3 2 Home Page Tab Descriptions Home: At any time, users may choose the Home tab to return to the Home Page. Capture: Users will select the Capture tab when creating a new deposit or searching for an existing open or pending deposit. Approval: The Approval tab will be selected when users are ready to approve a completed deposit or search for deposits pending approval. Transactions: Users may choose the Transactions tab when attempting to research transactions up to 24 months prior to the search date. Batch Status: Choosing the Batch Status tab will allow users to view deposit statuses up to 24 months prior to the search date. Reports: By selecting the Reports tab, users will be able to generate and view many reports that may be useful for record retention. Users: The Users tab is selected when adding or editing users within RDC. Documentation: Selecting this link will provide documentation, and installation instruction, for the latest scanners and scanner drivers available for use within RDC.

4 3 Logging In 1. Log in to your RDC system using the Office ID, login, and password assigned to by your banking administrator.

5 4 Creating A New Deposit Batch 1. Select Capture from your Homepage to get to this page. 2. Select Create a New Batch or you may choose Select next to the account you are depositing funds.

6 5 3. On this page you must enter the number and amount of items you are depositing for this Batch. For this you have two options: a. You may either enter the totals separately in the fields labeled Expected Deposit Total Amount and Expected Deposit Total Amounts b. Or you may use the Tape option. In the Item Amount box, the user should enter the amount of each check and then press enter. As the checks are entered the Expected Deposit Total Amount and the Expected Deposit Total Items fields will be updated. 4. Once all items have been verified and updated, select Create Batch at the Bottom of the screen, you may choose to add a Batch Name for the deposit if you choose to do so, otherwise leave blank.

7 5. Place the deposit items into the hopper and click Start Batch Scan If you are only scanning one item you may select the Single Scan button for processing. Click OK once the item has scanned. If you are scanning multiple items, repeat the process until you have completed your batch. If your Panini scanner has a feeder limit of one document, the Start Batch Scan button will not be enabled on the Check Scanning page within RDC 6. Once your deposit is completed, select Complete Batch at the bottom of your screen. 6

8 7. Review and correct any missing data on any scanned images. 7

9 8. Once all corrections have been made, a screen will display showing whether your deposit is balanced or unbalanced. 9. If your deposit is balanced: Select Close Batch to continue 10. If your deposit is unbalanced: Select Return to Open Batch and choose the Search option to review items in the deposit for any possible edits. Once you have balanced the deposit, select Close Batch 8

10 11. Once you have closed your batch a Closed Batch Status Report will automatically generate. You may choose to print and/or save this report for your records. 9

11 10 Approving A Batch ***Batches must be approved by your designated cut off time (6pm PST) for same day processing of your deposit 1. Select the Approval tab on the Home Page 2. Locate the deposit to be approved and select Approve in the Actions column of the batch. o Before Approving, you may also choose to: View Items in the batch Perform a batch Audit Or Return the batch to an open status

12 11 3. Once you have approved the deposit, a confirmation window will appear stating that you have successfully approved the deposit. 4. The Status of this deposit will now show Approved

13 12 Searching Transactions The Transactions Tab on the Home Page is used for researching scanned items or batches up to 24 months old. 1. First choose the correct status of the item you are searching for at the top of the page. This user is searching Pending Approval Items. 2. Enter the search criteria and date range for item(s) or batch(es) you are searching for. 3. Click Search for results.

14 13 Supervisor Roles and Duties The Supervisor role is the highest level of Users within the system, having the highest level of access. The Supervisor will have the ability to set up other users associated with the Depositor. In addition to standard operating permissions, the Supervisor will have the authority within the system to edit users, add new users, and set up notifications for selected users. If you have been designated a Supervisor by your banking Administrator and plan to edit or add users for the RDC System, please take a look at the available Security Roles within the system and the definitions of each permission allowed for that Role. Supervisor Roles and Duties

15 14 Edit Users The Supervisor may edit (change passwords, unlock user accounts, etc.) their users in this section of the RDC System. 1. When the Users tab on the Home Page is selected, a list similar to the one shown above will display the information of all Users associated to the Supervisor.

16 15 2. If the Supervisor selects Edit next to one of the users listed, the screen above will appear. On this page the user has the option to change the user group, user name, password, , and time zone. If the user s login or office needs to be changed, then the user must be deleted and added back to RDC correctly.

17 16 Adding a New User 1. Select New Client User at the top of the User page. 2. The User will then choose the Client for whom to add the user and the Security Role that user will be allowed. Select Continue. 3. The following Security Roles are available: Advanced Processing Officer Approver Manager Processing Officer Research Officer Supervisor

18 4. Next, fill in the required fields along with any other fields desired. Select Save once completed. 17

19 18 Notifications 5. If the user selects the Notifications tab at the top of the screen, they will have the option to set up alerts for the new user. 6. Select the Depositor and Location along with the Event to set up notifications for a specific account. 7. Notifications can be set up for the following Events: Batch Approval Closed Batch approaching cut-off Batch Closing Open Batch approaching cut-off Open Batch from previous day Batch Processing Batch Return Pending Approval from previous day 8. Click Submit once notification alert has been selected.

20 19 Security Roles When adding new users, a role must be assigned to the user. Below is a matrix that outlines the available roles along with their permissions. 21 20 User Permission Definitions Below are the definitions for the permissions Users will have certain permissions pending on their Security Role assigned to them by the Supervisor. Log in: Log in to the system. Capture Batches: Create a deposit and scan items into the batch/deposit. Edit Payments & Batches: Edit scanned items, if necessary, and batch totals. Access Advanced Edit: Access the Advanced Edit feature in RDC which will allow the user to change or add 3 or more characters in the MICR (account # or routing#) line. Edit Duplicate Payments: Edit items that have been flagged as duplicates in the system. Approve Batches: Approve closed batches within the system. Delete Payments/Batches: Delete single items or entire batches. View Batch Statuses: View batch statuses for batches scanned during the prior 24-month time period. Research Transactions: Research transactions (items, batches) scanned during the prior 24-month time period. Maintain Opt Out: Opt out check writers items for those who do not wish to have their checks converted to ACH transactions. Only applicable to banks using the ACH Conversion feature within RDC. Redeposit Payments: Allows a depositor to redeposit returned deposit items (ACH/IEN payments) that qualify for re-deposit. Maintain Remittance: Add/maintain custom remittance fields at the account level. Manage System Notifications: Add and manage system notifications within RDC for various events such as batch closing or batch approvals. Access & Generate Reports: Access the reports area within RDC and generate system reports for printing and/or saving.
