1 Taking OneNote notebooks into use from TUNI OneDrive (OneNote2016) The files saved into the OneDrive folder of your old Office365 account will become read-only after they have been copied into the new TUNI OneDrive folder. By locking the old OneDrive folder, you can prevent the files from being edited in the old OneDrive folder. The OneNote notebooks created and saved into your old OneDrive will also be copied to the new TUNI OneDrive with the other files. 1 Screenshot of locked status in a browser view OneNote synchronisation error It has been possible to edit OneNote files with the OneNote program installed onto a computer and with a phone s OneNote application. The old open OneNote files will still remain open in the OneNote program, but the changes made to them will not be saved as the files are read-only. If you edit an old OneNote file, a red cross will appear on its icon to signify a synchronisation error. 2 Synchronisation error of a notebook in OneNote Error message of a OneNote file on synchronisation status page in OneNote 2016 You need to open the OneNote files copied to TUNI OneDrive in the OneNote programme and continue editing them. Do not close the old files yet; first, ensure that the new notebooks are functional. Copying the notebooks or parts of them has not succeeded for some of the users. You may receive an error message or realise that parts of the contents have gone missing. In these cases, you need to save the old OneNote file as a new notebook to the new TUNI OneDrive and continue working on it in the new OneNote notebook. If you have edited and used OneNote mainly through your browser or phone application and suspect that the OneNote notebook copied to TUNI OneDrive has pages or sections missing, you need to export the notebook from the old OneDrive to the new TUNI OneDrive by using OneNote Open OneNote notebooks and their locations It is good to check where the notebooks opened in OneNote have been saved to before starting to work on them.

2 1. Open the Info page by clicking the File tab. 2. On the Info page, you can see all the notebooks open in OneNote. You can deduce the notebook s location, based on its path. 3. The path of a notebook saved locally onto the computer usually follows the format: C:\Users\user\Documents The path of a OneNote file saved to the old OneDrive is in the format s abbreviation-my.sharepoint.com/personal/first name_surname_org_fi/.. 5. 3 6. The path of OneNote files saved to the OneDrive intended for Microsoft s consumer users is in format PLEASE NOTE! The OneDrive for consumers is different from TUNI OneDrive (OneDrive for Business). 7. The path of OneNote files saved to TAMK s Office 365 site follows the format Taking a OneNote file copied to TUNI OneDrive into use You need to add a new TUNI account to Office to open files copied to TUNI OneDrive. 1. Open OneNote and click the File tab. 2. Click Account and then Switch account. 3. Click the Add Account button.

4 4. Sign in using your TUNI and password. Naming an old OneNote file We recommend that you change the Display name of the old notebook in the OneNote programme, so that you can recognise which is the old version and which is the new notebook opened from your new TUNI OneDrive. Please note that changing the display name does not change the notebook s file name, only the one displayed in the program. 1. Click the right mouse button on the OneNote name and choose Properties 2. Change the notebook s Display name to describe the notebook. 3. The open Properties window shows into which folder the notebook has been saved. You will need this information when you open a OneNote file copied to TUNI OneDrive. Opening a OneNote file via TUNI OneDrive 1. Click the File tab.

5 2. Click the Open link and select OneDrive TUNI.fi. 3. Browse through the folder structure to find the OneNote file to be opened. 4. You can check the OneNote s old location with the Open OneNote notebooks and their locations instructions presented earlier in this document, if you cannot remember the previous location of the old notebook. 5. The OneNote file will be opened in the OneNote program, and synchronisation will be launched. The synchronisation may take several minutes depending on the amount of material in the memory. 6. You can check the progress of synchronisation by clicking the right mouse button above the notebook s name and selecting Notebook Sync Status 7. The OneNote file has been synchronised, when the Up to date message is shown next to the file name.
