3 BYOD Bring Your Own Device BYOD stands for Bring Your Own Device. BYOD refers to bringing your own current device or any device sourced from a retailer or supplier. This model allows students to bring an Apple IT device (within specifications) to the Academy that best suits their learning needs in a Creative Industries environment. Since Foundation, QACI has endorsed an Apple laptop as the device most suited to our creative students. This decision was made in consultation with Creative Industries staff and industry experts as to the best device for use in students Arts subjects. An assessment of device longevity, inbuilt creativity and productivity apps and resistance to computer viruses also informed this decision. Every student at QACI is required to use an Apple laptop each day at the Academy. Parents purchase the laptop and organise insurance for accidental damage and theft. The device must be ready to use on the first day of commencement at the Academy with the required software installed. QACI also stipulates requirements for laptop cover and zip case in QACI colours to minimise accidental damage. We support students by diagnosing IT issues and consulting with families if further action is required. QACI does not supply laptops for students use through a loan program. Loan devices, hot swaps, are only issued if the student s own device is being repaired. MAC1 Education pricing available to QACI Apple reseller, MAC1 has supported the Academy BYOD program since MAC1 Education pricing for Apple laptops and AppleCare 3-year warranty are offered to QACI parents through direct contact with the retailer. MAC1 also supplies a weekly onsite technician service, Regional Manager assistance specifically for QACI and highly skilled Apple software trainers for our students in the ICT Induction program. Pricing is included in this booklet, however there is no obligation to purchase through MAC1. 6 When to Purchase It is expected that all students will have an Apple laptop ready for use in the first week of the school year. It is a good idea to purchase the device early so the student can become familiar with it during the holidays and download the required applications outlined on the BYOD page of the Academy website. All additional software brought into the Academy should be owned by the student. (The ICT Agreement states that students must not have games on their laptops while at the Academy so please keep these on an external drive). If purchasing through MAC1 allow approximately 10 days for delivery to your designated address or arrange to collect from MAC1. MAC1 Suggested purchase dates 1 September Portal open Device choice finalised for MAC1 Purchasing Friday 5 January 2018 Last day for MAC1 or personal purchase to ensure timely delivery Insurance is essential The AppleCare three-year Protection Plan (3-year warranty) which is highly recommended to cover three years at the Academy, does not cover accidental damage (such as drops or liquid spills), theft or loss. We strongly recommend you include the laptop on your Home and Contents insurance or utilize the insurance option provided through MAC1. The FlexiRent option comes with insurance automatically. If the laptop has ever incurred accidental damage, the warranty will be void, even if the damage is not evident until much later. Repairs and Maintenance All maintenance for the IT device, operating system, non-eq software and/or apps purchased by the family are the responsibility of the family. Families should ensure quick maintenance turnaround for student devices. Loan laptops are available from the ICT Help Desk on Level 7 in the Library for use while repairs are occurring. Use of devices on the Academy network Parents and students are required to sign off annually on the respective ICT agreements to the Academy and Department of Education terms and conditions for use of personal devices in the Academy environment. The ICT Agreement documents outlining the requirements for ICT access are available with the Academy Enrolment documentation. Prior to Academy entry, parents should ensure that all required software is installed (see the BYOD page on the Academy website), that that all personally installed software is licensed and that games are not installed on the device. Additionally, it is a requirement that anti-virus software is installed. Parents can contact the Academy for advice regarding parent administration of the laptop if required. Parents should be aware that while the Education Department applies Internet filtering while at the Academy, this does not extend to the laptop when it is offsite. 7 Software Install Information Please read the information provided regarding software install on the BYOD page and BYOD FAQ page on the Academy Website. It can be found on the For Parents/BYOD link in the menu dropdown. Screenshots from the website are provided on this page. Follow the download links on the website to download the applications, some of which will need to be registered and activated at the Academy during the ICT Induction Program. Microsoft Office and Adobe Installation Agreement As part of the Microsoft and Adobe Agreements with Education Queensland Schools, students are able to install the Microsoft Office Suite and Adobe Creative Cloud Master Collection on parent owned laptops for the duration of enrolment at the Academy. The programs will not be accessible after exit from the Academy unless transferring to another Education Queensland school that provides similar access to these programs. Students may not use the Adobe programs for commercial gain. To indicate acceptance of these conditions, parents are asked to sign and return the agreement included in the Enrolment Pack. It is a requirement of Microsoft and Adobe Master Collection Programs installation that an agreement is held on site. ICT Costs and Levies Fee The following subscriptions and costs are paid through the Annual fees and charges payments. Adobe CC Master Collection and site licence fee (3 years) - DET subsidised - Deactivated on exit and access ceases at this time. DET and Microsoft Enterprise Agreement (MEA) enables free install of Microsoft Office Suite for three years - Access will cease on exit. 9 O4F5%)"4I)78%L.^7876'&I8. Bring Your Own Device Parent User Agreement 2018 The Queensland Academy for Creative Industries has a Bring Your Own Device (BYOD) program for all students. For the BYOD laptop program to successfully support teaching and learning in the Academy context it is important that Parents/Guardians and Students agree to the following conditions: 1. That only Apple devices which meet the Academy minimum specifications are permitted to be used in the Queensland Academy for Creative Industries BYOD program. 2. That Parents/Guardians contribute to the cost of DET applications and Laptop IT Support services through payment of the Academy ICT Costs and Levies annual fee. 3. That the Apps published in the Apps list on the Academy BYOD website page must be purchased and installed on the device prior to the beginning of the school year. The school retains the right to add or request additional apps for the device as deemed necessary for classroom outcomes. Anti-virus software is mandatory. 4. That access to DET software will cease on exit and the laptop will be submitted to the Academy ICT Help Desk prior to exit for program removal. 5. That all damages, breakages, loss and theft are the responsibility of the owner of the device. Parent/Guardians are encouraged to take out appropriate insurance. Any damage, breakages, loss and theft should be reported to the Academy Helpdesk to arrange alternative device access. It is highly recommended that the 3-year Apple Care laptop warranty is purchased to cover hardware issues for the duration of enrolment at the Academy. 6. That the device while in the school is used for appropriate educational activities. At the discretion of the Principal, the student may have access limited to their device while at the Academy for confirmed inappropriate use of the device or for such use that brings the school into disrepute. In this case an Academy hot swap device (without student administration rights activated) may, at the direction of the Principal, be borrowed on a daily basis to be returned at the end of each day. 7. Parents/Guardians and Students must present the BYOD laptop and access passwords to the Principal, Deputy Principal or Principal Delegate when instructed, to facilitate investigation of any alleged, or otherwise, misuse of the device in the school environment. 8. Parents/Guardians should purchase a quality cover and carry case consistent with the specified colour and type for the selected device. 9. Where there has been deliberate damage to a device by another student, the school s Responsible Behaviour Plan will be used to determine consequences for the students involved in any such incident. 10.That my/our student has read and signed the Information and Communication Technologies and Laptop Student Use Agreement Parent Signature to Bring Your Own Device Parent User Agreement 2018 I (Parent/Guardian full name) of student, agree to abide by the above conditions including those outlined in the attached Queensland Academy for Creative Industries Information and Communication Technologies and Laptop Student Use Agreement My/our student has read and signed this Agreement. 10 O4F5%)"4I)78%L.^7876'&I8. 3nformation & Communication Technologies and Laptop Student Use Agreement Laptop use: Students are required to bring to laptop to the Academy every day. The laptop should be protected by a hard case shell and laptop sleeve of the type and colour designated in the BYOD purchasing booklet. The laptop should be charged prior to entry each day and any issues with hardware of software must be reported to the ICT Help Desk as soon as possible. 2. The Academy s Internet and accounts exist to provide access to curriculum-related information. These accounts should not be used to access material that is unrelated to the Academy curriculum. Personal accounts should not be used for Academy communications and Academy communications must be checked daily. Education Queensland network account and/or laptop login details should not be divulged to others. Students should not use another student s account details to access information and communication technology facilities or mobile devices. 3. The Principal or Principal s delegate may access a student s inbox and laptop files if inappropriate use is suspected. Non-approved programs (including but not limited to) games, movies and music are not to be downloaded or saved onto the Academy network, student laptops or run from external media. Music, game and video files may be deleted on site if the student cannot supply proof of ownership. Parents will be notified prior to such action. Additionally, Academy Education Site-licensed programs or Adobe software must not be used for commercial gain. 4. Publications dealing with pornography or extreme violence are not permitted at the Academy. Students must not use the Internet or to access or share unacceptable material and should report receipt of such material immediately to Academy staff. 5. Copyright law states that it is unlawful to copy and/or distribute an author s work without consent. Students should acknowledge the source of any work accessed online in preparation of assignments. Online source material utilised in assignments must be cited appropriately using the Academy Referencing Standard. ICT devices used onsite at the Academy must not be used to download, store or transfer material which does not have copyright clearance. This includes but is not limited to, the use of peer-to-peer (P2P) and online storage facilities, music, games and video. 6. Academy students should not engage in improper use of telecommunications services. The 1995 Commonwealth Criminal Code Act states that: A person is guilty of an offence if: (a) the person uses a carriage service; and (b) the person does so in a way (whether by the method of use or the content of a communication, or both) that reasonable persons would regard as being, in all the circumstances, menacing, harassing or offensive. ( Having read the above statement on Improper Use of Telecommunications Services, students agree that in all online communication they will be respectful and use appropriate written expression. Detailed guidelines are published in the Academy Responsible Behaviour Plan. 7. Students should not use a personal mobile broadband device within the Academy as this may bypass the Education Department filtering system or compromise security of the Academy network. Students should ensure their laptop remains visible on the network at all times and should understand that Academy staff may utilise remote access software to observe network activity throughout the Academy day. 8. An external hard drive (which will remain off site) and Time Machine program should be utilised to regularly backup and store personal data. The Academy is not required to retrieve data, which has not been backed up appropriately. 9. Access to Academy site-licenced programs will cease on exit and should not continue to be used unlicenced. 10. The Academy will not be held responsible for the damage of a student s laptop by another studentk Student Signature to Information & Communication Technologies and Laptop Student Use Agreement I understand and agree to the conditions outlined in the Academy Information and Communication Technologies Student Use Agreement. Consequences of violation of this agreement will be determined in accordance with the Academy s Responsible Behaviour Plan for Students and Code of School Behaviour (Available on the Academy website). This may include restricted access to the Academy network and withdrawal of permission to use a personally owned device at the Academy. In this case the student may be supplied with an Academy loan device during the period of restricted access.
