1 How to run EMIS Web searches for a CHART Quality Improvement Tool Please note: for the purpose of testing and feedback, all EMIS Web versions of our CHART tools are released as beta versions. We would be grateful if you could feedback your experience of using the EMIS Web versions of our tools, specifically if you identify any anomalies in the data output (enquiries@primis.nottingham.ac.uk). Initial Set Up These instructions assume that you have downloaded the EMIS search xml file for a specific CHART quality improvement tool from Check for Updates using the link in CHART and have saved it to a known location on your computer. To help illustrate the process of running searches, these instructions will use the CHART Warfarin Patient Safety Quality Improvement Tool. You will find the xml search files in C:\CHART\INR_TTR\EMIS XML Searches We will assume that you are going to export the EMIS search responses into a folder at C:\CHART\Responses\EMIS Search Responses STEP 1 - Create a folder called PRIMIS within EMIS Population Reporting so you have somewhere to import the xml file 1. Go into EMIS Population Reporting. You can find Population Reporting by clicking the round EMIS button in the top left of the screen and selecting Reporting - Population Reporting. 2. Is there a folder there called PRIMIS? If there is, go to Step 2. If not, create one by right clicking on the top most item in the left window and selecting Add Folder. Call this folder PRIMIS STEP 2 Check to see if there are any old searches for your particular CHART Audit that need deleting. 1. Double click on the PRIMIS folder to reveal if there are any subfolders within it 2. If the PRIMS folder contains a subfolder called Warfarin Patient Safety then this folder needs to be deleted, as it contains outdated xml searches, superseded by the new xml search you are about to import. Right click on the folder and delete it. STEP 3 Import the new Warfarin Patient Safety xml file into your PRIMIS folder 1. Click on the PRIMIS folder 2. Click on the Import button from the toolbar. 2 3. A window similar to below will appear. 4. Click on the three dots to the right of the Enquiry Document section and browse to the location of the xml file. In our example this is C:\CHART\INR_TTR\EMIS XML Searches 5. Double click on the Warfarin Patient Safety.xml file and then click the OK button. The xml file will be imported and a new folder called Warfarin Patient Safety will automatically be created within the PRIMIS folder. In this new Warfarin Patient Safety folder you will find a further two subfolders called INR- TTR Warfarin Patient Safety Responses and Searches. Within these subfolders you will find the actual EMIS searches and reports. STEP 4 Running the searches 1. Right click the Warfarin Patient Safety folder and select run. A window similar to below will appear. EMIS_Search_Instructions_v1.0 2 of 6 The University of Nottingham 2017
3 2. If you want to run the queries with a Reference Date of today s date, click Yes. (The Reference Date is the date up to which the search will look for data entered) 3. If you want to set a specific Reference Date, click the Advanced options link and the window will extend to look like below. You can set your own Reference/Relative run date. 4. Finally click the Yes button and the searches will automatically queue, then start running. 5. You can tell when all the searches have run, as all of them will have a number showing in the Patient Count column as seen below. (The patient count below are all zeros, as the screenshot has come from our dummy EMIS Web system) STEP 5 Exporting the search results Unfortunately search results cannot be exported all at once. 4 Fortunately only the items in the INR-TTR Warfarin Patient Safety Responses need to be exported, as these are the ones which CHART processes to create its summary sheets, datasheets and dashboards. To export these items to C:\CHART\Responses\EMIS Search Responses as per our example then, for each item in the INR-TTR Warfarin Patient Safety Responses folder: 1. Right click on it and select View Results This is extremely important 2. The actual results will them be shown on screen. 3. Click the Export icon. Depending on the type of report being exported, you will be offered one of the following two export boxes: EXPORT BOX 1 EXPORT BOX 2 EMIS_Search_Instructions_v1.0 4 of 6 The University of Nottingham 2017
5 4. Whichever box you get, select the CSV option. If you get export box 2, please also tick: a. Replicate column headers b. Replicate patient details for each item c. Override hidden patients where possible 5. Browse to the location where you want top save the response. In our example C:\CHART\Responses\EMIS Search Responses 6. Save the Response NOTE DO NOT change the default name given to the response by EMIS. NOTE DO NOT save EMIS Responses and Responses in the same folder. Some reports (particularly from casefinder audits) may take several seconds to save. 7. Once you have done this for all the responses in the INR-TTR Warfarin Patient Safety Responses folder, you can load the responses into CHART. STEP 6 Loading results into CHART 1. Open up CHART as usual. 2. Click on the Display Practice Results button 3. Browse to C:\CHART\Responses\EMIS Search Responses (or wherever you have exported your responses) 4. Load into CHART EMIS_Search_Instructions_v1.0 5 of 6 The University of Nottingham 2017
6 Information about and EMIS population reporting files GENERAL A HQL query file will create a CSV response file with the same name. A XML query file will create a CSV response file with the same name. All queries that are for importing into EMIS Reporting Manager will be xml files and have a suffix of _EMIS DIAB.HQL will create DIAB.CSV INRTTR2_EMIS.XML Will create INRTTR2_EMIS.CSV INRTTR2_EMIS.XML SUBSETS These queries create a response file which contains a single number, which represents the number of patients who have specific characteristics subsets begin with AA EMIS subsets have weird names, but will all be found in the Searches folder AADIAB.CSV ANALYSE FILES These queries contain multiple numbers, as they break down a subset of patients into bands. E.g. by age or sex. and EMIS Search Analyse queries all begin with CC CCALL.CSV CCALL_EMIS RESPONSE FILES These contain extracted information. E.g. codes and dates. Some will contain patient identifiable data and some will contain pseudonymised data. Response files tend to end with REP or REPA ASTREP.CSV ASTREPA_EMIS.CSV Response files containing pseudonymised data will end with A ASTREPA.CSV ASTREPA_EMIS.CSV It is strongly advised that you do not put and EMIS Response files in the same folder.
