1 TN Hw t cnfigure servers t use Optimise2 (ERO) when using Oracle Overview Enhanced Reprting Optimisatin (als knwn as ERO and Optimise2 ) is a feature f Cntrller which is t speed up certain types f user-defined reprts (mainly Excel link reprts). The type f reprts that benefit the mst, are thse with many cc.fgetval frmulae inside them. The general idea is t use SQL bulk insert t perfrm multiple SQL inserts simultaneusly, rather than queuing them and running them ne-by-ne. By ding this, certain Excel link reprts can be sped up massively (e.g. up t 5 times faster!) There are tw separate parts that need t be dne d implement ERO/Optimise2. Ensure that the Cntrller I.T. envirnment is cnfigured t allw Optimise2 t wrk This is dne by the I.T. administratr This needs t be dne fr *each* separate database that the end-users will use, therefre yu will need t remember t perfrm this step if a new database is created Be aware that the instructins fr this vary a lt depending n whether yur Oracle database server is based n Windws r Unix/Linux. 2 Details Hw t enable ERO/Optimise2 Befre cntinuing, yu need t be aware that the instructins fr this vary a lt depending n whether yur Oracle database server is based n Windws r Unix/Linux. Therefre, when necessary the sectins will cntain separate sectins, which will be clearly labelled fr either Windws: r Unix/Linux: (1) Create a file share (r FTP site) This netwrk lcatin will be used by the Cntrller applicatin server, t send small (a few Kb) files t the Oracle server (fr it t insert int its database). NOTE: befre cntinuing, yu will need t find ut the value f yur Cntrller COM+ Username. This is the Windws user which is named inside the COM+ Server sectin f the prgram Cntrller Cnfiguratin n the Cntrller applicatin server. Fr example in the fllwing printscreen it is called MyDmain\Cntrller_service ):

3 On the Oracle server: Create a flder (fr example C:\Optimise2) n the Oracle server s hard drive Create a share frm that flder (fr example call it Optimise2$ ) Mdify the share permissins f the flder s that the lcal grup Administratrs and als the Cntrller COM+ user (fr example MyDmain\Cntrller_service ) have FULL CONTROL permissins, s it lks similar t: Click the tab Security and then mdify the NTFS permissins f the flder s that: the lcal grup Administratrs and als the Cntrller COM+ user (fr example MyDmain\Cntrller_service ) have FULL CONTROL permissins the lcal grup Everyne has READ permissins s it lks similar t:

4 On the Oracle server: Create a new (Linix/Unix) user (fr example called cntrllerftp ) n the Oracle user Create a flder (fr example /racle/cntrllerftp ) n the server. Ensure that the user (e.g. cntrllerftp ) has full cntrl permissin t this flder Ensure that everyne else has read permissin t this flder Cnfigure the Linix/Unix services t allw FTP n the Oracle server Cnfigure the FTP service t allw remte access t the flder that we created abve. In ther wrds, we have nw cnfigured it s that a user ( cntrllerftp ) nw has read/write access (and everyne else has read access) t an FTP site (<racleservername>/racle/cntrllerftp).

5 (2) Cnfigure the Oracle parameter SYS.UTL_FILE On the Oracle server, cnfigure the Oracle database parameter SYS.UTL_FILE t pint t the value f the flder (fr example C:\Optimise2 r /racle/cntrllerftp ) that we created earlier. The fllwing instructins are based n Oracle 10G: Frm the Start Menu, launch Enterprise Manager Cnsle Select/expand the database (which hsts the Cntrller applicatin repsitry schema) Lgn as an administrative user (fr example system ) Right-click n the database and chse View/Edit Details Click the buttn All Initializatin Parameters Click the tab SPFile Mdify the setting utl_file_dir t be the crrect value fr the flder name (fr example C:\OPTIMISE2) Obtain a shrt perid f dwntime (n users using any f the Oracle server databases) and restart the Oracle server (t ensure that the change is registered) Alternatively, simply restart the Oracle database Launch Enterprise Manager Cnsle Select/expand the database (which hsts the Cntrller applicatin repsitry schema) Lgn as an administrative user (fr example system ) Right-click n the database and chse View/Edit Details Click the buttn All Initializatin Parameters Ensure that Running is selected Check that the value f utl_file_dir is crrect (fr example C:\OPTIMISE2 in the screensht belw):

6 On the Oracle server: Ask yur Oracle DBA t mdify a parameter fr the Cntrller applicatin database. TIP: D NOT accidentally make the change inside the Cgns Cntentstre database by mistake this is a ttally separate Oracle database! The Cntrller applicatin database is the ne that is mentined inside the Database Cnnectins sectin inside the prgram Cntrller Cnfiguratin n the applicatin server. Ask the DBA t change the database parameter utl_file_dir t be the crrect value fr the flder name (fr example /racle/cntrllerftp ) Obtain a shrt perid f dwntime (n users using any f the Oracle server databases) and restart the Oracle server (t ensure that the change is registered) Alternatively, simply restart the Oracle database

7 (3) Ensure that each database cnnectin has Optimise2 settings cnfigured On the applicatin server, launch Cntrller Cnfiguratin (frm the start menu). Navigate t the sectin Enhanced Reprt Optimisatin Fill in the details fr yur system (see belw fr instructins based n yur perating system) Repeat the abve step fr each and every database cnnectin listed inside select cnnectin Cntrller Cnfiguratin fr Windws shares: Fr the setting "File Mde" chse "File Cpy" Server: The NetBIOS name (fr example rasvr1 ) f the Oracle server TIP: In general t nt use the lnger FQDN name (fr example rasvr1.mydmain.cm ) f the server, since this can ptentially cause prblems. Share: The share name, fr example "Optimise2$" Server Directry: Fr mst custmers this can be left blank Hwever, in sme envirnments yu wuld type in a unique subflder name (fr example the name f the 'database cnnectin' fr example 'default') that existed inside the share User ID: In almst all envirnments this can be left blank. This causes the system t use the Cntrller COM+ user credentials Passwrd: In almst all envirnments this can be left blank Therefre it will lk similar t: TIP: D nt frget t perfrm the abve steps fr *all* database cnnectins by changing the setting fr select cnnectin

9 (3) Testing IMPORTANT: Be aware that it is fairly easy t stp Optimise2 frm wrking by using Excel wrksheets with incmpatible wrksheet names. Therefre, yu must ensure that yur Excel wrksheet names (by default called Sheet1, Sheet2 and Sheet3 ) are named apprpriately. TIP: Fr full details, see IBM Technte # : 01.ibm.cm/supprt/dcview.wss?uid=swg Hwever, the mst imprtant thing t remember is that Excel sheet names must nt have spaces in them. Fr example: PROFIT 2011 = bad PROFIT_2011 = gd PROFIT2011 = gd

10 TEST#1 External Excel link reprts These are Excel link reprts that have been saved (e.g. nt file shares) simply as Excel.XLS (r.xlsx) files. First test nt using Optimise2: Open a standard Excel Link reprt Ideally, chse ne that uses lts f fgetval s Lgin t Cntrller Refresh the reprt (e.g. click F9 n keybard) Time hw lng it takes t run Perfrm anther refresh, and time hw lng this takes By perfrming this twice, it shuld eliminate the effect f any caching This has given us a baseline test fr hw lng the reprt takes t run. Nw we shall enable Optimise2 : Create a cpy f the file f the XLS Excel spreadsheet (that we have just used previusly) Navigate t cell A1 f the first wrksheet (e.g. Sheet1 in the example belw): The next part f the instructins varies depending n which versin f Micrsft Excel yu are using.

11 Instructins fr Excel 2003: Ensure that cell A1 is highlighted Click n Insert Name Define Type in the wrd Optimise2 in the tp rw Click Add, OK Save the Excel spreadsheet as a new file-name

13 Finally, yu can nw cmpare like-fr-like the perfrmance f using Optimise2 and nt using it, fr a variety f different spreadsheets: Lgin t Cntrller Refresh (e.g. click F9 n keybard) Time hw lng it takes t run Perfrm anther refresh, and time hw lng this takes By perfrming this twice, it shuld eliminate the effect f any caching

14 TEST#2 Internal Excel link reprts These are Excel link reprts that have been saved inside the database itself, and are accessed by the Reprts Run menu item inside the main Cntrller applicatin itself. T enable Optimise2 fr these reprts, yu perfrm *exactly* the same tasks as shwn in test#1, but (naturally) the end-user will save the Optimise2-enabled reprt as a new reprt inside the Cntrller database (i.e. just as they did when they riginally created the reprt). In ther wrds, the superuser will have t: 1. Use the menu item Reprts Create t create a cpy f an existing reprt 2. Save the reprt with a new name 3. Highlight cell A1 and insert the name Optimise2 4. Save the reprt 5. Test.
