3 Accessing Express Deposit Log in to the Express Deposit site at using the Office ID & login provided to you by your company admin or bank representative. Click Continue. Enter your initial password provided by your company admin or bank representative. Click Login You are now ready to begin the set-up of your secure sign-in protection. Much like having a second lock on your front door, this additional layer of security helps protect your information. Click Continue to get started. 3 User Guide

4 Instead of choosing from a set of pre-selected questions, you will enter your own questions and their corresponding answers. Once you have completed this section, click Save. A confirmation screen appears that your sign-in protection set up has been completed. If you do not wish to be prompted in the future to answer one of the security questions from the computer you are currently using, you may check the box next to Do not ask me personal verification questions at this computer. Click Continue to proceed to the Website Authentication section. 4 User Guide

5 Website Authentication You will be prompted to set up a second layer of authentication, commonly referred to as a site-key. The personal phrase you enter will help you easily identify and authenticate that you are viewing the correct website prior to entering your password. If the site-key and phrase that are displayed on the site do not match what you have set up, do NOT proceed with your login. The phrase must contain at least 20 characters. Click Save when you are satisfied with your selections. A confirmation page will be displayed. 5 User Guide

6 Click Home on the left menu bar to clear the confirmation message. Upon your first login, you are prompted to change your password. Enter your current password. Enter a new password that is a minimum of 8 characters. *Note* The password must contain upper and lower case letters and at least one number. Confirm the new password by entering it a second time. Click Change Password. 6 User Guide

7 Navigating the Home Page This is the Home Page. The bank is able to communicate important information to you from this page. These messages may alert you to holiday closings, system updates, or other important information. There are several menu tabs on the left side of the Home Page, depending on the security profile you have been given, all options shown above may not be available. Throughout Express Deposit, as tabs are selected on the left, additional options will become available at the top of the screen. Definitions are provided below for each of the tabs on the home page. Keep in mind, depending upon the role you are assigned in Express Deposit, all options may not be available to you. Home: Choose the Home tab to return to the home page. Capture: Select the Capture tab to create a new batch or search for an existing open batch. Approval: Select the Approval tab to approve a batch or search for batches pending approval. Transactions: Select the Transactions tab to research transactions within the prior 24- months. Batch Status: Select the Batch Status tab to view batch statuses within the prior 24- months. Reports: Select the Reports tab to generate or view reports. Payment Export: Select the Payment Export tab to export custom reports/files that have been set up by either the bank or a user. Maintenance: Select the Maintenance tab to add custom remittance fields. This tab is also selected when setting up and configuring payment exports. Users: Select the Users tab to add or edit users within Express Deposit. 8 User Administration Security Roles There are several different security roles available for you to assign to different users in your organization. This matrix will help you identify which role is appropriate. Only one role may be assigned per user. Submits it to the bank for processing. Return an entire batch to an open status for further action. 10 Adding a User To add a new user, select the Users tab from the left menu bar. Click New Client User from the top. The New Client User screen will appear. Select the appropriate Client and Role for the user you want to add and click Continue. Note: The Choose Client field may have more than one option available if you are the administrator for more than one company. Enter the User s information in all required fields (marked with *). Click Save when you are finished and you will be returned to the User Search screen. Note: If you have more than one location, be sure and select the appropriate location from the drop down. Note: It is strongly recommended that you set an initial password for your users and select the box to Change Password on Next Login for better security control. 10 User Guide

11 Maintaining a User To make changes to a user, enter either the User Name, Login Name, or select the Depositor name from the drop down and click Search. By selecting the Depositor Name from the drop down, you are able to see all users associated with that Depositor (or company). Under the Actions tab, select Edit. The Edit User page is displayed. You are able to change the User Group (security permissions), reset a user s Password, change their address, Deactivate the user, and Reset the user s Security Questions. Click Save when you have completed your changes. 11 User Guide

12 Notifications System notifications can be setup by a Depositor Supervisor to be distributed to Express Deposit users based on several events. The following table provides a list of events and what triggers the notification. Event Batch Approval Batch Closing Batch Return Closed Batch Approaching Cut Off Open Batch Approaching Cut Off Open Batch from a Previous Day Pending Approval from a Previous Day Batch Processing Return Item Chargeback Trigger Depositor has approved a batch. Depositor has closed a batch. A batch has been returned to an open status from a closed status. Closed batch has not yet been approved with the depositor cut off time approaching. Open batch has not yet been closed or approved with depositor cut off time approaching. A batch from a previous processing day was not closed or approved and remains in an open status. A batch from a previous processing day was closed but not approved for processing. Depositor approved batch was processed by Express Deposit and created a file for the bank to process. The bank has created a RDI batch for the depositor to review and take action. To access the Notifications feature in Express Deposit, select the Users tab on the left menu bar. Then, from the top menu, select Notifications. The following screen will display: Select the Depositor and/or Location along with the Event from the drop-down list for which an notification should be sent. Next, place a check mark in the Notify column next to the user(s) who should receive notifications upon the occurrence of the selected event. Note: Users without a valid address cannot be setup to receive notifications. 12 User Guide

13 When you have finished, click Submit to save your selections. A confirmation box will pop up. To delete any part of this setup for a user, simply uncheck the notify box and click Submit to save the changes. Remittance Configuration Remittance Config is selected when a depositor requests, or needs, custom remittance field population upon scanning of checks/items. To access Remittance Config, select the Maintenance tab from the left menu bar. Then, from the top menu, select Remittance Config and the following screen is displayed: 13 User Guide

14 Under Actions, Select the Depositor name you wish to make configuration changes to. Next, select the account you wish to make remittance changes to. You can choose to add up to five numeric fields, five date fields and ten information (character) fields. You may also choose to make a particular field required for entry by selecting the Required checkbox. Fields may also be defined as recalled fields by selecting the Recall checkbox. The order of entry for the fields may also be chosen, or left as all 1s to mirror the top to bottom entry on this screen. On the character/information fields, you may set the length from one position up to thirty positions. Upon choosing Update, these fields going forward, will be available (or required) for population in order to complete all batches for this deposit account. When you have completed your changes, click Update. 14 User Guide

16 Capturing Deposits Creating a Batch To make deposits, select the Capture tab on the left side of the screen and the following will be displayed: Under Action, click Select next to the account you wish to capture a deposit for. You are ready to create a new batch: The Batch Name field can be populated if a specific batch naming convention is being used. Otherwise, if the field is left blank, the system will automatically assign a batch name to the batch. You may either enter the Total Amount and Total Items of the deposit, or use the tape option by entering in the individual check amounts in the Item Amount field and pressing enter on your keyboard. The system will automatically populate the Total Amount and Total Items based on your input. Select Clear to erase all items in the Tape. 16 User Guide

17 If you make a mistake, simply highlight the check amount by clicking it with your mouse. Click Delete on your keyboard to remove the item. 17 User Guide

18 Once you have entered all of your checks, click Create Batch. This will prompt your scanner to turn on and the options that are grayed out in the screen shot below will become active. Next, place the item(s) for deposit into the scanner hopper and press Start Batch Scan. If you have a single feed scanner, only one item at a time should be placed into the hopper. If you are only scanning one item, the Single Scan button may be selected. After all items have been scanned, click on Stop Batch Scan and the following pop-up message will display. Click OK. 18 User Guide

19 Next, select Complete Batch on the Check Scanning Screen, which will take you to any checks that need correction or additional information entered. Notice that any fields you set up under Remittance Configuration are present. To enter dates, click Select by the date field and a calendar appears for you to select the appropriate date. Click Submit when you are finished with the item to move to the next. 19 User Guide

20 Once you have completed the edits on your deposit items, you will be notified whether your batch is balanced or unbalanced. Unbalanced Batch If the message This batch is unbalanced is displayed, click Return to open batch. You have several options available on how to determine what is necessary to balance the batch. Update the batch if the expected totals need to be changed. Scan if you need to add more items to the batch. Search if you need to edit items in the batch or to access Advanced Edit (which may not be available for all users). Delete if you need to delete the batch. Tape will display the entries made in the tape option. If you select Delete, you will be required to select a reason and have the option of entering a comment. 20 User Guide

21 Balanced Batch If the message This batch is balanced is displayed, click Close Batch. 21 User Guide

22 A confirmation appears. Click OK. Once your batch is in balance and closed, the batch will move the batch from Capture to the Approval tab. Each time a batch is closed; a Closed Batch Status report will automatically generate and will be shown in a PDF format (shown below). You can save or print this report. Many customers will wrap this report around the items in their batch for storage. *NOTE* Adobe Reader must be installed on the PC to view reports 22 User Guide

23 Batch Status Batch status history may be viewed for up to 24 months. Select the Batch Status tab on the left menu bar and the following page appears: Batches for the prior two days will automatically display. This will include Approved batches, Deleted batches and Processed batches. By entering search criteria, users can view batch statuses up through the prior 24-months. Note: To view an Open batch, select the Capture tab from the left menu bar By clicking on Audit under the Audit column, you will see the life-cycle of the batch. Selecting Tape, under the Audit column, provides you with a copy of the calculator tape for the batch. 23 User Guide

24 Approving Deposits Once a batch is closed and balanced, it needs to be approved. Select the Approval tab from the left menu bar. The following screen is displayed: Prior to approving the batch, using the options in the Actions column, you may choose to View Items in the batch (which also includes the ability to audit), perform a batch Audit, or Return the batch to an open status. Select the Approve option in the Actions column to approve the batch. Once the batch is Approved, you will see the following confirmation. Click OK. After the batch has been processed by the bank, you will see the status of the batch change from Approved to Processed. 24 User Guide

25 Transactions The Transactions tab on the home page is used for researching scanned items or batches. Currently, up to 24-months of transaction history may be searched/viewed. When selecting the Transactions tab from the left menu bar, the following screen will appear. You must choose the correct status of the search item from the top of the page. Next, enter the search criteria and date range for any batches or items that are Pending Approval, Approved, Deleted, Processed, Returned, Settlements or Remittance. Then, click on the Search button for results. In this example, we have selected Processed as the status. Under Actions, you may select View to see a copy of the item. 25 User Guide

26 The Item Detail will be displayed as follows: Returned Items/Chargebacks Items can be returned from the paying bank for various reasons. When that happens, the Bank will scan the return item(s) into Express Deposit creating a Returns Batch. They will also debit the account for the original item, plus charge any fee to your account analysis. Once the Returns Batch has been created, you will receive an notification that you have a Return item for review. To access your Returned item(s), click on Transactions from the left menu bar. Select Returned from the top menu. The following screen is displayed: 26 User Guide

27 Select the appropriate Start and End Dates to search beyond today s date and click Search. The following screen is displayed: You can View the item by clicking on View. This will show you a copy of the actual Return item along with other pertinent information. 27 User Guide

28 If you select History under Actions, you are able to see when the item was actually deposited. If you are able to resubmit the item for deposit, you will have a Resubmit option under the Actions column. IEN Description Can be Resubmitted? 29 Redeposit Payments You must have an open batch in order to use the Resubmit button. First, select Capture from the left menu. Create a new batch for the amount of your item(s) to be resubmitted. See Capturing Deposits, Creating a Batch on page 23. Once the batch is open, click on Transactions from the left menu, the select Returned from the top menu. Click Search. Click Resubmit under the Actions column. The item is displayed. Confirm the batch the item is to be inserted into by using the drop-down if more than one batch is open. Click Recycle. 29 User Guide

30 You are returned to the Returned Items screen. Under the Action column, the Resubmit action is no longer available. 30 User Guide

31 Select Capture and go to Open Batches. Under Actions, select Close. A confirmation appears. Click OK. The Closed Batch Status report is displayed and the batch is sent for Approval. See Approving Deposits on page 39, 31 User Guide

32 Payment Export Configuration Payment Export Config allows you to create a CSV, ASCII or QuickBooks-IIF formatted file that can then be exported into accounting software. Select Maintenance from the left menu bar, and then select Payment Export Config from the top menu. Select the Depositor and the following screen will be displayed. Select the account for which to set up the payment export. 32 User Guide

33 This will display the following screen. Place a check mark in the export payments box. Select the type of file to be created. Values are: ASCII CSV Quick Books - IIF Select the row Delimiter. Values are: CR (carriage return CRLF (Carnage return Line Feed) LF (Line Feed) Enter the Column Delimiter Values are:, Comma ; Semicolon Vertical pipe Tab Remote Deposit Capture 32 Enter the Text Qualifier. Values are: Explicit Decimal Implicit Decimal Negative Explicit Decimal Remote Deposit Capture 33 Enter the file name to use. This is user defined. Select the file extension. Select the fields to be shown in the file by placing a check in the check box under the Include field. Select the order of the fields by entering the Field Order number. When configuration setup is complete, select the Save button. Stop File Configuration Within the remittance functionality of the Express Deposit application, depositors using remittance config may upload stop files. By uploading a stop file specific to a depositor deposit account, any payment scanned that matches a stop record will be blocked from processing during the balancing of the batch alerting the user that the payment is blocked. The user may then edit the record if it is misread so it will pass through to completion of the batch or delete the payment and remittance coupon (if applicable) from the batch. 34 User Guide

35 A stop file should be a.txt file with one column, multiple rows. Other formats are acceptable but a request must be submitted to the financial institution to allow. To add a new stop file, select Maintenance from the left menu bar, then select Stop File Config at the top of the screen. The following screen will display: In the Stop File Description field, enter the name that will reference this stop file for display purposes only, and then click Add New Stop File. Based on the information in the Stop File you just created, payments will be blocked from processing to the specific deposit account the file was uploaded for. If these payments may be deposited to multiple accounts under the same Depositor, repeat these steps for all accounts that may be impacted. 35 User Guide

36 Reports Current Day Reports There are numerous reports that may benefit you within Express Deposit. Current Day reporting has several categories to choose from General, Detail, Summary, Batch, and Audit. Within each one of those categories, different report selections are available. Once you select Reports from the left menu bar, the following screen will be displayed: 36 User Guide

37 General Reports The following reports are available under the General category. Deposits for the requested period will be listed in date order, per depositor account, per depositor. The report will subtotal for the period per deposit account, totaling all deposits for each Depositor. Depositor payments reported per batch, per deposit account. The reporting totals each batch, provides subtotals for each deposit account, and grand totals for the depositor. Report also includes the batch number and clearing network. Detailed listing of Processed payments in clearing networks, grouped by batch for Depositor. Report consist of processed payments grand totals for the depositor, by day, for a date range selected. Detailed listing of payments that have been returned, grouped by return reason within a batch for a Depositor. Summary listing of item counts and amounts for payments that have been returned, grouped by batch for a Depositor. Detailed listing of Settlement items by Pay Date, grouped by batch for a Depositor. Settlement Items Detail by Detailed listing of Settlement items by Settlement Date, grouped Settlement Period by batch for a Depositor. 39 Batch Reports The following reports are available under the Batch category. Report Name Approved Batch Detail Batches Pending Approval Open Batches Detail Description Report gives the user detailed information about each approved batch during the selected date range. Report provides the user detailed information about closed batches that are pending approval, for the date range selected. Report provides the user with detailed information about open batches during the specified date range. Audit Reports The following reports are available under the Audit category. Report Name Description Report displays information regarding depositor users that were Deleted Depositor Users deleted during the specified date rang; including the user s name responsible for deletion of the user. Report provides information regarding new Depositors added to the system along with any changes and/or updates applied to Deposited Users Audit* existing depositor users. Report also includes information regarding the user responsible for the changes Report provides information regarding new depositor users New Depositor Users added to Express Deposit, including their role, login name, scanner profile, etc. *Minimum Recommended Reports 39 User Guide

40 Historical Reports In order to obtain information beyond the current day, select Historical Reports from the top menu. The following screen is displayed: Historical reporting contains all of the same categories that Current Day has as well as two additional categories Metrics and Statistics. To obtain a historical report, enter the date range for the reporting period then click on the desired report. The report will be available in a short period of time and can then be downloaded by selecting Reports Pickup from the top menu. 40 User Guide

41 Metrics Reports The following reports are available under the Metrics category. Report Name Metrics by Depositor Metrics by User Description This report provides summary information regarding the number of items that have gone through the various steps, such as read by car/lar, edited by the user, batches opened, batches closed, number of items scanned, etc. Report includes the same information as the Metrics By Depositor report except that the report is detailed at the user level. Statistics Reports The following reports are available under the Statistics category. Report Name Deposit Statistics Description Report provides the user information about the following: Processed Payments, Cleared Payments, Converted Payments, IQA Payments, NO IQA Payments, Successful CAR Payments. Windows Vista 32-bit Software: Adobe Acrobat Reader version 6.0 or higher (free from Adobe) Java Runtime Environment (JRE) (web browser plug-in; free from Sun Microsystems): JRE 6u10 or higher Panini VisionX 2010 driver Digital Check 2010 driver JRE or higher all other scanner driver packages Please note: on October 30, 2008, Sun Microsystems announced that JRE had reached the end of its service life. While we do support the use of JRE for several of our driver packages, we recommend that users continue to update their java installations to the latest version when possible, since many security and performance enhancements are gained by remaining current with the latest versions of the JRE. Browsers: Microsoft Internet Explorer version 5.5 or higher Mozilla Firefox 3.0 or higher Internet Connectivity: Any broadband or DSL type Internet access may be used that has a minimum of 128 Kbps download speed. Dial up access may be used, but system performance is not guaranteed. Dial up should only be used as a back up. 43 Use the instructions below to install VisionX scanner drivers for use with Web Client version 4.0. You must have administrative rights on the workstation and be assigned the Web Client supervisor role to upgrade and register the scanner. Installing VisionX Scanner Drivers Note: The upgrade process and individual windows can vary depending on your workstation setup, operating system, and individual user rights. The steps below are to be used as a general guide to complete the upgrade. 1. To begin, download the driver from the Download Driver section on the landing page. 2. From the home page, select Download Driver. 3. Once the list of drivers appears select the VisionX from the menu. 4. If this window displays, click OK to confirm and open the file. 5. In the File Download window, click Save. 6. In the Save As window, click Save to save the file to your Desktop. 43 User Guide

44 7. When complete, close the Download Complete window. 8. On your Desktop, right-click the file folder and select Extract All. An extraction wizard opens. 9. Click Next to start the wizard. 44 User Guide

45 10. Click Next to confirm the destination of the files. If you want to change the destination of the files, click Browse to select a new location. 11. Select Show extracted files and click Finish to complete the extraction and show the extracted pvisionx files. 12. Double-click the setup.exe file to open the pvisionx installation wizard. 45 User Guide

46 13. If the Open File Security Warning window appears, click Run. 14. Click Next to start the wizard for the Panini pvisionx Scanner Driver installation. 15. Click Install. 46 User Guide

47 16. If the Open File Security Warning window appears, click Run. 17. Click Next to start the wizard for VisionX software setup. 18. Click OK to confirm that the scanner is still disconnected. 19. Click Next to confirm the destination of the setup files. If you want to change the destination of the files, click Browse to select a new location. 20.
