1 Amazing Charts Version 9.2 Release Notes Messaging Use the new message search, and automate deletion of already-read message and more! 2 Messaging Search for messages in your inbox Stop scrolling and start searching. Type a search term in the search box and the messages that include the term (in the subject or body of message) will display, allowing you to easily find what you re looking for. Use existing filters and the new search feature to narrow your search even more. (AC-9121, AC-9903) Attaching a Patient to a Message We ve introduced a new way to attach patients to messages. When writing a new message, or replying or forwarding a message, you can search for the patient you want to attach to the message by clicking the Patient button, then searching (by last name, first name or by birth date) for the patient whose chart you want to include. If you re creating a new message, and a patient is selected in the Patient List when you click the Patient button, that person s name will be auto-select in the Search Patient screen. All you have to do then is click Enter and the patient s chart will be attached to the message. (AC-9039) 2 P a g e V e r s i o n 9. 2 ( )

3 Automatically Delete Lab and Forwarded Chart Messages Lab Messages Previously, when you signed off on a lab in the inbox, Amazing Charts asked (every time) whether you wanted to delete the lab message from your inbox. Now you can set a preference so that lab messages you sign off are always deleted from your inbox, saving you several clicks. You can set this preference from the alert that pops up after signing a lab or from User Preferences. (AC-9792) Chart Messages Previously, when you opened a forwarded chart, you were asked each time if you wanted to delete the message in your inbox. Now you can choose to automatically delete messages when pulling a chart from the inbox. Choose your option in the message box that pops up, or in your User Preferences. (AC-9792) User Preferences for Auto-Deletion of Messages We ve completely redesigned of the User Preferences screen to make it easier for you to set your preferences, and we ve added preferences so you can design workflows that work best for you. Both preferences are unchecked by default. Messages: Always delete chart messages from my inbox when a chart is pulled. 4 Problem List Management Inactivate and Resolve Problems from the Most Recent Encounter Instead of switching between the Most Recent Encounter (where you could always add problems to the problem list) and the Summary Sheet (where you could always add, inactivate and resolve problems), we ve given you the ability to do everything you need to do from the Most Recent Encounter. When the Active Only checkbox is selected, you can click the Problems button to open the new Edit Active Problem List screen, where you can check off the problems you want to resolve and inactivate. 5 Other New Features New Installation Process Requires a License Key This feature was implemented in version 9.0 and is included here again We ve implemented new security measures that require you to contact us and to obtain a license key in the following scenarios: If you install Amazing Charts on a new main computer (not on a local) If you uninstall and reinstall Amazing Charts on your main computer If you try to upgrade Amazing Charts to the latest release and you don t have an active support agreement (Guardian Angel Support) If you turn a local into a main computer (aka move your database) During the new installation process, you will be prompted for a license key via the screen illustration below. Please contact client services and they will provide you with the key if you are eligible. The key is valid for 24 hours from the time it is issued. Active GAS is not required to install a fresh version of Amazing Charts, however active GAS is required to install the latest release software obtained from the client portal. 6 Restoring a Database on a New Computer/Backup Server (Please ensure your IT Support technician is informed of this new change) Your Amazing Charts backup file encryption has been enhanced and now requires a change in the way you restore your Amazing Charts Backup to a new server. Backups and restores on the same physical server work exactly the same way as they did prior to Version 9.2, however in order to restore your AC backup on a different server than it was created, you will need to contact Client Services so they can prepare your new computer to receive the backup from your existing server. The time required for Client Services to prepare your new computer is brief, estimated at 5-10 minutes in most cases. Why is this important to you? Prior to 9.2, if you experience a server failure you, or your IT staff, would set up a new server and restore your most recent backup on your own, potentially with no assistance from Amazing Charts. Since the new encryption now requires that your new server be certified Amazing Charts to accept the backup from your current server, you may want to consider having a certified alternate server on hand to minimize your downtime in the event of a server failure. Additional Changes Performance Enhancement: When opening the Immunizations tab of the Decisions Support screen, we ve reduced the time it takes for the page to load by at least 5 times (versus load time in version 8.3). Auto-Update Phase I: If a newer version of Amazing Charts is available, it will be automatically downloaded to the server and local computers, and users will be notified that the installer has been downloaded. (AC-9244) More preferences for HL7 billing messages: Introduced a preference allowing practices to include copayment/payment data in exported HL7 DFT billing messages (AC-9775) 6 P a g e V e r s i o n 9. 2 ( )

7 Fixed Bugs Meaningful Use Reporting Fixed issue where a group of medications being checked for formulary would fail for all medications if the first medication failed. Impacts MU Reporting for 2016 MU Reporting for Modified Stage 2 Objective 4: eprescribing. (AC-9523) Misc Bugs Fixed spacing issues in the order requisition form footer (AC-8253) Added preferred provider to the PV1.7 segment of the HL7 ADT message. (AC-8351) Fixed issue with provider mapping when importing appointments via HL7. (AC-8431) Added NPI to facility in the Clinical Summary CCDA. (AC-8485) Added social security number to exported CCDAs, but do not import it. (AC-8760) Fixed some small user interface pieces on the HIE/PHR Export screen. (AC-8989) NewCrop screens can now be accessed without issue even for patients with non-codified medications in their medication list. (AC-9335) Fixed bug showing wrong ordering provider in the patient order. (AC-9630) The user setting to add a timedate stamp to updated MRE fields has been fixed and now works without issue. (AC-9841) Added check to warn user for unsaved clinical information when closing the Check In (Clinical) screen. (AC-9885) Patient name and DOB now displays on all growth charts when previewing/printing. (AC-9911) Users on local computers should now be able to view custom illustrations. (AC-9913) The shortcuts ALT+O (which opens Orders) and ALT+W (which opens Write Scripts) are now working from the Amazing Charts Home screen. (AC-9922) Improved consistency and timeliness of Clinical Summaries being uploaded to portal. (AC-10010) 7 P a g e V e r s i o n 9. 2 ( )

8 Known Issues The issues listed below describe defects that we acknowledge exist in this or prior versions of Amazing Charts that have been found by us or reported by other users. We plan to address these issues in a future release. If the issue is already scheduled to be fixed for a specific release/timeframe, it will be noted in the Planned Resolution column. If the issue is not yet scheduled for a specific release/timeframe, a date is not included. Depending upon your workflow and usage of Amazing Charts, these issues may or may not impact you; we expect the level of impact on users to vary based on how they use Amazing Charts. This list is provided to you so that you can determine if the negative impact of any of these issues outweighs the benefits offered in this release; if you feel that is the case, you can choose to wait for the issues that matter to you to be resolved before you update. Ticket # Area Reported Version Known Potential Issue Work-around Planned Resolution AC MU 9.0 Impacts 2016 MU Reporting for Objective 8 is Modified Stage 2/ Core 7 of Stage 2 (Patient Electronic Access. Starting in Version 9.0, CCDAs sent automatically when an encounter is signed for the patient are not counted in the calculations for the above measures. (If you are on a version prior to 9.0 the automatic CCDAs will count correctly in MU calculations. If you re on Version 9.0 or later, you must send CCDAs manually to the patient portal in order for them to count for Meaningful Use. AC Database 9.2 AC Labs 9.0 AC-9782 Charting 9.0 When upgrading to 9.2, readonly login credentials will no longer work. (This will only impact you if you are using a 3 rd party that reads from the database using a read-only login such as the PRIME Registry) Any PDF results sent from an interface prior to Version 7 cannot currently be reviewed in Amazing Charts from the Imported Items screen. When searching for patients, entering or changing the patient s first name after the last name does not signal the search to rerun. Before upgrading to 9.2, write down the information about the read-only user you previously created. Once you ve upgraded, recreate the user. If you are having this issue, please contact Amazing Charts Client Services and they can help you to view these files. When searching for patients, enter first name first, then last name. If the search is not reloading, try deleting and retyping the last name. Q P a g e V e r s i o n 9. 2 ( )

9 AC-9965 Labs 9.0 AC Vaccines 9.0 AC-9897 Rolodex 9.0 AC-9781 Billing 9.0 AC Decision Support 9.1 AC-8478 Errors 8.2 If Amazing Charts is installed to the root of a hard drive (i.e., directly to the C: or D: drive), lab results will not download from our interface hub. To resolve this, Amazing Charts must be installed to a folder on the hard drive (i.e. C:\Program Files (x86)\amazing Charts or D:\Amazing Charts). Lot Number and Expiration Date are not saving when entering immunizations. Rolodex search is very slow retrieving names if you have a very large number (thousands) of contacts On the Sign Off Encounter screen, after adding ICD codes to a selected CPT line, the screen will change the selection to the first row in the charges table. Amazing Charts crashes when you edit a Decision Support rule for a patient. In rare cases, you may receive an Unhandled Exception or Run-time error that says the Logs or PartnerTransactions databases are being recovered and that Amazing Charts is waiting under recovery is finished. Amazing Charts generally crashes after this error occurs. Uninstall Amazing Charts and reinstall it in the following location: C:\Program Files (x86)\amazing Charts or D:\Amazing Charts You need to enter the lot number and expiration date manually for all immunizations. None When you add ICD codes, you need to make sure after adding each one that you re working in the correct procedure row. None. Call in to Amazing Charts technical support. There is a fix they can implement in your database to fix the issue. AC-9842 Orders 8.3 When the Orders screen is opened from the Addendum screen, there are no ICD codes populated in the screen. Either open Orders from an alternate location, or enter the ICD code while entering the Order. AC-9271 Vaccines 8.3 Immunizations given elsewhere are not saving to the patient s chart if the comment includes an apostrophe.
