3 Preface Thank you for using Cloud On-Demand Print. Cloud On-Demand Print enables you to print the files uploaded on a cloud server using the devices compatible with Cloud On-Demand Print. This guide describes operations for system administrators. Be sure to read this guide before you use Cloud On-Demand Print. After reading this guide, be sure to keep it handy for quick reference. It will be useful in case you forget how to perform operations or if a problem occurs with the machine. The guide assumes that you are familiar with a personal computer and knowledgeable of computer networks. 9 1 Overview of Cloud On-Demand Print 1.1 Overview of Cloud On-Demand Print Cloud On-Demand Print enables you to print the files uploaded on a cloud server using the devices compatible with Cloud On-Demand Print. The users and devices are registered to a contract-basis group called a tenant. The user logs in to the own tenant with which the user is registered, and uploads files to the tenant. The uploaded files can be printed by any devices registered with the tenant. Depending on the administrator settings, the files can be printed by devices in other tenants *1 which are tenants other than the tenant to which the file has been uploaded, and by devices on netprint *2 or Public Print *3. Before printing the file, the user needs to log in to the own tenant to which the file is uploaded. When, however, adding the print reference number to the file, the user does not need to log in to the own tenant, but can print the file by just entering the print reference number to the device. *1 The privacy settings of the uploaded file can be selected from the private file which is open only to the user who has uploaded the file, or the shared file which is open to all the users registered with the tenant. You must print files within the expiration date after uploading the files. The administrator sets the expiration date. Authentication is required depending on the settings on the device. For details, refer to the guide provided with the device. 11 1 Overview of Cloud On-Demand Print 1.3 Printing Using Other Tenant Devices and Print Reference Number Cloud On-Demand Print allows printing files on devices registered in other tenants which is other than the tenant to which the file is uploaded, by logging in to the own tenant to which the file is uploaded. By uploading a file with the print reference number, you do not need to log in to the own tenant, but can print the file on the own tenant and other tenant devices by entering the print reference number to the devices. Authentication is required depending on the settings of the device. For details, refer to the guide provided with the device. Even on a device to which you cannot log in, if the device allows printing using a print reference number, you can print files on the device by entering the print reference number. For these printing operations, the administrator makes the settings for both of the tenant to which the file is uploaded and the tenant from which the file is printed. 12 1.3 Printing Using Other Tenant Devices and Print Reference Number Example of Administrator Settings The following shows the example of the administrator settings required to print files using other tenant devices or print reference number. Example 1: When User X of Tenant A wants to print a file on Device Y registered in Tenant B, any of the following settings is required. When User X logs in to Tenant A and prints a file on Device Y: - The administrator of Tenant A allows User X to log in to the Tenant B devices. - The administrator of Tenant B allows User X to log in to the Device Y. When User X prints a file on Device Y by entering the print reference number: - The administrator of Tenant A allows User X to issue the print reference number. - The administrator of Tenant B allows printing on Tenant B devices using the print reference number. Example 2: When User X of Tenant A wants to print a file on Device Z registered in Tenant A using the print reference number, the following setting is required. The administrator of Tenant A allows User X to issue the print reference number. The administrator of Tenant A allows printing on Tenant A devices using the print reference number. 12

18 2.2 Logging in to Cloud On-Demand Print and Displaying the [Tenant Management] Page 2.2 Logging in to Cloud On-Demand Print and Displaying the [Tenant Management] Page Steps The following describes how to log in to Cloud On-Demand Print and display the [Tenant Management] page. The [Tenant Management] page can be displayed only when the administrator has logged in. 0 1 Access the URL of Cloud On-Demand Print using a web browser. The URL is described in the sent by Cloud On-Demand Print. Set a password as described in the if required. 2 Enter the user ID and password, and click [Login]. Important Entering a wrong password over the limit will block the login of the user for 30 minutes. 3 When the user is registered in several tenants, select the tenant to which the user logs in. 4 Click [Tenant Management]. In [Language] on the log in screen, a user can select the language to show on the Cloud On-Demand Print web page. If a user selects the language which is not supported in Cloud On-Demand Print, the English web page will appear. 18

19 2 Initial Settings 2.3 Registering a User to a Tenant The following describes how to register a user to a tenant and set whether or not the user can log in to other tenants. You can register users individually or collectively. The upper limit of the number of the users that can be registered to one tenant differs depending on the contents of the contract with us. The following shows the difference between the "User" and "Administrator". You can restrict the user operation on the [Settings] tab on the [Tenant Management] page. Registering a User Individually Steps The following describes how to register a user individually. When a user has been registered to the tenant, an that notifies the URL of the Cloud On- Demand Print web page and how to set the password is sent to the user. 0 1 Click [Users] on the [Tenant Management] page. 2 Click [Register]. 3 Click [Individual]. 19

Enter the user's address within 255 characters. Select [Administrator] to give administrator rights to the user, or select [Users] to give user rights to the user. If you allow users to issue Print Reference Number, check the [Allow Issuing of Print Reference Number] checkbox. If you send an to a user from Cloud On-Demand Print when the number of files reached the upper limit of files which can be registered, check. Up to 20 users can be set. Select the language which a user uses. In the sent by Cloud On-Demand Print to the registered user, the language selected here will be used. Check [Allow] when allowing the user to log in at other tenant device. 5 Click [Register]. A user with the same address as the one of the user already registered in the tenant cannot be registered. When the address is already registered in Fuji Xerox Online Service, the settings for Fuji Xerox Online Service is given priority over [Surname] and [Given name]. 6 To register other users, repeat steps above. Registering Users Collectively Steps The following describes how to register users collectively to a tenant. When a user has been registered to the tenant, an that notifies the URL of the Cloud On- Demand Print web page and how to set the password is sent to the user. In case of registering users collectively, there are no feature which is equal to [Receive alert notification from system] in registering a user individually. 0 1 Click [Users] on the [Tenant Management] page. 2 Click [Register]. 3 Click [Batch]. 4 Download the CSV file (template file). (1) Click [Download Template File]. (2) Specify the destination to save the template file, and click [Save]. 5 Enter the user information to the downloaded CSV file. (1) Open the downloaded CSV file. 20

21 2 Initial Settings Important Be careful about points below to edit the CSV file on the Microsoft Excel. The language of the template file is based on the language of the Cloud On-Demand Print web page. For editing, use the Excel which is the same language as the template file. In the CSV file of the Cloud On-Demand Print, characters of the language of the template file and ASCII code characters can be used. If a user want to set the CSV file which has the information of two languages and more, edit on the text editor. (2) Enter the user information from the second line. Important Do not delete the first line because the first line is the header. Up to 500 users can be registered to one CSV file. To register over 500 users, register the users in several batches. Enter true to allow the user to log in to other tenant devices, or enter false not to allow the user to log in to other tenant devices. Enter "true" to allow the user to issue Print Reference Number, or enter "false" not to allow the user to issue Print Reference Number. (3) Save the CSV file and close it. If the CSV file is edited on the text editor, save in "UTF-8" character code. 6 Click [Browse ] on the [Import User Information]. 7 Select the CSV file to which the user information is entered, and then open. 8 Select [User Language]. In the sent by Cloud On-Demand Print to the registered user, the language selected here will be used. 9 Click [Register]. 10 Confirm the registration information and click [OK]. 11 Click [Close] after completing the registration. A user with the same address as the one of the user already registered in the tenant cannot be registered. When the address is already registered in Fuji Xerox Online Service, the settings for Fuji Xerox Online Service is given priority over [Surname] and [Given name]. To cancel the registration, click [Stop]. Clicking [Stop] does not cancel the registration of the already registered users and users whose registration is in progress. Setting User Attributes Collectively 21 You can collectively set items below to all the users registered in the tenant; Whether allow users to log in from other tenants' machines; Which tenants machines to allow to log in from;

Even if the user is allowed to log in at other tenant devices, the user cannot log in to inaccessible devices. For details, refer to "2.6 Making the Own Tenant Device Accessible to Other Tenant Users"(P.26). Allowing or Prohibiting the Login at Other Tenant Devices You can collectively set whether or not to allow all the users in a tenant to log in to other tenant devices. Steps 0 1 Click [Users] on the [Tenant Management] page. 2 Click [Set All]. 3 Select [Allow Login At Other Tenant Device] or [Prohibit Login At Other Tenant Device]. Log in Device Restriction Set which other tenant device can be used to log in for all the users in a tenant when the users are allowed to log in at other tenant devices. Steps 0 1 Click [Users] on the [Tenant Management] page. 2 Click [Login Device Restriction]. 3 Select [Allow Login At All Tenant Devices ] or [Allow Login At Specified Tenant Device]. 4 If you select [Allow Login At Specified Tenant Device], enter the tenant ID of the other tenant at which login is allowed. You can specify up to six tenant IDs. You can check the tenant ID on the [Settings] tab on the [Tenant Management] page. 5 Click [Update]. Allowing or Prohibiting Issuing of Print Reference Number You can collectively set whether to allow all the users in a tenant to issuing of the Print Reference Number or not. Steps 0 1 Click [Users] on the [Tenant Management] page. 2 Click [Set All]. 3 Select [Allow Issuing of Print Reference Number] or [Prohibit the Issue of Print Reference Number]. If the user setting of [Allow Issuing of Print Reference Number] is changed to [Prohibit the Issue of Print Reference Number], Print Reference Number issued before changing the setting can be used. 22

23 2 Initial Settings 2.4 Registering Guest to a Tenant Steps 0 1 In [Tenant Management], click [Guest]. 2 Click [Register]. 3 Operate following procedures. (1) Enter the last part of User ID in a text box. The maximum number that can be entered is 20 characters. The first part of the text box is applied by Cloud On-Demand Print automatically. (2) Enter Password to login Cloud On-Demand Print. The number of characters that can be entered is at least six characters up to 20. (3) Click [Add]. Guest is registered in a Tenant. Guest can be recorded up to ten in one Tenant. 4 Notify Guest following information. The URL for Guest to login [here] of [Guest account can log in from here.] is the link for Guest to log in. Notify Guest by right-clicking [here] to copy the URL, or in any other way. User ID and Password for Guest Important Guest can log in only with the URL of the link described above via web browser. that procedures of Guest to login is different from the procedures of User. 23

24 2.5 Registering a Device to a Tenant 2.5 Registering a Device to a Tenant The following describes how to register a device to a tenant. Device and Tenant To use Cloud On-Demand Print, at least one device must be registered to a tenant. The user can print files on any devices registered in the tenant. Authentication is required depending on the settings of the device. For details, refer to the guide provided with the device. Registering a Device Steps Enter the device registration key to the device to register the device to the tenant. One device cannot be simultaneously registered to two or more tenants. 0 1 Check the device registration key of the tenant. (1) Click [Settings] on the [Tenant Management] page. (2) Check the device registration key displayed in [Device Registration Key]. 2 Configure the devices so that Cloud On-Demand Print can be used. See Cloud On-Demand Print Multifunction Device Setup Guide 24

26 2.6 Making the Own Tenant Device Accessible to Other Tenant Users 2.6 Making the Own Tenant Device Accessible to Other Tenant Users Making the own tenant device accessible enables other tenant users to log in at own tenant devices to print files. Set the following as needed. Privacy Level Own tenants can be set to be accessible without restrictions or with restrictions. When the tenant is accessible with restrictions, you can restrict the users and devices for which login is allowed. For details, refer to "2.3 Registering a User to a Tenant"(P.19). Making the Own Tenant Device Accessible and Setting the Privacy Settings Steps The following describes how to make the own tenant device accessible and set the privacy settings. 0 1 Click [Other Tenant Settings] on the [Tenant Management] page. 2 Click [Add] on [Devices Accessible to Other Tenant Users]. 3 Set the privacy settings. 26

Select [Limited to Below] to restrict the other tenant users who can log in at own tenant devices, or select [All] when not restricting users. Important When you select [All], all the other tenant users can log in at own tenant devices specified for [Accessible Devices]. Enter the address of the other tenant users who can log in at own tenant devices within 255 characters. Enter when selecting [Limited to Below] for [Other Tenant Users]. You can use backward match by using a wild card (*). You can enter up to six addresses. Select [Limited to Below] to restrict the devices at which other tenant users can log in, or select [All] when not restricting devices. Important When you select [All], all the users specified for [Other Tenant Users] can log in at all the devices registered in the own tenant. Enter the nickname of the devices to which other tenant users can log in within 50 characters. Enter when selecting [Limited to Below] for [Accessible Devices]. You can enter up to six device nicknames. 4 Click [Add]. 27

Check when allowing the user to log in at other tenant device. Allowing or Prohibiting the Login At Other Tenant Device can be collectively set to all the users. For more information, refer to " Setting User Attributes Collectively"(P.21). Check when allowing the user to issue of Print Reference Number. If the user changes the checkbox disabled from enabled, the user can use Print Reference Number which is already issued. Allowing or Prohibiting the issuing of Print Reference Number can be collectively set to all the users. For more information, refer to " Setting User Attributes Collectively"(P.21). If you send an to a user from Cloud On-Demand Print when the number of files reached the upper limit of files which can be registered, check. Up to 20 users can be set. 3 Click [Update]. Deleting a User from the Tenant Steps The following describes how to delete a user from the tenant. Important Deleting a user from the tenant will delete all the private files uploaded to the tenant by the user. Shared files and the operation history are not deleted. If you delete Guest from a Tenant Important If Guest is deleted from the Tenant, all the files that the Guest uploaded will be deleted. that deleted files cannot be recovered. (1) Click of Guest to be deleted. (2) Confirm to delete Guest, and then click [OK]. If you delete files of Guest You can delete by ten files from files of the oldest upload date. You can download the operation history on the present and the last twelve months on a monthly basis. You can download the operation history of all the operation types by setting [Search Target] to [All]. 3 Click [Download]. The destination to save the downloaded file depends on the settings on the web browser. 40

Reissue the device registration key when, for example, you do not want the user knowing the present device registration key to register new devices. 44 4.2 Error Message and Solutions 4.2 Error Message and Solutions The following describes some error messages the administrator may encounter. Message The upper limit will be exceeded if all users in the csv were to be registered. The specified nickname is already in use. The device of the specified nickname does not exist in the tenant. Description and Solution The possible causes are as follows. The upper limit of the users that can be registered to the tenant will be exceeded if all the users in the CSV file are registered. Delete the existing users registered with the tenant and then register new users with the tenant. See For details, refer to " Deleting a User from the Tenant"(P.32). The upper limit of the number of the users that can be registered to one tenant differs depending on the contents of the contract with us. The information of over 500 users is written in the CSV file. Keep the number of users in one CSV file within 500 if multiple users are registered with the tenant collectively. To register over 500 users, register the users in several batches. See For details, refer to "Registering Users Collectively"(P.20). Change the nickname and register a new nickname. Make sure the nickname is correct. 44
