1 Ticketed Event Check-in Instructions: Your goal is to get your guests in the door as quickly as possible. No one wants to be subjected to a hotel check-in and a long line. With Bidr, all you need is the guests name and cell phone number you can check them in and allow them to add their credit card and on their own. When guests purchase their ticket they will get an and/or texted ticket that looks like this: You can check in your guests two ways. CELLPHONE SCAN: Your volunteers will download a FREE QR code reader on their phones or tablets and scan the tickets as guests arrive. **Be sure to test readers and phones/tablets before guests arrive** Here are some QR code suggestions: QR Code Reader by Scan Barcode Reader by XZing Team

2 Open the QR Code App and make sure you center the 4 brackets over the ticket code Once you scan the code you will be taken to another screen. Press and hold the blue redeem button. Once it turns green the guests will be texted a welcome message and will officially be joined to your event. The phone, envelope, and credit card icons on the bottom of the screen indicate whether you have this information. You should click the phone icon and add a number if it does not have a check mark so the guest will get the welcome text. Don t ask for address or credit card info. Simply tell the guest to follow the instructions via text to register their payment info and begin bidding and donating.

3 LAPTOP CHECK-IN: Guests who don t have their ticket pulled up on their phone or a printed ticket will wait in line to check in with volunteers at laptops. Have as many laptops as you can at Event Check-In to make the lines move quickly. **Please test all devices prior to check in. Chrome is our preferred browser.** To begin, have your Check-In representatives log into manager.bidr.co (Volunteers may first need to create a Bidr account. You can add them to your event on the event settings page). Once they log in they will click on the Event Check-In tab. For those with tickets, ask for their name and begin to type in the Search bar. If their name does not appear ask if someone else bought their tickets. The name of the guest or ticket purchaser will appear below. The ticket holders are on the left (this could say Add attendee if they are not already in the system).

4 Click Check In to send the guest the welcome text. If you need to re-assign the ticket (in the above example, Amanda has two tickets in her name), click Re-Assign Seat. If the ticket has no name click Assign Seat. The pop up screen below will appear. If you are Re-Assigning, click clear attendee to assign this ticket to someone else. Otherwise just fill out the form and click save. **No need to hold up the line asking for address or credit card info. Guests will be able to do this on their phone. Simply let them know to follow the instructions via text to register their payment info and begin bidding and donating. IMPORTANT after you update the name and cellphone number of the attendee, click Check-In. The person will get a welcome text joining them to your event. The text will have bidding instructions if your event has an auction or raffle.

5 NEW TICKET PURCHASES: For those that need to purchase a ticket at the door, click on the Purchase Ticket button. A new window will open. Select the ticket type and number of tickets. Type in the purchaser s phone number. If they are already a Bidr user their information will pop up, if not click Create User. If the person is using a credit card click Add Card, fill out the information, and click Purchase. If they are paying with cash/check toggle the card button to cash and click Purchase. After you add the tickets, search for the Ticket Purchaser and click Check-In.

6 PADDLE NUMBERS: If you are having a Live Auction (with an auctioneer) or are planning to collect donations using a paddle raise you will need to print paddle numbers. **This should be done prior to check-in, as you will need a printer.** You can use the paddle numbers to manually add bids, buy fixed items and make donations for guests through the Bidr Manager. On the bottom right of the Event Check-In page there is a button called Printable Materials. Click Min and start your paddle numbers at 100 (our paddle numbers start with 3 digits, if you choose 1 it will appear as 001) and add as many paddle numbers as you have guests (for example if you have 200 guests you can set the Min to 100 and Max to 300). Then click Print Paddle Numbers. If nothing happens you have a pop up blocker preventing the PDF file from opening in a new window on your computer. Google how to disable this. Distribute the printed paddle numbers to your check-in volunteers. As each guest arrives, the volunteer will look at the next paddle number in the pile, click Assign Paddle, and type in the number. If any of the seats are unassigned, you will first need to add a guest to that ticket before assigning them a paddle number. Guests who have their name on more than one ticket will be assigned the same paddle number for both tickets until you Re-Assign. **DON T FORGET TO CLICK CHECK-IN AFTER UPDATING GUEST INFORMATION**

7 HELPING GUESTS ADD CREDIT CARDS: We recommend you get guests checked in quickly by using just their name and phone number and allowing them to fully register on their phones. If you are requiring credit cards (highly recommended) guests will first have to enter their payment information before bidding. If you d like to do a full check in be prepared for long lines as your volunteers type in a lot of information. Click on the guests name and their user profile will open. Completely fill out the form then click Add Card. A new screen will appear where you can add in the user s credit card. Click both Save buttons.
