Nadalini City Auditor and Clerk Nadalini Originating Department SUBJECT: Department Head Presenter Approval Re: Authorization to proceed with negotiations with Benderson Development concerning leasing a property located at th Street East, Sarasota-Bradenton Commerce Center, for the City Auditor and Clerk's Central Records Division COMMSSON PRORTES: Business Requirement EXPLANATON: (see next page for additional explanation) The current Central Records facility has experienced numerous building issues over time and, despite attempts to remedy the issues, the building remains an unsuitable environment for hosting staff and storing the City's official records as water leaks continue to plague the facility. To-date, the records center has undergone roof repairs, ceiling tile replacement, mold remediation, window sealing, and installation of new carpet. Since design/construction of a replacement facility is not included in the Fiscal Year 2017 CP Budget, staff has worked with the Purchasing Division to explore options to lease a more suitable space to address the immediate needs. The Purchasing Division identified a total of four properties which staff toured on September 8, Of the four properties, two properties appeared to be adequate for the proposed use; however, one of the properties was currently under contract leaving the property at th Street East, Sarasota-Bradenton Commerce Center, as the most viable option. ADMNSTRATON'S RECOMMENDATON: The City Auditor and Clerk is seeking authorization for the Purchasing Division to proceed with negotiations concerning leasing the subject property located at th Street East for use by the Central Records Division.
