3 Goal of Training Session To prepare for your update to FoxFire PM through hands on use of software Discuss the conversion process to FoxFire PM Discuss what still needs to be done in Navigator 3

4 Demographics Entry of Demographics in FoxFire PM Data sent to Navigator (Navigator is still the billing system and all functions after TOS) Insurance records may be added in FoxFire PM. These records will be sent to Navigator (by attaching it to a patient), but may require updating. Patient # s in FoxFire PM will typically start at , but is based on your Navigator database and the highest account # currently used. 4

5 Always search and start with a patient to complete tasks. New patient entry will give 3 screens (only 1 st required) After the new patient is entered you will be directed to: Update other items if in demographics or Make an appointment if in scheduling 5

13 Demographics Updates A new or existing patient allows updates in FoxFire PM, which are sent to Navigator If you update or add a new patient in Navigator, don t worry, it will come into FoxFire PM. 13

14 FoxFire PM Patient Search Allows searching on all fields that are filled in The more you enter, the tighter the search becomes. However: If you search on multiple items, you are going to need matches on all items selected. Example: If you put part of patients last name, first name and a zip code, ALL 3 will need to match to return a patient. 14

16 Search Notes Please take note of the CLEAR SELECTION button. This will allow screen to clear without exiting screen, or typing over information. The inactive checkbox is for future use The # of results will tell you have many records matched what you searched on. 16

19 Patient Screen Notes Use the EDIT icon (Pencil) to change information As you go from screen to screen, the information on previous screen will automatically save The on-hold box will stop you from making an appointment until this is unchecked. Test patient is just for you to note when looking at patient. 19

20 Patient Screen Notes Deceased - Will be used with 4PatientCare interface. We plan to add the date of death on a future release. Active - All patients are active. This field cannot be unchecked at this time. Converted - This is only used on new customers. Related patient - Allows you to add a related patient and is used as viewing only at this time. 20

22 Contact Screen Notes The contact information is the patient s address. The emergency contact needs to be kept in FoxFire PM. There is a 1 time update from Navigator but the data will not be passed to Navigator after that. Emergency contact allows you to type everything out or attach an existing patient. 22

23 Contact Screen Notes Alternate address is currently used as display only. Other uses are being discussed for a future release. It will not swap or be sent to Navigator. The options to record are : 23

24 Guarantor Screen 24

25 Guarantor Screen Notes Use this just as you would in Navigator to link the guarantor. When FoxFire PM handles all the billing, this will be used to send one statement for family billing. You may type in all the information if you choose to not add this person as a patient record. 25

27 Insurance Screen Notes Allows you to scan the insurance card directly to the insurance record. When you delete an insurance, there are unlimited PREVIOUS insurances records. Note the SWAP icon and ability to delete insurance, which will go to previous. 27

28 Insurance Screen Notes When a card is scanned to the insurance record, this is where it will be viewed or removed. This will allow duplex scanning of the card only with the Bizcard There is no option to add a back side of card if not using the That would need to be put in DOCUMENTS if you need it. 28

30 Additional Screen Notes Race, Ethnicity and Language We are currently working to add it to the interface to EyeMD EMR. The contact preference items are used in conjunction with 4PatientCare. If you are not currently using 4PatientCare, you may record them as displays. The Medicare secondary information will be sent to Navigator. 30

31 Additional Screen Notes The consent signed and date fields will be sent in interface both ways between FoxFire PM and Navigator. The NPP signed and date fields will be sent in interface both ways between FoxFire PM and Navigator. 31

33 Alert/Remarks Screen Notes Click the BLUE plus to add an alert or remark. Alerts and remarks do not go to Navigator. Alerts will pop up when you schedule a patient. Remarks are used for items you want to record and view in demographics and will be used in the future for other recording of information. 33

35 Order Screen Notes The icon for order screen is removed Always go to the patient, then orders and patient orders. The patient is already filled in. All the icons are still shown, but are located differently on the screen. Other than the icon changes on the order, the order process operates the same. 35

37 Transactions Notes The screens for EHR charges, Debit / Credit and Gift card still operate the same way. The only difference in FoxFire PM is how you get to those screens. 37

56 Insurance Notes When an insurance company is not found during a search: Type the code you wish to assign and click on the field. A + sign will show at the end of the field. Click the + and add your insurance information and save. 56

57 Insurance Notes An insurance record will not automatically go to Navigator. The record will need to be attached to a patient to go through the interface with the demographics. Once the record is in Navigator, you may need to update information on the insurance record. There are standard defaults for the record and they are all based on commercial insurance. 57

58 FoxFire PM Demographics Notes There are new fields in FoxFire PM which are not present in Navigator. There are fields which are present in Navigator which are not in FoxFire PM. Items which have to do with the billing process in Navigator will still need to be accessed in Navigator. Claim and statement messages, ticket notes, credit messages and notes 58

59 FoxFire PM Demographics Notes As FoxFire PM progresses toward being the billing system, changes will be made that will make some of the options in patient, insurance etc. in Navigator obsolete. We want to handle billing, statements, claims, and reporting differently in FoxFire PM as there are ways to improve and enhance this functionality. 59
