4 KOPANO PRODUCT OVERVIEW Kopano is an intuitive open source collaboration platform that helps teams boost productivity and increase efficiency. It includes everything you need for your daily professional life. Its open source nature allows you to keep complete control of your data and your infrastructure. You can see what is happening to your data anytime and anywhere: on-premises or in the (hybrid) cloud. Naturally it is also easy to integrate into existing environments and its modular architecture remains the foundation for easy scalability. Kopano s clients are designed to give its users the best working experience throughout their day. From groupware to realtime communication and file collaboration: everything is accessible from one single interface, on any device you want. DeskApp and WebApp both provide access to all of Kopano s collaboration and sharing capabilities. Where DeskApp enables many integration features such as interaction with the files and applications on your local system, WebApp is available from any browser. Outlook support, working offline and mobility are provided via ActiveSync and the Kopano Outlook Extension. With our product stack, we enable teams to collaborate in the most intuitive way. Realtime communication is possible via our new messaging component, a persistent group chat organized in channels. Web Meetings allows online video conferencing with screensharing. In the near future Web Meetings and Messaging will be integrated. Groupware provides the core functionality for traditional cooperation, i.e. , advanced calendaring, contacts, tasks, notes and more. With Kopano Documents we are actively taking steps to collaborative file editing, sharing and storage. The image below shows a complete overview of Kopano s components and describes the relation between all products. The table on the right provides an overview of our recent and upcoming focus points for development. The rest of this document presents a detailed overview of our progress in, and of some releases at the end of. For future releases in 2018 we have identified the goals and drivers for development, which will lead to a specified feature set and other improvements. 6 WebApp CHARACTERISTICS Realtime communication, groupware & document editing in one interface A full client experience in your own browser Extendable feature set with an add-on infrastructure Q2 FAVORITES AND SUBFOLDER NOTIFICATIONS In the most recent version of WebApp you can now add folders to your favorites, which makes them accessible with the click of a button. The pop-out feature makes working with a lot of different information sources easier by allowing you to read or write an in a separate window instead of a tab. Notifications in subfolders now help you work with when using automated rules and message filters. To do list interface in WebApp WebApp makes it easy to collaborate by adding task assignment and tracking, which allows you to send a task, similar to a meeting request. The new quick search provides an improved start to a search query and helps you get to your information faster. CATEGORIES, TO DO LIST AND SEARCH FOLDERS The focus of development for the next releases of WebApp will be on making your information available when you need it most. Categorizing your mailbox will be easier to do and will give you an overview in one glance. The new to-do list view helps you keep track of tasks and s that still require follow-up, set due dates and even receive notifications for tasks that matter most. Users who frequently re-use the same search query will be able to save a search query to a folder which will be added to the favorites section, so you can get to new results in a single click. New categories and improved flags in WebApp INFORMATION MANAGEMENT Information management remains an important subject for future releases: making information available and accessible in simple ways. More improvements to the user interface change the way you get your daily dose of information and can help you stay up to date. We also continue to make life easier for plugin developers by providing more services from within WebApp, such as centralized notifications or plugins for authentication (which would make features like two-factor authentication easier to implement). 6

7 DeskApp CHARACTERISTICS A native application engine to run on your desktop Provides better integration with the desktop OS Available packages for Windows, Linux and OS X Q2 DESKAPP 1.0 FINAL AS DEFAULT CLIENT DeskApp is the bridge between WebApp and the desktop and it provides all features available in WebApp (such as chat, , calendaring, Web Meetings and Documents). Because it is a native application, it can go beyond what you can expect from a regular web application. DeskApp launcher DeskApp builds on the foundation of WebApp and benefits from all the new features that are introduced. It further increases the user experience by integrating with the operating system and making itself available as the default client. The most recent release of DeskApp introduced profile support, making it easier to switch between different Kopano accounts on the same system. DeskApp can also make use of single-sign on within your network. IMPROVED INTEGRATION FEATURES The next step for DeskApp is further integration with the operating system by offering a download manager and adding additional support for add-ons that you can find in WebApp, such as files, S/MIME and others. In addition, DeskApp will also provide performance improvements by offloading some features to the client and preloading content. Advanced installation packages make it easy for the administrator to deploy DeskApp in their organization. DeskApp welcome screen IMPROVED EXPERIENCE FOR USERS AND ADMINS DeskApp and its integrations will continue to improve in the next releases. Not only will it benefit from all development in WebApp, it will also build on top of these features. DeskApp will continue to be more administrator-friendly by making it easier to configure the DeskApp installations in your organization. In combination with the MSI installer packages this makes it easy to provide the latest features. 7

Support for Z-Push 2.2 has expired, therefore we encourage everyone still on 2.2 to upgrade to the new version. We received lots of feedback that 2.3 has a lower memory usage and better scalability compared to previous versions. Compatibility with ios, Android and other devices Apart from new features for users, such as support for free/busy lookups, Z-Push 2.3 also brought official distribution packages and package repositories to make future updates easier than ever before. Official support for PHP7 - and thus Ubuntu was added in Z-Push Offline synchronisation of the Global Address Book is the final main feature that has been added in After this, several maintenance releases have increased the stability of the 2.3 branch further. Z-PUSH 2.4 We are currently working on the next big release of Z-Push, i.e. Z-Push 2.4. The main improvement will be that we are adding support for ActiveSync 14.1 which was introduced in Office 365 and Exchange Additionally it will become possible for the user to open shared mailboxes and archives through the user s own credentials. Features we are working on range from the possibility to configure shared folders from the command line to improvements in the Z-Push SOAP interface. Other examples include a change in the synchronization timeframe of individual folders and an automatic setup of Nginx in addition to Apache. All your contacts available on the go FURTHER IMPROVE ACTIVESYNC SUPPORT ActiveSync support will remain an important topic in the development of future major Z-Push releases. After support for ActiveSync 14.1 in Z-Push 2.4, we are considering the implementation of ActiveSync 16.0 and While doing this, we also will remove support for ActiveSync 2.5 since it is not widely used anymore. 8

9 Kopano Outlook Extension (KOE) CHARACTERISTICS Compatible with Outlook 2013 and newer versions Shared folders and offline GAB KOE adds features to extend Activesync over OL feature set Q3 SHARED FOLDER CONFIGURATION, MULTIPLE CONTACT FOLDERS Kopano s collaboration and sharing clients span a wide array of platforms. Smartphones, tablets and Microsoft Outlook are supported through the use of ActiveSync with Z-Push. Our Outlook Extension (KOE) adds additional sharing features to the limited feature set of Outlook when used with ActiveSync. Previous versions already brought syncing of signatures, a prioritised sync for the GAB for large stores, an easy indicator for this progress and with the ability to easily trigger a resync of various parts of the users profile with a custom settings dialogue. Shared calendars in Outlook with Kopano Outlook Extension The latest release of KOE has made shared folder configuration more user friendly where it now includes a dropdown list of all users. We have also improved the stability when sending files from external applications such as Word and Excel. EASE OF USE, IMPROVED CONTROL For KOE 2.0 we are aiming to leverage the newest Z-Push release and make use of the new features that are in there, e.g. the opening of archive stores and complete shared mailboxes. Furthermore we plan to improve shared folder handling even further by introducing the possibility to set custom synchronization time frames per folder and integrate with new category feature of WebApp. KOE adds features such as free/busy and offline GAB OPTIMAL USER EXPERIENCE Future releases will focus on performance and stability of the Kopano Outlook Extension. While sharing folders, users will have a seamless offline experience. 9

10 Messaging CHARACTERISTICS Real-time messaging in persistent channels Search the past, tag people, share files or direct message Work smarter with ChatOps Q3 MESSAGING WITH MATTERMOST The integration of Mattermost within Kopano marks the first step in Kopano s mission to deliver a seamless communication and sharing experience across all devices from one unified, self-hosted platform under your control. The initial version of the Kopano Mattermost add-on introduces the Mattermost user interface into Kopano s DeskApp, enabling any Kopano user access to Mattermost functionality within their groupware client. Installable pre-built packages for Mattermost will be made available by Kopano. Messaging with Mattermost from within DeskApp KOPANO S INTEGRATION WITH MATTERMOST A deeper integration in the Kopano stack will form the next step. We are working on sharing relevant Kopano content such as s, calendar items or contacts in a Mattermost channel or direct message with just one click. Discussions and channels will be made available in DeskApp and WebApp without having to switch contexts and the user will be kept up to date on the latest talks and discussions by enabling alerts and an easily accessible window into their Mattermost world. Easily drag and drop files to share them with your team WEB MEETINGS AND FILES INTEGRATION We are investigating further integration of Mattermost in the Kopano stack. Areas of interest include the sharing of Files from the WebApp plugin, automated sharing of items that match predefined criteria and the creation of Kopano tasks based on interaction in a channel. Aligning with the productivity theme, we are also investigating how the search feature of Mattermost can be leveraged to make all information available at the right time. The close relation of chat and video/audio meetings makes Web Meetings integration an interesting target as well. 10

11 Kopano s integration with Mattermost Mattermost organizes team conversations in channels. You can make an open or private channel for a project, a topic, a team or anything else you might need. Mattermost offers real-time messaging in persistent channels. The entire conversation is kept in one coherent thread, where you can also search the past, tag people, share files or send a quick direct message. The core principle behind Mattermost is ChatOps, a smart way of working in a team by incorporating everyday tasks within chat. Think for example of a printer telling you it s out of ink, or a refrigerator mentioning it s out of butter. This kind of integrations drastically reduces context switching. Think for example of a sales team directly posting newly invoiced revenue reports to the finance team. This workflow helps teams to be more productive and cohesive - and it s simple to get started with Kopano s integration of Mattermost into DeskApp. Kopano s Mattermost Add-On includes the Mattermost edition of your choosing and its integration in Kopano. With this add-on you technically may integrate your Kopano platform with any available Mattermost edition, including the free edition. However, to benefit from easy user-management or to make use of Kopano-support for your Mattermost-setup, you have to buy at least the Mattermost E10 edition. ChatOps goes beyond notifications though. It connects not only people, but other business applications as well in an automated and transparent workflow, where chat becomes the main mode of communication, as opposed to . 11

Integrated with WebApp, making it easy to connect colleagues and business partners all over the world through chat, HD-video and -audio. The way we work is transforming. Users are looking for better ways to connect, communicate and collaborate with one another. Mattermost solves a part of the puzzle by offering persistent messaging. We see an opportunity for a next generation of Kopano Web Meetings completing the puzzle by integrating video and audio calls in the Mattermost interface. Instant communication via Web Meetings INTEGRATING MATTERMOST & WEB MEETINGS The next generation of Kopano Web Meetings will offer one-to-one video calls directly from within a single interface in Mattermost. The user can easily select a user and start a call from a direct message or public/private channel. When starting a one-to-one video call the right sidebar is used, allowing for a seamless integration into Mattermost where the user can chat and have a video call at the same time. The next generation of Web Meetings GROUP VIDEO CALLS Future Kopano Web Meetings will focus on group video calls, which will boost team interaction and collaboration. Users can easily add coworkers to an existing call to start a group call, or start a conference with all users in a public, private channel or direct message channel. Screen sharing allows users to easily share ideas and further enhance collaboration. Lastly we ll be adding user specific settings allowing users to set specific video and audio devices and quality. We are researching options to further integrate video meetings into Mattermost as an improvement of the Web Meetings user experience and design. It also focuses on support of a wide range of platforms. 12

13 Files CHARACTERISTICS Access your shared files from WebApp Integrated with core features Share files in (crossorganisational) teams Q1 MULTIPLE ADVANCED BACKENDS AVAILABLE The Files add-on increases productivity by enabling access to your files from anywhere using WebApp. It can work with any system that supports WebDAV or FTP protocols and it helps you store and retrieve files within WebApp. Integration with groupware features lets you create new s with attachments without having to download them first and vice versa: store received attachments easily in your storage system. You can also use the advanced features some storage services (like owncloud) have to offer by installing the respective backend driver. Easy file sharing from a single interface Q CMIS BACKEND, LARGE ATTACHMENT SUPPORT Files will receive additional support for storage with the introduction of a CMIS backend, which will allow you to connect to many different types of document management systems from within WebApp. The new module for large attachments will reduce the load on your mail server by automatically converting large attachments to a link to a file stored at a controlled location. Boost productivity with file access MORE COLLABORATION OPTIONS Files will continue along the collaboration path. More drivers will continue to be introduced and we will work together with partners to help them integrate their storage solutions with WebApp, be it on-premises or in the cloud. More focus will go towards lowering the threshold for integration with other collaboration products with files used in the various storage backends. 13

14 Documents CHARACTERISTICS Collaborative editing with LibreOffice Online Linked to the storage solution of your choosing Accessible from anywhere in any browser Q3 INTRODUCING KOPANO DOCUMENTS Collaborative file editing with Kopano Documents Users want a simple way of working with others. Online, independent of location or device. This is in conflict with the interest of the compliance department, who needs control over data. Users resort to Shadow IT file sharing and collaboration services available in the cloud - outside of company control. The IT department has the ability to block and prevent this - which inevitably leads to unhappy users and an unhappy IT department as well. What if it were possible to provide for the need of real-time collaboration, independent of location and device, while using the tools and storage that are already available - thus providing the control that is also desperately needed? Kopano Documents provides the tools required for modern collaboration ánd leaves control over data in the hands of the organization. INTEGRATED WITH YOUR STORAGE SOLUTIONS Kopano Documents can use any storage solution as it builds on to our experience with Kopano Files. It will be able to connect to network storage as well as smart storage in your control, such as nextcloud, owncloud, Seafile and many others, and leverage the features already provided by those systems. Connectivity to cloud-based storage solutions can be allowed too. Kopano Documents will be able to extend these storage solutions with its collaboration and sharing features. It can give back control while simplifying the way you work together. Easily share files with your team INTEGRATED WITH LIBREOFFICE ONLINE Kopano Documents is the link between your files and the advanced editing capabilities provided by LibreOffice Online. This online editing tool provides a cloud-like editing experience for text documents, spreadsheets and presentations directly from the browser. Realtime collaborative editing allows multiple users within and beyond your organization borders to simultaneously work together on a single document. By supporting the most frequently used file formats (OpenDocument Format and Office File Format), conversion can be a thing of the past. 14

15 Kopano s integration with LibreOffice Online Kopano Documents is currently in the first stages of development. Kopano has joined the advisory board of The Document Foundation (TDF) and will be building and packaging its own, Kopano branded version of LibreOffice Online. Kopano Documents will be a service that glues the existing storage solutions and the Kopano branded LibreOffice Online together. We will make use of modern technology such as OpenID Connect for authentication. The first steps will consist of building the framework, focusing on a single distribution and a single storage solution, bringing it all together and exposing the functionality via an API. The Kopano Files plugin for WebApp will also play a role, as we aim to make the transition to Kopano Documents as smooth as possible. owncloud and Seafile - or they can be cloud-hosted. Connected to Kopano Documents, they can be used with the same functionality and integration options. It will provide an API that exposes file access, sharing and collaborative editing for each of the storage solutions. This API will be used to integrate Kopano Documents in other Kopano services and can be used to open and synchronise data to your local devices. It will also be possible to integrate Kopano Documents with other applications, such as CRM or ERP systems. Kopano Documents will be available for everyone, even if you are not a Kopano Groupware user. Future versions of Kopano Documents will support various types of storage solutions. These can be in your own control, such as network storage or smart storage - e.g. nextcloud, 15

Incoming mail Backend Groupware Core Use of smart pointers allows faster memory operations, resulting in notably faster responses for users. Next to the 142 improvements and fixes for the 8.3.x series we ve provided the ability to search in shared stores as well as receive configurable reminders from alternative stores. Virtualization User Directory LDAP Database storage Attachment storage Groupware Core in the center of communication BREAKTHROUGH PERFORMANCE, RFC S & EASIER ADMINISTRATION With the introduction of Groupware Core 8.4 we have reached breakthrough performance by many changes such as avoiding logon/logoff cycles, creating an API for dumping and restoring MAPI connection data and reducing required SQL statements as well as dropping excessive locking in many areas. All of these changes result in the benchmarked improvement of 40-60% in latency, resulting in much faster logins, data retrieval and lower system load of any MAPI related connection. On-premises installation keeps you in control OPEN CLUSTER FRAMEWORK & UNIQUE ATTACHMENTS Kopano Groupware Core 8.5 will additionally provide standardized OCF resource agents to be managed with clusters such as Pacemaker and many other cluster suites. Additionally, the upcoming releases are focused on the development of a self-deduplication attachment store by storing the attachment data by their corresponding hash in an efficient structure. Many duplicates - especially in the area of signatures - can be spared, by having uniqueness to attachments even across multiple server instances (by sharing the same storage backend). This not only provides disk space benefits - of slashing disk space up to two-thirds in many cases - but the unique attachment backend requires less I/O write operations as well. This relieves attachment backends with fewer writes, leading to a small speed improvement. 16

17 Archiver CHARACTERISTICS Minimize mailbox size by archiving old messages Deleted messages can still be viewed and opened Identical in architecture to the Kopano Core server Q2 KOPANO ARCHIVER Archiver provides a way to minimize mailboxes by moving old messages to cheaper storage. Archiver consists of one or more additional Kopano servers dedicated to storage of archived messages. These servers are identically in architecture to the normal Kopano server. Once a message is archived, it may be deleted from the original mailbox. It can still be viewed and opened as if it were a normal message. The Archiver uses Kopano Core s multi-server technology to seamlessly access the Archived inboxes. Archiver stages INCREASING PERFORMANCE & INTEGRATION Kopano Archiver will gain from performance benefits made to the store archive and the user experience will be improved. Quota restrictions per archive store will be removed and restore options are extended when deleting a message after a certain time period. Next to these improvements Kopano Archiver s integration will be improved to allow running on the same instance as the Kopano Server with a special configuration set. Archiver folders are available in WebApp KOPANO ARCHIVER 2.0 Kopano Archiver 2.0 will introduce a full rewrite of all Kopano Archiver utilities, which will allow the setting & synchronization of ACLs. In addition, restoring from Archiver to the primary store has been made more efficient. Both tools utilize the python-kopano framework which allows for better integration with other third-party integrations. We aim to extend Kopano Archiver to fulfill more and more criteria for auditing acceptability, especially in the areas of completeness and protection from change and tamper (denial of deletion and modification). 17

18 S/MIME CHARACTERISTICS Private using S/MIME encryption Ensure authenticity and identity with digital signatures Easy to use: available at the click of a button Q1 EASIER HANDLING OF KEYS AND CERTIFICATES The S/MIME plugin brings secure to Webapp. It can automatically be verified and decrypted after entering the passphrase to your private key. The automatic import of incoming public certificates and the certificate manager complete the feature set you need for a secure environment. Keep control with S/MIME The most recent version of the plugin introduces support for centralized storage of public keys. Administrators can load all public keys in their Global Address Book and make them automatically available to the end users. This also makes life easier for users wanting to send a private message to a co-worker: it is no longer needed to exchange certificates in any way CENTRALIZED CERTIFICATE STORAGE The S/MIME plugin aims to make secure easy for both the administrator as well as the end user. Therefore, improving the user experience of S/MIME continues to be an important topic for this plugin. We are also seeking ways to best keep the user informed about the signature status of received messages and making encryption (and tracking sent data) as easy as possible. Next versions of the Kopano S/MIME plugin will support additional private keys and will enable manually uploading public certificates Sign and encrypt your mail ADVANCED CERTIFICATE MANAGEMENT The S/MIME plugin will continue to improve in future releases. The focus will be on ease of use for both users and administrators, which leads to advanced certificate management and easy certificate exchange. Continuing support for newer certificate authorities will also be important as we develop new releases. 18

19 Future development projects There are other tools and projects at Kopano that are being developed. Geared towards the goal to achieve best interoperability and functionality for Kopano s products delivering the best possible user, customer and partner experience. Everything mentioned on this page is in various stages of development - some in the stage of architecture and design and some closer to a first alpha or beta release. Even though not all aspects of these mentioned components are completely finished in specification, we are working on these projects to complement our existing stack for the best possible foundation - not only today but also in the future. KOPANO DASHBOARD PROVIDES TECHNICAL INFORMATION FOR PARTNERS Kopano dashboard is going to provide customers and partners with an overview of the installations running. It will provide access to subscription and installation management as well as - finally - the most relevant information for customers and partners. Dashboard provides a status overview Dashboard is the place where customer information comes together, such as the corresponding support tickets and Kopano related information, technical documentation, manuals, FAQs, downloads and more. With the ability to manage details about the corresponding subscriptions, customers and partners have all the information they need to manage their subscription level and the corresponding products. OPENID CONNECT OpenID Connect is an interoperable authentication protocol based on the OAuth 2.0 specification. As any application, Kopano also needs to identify its users and OpenID Connect is the most modern yet simple authentication protocol which has gained widespread adoption, learning from many authentication predecessors such as SAML or OpenID. Being published in 2014, OpenID Connect has proven its integrity and has been widely adopted. Therewith it is contributing to the development of the defacto-standard of internet-related single sign-on and identity provision. With the ease of handling tokens based on JWT (JSON Web Token) Kopano will benefit of cross-application authentication as well as architectural benefits due to the omission of authentication requests towards traditional authentication providers such as LDAP. While components are still going to be able to authenticate to traditional authentication providers, tokens reduce the necessity of subsequent requests for the lifetime of the token itself - resulting in reducing system load and gaining overall system performance. REST API With more and more products and services provided by Kopano, more interconnections between data storage and logic are possible. Groupware data is traditionally best stored in MAPI whereas other information is better stored in other, sometimes structured or unstructured data models. To benefit from the same API it is recommended to find a common ground in how to exchange this data. This is where a REST API comes in. Our development is focused on lean, simple and yet very scalable API definitions. With development of a well-designed REST API, Kopano continues to provide the maximum on interoperability. This paves the way for new integrations and optimizations. 19
