3 1. Introduction 1.1 Purpose The Hudson quoting system provides full MPCI quoting in a quick, easy to access format. With very few keystrokes a new quote can be created and printed. Also, policies can be imported from the main MPCI processing system that will allow quotes to be generated from existing policies. 1.2 Scope This document is designed to cover the basic end user operations for the quoting system. 1.3 Definitions, Acronyms, and Abbreviations MPCI Multi-Peril Crop Insurance RMA Risk Management Agency The federal agency that oversees risk management programs for agriculture, including managing the FCIC FCIC Federal Crop Insurance Corporation - The federal agency that provides multi-peril crop insurance ADM - Actuarial Data Master The rates published by RMA for calculation crop insurance 2. Installation The normal quoting system runs on a central server and has a small program that is installed on the local computer that connects to the central system. That program needs to be downloaded and installed before the quoting system can be used. Administrative rights may be required on the local computer to install the application. 2.1 Download The local program can be downloaded from: Install When you click on that link, depending on your browser, you can either save this setup program to your computer and then run it, or you may be given the option to run it directly. On Windows 7, it will look like: 3
4 You click on Run and the setup program will be downloaded. Click on Run and the system will launch a standard Windows setup program that will install the quoting client on the users system. 4
5 Click on Next. Click on Install. It will install that client on your system and will create a menu item on your system called Hudson Quoting. 5
6 2.3 Contact Hudson to have account created You will need to contact Hudson Crop Insurance to have an account created for you. They will provide you a user name and password that will grant you access to the quoting system. You can your request to Help@HudsonCrop.com 3. MPCI Quoting 3.1 Connect After the package has been installed on your system, you can click on the Hudson Quoting item and the following screen will be seen: Unless otherwise instructed, use the URL that is highlighted and click on GO. 6
7 3.2 Login After connecting to the central server, a login screen will be presented: Use the user id and password that was given you by the administrator when your account was created. If you incorrectly enter your user ID and password, the system returns Logon a Failed message advising you to check your user name and retype your password in order to successfully gain access to the system 7
8 3.3 Main Screen After a successful login, the following screen will be presented: There are several significant areas on the screen. Home/Quote Tabs across the top of the screen are a series of tabs. As you work on quotes, additional tabs will be created for each active quote you are working on. The Home tab will always return you to this screen. Clicking on a quote tab will take that quote. New quotes that have not been saved will show up as Quote1, Quote2, etc. New quotes that have been save with a quote id beginning with Q and followed by a number, such as Q Existing policies that have been converted to a quote will show up with their policy number. The final tab with the + on it will create a new quote. On the left side at the top are two buttons, a Search button that lets you look up quotes by name and the red X button that will either close the current tab if you are on a quote or exit the quoting system if you are on the Home tab. Immediately below the red X button is a small down arrow button. That allows you to select one of the tabs, especially if you have more tabs open than will fit on the screen. On the Home tab, there is a Clear MRU button and a New Quote button. The Clear MRU button allows you to clear the home tab screen of the most recently accessed quotes. The New Quote button acts just like the + tab and allows you to create a new quote. There are 8 Quote blocks on the main part of the tab. These represent the 8 most recent quotes that you have viewed and allow you to go directly to one if you click anywhere on that quote block. 8
9 On the right side of the screen is the Alerts section. This is the area that is used to notify you of any updates to the quoting system. On the bottom of the main tab are a series of quick link buttons that vary by the type of user that you are set up as. All users have a Reset Password button, which allows you to reset your login password. System administrators have an M13Import button, which allows new policies to be brought into the system, and a Utilities button that allows user/agency/company maintenance. Finally, there are additional buttons that allow you to link directly the RMA website, the NCIS website, the company portal and the AgAdvantage system. 3.4 New Quote To create a new quote, select the + tab or click on New Quote. You will be presented with the following dialog box: From this dialog you can pick the Crop Year, Reinsurance Year, State and County. If you are an agency, your agency will be listed in the Agency dropdown and cannot be changed. If you are a company employee, you will be able to assign the quote to a specific agency if you choose. 9
10 The system will then bring in all crops that are currently available for quoting based on the current ADM tables from RMA. By default, the grower name on new quotes will be set to the state and county name so that the quotes can be used as a rate sheet for that county. 3.5 Quote Tab Crops to Quote Upon creating a new quote or selecting an existing quote, the following screen will be displayed: The following options are available from this tab: Save This allows any changes to the quote to be saved. By default, new quotes are created for this session only unless it is saved. New quotes will be name Quote1, Quote2, etc. until they are saved. Once saved, a new quote will be assigned an id in the format of Q#####, such as Q Reload For quotes that have previously been saved, and changes that have been made since it was last saved can be discarded and the quote restored to the state is was at the last save. Delete Allows the quote to be removed from the system. Print Allows the quote to be printed. General information on the quote is on the top right side of the tab. The Crop Year, Reinsurance Year, State and County are set when the quote is created and cannot be changed. The grower name and address defaults to the statecounty format for the grower name on new quotes, or to the existing grower name/address from the policy on existing policies. 10
11 3.5.2 Crop/Unit Options The main part of the tab includes one or more crop blocks: Crop Specific Options At the top of the crop block is a check box that allows this crop to be included in the printout. The next four fields are crop specific that apply to all units for this crop: The first field is the crop name and code, which cannot be modified. The next field contains a list of all available insurance plan codes for that crop in the selected state and county. This is a multiple selection field that also scrolls left/right if there are more than 3 plan codes available. You can select as many plan codes as would like to quote by toggle the specific code on or off by clicking on it. Coverage levels from 50 to 90 % can be selected. You can select as many as you would like. However, the only ones that will print on the report are the actual coverage levels support by the crop, practice and type that you are quoting. 11
12 The unit structures can be selected now. The system will present all of the unit structures that are available for quoting and you can select one or more unit structures to quote Unit Specific Options The remaining sections of the crop block are unit specific. The following fields are available. Since these fields can apply to a wide variety of insurance plan codes, coverage levels and unit structures, there is limited validation on these fields. Practice select the desired practice based on the crop, state and county selected. Type after selecting a practice, the available types for that practice will be available. Select type type desired. Options the available options for the crop, state and county are presented and multiple options can be selected. Additional Option the additional option allows for a quick comparison on the printed report to see the affect of adding a specific option. For example, if HF is selected on the Options field and YA is selected in the Additional Options two lines will be printed on the report for each yield one showing the calculations with HF option, and the other with HF and YA selected. Farm Name this is the farm name associated with this unit. (for reference only) Acres the number of acres to quote. This will be populated with the actual acres from the policy if the quote is based on an existing policy. Unit # - the unit number based on the new 2011 format 4 digits for the unit and 4 digits for the sub unit. Map Area enter the map area desired FSN Farm Serial Number for this unit (for reference only) 12
13 Legals legal descriptions for this unit (for reference only) Price % - the percentage of the released or override price used for this quote. Share the growers share on this unit would represent 100%. Yield the Approved APH Yield for this crop, state and county Rate Yield the Rate Yield to be used for the calculations. If the Rate Yield is the same as the Yield, then the actual rate yield used in the calculations will be the same as the yield being calculated when a range is selected. When the Rate Yield is different than the Yield, then the Rate Yield will be the same for each calculation. For example, if there are three yields to be quoted (34.00, 39.00, 44.00) and the Yield/Rate Yield are both 39.00, then the following would be used in the calculations: Yield Rate Yield However, if the Yield is and the Rate Yield is 38.00, then the calculations would be: Yield Rate Yield Yield From, Yield To, Yield Step these three fields work together to allow multiple yields to be quoted. They are automatically calculated on new quotes based on settings in the Utilities setup. When the quote is printed, the yield will start with the Yield From field and then repetitively increment the yield by the yield step until the yield exceeds the Yield To field. For example, if the Yield From is 24, the Yield Step is 5 and the Yield To is 54, then the following yields will be shown on the report: Yield Expected County Yield this field is for display and reflects an expected county yield from the ADM tables. However, the expected county yield is based on a variety of fields, such as crop, state, county, practice, type and insurance plan code. Because we can quote multiple items, the expected county yield will represent the first value we can find in the table, so the display here may not always track with what is printed on each line. On the report, we can find the appropriate yield based on the specific information for that line, so we can look up the exact amount for that combination of criteria. Cup check this box if you want Cup to apply to this unit. SRF Skip Row Factor - the entry field for this only appears on Cotton. Volatility the volatility factor to be used on the quotes. This field will be read-only if RMA has released the final volatility factor. Otherwise, the field can be edited and you can enter the volatility factor to use. Protection-Acre the percentage of the revenue price to use on the calculations 13
14 Override Price - This field will be read-only if RMA has released the final price. Otherwise, the field can be edited and you can enter the price to use. Rev Price - This field will be read-only if RMA has released the final price. Otherwise, the field can be edited and you can enter the revenue price to use Multiple Units Multiple units can be quoted. If the quote is based on an existing policy, then multiple units may already exist for the quote. A unit scroller exists tt the bottom of the crop block: If more than one unit exists, you can scroll through them by selecting the < or > buttons. The Unit #x of total display will indicate with unit you are on. To add an additional unit to a quote, you can click the + button. You will be given the option to duplicate item that you are currently on: If you select No, then default values will be applied to the new unit. If you select Yes, then all of the fields from the current unit are copied to the new unit, and the sub unit # is incremented by one. If the current unit is , then the new unit would be , as seen below: 14
15 3.5.4 Scrolling crops when more than 5 exist on a quote If more than 5 crops exist on a give quote, you can scroll through the crops by using the crop scroller at the bottom of the quote tab: The < or > buttons move the active crop left or right. The << or >> buttons move to the first 5 crops or the last 5 crops. 15
