Diary: Service centre "disappears" when Patient arrives GXMantis: **109887; The issue on the Diary with the service centre in the widget that "disappears" when the patient is "arrived" has been resolved Stock purchase invoice totals / rounding GXMantis: Modifications have been made to the creditor invoice screen. The allowance for the difference between the GoodX calculated values and the Supplier invoice values for the Totals is set to 5c for the Amount (Excl)/Excl Total, Vat(f5)/VAT Total, Amount (Incl)/Total. If the difference is less than 5c a popup will warn the user that the totals differ and that they will be updated, whilst if the difference is more than 5c a user who has "Creditor Transaction Supervisor" privileges will have to enter their password for the action to continue. Financial Cash book corrections GXMantis: The issue where the Cashbook reports didn't display correctly when corrections or credit notes were made has been resolved. Please see Appendix: Income Statement: Add total GXMantis: A footer tab has been added to the Management Report module, showing the Totals by level. Multi-view Diary grid order GXMantis: Multi-view feature changes in the Diary module. The user can now configure on the multi-view screen in which doctors should display in a certain sequence. The sequence set by the user will be saved when pressing the "Exit" button but will not save when the user selects the "Close All" button. Cashbook bug: System allows user to post receipts against creditors, but not to write them back GXMantis: The issue where users were able to post receipts against creditors in the Cashbook but were not able to receipts written back has been resolved. Income Statement continued GXMantis: New changes have been made on the Income statement report. This guide will also contain new screen changes and explanations behind them. Most of the new ERA features will work roughly the same as on the previous method but will run faster and better. This new method of ERA management will replace the current ERA method in the near future. 2. Remittance advice manager: New method In this section, we will go through each screen with detailed explanation and the location of the new method. The new method on ERA s can be located under: Med debs >> Receipt dropdown button >> Remittance advice manager New (See figure 1.1) Figure 1.1 Visual guide where the new method of using ERA s can be located

5 The new ERA screen will now default on full-screen. The following new functions have been implemented on the menu bar under Grid actions : Expand Grid Collapse Grid Apply Best Fit To Columns * Please note the above functions will be useful when working with the toggle Show all practices Also, a new function has been implemented on the menu bar under Actions. Re-Import ERA s that were imported using old method (Yellow) This feature will indicate ERA's that needs to be re-matched before editing the batch. Please see figure 1.2 Figure 1.2 ERA s highlighted in yellow indicates that a Re-match is required before using the post/edit ERA s functions The following functions listed below still works the same as the previous/current Remittance advice manager method: Import/Select ERA s Delete selected ERA s Refresh button Toggles (Show all practices, Edit/Post batch after importing) The Print ERA button will generate a new simplified report. (See figure 1.3) Figure 1.3 Newly generated ERA report

6 After the import of ERA's, the user can proceed to the "Imported remittance advice" tab. Please see figure 1.4 for the new screen changes. Figure 1.4 New ERA import screen The following new features on the Imported remittance advice tab are: Edit Batch Post Batch Post selected ERA s Re-match ERA Batch Progression column Additional columns Edit Batch: Upon pressing the Edit ERA button while on the Imported remittance advice tab, the user will be introduced to a new interface to manage ERA's in GoodX. 7 1. Original Status: Will indicate the status of the ERA for example Matched or Intervention or Suspense. 2. Debtor information buttons: Ease to access multiple GoodX functions like: Account Enquirer screen Debtor Input screen Message book Notebook Cashbook Summary 3. Edit Payment Button: Will use this button when Manual intervention, settlement discounts, Shift and Writeoffs are performed. When a batch contains an unlinked transaction the user needs to intervene. For example 3.1: (Error.) (Use document Id 29). 4. Show Original ERA: Self-explanatory, will show the original ERA before user interaction has been performed. 5. Supress function: New Suppress toggles added to suppress certain values the user wish not to view. Supress Zero Amounts: When the user don t want to view Zero amounts on their ERA s. Supress Allocated in ERA: When the user don t want to view Allocated ERA s on their batches. (Please see Figures 1.6 and 1.7.1). This toggle can be found under: Med debs >> User preference >> under the general tab >> Suppress Allocated in ERA Filter Service Date: Give the user the option to filter claims via service date. (Please see Figure 1.7.2) Figure Can be located under Edit Payment button 6. Messages column: View the full message by clicking on the dropdown function in the message column. When the user is satisfied with the recent changes or the management of the batch, it is important to save your work and continue with the next step of posting ERA batches. 7. Quick Filter (Ctrl + Q): The following filters are available for use: Show All (Ctrl+1). Matched (Ctrl+2). Short Paid (Ctrl+3). Manual Intervention (Ctrl+4). Suspense (Ctrl+5). Action Required (<> Matched) (Ctrl+6). Unresolved (Ctrl+7).

9 Post Batch & Post Selected Batch Buttons After the user has completed their changes to the relevant batch and is satisfied, the user must press the "Post batch" button and after posting the user will receive a prompt window asking if the system can generate a report or not. The posted batch can now be found under the "Processed remittance advice" tab. In System options under the EDI tab, there is a toggle "Can only post batches that are 100% resolved". This new feature will prohibit the user from posting ERA batches with a probability percentage lower than 100%. The user will only be able to post the batch after achieving 100% resolved status. (Please see Figure1.8) Figure 1.8 New toggle feature can be found If the user gets the following error, please see the 2 recommendations: Critical Error F0001: Unable to post XML: deadlock detected 40P0 1. Do the necessary preparations by saving the batches before posting them. Mark the ERA s worked on that day and post with using the Post selected ERA s button. (See Figure 1.8.2) Figure Demonstration what the user could perform before posting selected ERA s 2. Before posting the batches, all users need to log out of GoodX completely. So no interference can take place while posting the ERA batches.

10 Re-Match ERA Button Explained on Figure 1.2, gives the user the option to re-match the ERA s before posting of ERA batches. Batch Progression Column Give the user information when an ERA batch has successfully been matched or inform the user that this batch needs manual intervention. (Please see Figure 1.4) Additional columns The following columns have been added to give more information needed to process ERA batches: Date Imported User Payments Resolved Handling of Suspense and Intervention ERA s on the New Method On the Imported Remittance Advice tab, the user will notice that any ERA s with a batch progress lower than 100%, the users will manually need to intervene and either link the claim manually or post the ERA to the pre-configured Suspense account. Original Status: 1. Suspense When handling an ERA marked with Suspense status, the user needs to link the claim to a possible account. To perform this action, the user needs to select the relevant Suspense ERA and click on the Link Account button. 11 Upon pressing the button, the next popup screen will display possible debtors that can be linked to. (Please see Figure 2.2). The system will do additional matching on the following: dependant number, invoice date, amount, and surname. The probability percentage will be calculated according to the match found. Figure 2.2 System showing out possible debtors to link Suspense claims When the relevant debtor is selected and the system confirming the user s choice, the debtor will be linked to the ERA where the status was on "Suspense". When the user confirms that the correct debtor is selected, the system will do the item matching (as done in the initial matching process), chances are pretty good that items will matchup, and that the status will change from suspense to matched. However if items could not be matched, the user needs to go and match it manually. However, when the debtor is linked, the user still needs to edit the payment to ensure that the ERA is correctly balanced before proceeding to resolve the ERA. After the user is satisfied with the changes, the user needs to press the Resolve button, before saving the batch. 2. Intervention (Matching process = account matched 1 or more items not matched) When handling an ERA marked with an Intervention" status, the system was only able to find 1 or more matches on the File or Medical aid Number. Reason 2, none of the following fields could be matched: PMA item ID, matching account, file and medical aid.
