3 GET STARTED BROWSER REQUIREMENTS Use any of the following browsers that support javascript, pop-ups, image maps, graphics, forms and tables to access OvidSP. o Internet Explorer 6 or later (IE 7 is preferred) o Firefox 2.x or later o Netscape or later. (Netscape 9.x is preferred) For optimal usage, we suggest the following: o Enable browser pop-up blockers to allow popups from o Install the Adobe Acrobat Reader plug-in to view PDF fi les. o Enable your system to permit video (.mpeg,.mov,.avi), audio (wav), and other common multimedia fi le formats. o Set your monitor s resolution between 1024 x 768 and 1280 x 1024 pixels. 4 GET STARTED ACCESS OVIDSP Log in to OvidSP from your site s home page through the OvidSP URL provided by your site administrator. Logging In to OvidSP Type your user ID. Type your password. Click the Start OvidSP button. Logging In through Athens Type your username. Type your password. Click the Login link. Only Athens authentication information may be used on this page. Athens logs you in and starts an OvidSP session. User IDs and passwords are case-sensitive. Hawaii is different from hawaii or HAWAII. 2
5 GET STARTED Logging In through Shibboleth Click the Institutional Login link to open the Login page. Select your Region from the dropdown list. Click View All Supported Institutions to display the Institutions Dropdown list. Choose your Institution. Click the LogIn button. The Shibboleth login window opens once the Sign In button is clicked. Supply your username and password to be authenticated. Begin your session once authentication is done. Your Shibboleth login window varies from one institution to another. Contact your site administrator for inquiries on Shibboleth. 3
6 GET STARTED SELECT A RESOURCE The Select a Database page lists all the resources to which your site subscribes. Single Resource Search o Click on the name or database link to begin search from a single resource. Multiple Resource Search o Tick or select the box(es) corresponding to a resource and click the Open Selected Resources button to make a search from multiple resources. Click on the icon information to learn more about the database resource. A new window opens with the database fi eld guide of the selected resource. Multifi le limit is set to 120 segments to avoid affecting the speed of your search session. The Open Selected Resources button is disabled by default. It becomes available when more than one (1) resource is selected or checked. 4
7 CONDUCT A SEARCH MAIN SEARCH PAGE Database Links allows you to change which database you are searching, or to go directly to Browse Books or Browse Journals. Main Menu provides a logical grouping of menu items which contain the Database Field Guide, Ask a Librarian, Help, Knowledge Base, Nursing Practice Guide and Log Off. Saved Search/Alerts provides you quick access to your saved searches and alerts without leaving this window. PayPerView Account gives you direct access to PayPerView accounts from the Main Menu. View Cart lets you view the content of your shopping cart. Available Languages OvidSP is available in English, Deutsch, Francais and Español. Search History contains your most recent searches, both within and across sections. Search Panel houses all available search types and various Limits to focus your search on specifi c aspect of information, fi lter criteria and reduce the number of records in your results set. Search Aid Tools shows the terms used to retrieve the records in the display and offers helpful tools for your search. Results are posted to your Search History. Results Manager provides several options to organize, display, print, save, and one or more search results. 5
8 CONDUCT A SEARCH Start a Search Select a search mode. Type a term or phrase. Apply database limit(s) (optional). Click the Search button. OvidSP 2.0 gives you a personalized search screen when you are logged in to your personal account. It automatically displays on screen your fi rst and last name along with your institution name above the search bar. 6
9 CONDUCT A SEARCH Search Mode Options Choose from the following search options: 1. Basic Search 2. Advanced Search 3. Multi-Field Search 4. Search Tools 5. Search Fields 6. Find Citation 7. SilverPlatter Search Basic Search Mode Basic Search is default search mode for OvidSP. It accepts natural language queries in any resource databases, journals, and books. Select Basic Search. Type a question or phrase in ordinary English. Apply database limit(s), if necessary. Click the Search button. Contact your site administrator if you want to change your default search type. Results are posted to your search history. Open a limit search page with your current search history by clicking the Additional Limits button. Select a set to refi ne, then choose from available database limits. Find Citation Mode Submit fi elded data to retrieve specifi c journal article citations. Select the Find Citation mode. Fill in as much information as possible. Click the Search button. OvidSP retrieves only those citation records that satisfy the criteria and posts results to your search history. 7
10 CONDUCT A SEARCH Search Tools Mode Truncate any Find Citation fi eld to broaden your search. Type at least three characters followed by the * symbol. To retrieve citation records such as Anigostrongylus, Angiogenesis, and Angle; type ang* in the title fi eld. All records beginning with ang will be retrieved. OvidSP provides tools to discover relationships between terms and subjects within the context of a database all in a single location. Run a subject search with a database tool: Search Tools Select Search Tools mode. Type a term or phrase. Select a tool from the list. Click the Search button. Map Term matches terms to concepts of the database s controlled vocabulary. Tree displays a term or phrase within a hierarchical structure of contexts that are based on the database s controlled vocabulary. Thesaurus displays a term or phrase within a hierarchical structure of alphabetically-arranged subject headings that are based on the database s controlled vocabulary. Permuted Index displays a single-word term within a hierarchical structure of similar, related, and used-for terms that are based on the database s controlled vocabulary. Scope Note reads information about indexed terms to help you fi nd additional subjects for your search. Explode expands search results to include records of broader and other related topics. Subheadings focuses your search to a specifi c aspect of a subject heading. Classification Codes browses a hierarchical display of database-specifi c subject categories arranged from broader to narrow terms. Find additional subjects using the different search tools. However, available tools vary from one database to another. 8
11 CONDUCT A SEARCH Search Fields Mode Search or browse the indexed fi elds of any resource using the Search Fields mode. Apply fi eld criteria to a search to restrict retrieval to specifi c fi elds. Select the Search Fields mode. Check a fi eld box(es). Type a term or phrase. Click Search or Display Indexes. Results are posted to your search history if the Search button is clicked. Display scope notes by clicking a fi eld name. Check an item. Click the Search for Selected Terms button. Use the following navigation options: Directly enter a new term and click GO. Use the number and alphabet thumb indeces. Use the Forward and Back buttons. Your terms within a fi elded index are displayed if you use the Display Indexes button. 9
12 CONDUCT A SEARCH Advanced Ovid Search Mode The following are the Advanced Ovid Search types: 1. Keyword 2. Author 3. Title 4. Journal Begin an advanced search with these steps: Select Advanced Ovid Search. Select a search type. Type a term or phrase to search. Check Universal Search (optional). Apply Limit(s) (optional). Click the Search button. Advanced Search Types Keyword is the default search type. Keyword allows the use of * and $ for truncation in entering a keyword or phrase to be searched. Author allows you to enter the author s last name, a space, and fi rst initial (if known). Title searches titles of records using specifi c word(s) or phrase. Journal search for a term or phrase in all titles of the Journals@Ovid database. OvidSP opens a journal index display at the point of the term entered. Silver Platter Search Mode Searching from the SilverPlatter Search mode: Select SilverPlatter Search. Type your topic or question to be searched. Apply Limit(s) (optional). Click the Search button. OvidSP searches the database for your term and posts the results to the search history. 10 OvidSP treats multiple terms as a phrase.
13 CONDUCT A SEARCH Multi-Field Search Select Multi-Field Search mode. Type a term to search. Select a fi eld from the drop down menu. Select an operator ( AND or OR ). Enter additional search terms and select additional fi elds. Add additional lines by clicking the Add New Row button (optional). Click the Search button. Universal Search The goal of Ovid Universal Search is to enable a search across multiple platforms and generate results together in one interface. Results of your search are posted to your Search History. Use truncation, wildcards, parentheses, hyphens, and the operators adj, and, near, not, or, and with in making a search. Follow these steps: Enter a term or phrase to search. Check the Universal Search option. Click the Search button. The Universal Search Interface Additional search plaforms are displayed in tabs. You may confi gure which search tab you want to use. Universal searching may be done in Basic Search, Advanced Ovid Search, and SilverPlatter Search by checking the Universal Search option when making a search 11
14 DEVELOP A SEARCH STRATEGY DEVELOP A SEARCH STRATEGY Results sets are posted and tracked in your Search History window. Type your search item. Apply additional options. Apply limits, if desired or needed. Click the Search button. The following tasks may be carried out in your Search History window: 1. Combine sets using AND and OR. 2. Delete or remove sets. 3. Save a search. 4. Set an RSS feed from a strategy. 5. Save a search as an AutoAlert. Combine Result Sets Only your most recent results sets are displayed when your saved results become too lengthy. Select or check the text box of the sets. Click the combine selection button And or Or, as preferred. 12
15 DEVELOP A SEARCH STRATEGY Delete Results Sets If saved results become obsolete, you may delete them to avoid cluttering your history. You may either select and delete specifi c items one at a time or delete the entire search history. Select search item(s). Click Remove Selected. To clear the entire search history, select the top check box and click the Remove Selected button. Clicking the topmost checkbox automatically selects all. Deleted sets can no longer be retrieved. Remove Duplicate Similar records may exist in more than one database for a multifi le session. Remove duplicates from your search history before viewing, saving or printing your results to avoid duplication of such results. Click Remove Duplicates. Select a set to deduplicate. Edit Field and/or Database preferences. Click the Continue button. Sets with more than 6,000 records cannot be deduplicated. 13
16 DEVELOP A SEARCH STRATEGY OvidSP deduplicates a set according to your fi eld, then database preferences. It retains records that meet the criteria and deletes duplicate records from other sources. DATABASE LIMITS Apply a limit to focus your search on specifi c aspects of information. Filter criteria to reduce the number of records in a results set. You may access limit options from two locations within OvidSP: o Common limits from the Basic Search mode, or o A full suite of database limit options from the Limit a Search page. Common Database Limits OvidSP lets you refi ne searches from the Basic Search mode with an assortment of commonly used database limits. Select Basic Search. Type a term or phrase. Select additional options. Select common limits. Click the Search button. Checking the Related Terms box expands the retrieval of terms to more broadly related terms. 14
17 DEVELOP A SEARCH STRATEGY Database-Specific Limits Access more limits by clicking the Additional Limits button after performing an initial search. OvidSP opens the Limit a Search page. Select a search statement. Select limits to apply. Click the Limit a Search button. OvidSP applies limit to the search statement and posts results to the search history. Ovid Full Text and Full Text limits are confi gured and enabled by your site administrator. 15
18 SAVE A SEARCH SAVE SEARCHES IN OVIDSP Save your search sets by clicking the Save Search History button. This allows you to return and continue with your work the next time you log in. Save a Search Save search strategies: Save Search Strategies: 1. Temporary 2. Permanent 3. Expert Search 4. AutoAlerts Search names are case sensitive. Search sets from any OvidSP session may be stored. Type a search name. Type comments (optional). Choose a search type option. Click the Save button. OvidSP displays a confi rmation message on the Main Search page. 16
19 CREATE AN AUTOALERT Create an AutoAlert OvidSP AutoAlerts send you your saved strategies via ... o When new records match the search criteria o When new records are added to the alert database(s), or o As scheduled Create and save your AutoAlerts: Type a name in the text box. Type comments into the text box (optional). Select the AutoAlert search type to display the AutoAlert options. Select your preferred scheduling options. Click the Save button. Databases may be enabled from the Save Current Search page by your site administrator. AutoAlerts may be suspended or unsuspended for a defi ned period of time. AutoAlert Options Set deduplication removes redundant records from current and previous alert results. Delivery option sends results through , RSS feeds, or both. Report type formats the report(s) as to what information to include. 17
20 CREATE AN AUTOALERT / VIEW SAVED SEARCHES Field options includes a variety of citation information and complete citation reference. Result format sets the format of the output. Sort option sets an order of arrangement by setting your primary and secondary fi elds. Sorting may either be ascending or descending. Once you have selected preferences, click the Save button. OvidSP displays a message on the Main Search page. Searches with the following search statements cannot be saved as AutoAlerts: o Dedup o Limit to update range o Remove duplicates from x View Saved Searches At the bottom of the Save Current Search page are your previously saved searches. To run, delete, copy, rename, edit, or create an OvidSP Jumpstart to any of your saved searches, use the functions on the Saved Searches page. 18
21 SAVED SEARCH OPTIONS SAVED SEARCHES PAGE From the Main Search page, click the Saved Searches/Alerts link or the View Saved button to display the Saved Searches page. OvidSP provides various ways to work with saved searches. Select a saved search to rerun in the current session, to copy, or to delete. Rename, edit, or display a saved search. It also allows you to a jumpstart to a saved search or view alert histories. Rerun AutoAlerts in your current session. Run a Saved Search Select the box of a saved search and click the Run button to open the interim status page. Click the Main Search page. OvidSP posts results to the current search history. 19
22 SAVED SEARCH OPTIONS Run an AutoAlert Run an AutoAlert manually from the Saved Searches page to perform the following: o Override the set schedule o Run strictly as a search strategy in the database(s) of your current session. Select the Alert you want to run. Since last run picks up records added since the last AutoAlert run and s them to recipients. Select Update(s) select a broader range of dates from which to retrieve records and them to recipients. Run in Current Database runs the AutoAlert search strategy in the current database session. Choose a data set. Click the Run button. Run an AutoAlert strategy in the current database session. New results are posted to the Search History. OvidSP does not deduplicate results of AutoAlerts that were run manually. 20
23 SAVED SEARCH OPTIONS Copy a Saved Search Select the check box of the search(es) you want to copy. Click the Copy button. All copied searches are placed under the Permanent Searches area. Create copies of all searches you want copied by checking their corresponding box before clicking Copy button. Delete a Saved Search Select the check box of the search(es) to be deleted. Click the Delete button. Proceed with deletion by clicking the Delete button on the confi rmation message. Only the Site Administrator may delete shared and expert searches. 21
24 SAVED SEARCH OPTIONS Rename a Saved Search Copy of a search takes the name of the original search with the word copy attached to its name. Assign a new name to a search copy with the following steps: Click the Rename icon of the intended search. Assign a new name to the search copy. Assign a new name to the search copy. Search names are refreshed and are alphabetically arranged after saving. Searches under the same type must have unique search names. Edit a Saved Search Click the Edit icon of the search to be edited. Type your new comment (Optional). Insert allows a new statement to be added or inserted before or after the selected item. Edit enables you to change your previous statement Delete removes an existing statement from the set. Apply changes to item(s) in your set area. Click the Save button to store all the changes made. Searches with natural language statements cannot be edited. 22
25 SAVED SEARCH OPTIONS Edit an AutoAlert Click the Edit icon of an AutoAlert to open the Edit Search page with the AutoAlerts options. Enter the changes you want to individual search statements. Edit the AutoAlert-specifi c options. Click the Save button to store changes, Cancel button to discard them. 1. AutoAlerts may be suspended or unsuspended in this section. 2. Database selections of AutoAlerts cannot be changed. Display a Saved Search Click the Display icon of a saved search to display all the statements associated with it. Click the closed eye icon to collapse or hide the statements associated with the saved search. The view icon changes to a closed eye icon if the statements are currently displayed. 23
26 SAVED SEARCH OPTIONS Create and a Jumpstart to a Saved Search/AutoAlert Click the Jumpstart icon to create your jumpstart. The page is automatically populated with your User ID. Click the Continue button to the jumpstart. Enter the address(es) of your intended recipient(s). Use their full address(es). Enter your address if you wish to send it to other recipients other than yourself. Edit the subject or use the default. Type your comments (optional). Click the Send button to proceed ing the jumpstart. Use commas to separate multiple addresses and do not use any spaces between them. Incomplete address(es) cause(s) the system to discard the results without notice. 24
27 SAVED SEARCH OPTIONS View an AutoAlert History Display the event logs of a saved search or an AutoAlert by clicking its History icon. - AutoAlert serves as an archive of actions or event types. - Histories or logs are not carried over to copies but only display the name of the original alert. Search Name - description you provided when you saved the item. Database(s) - resource(s) of the saved search item. Date (Greenwich Mean Time) - relative date of revisions. Event Type/Event Details - associated event logs and details. Creation - date and time stamp showing the exact date and time of creation. AutoAlert history occasionally displays a Saved Set Results link. Clicking this link causes OvidSP to erase the search history of the current session and switches to the database from which the alert was created. AutoAlert history entries are pruned periodically. 25
28 WORK WITH RESULTS RECORDS SEARCH RESULTS DISPLAY Search Results Display lets you view the details of your searches including the title and the associated terms used by OvidSP in retrieving the results. Click the Display link of your intended saved search to display the Search Results page for additional infomation about the search item. Record Titles Display presents the result searches with their title, database resource, author and other pertinent information. Results Manager houses actions that allow you to display, print preview, print, save to project, ,and save your searches. Search Aid Tool displays the terms used to retrieve the records in the display. It also provides way to broaden/narrow the search. The Search Results Display page is the same for all resources databases, journals, and books. 26
29 WORK WITH RESULTS RECORDS Record Titles Display Go to provides quick access to the results by going directly to the desired result. Previous/Next Page lets you navigate through the results one full page at a time. Annotation adds additional information or notes to a search item. Title display provides concise information on a search result which includes the title, author, identifying keywords and other pertinent information. View Abstract gives you quick access to the result abstracts such as the background, objectives, search strategy and others without leaving the page. Find Citing Articles provides direct access to similar or related articles. Reference Links displays additional link options for your search. PAP Records in the Display Journals@Ovid s Publish Ahead of Print (PAP) provides online access to critical content before it is published. Browse the display to fi nd records with the label Publish Ahead of Print (PAP) records. PAP Full Text is available in selected journals from publishers who participate with Ovid s PAP program. All PAP content has been peer-reviewed and accepted for publishing. 27
30 VIEW ABSTRACTS/ANNOTATE RECORDS View Abstracts View the abstract of a record by clicking the: o View Abstract button opens an inline abstract of the specifi c search result. o Abstract link opens the abstract information on a different display. Search terms in the text of the abstract are highlighted for emphasis. Annotate a Record Click the annotation icon beside the result you wish to annotate. Type your annotation in the Edit Annotation window. Click Save Annotation to store your annotation, Cancel to discard and return to the Titles Display page. Annotation(s) remain with the record for as long as your subscription remains valid and may only be deleted by the creator. 28
31 CUSTOMIZE THE SEARCH RESULTS DISPLAY Customize the Display The Customize Display link allows you to set and customize the look and feel of your interface. It gives you the choice to set and confi gure the scope and format of information display you need. Controls the duration of the display settings up to when it should apply. Limits the information to be displayed based on your preference. Sets the appearance or output format of the records. Defi nes the size of the page display in terms of number of records per page display. 29
32 WORK WITH RESULTS RECORDS Search Aid Key term or keyword used for searching. Provides an option to narrow search by Author, by Journal, and by Subjects. It lists the top fi ve (5) searches for the three (3) categories from a given result set. All links will narrow a given search and places an entry into the search history. Expands the search to include related terms. This displays if the Related Terms option has not been checked during a Basic Search. Click the Add Related Terms link to expand the search to include related terms. When a small triangle appears beside an option pointing to the right, a dropdown menu is available for that option. Click on the triangle to expand and display additional opitons. Results Manager OvidSP provides a Results Manager tool with each Search Results Display, to: Actions houses the Add to My Projects which saves and organizes your searches to a separate location; Display gives you the general overview of a result set; Print Preview, and Save. Results allows you to select results to be cleared. Fields lets you select and defi ne a variation of fi eld options to be used for your display. Result Format allows you to choose and assign an output format. Sort Keys lets you defi ne both/either primary and/or secondary fi elds for arranging or sorting your result display. 30
33 OUTPUT RESULTS RECORDS The Results Manager outputs a maximum of 200 records at one time by default. 31
