1 Changes to Government Gateway Accessing your RPW Online account From 11th December 2018

2 1. What s changing? Government Gateway is being upgraded to ensure it is more robust and resilient and can cope with the increased number of government services, and therefore the amount of internet traffic. 2. What if I ve already gone through this process? You will only need to verify your address and create a recovery word if you have not already done so with other government services (e.g. WEFO Online) via the Government Gateway. 3. What is verification? verification is a process that checks whether an address is valid and active, or not. The Government Gateway requires you to verify your address for two reasons: it is intended to improve the security of the system and; it will be used to recover your login credentials should you forget them. 4. When is this happening? For RPW Online, the changes to Government Gateway will take place on 11 December RPW Online will be unavailable from 11 December 2018 to 14 December 2018 to ensure a smooth transition. 5. What does it mean for me? Your existing login details will continue to work, however there will be a couple of minor changes on your first login after the change has been made. You will: a) Notice that the screens are different (full details at Annex A). b) You will be asked to verify your address. c) You will be asked to create a recovery word. 6. What if I don t have my own address? It is important that you use a valid address to which you, or somebody acting on behalf of your business has access to and can retrieve any communication from Government Gateway. 7. How do I get an address? There are a number of free services providers available such as Google s Gmail.com and Microsoft s Outlook.com. Welsh Government officials cannot recommend any individual service provider. Please discuss with friends and family on potential providers that best meets your needs.

3 8. What is a recovery word? You will need to create a recovery word so that you can get back into Government Gateway if you forget your Government Gateway password. Your recovery word can be anything you decide it to be. As with any form of online security it is advisable to not make this word too obvious for others to guess (e.g. your first name) and please note there is no facility to prompt you or remind you of your recovery word, should you need to use it in the future. Please make a note of the recovery word and store in a safe and secure place for future reference. If you ever forget your Government Gateway password, the support team will only ask you for a random set of letters from your recovery word (e.g. letters 1, 4 and 6). 9. I have RPW Online in my favourites, will this still work? Yes, if you are attempting to login via the old Government Gateway page you will be automatically re-directed to the new Government Gateway login page. 10. I ve forgotten my RPW Online login details, what should I do? If you ve forgotten your login details for RPW Online, please get in touch with the Customer Contact Centre on What if I ve forgotten my Government Gateway User ID or password? If you require further assistance please refer to the help section of the Government Gateway website. 13. How do I add team members? If you have an administrator role you are able to add team members through Group Management - (full details Annex B). The team members you add will have access to the RPW Online account using their own User ID and password which will be generated when you have added them. You can decide whether they should have a standard or administrator role. A standard role does not allow the user to add team members.

4 Annex A: New Government Gateway Screens 1. Login using your Government Gateway User ID and password. If you ve forgotten your User ID or password go to screen 2. Otherwise go to screen 3. This is your Government Gateway login details for RPW Online. 2. If you ve forgotten your Government Gateway User ID or password, please scroll down and click on the relevant links as shown below. 5 3. You need to confirm your name and address. If your address is incorrect go to screen 4. Otherwise go to screen 7. David Jones 4. If the address is incorrect, you will first need to confirm your name. David Jones

6 5. Then change and confirm your address. 6. Once you ve confirmed your address. You will immediately be ed an 8-digit Government Gateway code (starting with CF) that you enter on the following screen.

7 7. You will then be asked to create a recovery word which can be anything you decide it to be. The word must be between 6 and 12 characters and must not contain any spaces, special characters or numbers. 8. Please make a note of your recovery word and store it in a safe and secure place for future reference.

8 9. You can then access RPW Online.
