3 1 INTRODUCTION The ISIS-XI Inspector Edition is a client PC program to be used on all Microsoft Windows platforms such as Windows XP, Windows Vista and Windows 7. The ISIS-XI Inspector Edition is available as downloadable software on the CDI-M internet site ( Please login (with your current username / password information) and see the download section of the website. The ISIS-XI Inspector Edition software is available on the Download software page. 2 INSTALLING THE ISIS-XI INSPECTOR EDITION The ISIS-XI Inspector Edition is implemented with a user friendly installation (setup) procedure. The following installation steps will guide you through the installation procedure. The setup process will not be able to update files that are currently used by other programs. Therefore, it s highly recommended that you close all the applications before proceeding. Double click the downloaded ISIS_XI_Inspector_Setup.exe file and the following information window will appear on your screen: ISIS-XI Inspector Edition Page 3 / 21

4 press <Next> to continue, the following information window will appear on your screen: You can select to create a desktop shortcut for the ISIS-XI Inspector software. Press the <Next>button to continue: ISIS-XI Inspector Edition Page 4 / 21

5 You can change the destination folder where the software will be installed. We recommend to install the software in the suggested (default) directory location. Press the <Install> button to install the ISIS-XI Inspector software. The installation procedure is completed when the following message appears: Press the <Finish> button to end the installation procedure. You can start the application by double clicking the ISIS-XI Inspector Edition icon shown in the program group which is selected in the installation procedure (and/or desktop shortcut): ISIS-XI Inspector Edition Page 5 / 21

6 3 USING THE ISIS-XI INSPECTOR EDITION You can start the software by double clicking the CDI ISIS-XI Inspector Edition icon located in the program group which is selected in the installation procedure (and/or desktop shortcut): 3.1 Startup window At startup the application gives the following possibilities: - Create a new report - Open an existing report To create a new report you need to have it asigned to you by CDI MRS system first. 7 Please click on the button Update Inspections List to see if any inspections have been assigned by the CDI MRS system to the inspector. Please enter your User Name / Password combination and press on the connect to Server button: 3.2 Editing reports The following screen appears when you open an existing report or create a new report: Some basic report data has already been pre-filled by the CDI-MRS system, such as: - Ship Name; - IMO number; - Inspected By; - Technical Manager. 8 3.2.1 Opening, saving reports In the tool bar you can open an existing report or save the current report. Please note that you always have to save your report before you can send a report to the ISIS-XI internet database. In the menu bar you can choose to save the report under the existing file name or a new file name, please go to: File, Save or Save As. When you exit the software, the program will ask you to save your changes to the current report: Questionnaire The table of contents of the questionnaire is visualised with a tree structure. You can select the general information, sections, subsections or remarks by clicking the appropriate tree node. The Questionnaire looks similar to the hardcopy questionnaire. For more information about the different question categories please refer to the general guidance of the questionnaires CKP testing CKP testing is voluntary and not part of the inspection process, no results or indicators will be shown in the Ship Inspection Report, and only the ship operator will have access to the data. It is a simple knowledge test, with no penalties on individuals and no names will be recorded. The ISIS-XI system will produce the tests and the Master can agree with the inspector which two officers are undertaking the tests. Questions may be in the form of: A direct question A photo image A radar screen image Questions are graded per ship type, department and rank. Answers are multiple choice, of the form: select the correct one from four options, or select TRUE/FALSE.10 questions will be presented within 10 minutes. On completion, or time expiry, the program will close. ISIS-XI Inspector Edition Page 8 / 21

9 The following screen appears when you open the CKP Testing module: After selecting a test the following screen appears: ISIS-XI Inspector Edition Page 9 / 21

10 When opening the test you can read the test instructions and press Start Test when you are ready to begin: Answering questions If a certain section is completed (all questions are answered) then this is made visible in the tree structure by means of a bold font or optional a green color. You can change the section completeness indication in the Extra, Options, General tab page. At the bottom of the general information and remarks sections you will Find a Done button to mark the section as completed. When the Done button is still disabled/de-activated this indicates that the section is not yet fully completed. In case of optional and mandatory questions you didn t answer all the mandatory questions. If all section questions are answered then this is made visible in the tree structure by means of a bold font. ISIS-XI Inspector Edition Page 10 / 21

11 The answering of the questions is done by selecting the appropriate answer box: By default all Yes / No / NA questions are answered as YES. You have the possibility to clear /re-set all "YES" answers, in the menu bar please go to Tools menu: The questionnaires also contain some special questions, such as: Date fields: All date fields can be answered with a date picker: The crew matrix: ISIS-XI Inspector Edition Page 11 / 21

12 In case the inspectors should spot check some items, the inspector only has to click the No items, the number of missing items will automatically be recorded and the missing items will be copied to the observations edit box: ISIS-XI Inspector Edition Page 12 / 21

13 3.2.5 Question observations Insertion of observations for questions with NO answers is mandatory. The following image represents a popup window in the ISIS-XI Inspector Edition for inserting observations: Questions for which observations are entered are marked by means of a note symbol next to the answering boxes Guidance notes The guidance notes are integrated in the ISIS-XI Inspector Edition. When selecting a section, sub-section or question the appropriate guidance notes will show up in the bottom-right panel of the application window: ISIS-XI Inspector Edition Page 13 / 21

14 3.2.6 Section remarks The Inspector has also the opportunity to add section remarks. The following image represents a screen in the ISIS-XI Inspector Edition for inserting section remarks. Please press the Done button when you have completed the section remarks: Printing The Inspector Edition software has several print options: Below you will find the different print possibilities: The Inspector Edition uses the standard print capabilities, which are installed on the operating system. Before printing you can get a print preview clicking on a <Preview> button. ISIS-XI Inspector Edition Page 14 / 21

15 3.2.8 Sending reports If you click on the Send button by default the application will use the current internet connection to send reports. When sending reports please make sure your internet connection has been established. Please note that no settings have to be changed to send reports by internet. When pressing the Send button the application will try to submit the report to the ISIS-XI internet database. The questionnaire must always be fully completed to send a report to the ISIS-XI internet database. If all questions are answered the following pop up window will appear: After entering your login / password information and pressing the Submit button the application will try to connect to the ISIS-XI server starting your default Internet browser. An internet browser window will appear when data of the report is successfully transferred to the ISIS-XI system. You will get an autoresponder notification from the ISIS-XI system that your report successfully has been included in the ISIS-XI internet database. ISIS-XI Inspector Edition Page 15 / 21

16 4 ENTERING THE ISIS-XI INTERNET DATABASE Via the CDI website at or direct to in the left top corner enter your login information: On entering your unique login and password, the ISIS-XI database will open with the Message Board. ISIS-XI Inspector Edition Page 16 / 21

17 5 VIEWING SHIPS AND VPQs Please click on VPQs. Note the Search Engine options at the top of the list. By entering any combination of these fields, you can rapidly locate ship (s) you are interested in viewing. You can save your preferred search engine by ticking the Save button in My defaults. The individual ship is selected by double clicking on the ship name. The individual ship screen will now open, providing more details and in upper right, the HVPQ may be viewed. 18 By clicking on the View VPQ button the following screen will appear: Note in this screen the print options in the top right corner, you may print a hard copy, export to MS Excel, create a PDF file and export a general format XML file. 19 6 VIEWING USER LISTS AND EDITING YOUR DETAILS Via the left hand menu User List, you have access to the details of all users. The User Type is selected from the dropdown box in the header and double clicking on any user will open the screen of the individual user. Again, via the left hand menu Edit my details, you may edit your personal contact information. In this screen, select the Edit button and edit as required, remembering to press the Save button after completion. ISIS-XI Inspector Edition Page 19 / 21

20 7 ENTERING YOUR AVAILABILITY By clicking on the Enter availability link you can enter your availability to conduct inspections over the coming twenty-eight (28) day period: Please click on the Save button to submit the changes in your availability. ISIS-XI Inspector Edition Page 20 / 21
