2 About new manage responses (NMR) and access The New Manage Responses function has been designed around our customer suggestions to allow quick, fast, accurate access to the right applications. It is built as a dynamic page that will allow users to keyword search and filter their adverts' applications by flag colour, location and other criteria You can access your applications via the Responses tab in the navigation bar 08 Broadbean

3 About new manage responses (NMR) and access You can also access applications from your Home page and the Manage Adverts tab 08 Broadbean

4 New Responses Tab (top section) This area will allow you to look at applications per advert, multiple adverts or all applications (if left blank) This area is keyword search across the responses. Please enter your keywords in Boolean. If you are not familiar with Boolean, click on the question mark button This area searches applications by radius and location based on the address in the CV You can clear your criteria here This area allows you to hide viewed candidates and gives the option to show snippets of application information (check box on to select) This is where you can view all live, and archived adverts, the number of responses & select one or multiple adverts Here you can select one or multiple adverts and can search by adverts that are not displayed in the list. You can view all archived and live adverts

5 New Responses Tab (bottom section)

6 Candidate Display These are bulk action buttons (see slide for details) This is the flagging area the standard set up is Red (Unsuitable), Yellow (maybe suitable) and Green (suitable) but note your Superadmin can set up to 0 coloured flags. The flags should be used to rank applications and will impact of reports, job board CV quality and any actions set up by your Superadmin This area will provide a quick CV snippet This shows the Application History of the candidate. You will see how many times they have applied to adverts by your company and indicate what colour flags were allocated across the business 6 These are individual action buttons (see slide 7 for details) 08 Broadbean

7 Individual Action Buttons At the bottom of each candidate you will find a set of individual action buttons. If you hover over each icon it will provide a function description. Will allow you to Preview information about this candidate without having to download the CV attachment 6 Will allow you to Download the CV and all additional attachments Will allow you to Forward the CV to any address you type in Will allow you to Shortlist the candidate against an alternative live advert 7 6 Will allow you to Message the candidate with or without a link to your advert Will allow you to Longlist the candidate (max 0 lists at any one time) these will be located at the top right corner of your screen

8 Viewing Applications Click on the preview icon you will land on the page below 8 08 Broadbean

9 Viewing Applications continued (top-left side) You can see the candidate contact information here 6 You can access any cover letters here and also answers to any pre-screening questions (if set) You can view all activity with this candidate here (company wide) You can check any messaging history here (company wide) Recent Activity automatically populates the moment you use any of the action buttons (also company wide). You will have access to the full CV here Broadbean

10 Viewing Applications continued (top right side) You can move along to the previous or next applications using the blue arrows here You can use any individual action buttons here You can see which current advert the candidate has applied for here. You can flag your application here if not already assigned You can see if this candidate has applied to any other vacancy company wide here You can see additional candidate information here. You will have the ability to `skill code the candidate using Tags/Hotlists (see slide for further details) These will transfer into Talent Search if purchased You can write notes here but these will not transfer into your CRM/ATS systems. 11 Messaging Candidate When you select the message icon a pop-up box like the one shown below will open. You can amend the subject & message text and by typing in or selecting an advert from the drop down, include an apply online URL to allow candidates to apply for the role. 6 Template: Select a template from the dropdown- if you don t have any templates set please ask your Superadmin to create templates for you. Reply To: You can change the address if needed Subject: You can edit the subject heading here. Body: You can edit existing templates or write an from scratch here. Advert link: You can supply a link to a live advert to include as part of your message Submit when ready to send 6

12 Tag/Hotlists When you select the Tag icon (located at the top or on right hand corner of each candidate snippet) a pop-up box like the one shown above will open. To Tag (skill code) someone start to type the tag and a droplist will appear with existing codes that may match if they do select it! Hotlists are orange in colour and controlled by the account Superadmin user. These should be generic codes e.g. industry, geographical areas, team ownership etc. Tags are blue in colour and created by consultants. These should be specific codes e.g. fluent languages, job titles, skill sets, qualifications etc. If you need to create a new tag hit the return button. 08 Broadbean Ideas for Tags Tagging candidates with their primary skills or key strengths is a fantastic way to breakdown your responses in future. Long term benefits are great and will enable you to resource much faster!

13 Bulk Action Buttons Tag/Hotlist: This allows you to skill code candidate(s) in bulk Shortlist: This allows you to shortlist a candidate(s) to an advert which has been posted earlier. Shortlisted candidates are automatically flagged green Message: You can select multiple candidates manually or click here to select all on page to message in bulk. Unlimited characters & unlimited messages. Please note that you can bulk message page at a time. Forward: This allows you to forward the multiple candidate CVs & attachments to anyone 08 Broadbean

14 Info Icons Notes Icon: This indicates that notes are against the candidate profile. If you click on the icon it will take you to the notes section within the CV preview page. You can access your notes in your Talent Search (if purchased). Envelope Icon: This indicates that messages have been sent to the candidate. If you click on the icon it will take you to the messaging history section within the CV preview page Activity Icon: This will provide real-time activity records regarding this candidate 08 Broadbean

15 Missing Icons? If you are unable to select any features such as Longlist, Tags/Hotlists or Shortlist - this means that you need to upgrade your product. 16 Extra Facets (top left side) You can select multiple adverts here. This can be a combination of both live and archived adverts at the same time. When selected all applications will pool togther on the results page You can also opt to search all adverts at the same time (live and archived) You can filter your results by flag colour e.g. All green candidates as you had classed them as good, solid applications / potential placements 6 08 Broadbean

17 Extra Facets (bottom left side) You can use any of these facets to filter your results including any Tags / Hotlists and Advert Groups (as created on Manage adverts page) If any of these filters are unavailable please note it may be relating to a required upgrade 7 08 Broadbean

18 FAQs Why when I shortlist candidates I can t any longer find them in the Shortlisted tab? Shortlisting candidates is the equivalent of assigning them a green flag: so, now you can instead find those candidates by filtering your results by green flag in your facets bar. How can I now progress candidates? The progress feature as it existed has been deprecated. However, if you want to use it you can ask your Admin to add a custom flag and name it Progressed : this will allow you to distinguish those candidates by simply clicking on that flag. Once you have done that, you can always find those candidates by filtering your results by the progress flag in your facets bar. How can I distinguish between people I have shortlisted against an advert from Search and people who have actually applied to the advert? For candidates who have been shortlisted against an advert from Search, the word Search is displayed next to the source on the candidate card. Also, you can always find those candidates by filtering by Shortlisted from Search in the CV Origin facet. Not all my templates are displayed in the dropdown when I message candidates. For neatness reasons we automatically display in that dropdown the first 0 templates that are available to you. You can still see and select further templates by simply starting typing the template name in the search box of the dropdown Broadbean

19 FAQs What does the location and radius search feature do? It will search in the body of the CVs for the actual candidate address and return only those candidates who live within your specified radius and location. What s different between using the Current Employer and Current Job Title facets instead of just entering those in the main keyword box? Those facets will look for the employer and job title information specifically within the last entry in the candidates CV: this information also corresponds to the Job Title and Employer fields which are displayed on the candidate cards. Searching for those in the main keyword box, will simply look anywhere in the CV body: as such it will return also CVs where that employer and job title are mentioned even if not in relation to the candidate experience specifically Broadbean
