1 EIIA Version 2.0 TECHNICAL NOTES JUNE INSTALLATION GUIDE Technical support: To install de EIIA package do the following steps: 1. A) IF YOU HAVE RECEIVED A CD: Insert the CD containing the installation software EIIAplus.EXE in the CD driver of the computer (MS Windows compatible) 1.B) IF YOU HAVE RECEIVED AN ATTACHMENT: Download the EIIAplus.RAR and save in your hard disk. Click on this RAR file to recover EIIAplus.EXE. 2. Run the executable EIIAplus.EXE to create a folder EIIA in the default drive (C:) and extract all the programs needed for the operation of the software. Please verify the content of the folder C:\EIIA created at this moment. NOTE 1: If drive C: is not allowed to be used because of permits needed by MS Windows, then the software will look for the first unit free to be used. NOTE 2: In case of problems during installation, copy the EIIAplus.EXE to any folder in C: and run the program as Administrator. 3) Run EIIA following the procedure of the User s Manual. 4) If you already have a Company Folder, you may copy the full content to the EIIA folder and continue with the operation of the software.

3 EIIA Version 2.0 TECHNICAL NOTES JUNE TECHNICAL SUPPORT SITE Technical support: The technical support site is a web page (in English) that the user may call at the following address: The user may fill the fields on the left area of this page to submit any requests or even to attach a file with data or an image containing a message from the software or from MS Windows, or analyze the knowledge database at the right side of the page.

4 The knowledge database contains information about some known aspects that may help the user to solve the main questions about the software, organized inn six categories. Once checked a category, the control will show a set of questions and answers to solve the problem. The flow diagram of the request and the response is as follows: A client makes a request or sets a questions concerning an aspect of the EIIA through this web page. The system will send a mail indicating that the request has been received and the response will be provided as soon as possible; a copy of this mail will be sent to the APC of the University of Alabama. Once the response is prepared, the client will receive a new message and the APC will get a copy. NOTE 1: The APC of the University of Alabama may use the same Tech Support Web page to make a question or to receive feedback from the IEIA. NOTE 2: This site will include more topics in the knowledge database according to the requests or questions sent by the user to the APC

HOW TO ASSIGN CUSTOMER S ACCOUNTS As soon as the APC of the University of Alabama sells a EIIA package, a purchase order must be sent to the IEIA (Mexico) in order to assign a customer s account. The order must contain the following data: Company name Address State, ZIP Code Name of the user or client Position in the company Image file to prepare the Audit sheet file Number of audit sheets needed (500) Type of EIIA license [ ] EIIA standard [ ] EIIA premium With this data the IEIA (Mexico) will prepare the order to: A) Assign a customer s account number according to the license B) Design the Audit Sheet according to the image file C) Make a quotation for the production of the sheets D) Send the OMR hardware Once the design of the Audit Sheet has been prepared, a sample file will be sent to the APC to verify with the customer and to receive the approval of the quotation. Upon approval, the Audit Sheets will be printed and send to the APC. The IEIA build a configuration file for the Audit Sheet that shall be downloaded from the Tech Support site by a member of the APC, using the customer s account number. The complete package (hardware, Audit Sheets, EIIA software and configuration file) may be provided to the customer. The APC may define the training dates and prices, according to the actual procedures.

6 IMPORTANT: Concerning the customer s account number, there are several levels of permit: A) License for EIIA standard the number is assigned permanently to the client and may be used to communicate with the Tech Support team and receive help and feedback. B) License for EIIA plus the number is assigned and be used for a single session or for a period defined by the APC. In the first case, the user has to input the account number when used the EIIA sheet design portion of the software. In the second case the APC may provide the account and erase it from the EIIA folder once the period is over. It is up to the convenience or criterion of the APC to leave the permit indefinitely on the customer s computer. C) Meta-user for EIIA plus This is only provided to the APC and can be used in any computer having the EIIA, in any company, valid for a single session. The APC may request the Account number any time through the Tech Support Site.

9 EIIA Version 2.0 TECHNICAL NOTES JUNE VERSION 2.0 IMPROVEMENTS Technical support: Version 2.0 has been released in July 2010, with several improvements regarding previous versions (beta and 1.0 to 1.5) 1. General improvements Some bugs have been fixed mainly on the handling of files and user s interface. New versions of the User s Manual and the Sheet Design Tutorial, with some comments to solve the remarks received from the previous version. A very impressive and complete HELP has been included, containing the information from the manuals, references and hyper-links that simplify the search of information and comments. 2. Improvements in the functions 2.1 Company information control Configuration buttons for Data X, Data Y and Data Z have been activated, this allows the user to declare more comprehensive data to be used in the footer of the reports. The equivalence control now includes default values to simplify the edition. 2.2 Read the audit sheets The name of the file can be defined by the user or as a combination of month-year, to improve the control of the files and also to make easier to declare 1. Edition of the front and back of the card is done with edit boxes having the color of the audit sheet, to improve the aspect of the software giving a better approximation to the real sheets. 1 In the previous versions the user only had the option to define a name, and it was experienced that a member of the APC had to give a set of previously defined files for the months of the year, as a service to the customer. With the new option it is no longer needed to provide the set of files and the user just has to select month and year to produce the correct file for the OMR.

10 The width of the columns on the grid showing the scanned information has been improved, now the user may see more data areas of the audit sheets. The three control buttons of the OMR have been modified to simplify the operation of the reading device. 2.3 Editing a file The recovery tool has been included. Now it is possible to rebuild a file that has been lost, using the bitmaps of a reading session. 2.4 Generation of reports A general check row has been added to select all the elements of a column to configure the reports using the same characteristics in several identifiers. The automatic definition of output files has been verified. 2.5 Generation of spread sheet reports The operation has been verified. A new set of special reports is under preparation and will be released soon. 2.6 Generating graphs. The selection grid has been improved with a column to copy the configuration in several identifiers The scale of the graph has been defined using the real values, the maximum as 100% or the sum as 100%.

11 EIIA Version 2.0 TECHNICAL NOTES JUNE TECHNICAL REQUIREMENTS Technical support: Version 2.0 released in July 2010, is a STANDALONE program having the following requirements to install and for operation. 1. Operating system and hardware requirements Windows XP or Windows Vista. 2 GB RAM 27 MB on hard disk for installation of the system A minimum of 30 MB must be available to save the files from the OMR and the reports produced by EIIA. A USB is needed to connect the OMR to the computer. Ink jet, laser color or laser B&W printer is highly recommended Notes: a) Compatibility with Windows 7 has not been tested yet, but the compiler producer suggests a 98% compatibility in this case. b) Future releases will consider the option to be used under a local network. c) The OMR works on the USB of the standalone computer. It can be moved to another computer if needed, but the EIIA has to be installed locally. d) The price per license is linked to the purchase of an OMR. 2. Optional Microsoft Excel and Word are recommended but not necessary. Excel is only needed to use the interface included in EIIA to use the spreadsheets as an external file. 3. What is included in your purchase. EIIA software comes with the Optical Mark Reader (OMR), including cable and AC adaptor (6 months warranty). The design of an audit sheet is considered in your purchase, further designs can be requested by the client at a nominal price to the IEIA or the Alabama Productivity Center. Printed sheets are not included in the set. The cost of the auditing sheets is of about $0.30 each in orders of 2000 or more. These sheets can be ordered through IEIA and shipped to the United States for $ If the client would like to purchase a smaller order, the cost would change based on the number. INITIATING A SESSION TO EDIT AN AUDIT SHEET To initiate the edition of an audit sheet, you must be an authorized user and follow the steps proposed in the program s Help (Introduction) and follow these steps: 1. Please identify this window where you will define the Folder name. Please note that the Folder and the Company Data are empty at this moment. Please click on the open folder button to continue Important! If you click on the Design Sheet button with empty data, you will receive an error message, asking you to select a Folder.

13 2. Once you click on the Open Folder button, you will see the Select Folder Name control. Please browse the file manager to find your company and select the folder s name. Please check the name of the folder, so it will change color and click on the Select button. The selected folder has a different color

14 Important! If the name of the folder is not selected and you click on the Select button you will have an error message, telling you that you did not define a folder s name and your selection is empty. No folder has been selected! 3. Your selection is now part of the main window where the Folder Name and the company are correctly defined. Please click on the Design sheet button to continue

15 4. You will have the Sheet Design window, with all the controls to edit an existing audit sheet or to create a new one. Important! If you do not have a preview file in your Folder the program will send a warning message asking you to create a new file. This is not a problem, just a warning. You may continue selecting Yes or No at your convenience. If you produce a complete audit sheet the program will identify the preview file the next time you initiate the edition.

16 5. OPTIONAL. If you wish to modify a previous audit sheet, please click on the Open button And the Open File control window will show you the available audit sheets contained in your company folder, under the Design/DesignedSheets folder. In this case M2.hpl Please chose the desired audit sheet and the name must appear at the bottom of the control window. Please select the Open button to the bottom right of this control.

17 You will have your audit sheet ready to continue editing.
