2 "#$%"#$%&''()*+,-*./01+ This user guide is designed to lead you through the detailed steps to enable selection of cloud service providers using the CSMIC Service Management Index (SMI). The SMI is described in documents available from the CSMIC website, This guide, and the tool, assume that the user is familiar with the SMI framework and the availability of an ipad running IOS 6 or newer to use in testing this prototype. An overview of the steps required to use the SMI prototype tool is in: Part 1: Install the tool Part 2: Enter general information about an evaluation of cloud services Part 3: Enter a list of prospective cloud providers and their services Part 4: Select the parts (categories and attributes) of the SMI framework that will be used in this evaluation Part 5: Enter weights and minimums for each SMI component that will be used Part 6: Enter ratings for each service Part 7: View the SMI scores and other results Part 1: Install the tool To use the SMI Prototype Tool on an ipad please follow these steps. Step 1: Download and install the application FileMaker Go 13. This is a free download from the Apple app store. Step 2: Receive an on an ipad with the SMI Prototype attached. You can use either the sent to you with the prototype, or it to yourself. Step 3: Tap the attachment to download it to the ipad (if it does not download automatically). Step 4: Tap on the downloaded attachment. One of the options presented should be Open in Filemaker Go. Tap this option. 4 "#$%"#$%&''()*+,-*./01+ The ipad screen should now look like this: Step 5: If you would like to start or continue with no prior evaluation data, click Remove all Evaluations. See Step 30 for instructions on how to save a database if you would like to save the current contents (in a copy) before deleting it. Step 6: Click OK to confirm that all currently stored evaluation data is permanently deleted from this version of the tool (or click Cancel to abort the deletion). Step 7: If you wish to see all prior sessions go to the home page and tap exit this application. This will enable you to see the list of all prior sessions (all FileMaker databases available on your ipad) "7,8+90+$+(('8)80:+,*0;<=:5>4 6

5 "#$%"#$%&''()*+,-*./01+ Part 2: Enter general information about an evaluation Step 8: Now click Create New Evaluation. The screen should now look like this: Note the location of the Home and Back buttons in the upper left corner of most screens. The previous screen is the home screen (the Home button always returns there).

6 "#$%"#$%&''()*+,-*./01+ The Back button returns to the previous screens (until the Home screen is reached). The Next button proceeds to the next step in the tool. From the results screen it will return to the screen above. Please be sure to use just one finger when touching the screen unless you want to magnify the image on the screen. A double tap on the screen will reduce any enlarged screen to its original size. Note also that this application is designed to work in portrait orientation on an ipad. The screens will generally display incorrectly in landscape orientation. Step 9: Enter the top set of fields in any order (above the Evaluation ID which cannot be changed). These fields can be updated later if desired, so preliminary information is ok. A description of the cloud service evaluation (the top field) is the minimum required information. Part 3: Enter a list of prospective cloud providers and their services Step 10: By clicking on the first outlined Cloud Service Provider box, you can enter the names of the prospective providers and their services. You can use the blue Next and Previous buttons on the popup keyboard to move between the provider and service fields. Tap outside the fields to close the keyboard when you are done editing the providers and services. The filled in screen will look something like this: 23456"7,8+90+$+(('8)80:+,*0;<=:5>4 A

8 "#$%"#$%&''()*+,-*./01+ Part 4: Select the parts of the SMI framework that will be used Step 12: Select all of the SMI components (Categories, Attributes, and Measures) that will be used in this evaluation. Tap on the white square to select a component. An X will appear in the box for all selected components. If a Measure is selected, the corresponding Attribute and Category will also be selected. If a Category is unselected, any selected Attributes or Measures within that Category will also be unselected. Scroll down to see the remaining SMI components. Step 13: Once all required components have been selected, tap the Next button to move to the next step (weights and minimums). 10 "#$%"#$%&''()*+,-*./01+ If you only have a few weights and minimums to enter (because you are only using a few of the Categories, Attributes, and/or Measures), then proceed to enter those values on this screen. Step 14: Tap the blank Weight or Minimum outlines to bring up a 0 to 10 keyboard and enter one of the values. If you decide not to enter a value, just tap outside the keyboard to close it. Keep in mind that the SMI framework is a hierarchy, so in order to use a Measure, its related Attribute and Category must also be used. The SMI score is the weighted sum of the Category ratings. o Each Category rating is the weighted sum of its Attribute ratings, and o Each Attribute rating is the weighted sum of its Measure ratings. To calculate the SMI rating for a given Category, you must have specified one or more attribute values. To calculate the SMI rating for a given attribute, you must have specified one or more measures to be calculated for that attribute. You may choose to directly enter ratings at the Category and/or Attribute levels rather than having the tool calculate these results. The weights are used to determine the relative contribution of each entered rating to the weighted sum of which it is a part. For example, if an Attribute has 2 Measures, then weighting one of the Measures 5 and the other 10 will result in the Measure with weight 5 contributing 1/3 of the Attribute score and the Measure with weight 10 contributing 2/3 of their Attributes score. Multiple measures may have the same weight. If there is only 1 Measure for an Attribute, then any nonzero weight can be used. Step 14a: Decide whether you will use the manual or default approach. If you are not using the Set Defaults approach, do Step 15. Step 15: After you enter values manually, then you need to tap the button labeled Zero Unused Weights "7,8+90+$+(('8)80:+,*0;<=:5>4 54

11 "#$%"#$%&''()*+,-*./01+ Here is an example with some weights and minimums entered: Step 16: If you are using the default approach then, tap the Set Defaults button to fill in the remaining weights and minimums. You may also do this step before Step 14 if you would rather modify the weights and minimums after default values (you specify) are filled in. Note that if the keyboard is covering the part of the screen where you need to enter data, scrolling the screen (slide up the screen background with one finger) will reveal the hidden sections of the screen "7,8+90+$+(('8)80:+,*0;<=:5>5 55

12 "#$%"#$%&''()*+,-*./01+ In this example, all the weights and minimums were entered in step 14, So you will use the Set Defaults button to enter zeroes in all the other weights and minimums. When Set Default is tapped the screen looks like this: Step 17: Change any of the default settings necessary. In this case the defaults are acceptable so Tap OK to proceed with setting the defaults or Cancel to go back to the weights and minimums screen without changing any weights or minimums "7,8+90+$+(('8)80:+,*0;<=:5>4 53

14 "#$%"#$%&''()*+,-*./01+ For Measurement ratings you may refer to the scale provided in the SMI Measurement definition. For rating Categories or Attributes, a scale should be defined based on objective criteria and applied consistently to each potential service provider. You may enter an optional comment for each rating. You may want to use comments to document the rationale for rating choices. The comment text may exceed the length that fits in the field. The whole text will be preserved though, and can be read by tapping on the comment field. Step 19a: Then tap the Next Service button (in the upper right corner of the screen) to move to the next service. Step 19b: Enter the ratings for the new service and continue until all services have been rated. Note that only the Categories, Attributes and Measures that are not calculated and have weights greater than zero will appear on this screen. 15 "#$%"#$%&''()*+,-*./01+ Step 20: Now that all the ratings are entered, tap the Next button to view the evaluation results. Part 7: View the SMI scores and other results Step 21: Tap the Calculate SMI Scores button (near the upper right corner of the screen) "7,8+90+$+(('8)80:+,*0;<=:5>5

There will be 1 record for each service, so to see other services tap on the Next Service or Previous Service buttons in the top right corner of this screen. If there are any ratings below the minimums you have specified, the leftmost column of the box in the lower part of this screen will show this. Step 23: Tap on the Show Ratings Below Minimums button to see the specific ratings that are below the minimums. Tap the Back button in the upper left corner of the screen to return to the main results screen. Step 24: Tap on the Show Charts button to see some more detailed graphs of the results. The chart screen looks like this: This screen has 4 different sets of charts. Step 25: To display these charts, tap the appropriate tab (just below the Evaluation ID) "7,8+90+$+(('8)80:+,*0;<=:5>5 5B

18 "#$%"#$%&''()*+,-*./01+ The Sorted SMI tab displays the SMI scores in order from highest to lowest SMI score (top to bottom). The SMI tab shows the SMI scores in the order the services were entered (top to bottom). The Category tab shows the unweighted Category ratings for each service. Step 26: Tap the Next or Previous buttons to see the other services. The Weighted Category tab shows the weighted Category scores per service. Step 27: Tap the Back button in the upper left corner to return to the main results screen. Note that only the service, not the name of the provider currently appears in the bar chart. Step 28: To see all the measure, attribute, and category ratings for each service, tap the Result Details button. Tap the Back button in the upper left corner to return to the main results screen. To export the results of an evaluation, on any screen you can: Step 29a: Tap the blue gear in the upper right corner of the screen Step 29b: Tap Print Step 29c: Tap PDF Step 29d: Tap Scale and select Scale to Fit Step 29e: Tap (if you have set up on this ipad) Step 29f: Enter an address in the To: field Step 29g: Enter a subject in the Subject: field Step 29h: Tap Send To export the whole database off the ipad: Step 30a: Tap the blue gear in the upper right corner of the screen Step 30c: Tap Save/Send Step 30d: Tap Database Step 30e: Tap to the whole Database or Save to save a local copy on the ipad Step 30f: If ing, enter an address in the To: field Step 30g: If ing, enter a subject in the Subject: field Step 30h: if ing, tap Send 23456"7,8+90+$+(('8)80:+,*0;<=:5>4 5C
