseball Instructional North Team 1 Team 2 South Team 1 Team 2 A-Division North Team 1 Team 2 South Team 1 Team 2 Majors North Team 1 Team 2 South Team 1 Team 2 Senior League Team 1 Team 2 6
7 Softball Instructional Team 1 Team 2 Softball (10-12) Softball (13-16) Select the Season i.e., 2010, League i.e., North Instructional, and the Team i.e., Westfield Bank in order to access a team page. 7
8 The team home page will display: Bulletins, Events, Schedules, Contact and Roster Information are available on the team page. 8
9 Edit Member Information This feature will allow you to change information about players on your team. This should be used in the case of address, telephone or changes as well as notes (i.e. left handed) or position changes. Currently all member information is for players and managers/coaches and therefore does not include Parents. The note field within the Member Form can be used to post parent names if needed. First make sure you are signed in as manager/admin Select "Teams and Schedules" from the menu tabs at the top of the page. Select season, league and team at the top of the page Select the roster tab from the menu pages to the left of the screen Please see previous page for tab location. Find the player whose information you wish to edit and click the "Edit" icon next to his/her name Edit his/her member information. Click submit to confirm changes Each Manager/Coach only has access to member information for his/her team. The password assignment to each team manager ensures that all member/player information remains private. 9

11 Posting a Bulletin on Your Team Page The team manager or designated coach can post messages/bulletins (they are the same thing) on the team page to communicate with the team. The bulletin should be the primary way to communicate with your team's players and parents. Bulletins are displayed on your team's home page with the newer bulletins displayed at the top of the page. You can optionally new bulletins to players and parents using the "Broadcast " feature. First make sure you are signed in as manager/admin Select "Teams and Schedules" from the menu tabs at the top of the page. Select the appropriate Season, League and Team. Click on the "Add a New Bulletin" hyperlink Enter information including "Respond To ( address)", "Publish Date", and "End Date" Note: If no "End Date" is entered the bulletin will remain on your team's page indefinitely. You only need the enter your address if you are going to broadcast this message in addition to posting it on the team page. Enter the title and write your bulletin. You may choose to have the bulletin ed by checking the " Broadcast" box. Select who you would like the bulletin to be mailed to (parents, players or both are the choices currently parents (other than coaches) are not included in our member listing select both to ensure all appropriate people receive the at this time.) If you do not plan to the message and only want it to display on the team page, do not check the broadcast box. Click "Submit" to complete or Reset to start over. A new message will have a flashing New button displayed until it is visited. 11
12 To edit an existing bulletin, just click on the "Edit" icon next to the bulletin on your team's page. Again, you must be signed in as manager/admin to edit the bulletin. To delete an existing bulletin, just click on the "Delete" icon next to the bulletin on you team's page Alternatively, you may your entire team without creating a public message by using the " the whole team" link at the top or bottom of the "Roster" page. This gives you a private alternative to posting a public bulletin. 12
13 If there is more than one message/bulletin entered, a Headlines section will automatically appear on the Team page. From the Headlines sections the visitor can click on the headline to quickly access that message. 13
14 Post a General Event This feature will allow you to post events on your teams "Event Calendar" and "Schedule" page for a specified period of time. This is a great tool for adding an event such as an additional practice, trip or meeting. First make sure you are signed in as manager/admin Next, select "Add General Event" from the Managers Admin menu or click on the Schedule/General Events tab on the left of the screen Fill in the information for your general event. Note: You must enter a start date and a title. If no end date is entered, the end date will be the same day as the start date Under the recurrence section, you may leave the values blank if this is a one time general event Click submit to confirm general event Select Schedule then Add General Event(s). Alternatively, select Add General Event(s) from the Administrative menu. 14
15 Note: Only your team will be highlighted in the applies to section. 15
16 Upload Document This feature will allow you to upload a document from your computer to your teams page. This is can be used to post a new playbook, parental permission slip or any document that you would like only your team to have online access to. Your team's document access page is password protected. First, make sure you are signed in as manager/admin Select Tools "Add Documents" from the menu pages at the left of the screen or Add Document Page on the Administrative Menu. Enter the name of document as you would like it appear on website Type a brief description Select "Browse" to locate document file on your computer. Make sure your team is selected under the "Teams" list Click "Submit" to confirm upload your document to your team's document page. Reset will all you to start over. 16
17 Upload Photos This feature will allow you to upload a photograph from your computer to the "Pictures" section on your team's page. This can be used for game, team or any photo you would like your team to have access to. 1. First, make sure you are signed in as manager/admin 2. Select Tools " Add Pictures" from the menu at the left of the screen or Add Pictures from the Administrative Menu. 3. Enter a brief description/caption for the photo 4. Use "Browse" to locate the image file to upload on your computer 5. Click "Submit" to confirm photo upload. 17
18 Passwords These are the different types of passwords and their use: Administrative Password Used by web site administrator and designated board members. Provides access to al aspects of the web site. Team Manager/Coach Password Provides communication tool for each team, access to team roster, documents and pictures. Each team has its own unique password. These are set up and distributed b the web site administrator to each team and are changed each year. 18
19 Add Game Results/Statistics The Westfield Little League site provides the ability for teams to maintain their own game results, post player statistics and add write-ups for each game to be posted on the site. In order to enter game results you must login to the administration area on the web site using your manager s password. Select Enter Game results to enter MULTIPLE game results. OR Select Teams and access your Team Page to enter results and commentary for a game. Any games for the current day or any that have not been entered up to that day will be available for scoring. 19
20 The "Results" menu choice is used to enter game results in a consolidated, centralized location. The form lists all the games for the last week and all un-entered games prior to that. If you log into the Admin area with a team managers password, only the games with teams (home or away) for which the password grants rights will be displayed (your team only). Games whose scores have not been entered have an input box next to each team where you can quickly enter the score. You can enter as many sets of game scores as you like on the form and then press the Submit button to save them all. This saves time when you need to enter scores for multiple teams. Otherwise, you'd need to go to each team's results page and enter each score on a form individually. 20
