2 Preface (this document s applicability) This document illustrates how to complete IMDS survey when you receive a survey request by the below from YAMAHA Motor Group Survey system. Subject Sender Address YMDS.XXX@yamaha-motor.co.jp [XXX]IMDS Survey Request (Note)When you receive a survey request from Automobile Engine Division of YAMAHA Motor, please follow the separate instructions from Automobile Engine Division. 1

3 Survey Request Survey Request will be sent by s containing; A: information of survey objects (password-protected PDF file attached), IMDS data recipient ID and due date B:password to open attached PDF file In order to receive our survey request properly, please make sure that the with the following attribute is receivable. Sender Subject:[XXX]IMDS Survey Request ( XXX means any alphabet) A B Survey Parts List PDF file password IMDS data recipient Be sure not to make misssending. Each of Yamaha Group company has an unique ID. The due date 2

4 Survey Parts list In the attached PDF file, your survey objects are listed. In case your part consists of sub-components sourced from your partners, you should assemble corresponding IMDS datasheets from your supply chain. [Example of Survey Parts List] Structure 構成レベル Seq. 0 が調 0 means 調査対象部品です 査対象部品です こ the survey unit. この例の場合は In this example, 3 部 there 3 部品の依頼です are 3 parts to be answered. If the component parts No. is specified, it is written with its quantity. If you do not have material data of your components from your supply chain, ask your suppliers to submit IMDS datasheet of necessary components or materials to you first. 3

5 (FYI) Survey Request to Your Suppliers Your suppliers need your IMDS Company ID as well as the part number or material code in order for them to send their datasheet to you. Please advise them as follows: (FYI) Example of which you should send to your suppliers Subject: Request of material data submission in IMDS Please transfer this request to your material manufacturer and obtain IMDS material datasheet. After that please send the datasheet of your part(s) to us with the code below. Part s number (or material code): ABCDE Recipient Company ID: Due date: X/X/20XX Your IMDS Company ID is indicated at the top left corner of the IMDS main page after login. 4

6 Remarks upon IMDS data submission The IMDS Recipient, Supplier Code and Part/Item No. to be matched with the ones written on Survey Parts List. If any of them are mismatched, the datasheet will be rejected by us regardless its content. [Example of Survey Parts List] [IMDS Recipient data page] IMDS Recipient to be added by Company ID. Each of Yamaha Group company has an unique ID. Supplier Code and Part/Item No. to be matched with the Survey Parts List. Copy and paste is recommended not to make mistake. 5

8 1. IMDS Company Registration To use IMDS for the first time as your company, Company Registration is required. Refer to the attached file on IMDS Information Page -> Help -> Tutorials Help -> Tutorials IMDS Information Page Company Registration is required only once by each company. You do not have to register if any other division of your company have done. Suppliers can use IMDS for free both registration and utilization. Note the Company ID, User ID and Password not to forget it. Company ID: User ID: Password: Refer to the attached file for the company registration procedure 7

9 1. IMDS Company Registration Login When you have registered, try to login IMDS with your User ID and Password. Link to IMDS: Click Login Enter User ID and Password, then click Login If you forget the password, click Request new password Back to flow chart 8

10 2. Incoming IMDS Data Check When you receive IMDS datasheet from your suppliers, check the data and accept or reject it according to the check result. (FYI) You can get notification from IMDS when you receive a datasheet. Please refer to Notification from IMDS in the appendix of this document. 11 2. Incoming IMDS Data Check Click Function -> In Box -> MDS Click Function -> In Box -> MDS Enter Part/Item No. and so on, then click Search Double click the line to open the datasheet Enter Part/Item No. and so on, then click Search Double click to open 10

Click to conduct system check -> If warning message indicated, it needs to be investigated Please refer to the IMDS Warning Message in the appendix of this document. 13 3. Create Material Datasheet If you obtain material data but not by IMDS, create Material Datasheet. Example of material data Substance Name CAS No Portion, % Carbon Black PA6-90~92 Others - 4 Click MDS -> Module -> Material Click MDS -> Module -> Material (FYI) The difference between Datasheet and Module Datasheet: Make a datasheet when you send answer to other companies Module: Make a module when you do not send this data to other companies but only use in your company 12

Create Material Datasheet Select the material Classification and click Apply In case of polymer material, select available polymer name and click OK Select the polymer name and click OK Select the Classification and click Apply Please refer to the recommendation IMDS 001a for the detail of the classification Help -> Recommendation The detail of the classification is written in IMDS 001a 13

15 3. Create Material Datasheet Enter the material Name (mandatory), Trade name and Mat. No. (optional) The Name, Trade name and Mat. No. will be used as key word for searching afterwards, so set them at your convenience. Set the Name according to your convenience 14

19 3. Create Material Datasheet Click Click to save the data to check the data -> If error or warning message indicated, it needs to be revised or investigated. Please refer to the IMDS Warning Message in the appendix of this document. 20 4. Create Component Datasheet After obtaining / creating material datasheets, create Component Datasheet. In this chapter, the procedure is explained based on the following example. Create New Datasheet Click MDS -> New -> Datasheet -> Component Click MDS -> New -> Datasheet -> Component Enter Description, Part/Item No. and Part Weight of finished product Finished product Enter the finished product s Description and Part/Item No. according to the survey parts list. Copy and paste is recommended not to make mistake. Enter the weight of finished product 20

22 4. Create Component Datasheet ii. Add Component Next, add component. If no component, skip this. Start with the purchase items. 28 4. Create Component Datasheet iv. Error Check and Save Click Click to save the data to check the data -> If error or warning message indicated, it needs to be revised or investigated. Please refer to the IMDS Error Message in the appendix of this document. The message Different types of nodes are used at the same level. is no problem. 31 5. Datasheet Submission Send the created datasheet to the customer who requested. Click Supplier Data, then select Contact Person Click Supplier Data Select Contact Person 30

Datasheet Submission Enter the Supplier Code and Part/Item No. according to the Survey Parts List, then click Send or Propose Supplier Code and Part/Item No. must be matched with the one written on Survey Parts List. After entering, click Send or Propose Enter the Supplier Code and Part/Item No. according to the Survey Parts List Use of Copy & Paste is recommended to avoid any mistyping. Data Send is completed! 34 6. Data Correction If any inconsistency is found in the submitted datasheet at the recipient, the data status in your IMDS Outbox becomes Rejected and needs to be corrected. [How you can identify Reject Reason ] Error code (refer to the next page) is written in IMDS Reason for denial. IMDS notification should be set active in order to know data rejection immediately. Please refer to Notification from IMDS in the Appendix of this document. In addition, notification from YAMAHA Motor Survey System may come to you. Error Code notification from YAMAHA Motor Survey System In some cases, notification from YAMAHA Motor Survey System will be sent with the rejected reason. Error code is written in Reason for denial 33

35 6. Data Correction List of Error Code Code Meaning How to manage the error EC01 Part number or supplier code could be incorrect. Please check the Survey Parts List or communicate with YAMAHA contact. EC03 Weight deviation between parent part and sum of sub-components exceeds the IMDS limitation. Please confirm and revise the weight. EC05 There is a datasheet of same part number but the To answer with the same part number again, copy as "New version" so datasheet ID does not match. that the original datasheet ID can remain. EC11 Number of component is less than the Survey Parts Please check the Survey Parts List and correct the data structure. List. EC12 Answer with semi-component is not accepted. Please create the datasheet as Component for parts survey, and Material for material survey. EC16 EC17 EH01 EM01 EM06 Duplicated part number between parent part and sub-component(s) is not accepted. Answer with semi-component is not accepted. Material code or supplier code could be incorrect. There is a datasheet of same material number but the datasheet ID does not match. Please revise the part number which is duplicated. Please create the datasheet as Component for parts survey, and Material for material survey. Please check the Survey item List or communicate with YAMAHA contact. To answer with the same material code again, copy as "New version" so that the original datasheet ID can remain. ES02 Restricted substance(s) is contained. Please communicate with YAMAHA contact immediately. WS04 This datasheet contains substance(s) which could be restricted according to product destination or Please communicate with YAMAHA contact immediately. category. WY01 The checkbox of "Forwarding allowed" is off. Please set the checkbox of "Forwarding allowed" on. WA01 Error not mentioned above is included in the data. Please communicate with YAMAHA contact immediately. 34

36 6. Data Correction - Update Datasheet Please revise the datasheet and re-send it. Click Functions -> Out Box -> MDS Click Functions -> Out Box -> MDS Search the datasheet and right click -> Copy -> new version Search the datasheet and right click -> Copy -> new version Please revise the datasheet and re-send it. Check Presence of GADSL Substances If it is difficult to correct material data from your supplier, then ask them to check whether the substances listed in GADSL 1 are contained in the material or not. If contained, make sure CAS No. and Portion of the subjected substance(s). 1 GADSL (Global Automotive Declarable Substance List): List of substances that are subject to prohibition or management. This list was established by the GASG (Global Automotive Stakeholders Group) consisting of automakers, automotive parts suppliers, and chemical manufacturers in Japan, Europe, and the U.S., and is revised every year. The list can be downloaded from the website ; [IMDS data creation in this case] Specify GADSL substance(s) precisely. Allocate major substances using general names without CAS No. Trade secret also usable for the small amount of additives if it is not listed in GADSL. Example Main: PA6 Filler: GF Fibre Additives:DEHP Polymer Others: Trade secret Oil Main: Ester oil Thickener:Li soap Additives: BNST Others: Trade secret 70~80 % 10~15 % 10 % 5 % 80~90 % 5~10 % 3 % 2 % GADSL Substances must be specified precisely General names are accepted for substances not listed in GADSL, and also a declaration of trade secret is possible in case its concentration is 10% or less. 39 IMDS Warning Messages IMDS rules and recommendations are written in IMDS 001, and warning message will be indicated if the data breaks the rule. Help -> Recommendation -> IMDS 001 Investigate the data if warning message like below in indicated when you receive datasheets from your suppliers. IMDS 001: Rules IMDS 001a: Datasheet Examples [Frequently happening warning messages] i. Range of portion may not exceed allowed percentage. ii. A liquid or a gaseous substance is normally not contained in a solid material. iii. A material of classification. must contain more than % substances of the group ". iv. More than 10% not specified substances. v. A polymer material should have at least two substances attached. 38

For example, isn t surface treatment data answered as its treatment liquid state? Or, aren t contained elements broken down into each atom? or isn t polymer material answered as monomer substance? Basically, ask your supplier to revise the data. Only if the data reflects the real substance, accept the data. 40

A polymer material should have at least two substances attached. <Related Rule of Recommendation 001> <How to deal with Warning message> This warning is usually happened when material manufacturer try to keep their secret. Please explain the way to keep secret in IMDS datasheet (refer to the next page). iv. Please confirm that Jokers or Wildcards can be replaced by substance with no CAS No. v. Usually, polymer material contain additives as antioxidant, UV absorbent, plasticizer, thermos stabilizer and so on. If polymer contain additives, revise the data. Only if it doesn t contain any additives, datasheet with this warning message can be accepted. 42

44 The way to keep secret in IMDS datasheet [Use substances with no CAS No.] In IMDS, there are substances registered by its general name (refer to the next page). The CAS No. is not indicated in order to keep secret. These substances are out of Not specified substances which may not exceed 10 %. [Confidential] Check Confidential and the data recipient cannot see neither substance name and CAS No. You can get notification from IMDS when Confidential substances are listed in GADSL in the future. (need personal setting) [Wild card] Replace the substance (Ex. Misc.) Check Confidential and the data recipient cannot specify it When GADSL updated, suppliers to check if the replaced substance is added in the GADSL. Confidential is recommended to use instead of Wild card because of update convenience. 43

46 IMDS Error Message In some cases, error message is indicated even though the received data from your supplier is OK, which means component specific errors are existed. Received data from supplier is OK Component specific errors are existed [Component specific errors] i. Applications have to be selected for all basic substances ii. Polymeric parts marking question has not been answered iii. The referenced datasheet is not internally released 45

47 Component specific error i. Error message: Applications have to be selected for all basic substances! Application is set for some restricted substances such as lead Application to be set by parts manufacturer [How to set Application ] Double click the cell, and select the proper one ID: 20 is not acceptable because the substance is basically restricted and can be used only for specific application.
