2 Objective In this presentation you will learn how to: Use real-time reports to track site performance and collection statistics. Use results to inform decisions related to purchasing and promotion. For each report, we'll review how to enter the criteria, and then take a look at the results. V OverDrive, Inc Page 2
3 Getting Started 1. Login to Content Reserve: 2. Click on the 'Login' tab. 3. Enter your Content Reserve 'Login ID' and 'Password'. This is the same Login ID / Password used to order titles. V OverDrive, Inc Page 3

5 Tips for Reports 1. Share or print a report: Report results can be exported to an Excel spreadsheet. Click on 'Create Worksheet' from any results page. 2. 9 Purchase Order History Purpose: View all purchase orders, including details. 1. From the 'Reports' tab, select 'View Purchase Order History'. 2. All columns on the results table can be sorted. 3. 11 Maximum Access Orders Purpose: View all Maximum Access orders, including details. 1. From the 'Reports' tab, select 'View Maximum Access Orders'. 2. 13 Download Standing Orders Purpose: View all download standing orders placed for your library 1. From the 'Reports' tab, select 'View Download Standing Orders'. 2. 15 Download Standing Order Estimates Purpose: View all download standing order plans, and associated titles that are not yet processed. 1. From the 'Reports' tab, select 'View Download Standing Order Estimates'. 2. All columns on the results table can be sorted. 3. Click a plan to view that month's expected titles. 17 Activity Charts Purpose: View checkout activity. 1. From the 'Reports' tab, select 'View Activity Charts'. 2. Click the select box for 'Chart'. Then select which data to view. View Checkouts by Day, Month, Publisher, Format, Title, Subject. Consortia may also select 'Checkouts by Branch'. 3. Select 'Title Type': Titles Owned. Maximum Access. Titles Owned + Maximum Access 4. Consortia: Select Branches to include. 5. Select Formats to include. 6. Select a Start Date and End Date. 20 Purchased Title Report Purpose: View all titles owned and number of checkouts for each. 1. From the 'Reports' tab, select 'View Purchased Title Report'. 2. Click the select box for 'Reports'. Then select which data to view. Titles = All purchased titles. Titles by Format = All purchased titles organized by format. 3. Select a Start Date and End Date. From the 'Reports' tab, select 'View OverDrive Community Reserve Title Report'. 2. This will display Community Reserve titles currently included in your library / consortium's inventory. 25 OverDrive Community Reserve - Title Sharing Report Purpose: View OverDrive Community Reserve titles from your local collection and which libraries have accepted them. 1. Select 'View OverDrive Community Reserve Title Sharing Report'. 2. This will display Community Reserve titles currently included in your library / consortium's inventory and how many libraries have selected the titles. 3. Then select which data to view. Turnover Rates By Publisher. Turnover Rates By Format. Turnover Rates By Title. Turnover Rates By Subject. 3. Consortia: Select which branches to include. 4. 34 Title Statistics Purpose: View statistics for top checkouts and waitlisted titles, formats, and subjects. 1. From the 'Reports' tab, select 'View Title Statistics'. 2. Click the select box for 'Chart'. Then select which data to view. View Checkouts by Title, Format, or Subject. View Waiting List by Title, Format, or Subject. 3. Enter 'Number of results' desired. For example, enter '10' to view the top ten circulating titles. 4. Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. V OverDrive, Inc Page 34

42 Current Waiting List Example Current Waiting List. Your Library Branches Analysis: This chart is sorted on 'Holds' so that titles with the most holds appear at the top. 1. With 10 holds on a title and a 21 day lending period patrons could be waiting 7 months for a hold. 2. Consider purchasing additional copies of these titles. 3. 44 Waiting List History Purpose: View titles that have been on your patrons' waiting lists during a specific time period. 1. From the 'Reports' tab, select 'View Waiting List History'. 2. Click the select box for 'Chart'. Then select which data to view. View Waiting List by Day, Month, Publisher, Format, Title, or Subject. Consortia may also select 'View Waiting List by Branch'. 3. Consortia: Select branches to include. 4. Select Formats to include. 5. Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. 6. Select a Sort Order. Analysis: This chart is sorted on the 'Holds' column so that the titles with the most holds over time appear at the top. 47 Search Checkouts Purpose: Search and view active patron checkouts by library card number, title, or checkout ID. 1. From the 'Reports' tab, select 'Search Checkouts'. 2. Enter information to search on: Library Card Number. Title. Checkout ID. V OverDrive, Inc Page 47

50 Reactivate a Download A borrower might report: A missing download button. A download error. Why does this happen? Adobe ebooks: A license can be downloaded one time during a single lending period. OverDrive Video: A license can be downloaded two times during a single lending period. OverDrive Audio Titles: A license can be downloaded three times during a single lending period. A license for a checked out title is downloaded when a borrower clicks the download button. V OverDrive, Inc Page 50
51 Reactivate a Download Use Content Reserve to reactivate a download: 1. You will need the borrower's library card number and title. 2. Login to Content Reserve: Reports Tab > Search Checkouts. 3. Enter the library card number. The 'Checkout Details' page appears. 4. Click 'View' next to the title you wish to reactivate. 5. Under 'Reactivate Checkout', enter a reason (required for Adobe ebooks). 6. Click 'Reactivate'. 7. The title can now be downloaded. V OverDrive, Inc Page 51

53 Digital Library Statistics Purpose: View a profile of your collection including number of titles, checkouts, holds, patrons, and subscriptions. 1. From the 'Reports' tab, select 'View Digital Library Statistics'. 2. The report is automatically generated. 3. Date Range: The default date range is 'From inception to now'.
