3 Billing Release 13.4 contains several upgrades to the Billing portal within OfficeEMR, including: An issue with hyphens being removed from patient/subscriber names on electronic claims has been resolved; the hyphen will now transmit correctly. An issue with certain inpatient POS not correctly transmitting the admission date on electronic claims has been resolved; any inpatient POS admission date will now be transmitted. An issue with the Payment Posting Advanced Search not allowing users to search using a single criteria (e.g. check number) has been resolved. Kentucky Medicaid claims which are printed on the CMS-1500 form will now print the patient ID# in box 9a as required, rather than in box 1a. Electronic claims are not affected. All Billing Analysis reports will now request that criteria be entered when the report is selected, rather than prerunning the report for a default date or date range. Please contact the isalus Support Team if you have questions regarding any of these changes. 2
4 edocuments Grouped Documents Grouped documents now display a page and a document navigation bar. The page navigation bar navigates through the pages in the current document displayed. The document navigation bar navigates through the documents in the selected document group. 3
5 EMR Obstetrics isalus Healthcare has made several minor modifications to the Obstetrics window to facilitate the workflow of providers that use this functionality. You will notice the following updates: Updates to the Printed Layout of the Obstetrics information Updates to the information displayed in the SOAP Note Enhancements to data capture for Edema Enhancements to data capture for the Cervix Exam Enhancements to data capture for Gestation weeks Obstetrics Print The printed version of the Obstetrics window will now include the EDD Confirmation and Week EDD Update charts at the top of the window. Previously, this information was not displayed. Obstetrics in SOAP Note The Obstetrics information that is pushed to the SOAP Note now displays the patient s next appointment date, which was not previously displayed. 4
6 Obstetrics Data Capture Updates - Gestation Weeks can now be entered as Weeks.Days. This functionality currently exists in the EDD Confirmation fields but is new to the individual visit fields. - Cervix measurements for Dilation, Station, and Effaced percentages can now be captured as discrete data fields in the Obstetrics window. - Edema can now be captured using a dropdown box of None, 1+, 2+, 3+, 4+, and Yes. Updated New New New -2 Updated SOAP Notes Medication Refills The default SOAP templates and patient encounter rx detailed letter quick picks will now display the most recent refill date in the medication lists. Here is a sample of a prescription list with the most recent refill date included from the SOAP Note: Current Medications allopurinol 100 mg Tab- Dispense: 90; Refills: No Refills; Start Date: 06/13/2012; Sig: 1 TABLET Every Day ; Last Refilled: 12/19/2012 Boniva 150 mg Tab- Dispense: 4; Refills: Five; Start Date: 04/07/2011; Sig: 1 TABLET As directed q30 days; Last Refilled: 12/19/2012 lisinopril-hydrochlorothiazide 10 mg-12.5 mg tablet- Dispense: 90; Refills: No Refills; Start Date: 08/16/2012; Sig: 1 TABLET Once daily in am ; Last Refilled: 11/21/2012 folic acid 1 mg tablet- Dispense: 90; Refills: No Refills; Start Date: 08/16/2012; Sig: 1 TABLET Every Day ; Last Refilled: 11/14/2012 ergocalciferol (vitamin D2) 50,000 unit capsule- Dispense: 4; Refills: No Refills; Start Date: 07/12/2012; Sig: 1 CAPSULE As directed 1 cap every 30 days; Last Refilled: 10/17/2012 5
7 Superbill Any diagnosis code that is assigned to an order will be pushed to the Superbill for the same visit. 6
8 General Order Processor Lists The logic that builds the list of users who can be assigned to process orders has changed. Now the processor list on the Order Entry, Order Processing, Order Results and Order History screens will only include users with access to the Order Processing screen. My Tasks edocuments Users now have the ability to see the entire list of users assigned to review a document. When a document is assigned for review, a row will be created in the Review History called Review Created. When hovering your mouse over the For column in this row, users will see a tool tip pop up containing the full list of users and/or groups assigned to review the document. (NOTE: There will only be one Review Created row per document per day.) 7
9 Orders Advanced Search Updates The Advanced Search screen for orders now has the ability to search by either the Order Number or the Requisition ID. Example: Order Processing Window Example: Search for the above Order Number Example: Search for the above Requisition Number IMPORTANT NOTE: The first three characters should be excluded when searching for a requisition number. Both the Order Number and the Requisition ID can be found at the top of the order processing window. 8
10 Order Results Review Process The order result review screen has undergone several improvements, including the date/time stamping of separate findings and the ability for users to set a default text for findings, processor, and status for normal and abnormal results (Please see page 12 of these release notes for information regarding how to set up these default values). Click on the graph icon to open the result. Enter findings in the Finding/Activity box (use the green checkmark or the red exclamation point to enter your default normal and abnormal findings, respectively). Findings will be associated with all results from the same requisition. Previously entered findings will display on the left. Set your Processor and Status, Press Save. 9
11 Unsolicited Results Updates isalus has improved the unsolicited results linking process: 2 If the results are tied to a requisition previously printed out of OfficeEMR, select that requisition and the results will tie to the corresponding orders. If these results are not tied to a previously printed requisition, click New Requisition. OfficeEMR will attempt to match all pertinent data for the results. Ensure the correct data pulls into the Patient, Route (lab the results are from), Location (service facility where labs were ordered), Provider, Processor (the user who s queue the results will go into), and Ordered By (ordering provider). 1 3 Press the Save button. The results are now in the selected Ordered By user s order queue for review. Paging Functionality In a previous release, isalus introduced the concept of paging into the Communication task list. This allows the window to only load a defined number of items for increased performance, then the user can page through the list as necessary to see other data. This same concept has now been added to other areas within the My Tasks Portal, including Soap Notes, Superbills and edocuments. Post-release each page will contain 50 items by default, but there is a user setting for each of these screens that will allow a user to customize the number of items per page. 10
12 Reports My Tasks Counts The My Tasks Counts report has been reconfigured to load faster and share information in a more user-friendly format. Previously all outstanding tasks for all database users were loaded onto one report; now they have been divided into separate categories. Clicking on one of the four tabs across the top of the screen will now display a bar graph representation of the number of outstanding tasks for each user for that specific type of task. Clicking on a user s bar within the graph will show a screen containing detailed information about the outstanding tasks. 11
13 Setup Default Order Locations OfficeEMR now allows practices to set a default order location for each order type (radiology, labs, scheduling, etc.) at the practice, payer and patient level. Click here for instructions on setting up these defaults for your practice. Default Order Result Settings Users now have the ability to set up individualized default values for findings, processors, and statuses for normal and abnormal order results. When a user marks a result as normal or abnormal, the user s default values will automatically populate. For more information about changes to the order result review process in this release, please see page 9 of this document. Within OfficeEMR, the processor is the user or user group currently assigned to manage the order result in question. The status determines whether or not there is still action to be taken for the result. 12
