3 System Overview PatientPoint Exam Room Tablet gives patients access to award winning health content, personalized for them. Our health information includes key rheumatology topics like Osteoarthritis, Fibromyalgia, Rheumatoid Arthritis and more. The Exam Room Tablet also allows the practice to add practice messages, helping to improve patient-physician partnerships and outcomes. You have been furnished a site survey that outlines the installation configuration for the site. You must review the site survey prior to your appointment. It is CRITICAL that you understand the equipment installation location(s) prior to beginning the installation process. Contact your vendor support desk if you have any questions. If the primary office contact wishes to deviate from the site survey instructions you MUST receive approval from PatientPoint BEFORE PROCEEDING. 5 Installation Guide Step 1. Site Notification Check in with the Primary Contact listed at the top of the Site Survey. Call Vendor Helpdesk to check in. If the Primary Contact refuses any part of the installation, or wishes to change monitor location or deviate in any way from the site survey, you must call Vendor Helpdesk to receive approval from PatientPoint. Step 2. Unpack & Inventory Equipment Unpack all boxes and confirm all necessary equipment is there. Should confirm correct number of tablets, power cords extensions, charging docks and Synology box if required. Please report all serial numbers and any discrepancies and / or damages to vendor helpdesk. *NOTE If Synology Box Is being installed GO TO page 19 and install the Synology Box first then proceed to set up the tablets. STEP 3. Data Port Test STOP AND READ The data port test is designed to verify internet access to the ERT servers. It MUST be performed before the technician begins installation. Refer to the site survey for Wi-Fi network we are to connect to. Connect laptop to the correct network and open internet browser and type in: Wait for page to fully load and select Begin Port Test. 5

6 If the test is unsuccessful (FOR ERT SERVERS ONLY), errors will be shown. See above. Retry test at least three times. If test fails after three attempts, stop and call Vendor Helpdesk. STEP 4. Preparation of tables NOTE Steps 4 and 5 must be completed on all tablets. Turn on the tablet. On the home screen locate the Settings tab and open it. 6

7 Verify that the Wi-Fi is turned on and airplane mode is off. Locate Wi-Fi network that is noted on site survey and select to connect. If password is required enter it and select Join. Locate and install the ERT App from the tablets home page. Refer to Site Survey and enter License Key. 7

8 The app will load and the screen will have a box with Daily Health Quiz running Select Skip Quiz Answer three questions and select Go 8

9 Choose 3 topics. Select GO Landing Page appears. Confirm 5 images / tiles are displayed select a topic 9

11 Return to landing page Select Videos and Images Confirm Videos and Images play/display by selecting one of each. Return to landing page Select Programs and Savings Confirm text and image displays Touch tile and navigate to website (National Prescription Savings Network) 11

13 Return to landing page Select Quizzes Confirm that quiz displays Step 5. Starting and Ending Guided Access Guided Access must be started with one of the ERT app pages on screen. Press the home key 3 times quickly to start Guided access A pop up box will let you know that Guided Access has begun. At this point you should not be able to exit the ERT App. 13

14 To end Guided Access Press the home key 3 times quickly. You will be asked for a Passcode. The Passcode is 9991 To end Guided Access Select End in the upper left hand corner Start Guided Access again and leave on. IF GUIDED ACCESS DOES NOT WORK PROPERLY CALL HELP DESK SKIP STEP 6 IF SYNOLOGY BOX IS NOT BEING USED. STEP 6. Verify Tablets are connecting to the Synology box On each tablet play a video on the tablet then disconnect the network cable to the Synology Box. Select the same video on the tablet. The video should not play when the Synology box is not connected. STEP 7. Set up Charging Station Refer to site survey to verify location of each charging station A ten foot extension cord is provided if needed Place the tablet into the charging base and verify that the tablet is charging. 14

15 The tablet should sit in the cradle handle up and screen out. You should not have to force the tablet in place. The battery indicator should be green and the lightning bolt should be present in the upper right hand corner to indicate tablet is charging. STEP 8. Clean Up and Check Out Remove and discard all shipping boxes. Sweep or vacuum up any dust/debris created. ENSURE all site equipment is working correctly prior to POC sign off. TAKE PICTURES OF LOCATION OF CHARGING STATIONS AND EACH TABLET. Check out with POC- verify POC is happy with placement of tablets. Call Vendor Help Desk to report serial numbers, check out and confirm completion of the installation. Fax signed checklist to vendor for payment. 15

16 Troubleshooting If Guided Access cannot be started, confirm that Guided Access has been enabled Press home button to get to home screen. Tap the Settings icon In the Settings columns on the left, tap General Tap Accessibility (3 rd option in 2 nd group from the top) Scroll down to the 3 rd set of settings called Learning and tap Guided Access Slide the switch to the right to turn Guided Access on Set Passcode to 9991 Go back to home screen and launch ERTApp Press home button 3 times and tap Start to start Guided Access. This locks the ipad in the ERT app. To turn off Guided Access, press the home button 3 times, enter the passcode and tap End If ERT App does not load - This kiosk is temporarily out of service. Unable to authenticate device in the Client DB Verify that the correct License Key has been used Verify the tablet is connected and to the correct Wi-Fi network and turned on Verify that Airplane mode is NOT on Home page of tablet, Settings icon, Airplane Mode, confirm OFF Open Safari and go to and run the port test on the tablet. Open Safari and confirm tablet can reach Try to delete and reinstall APP Verify app is pointing to PRODUCTION- upon entering license key IF NOT Under Settings- ERT APP Default Lookup Service CONFIRM PRODUCTION Call vendor helpdesk if this does not resolve Deleting and Re-Installing the ERT App To delete the ERT App, press and hold the ERT app icon in the home screen until the icon starts jittering. Press the little X that appears in the top left corner. Tap Delete to confirm Press the home button after deleting the app, then tap App Catalog. On the Internal Tab, tap Reinstall. Tap Install Potential Issues: There is an issue with provisioning of application Tablet is unable to reach server Resolution: Have Technician should confirm device is pointed to PROD environment; if this does not resolve contact DBA team to investigate license key issue 16

17 Attention Unknown error- Could not provision device. Message = There was a problem connecting to the directory service = Issue: WiFi is not connected Resolution: Open Settings, confirm WiFi network is correct and tablet is logged in Unable to connect to the network. Please try again later. Issue: ERT server is down Resolution: Contact DBA team 17

18 If pictures, videos or pages do not load Verify the tablet is connected and to the correct Wi-Fi network. Open OOKLA speed test app and click to Begin Test. Compare download speed with chart below. 19 Installing and set up of Synology Box If Synology box is required the following requirements are needed Static IP IT contact and number and static IP should be on site survey Synology box should be located in phone closet, server room or in a secure location. Not in exam room. Data jack is required for connecting a Synology box Connect Laptop to site s network using static IP provided by site and run port test at 19

22 Verify static IP information If provided on site survey (if static IP is not provided Synology will come from the warehouse set to DHCP and the IP address acquired will need to be set as static in the setting below and reported to PPT immediately) From main desktop click to open the control pattern. Click and open network connections. Under the general tab verify that the DNS is set to manually configure and matches site s DNS. 22

23 Under Network Interface highlight LAN 1 and click the Edit tab. Verify that the IP address matches address provided by site. 23

24 Verify Synology content is up to date. Click icon in the upper left-hand corner. Next click on and verify the Synology box is up to date. Go to step 4 on page 6 to set up Tablets and then verify they are connecting to the Synology. 24
