2 Introduction This guide tells you in detail how to use the iexeter Digital Check-in function using the Attendance tile in iexeter on your smartphone or tablet to register your attendance at lectures and other teaching sessions. All taught undergraduate and PGT students are required to use digital check-in to register their attendance at teaching sessions. Attendance is recorded to ensure that any student welfare concerns are picked up, tier 4 international students meet their visa obligations, and programme knowledge requirements are met. Previously the University has monitored student attendance in some classes by paper registers or other methods. The Digital Check-in function provides a digital, effective and accurate way of carrying out this work. The digital check in facility will be active from 5 minutes before your teaching session starts to 10 minutes after the start. If you don t check in within this window you will be marked absent for the session. You can set up iexeter to automatically check you in see the section below. But if you attend a teaching session held in several rooms at the same time, or if the timetabled room is changed at the last minute, then you will need to check in manually for these sessions. If you have no internet connection, you can still check in with iexeter and it will upload your check-in later once you get can connect to WiFi. If you have any problems checking in at the start of a teaching session, don t worry, just go to the nearest Info Point after your session and they can check you in. For more information and FAQs, please see the Digital Check-in online help pages. How it works Digital check-in works via iexeter on your smartphone or tablet. It is driven from your teaching timetable, which is downloaded to iexeter. When you enter the room for your timetabled teaching session, your smartphone or tablet picks up the Bluetooth beacon in the room and effectively makes a tick in an electronic register. This is sent to LISA which is the university s attendance system, and from there to the Learning Analytics dashboard. Please note that the digital check-in system does not follow you around campus, and only works when you are in the right room at the right time for a taught session. Page 2 of 14

3 Initial set up with iexeter on mobile or tablet 1. Ensure that you have the iexeter app downloaded on your smartphone or tablet from either the Apple App Store for ios or Google Play Store for Android devices. 2. You will need the latest version of iexeter installed, and please log out and log back in to iexeter to ensure you can see the new Attendance tile 3. Enable Bluetooth on your smartphone or tablet. Don t worry about leaving it turned on all the time as Bluetooth does not drain your battery 4. Turn on Push Notifications and Locations for iexeter in your smartphone or tablet Settings 5. Make sure your smartphone or tablet is set to UK time 6. Make sure your smartphone or tablet battery is always charged up enough before your teaching sessions. Page 3 of 14

4 7. The first time you open the Attendance tile, you will see this welcome screen: 8. Click on the Next button at the bottom of this welcome screen. You won t see it next time you open the Attendance tile, but you can find it again on the Further information about Attendance link at the bottom of the main Digital Check-in page. Page 4 of 14

5 Automatically Check in 1. You can choose whether you want to let your device automatically check you in or check in yourself manually for each teaching session. But please note: if you go to a parallel session, for example, some tutorials or seminars can be split across several rooms at the same time, or if the timetabled room is changed at the last minute, then you will need to check in manually for these sessions. But you won t need to turn off Auto Check in to do this. 2. If you want to let it happen automatically, you won t need to get your smartphone or tablet out of your pocket or bag when you go into a teaching session. 3. Look for this at the bottom of the screen: 4. Slide the button to the right to turn on Auto Check In 5. Then, with Bluetooth and Notifications turned on, each time you enter a room where your timetabled teaching session is scheduled to be, your device will automatically check you in. 6. You will get a push notification on your device s home screen telling you your attendance has been recorded for the session: 7. You may want to check that your automatic check-in has worked. You can do this by opening iexeter and clicking on the Attendance tile, and you will then see this confirmation : Page 5 of 14

6 8. If you want to turn off Auto Check-in, go to Settings in iexeter and you will see the button above in the Settings Attendance page, under Personal Details: 9. Slide the button to the left to turn off Auto Check in. Page 6 of 14

7 Manually Check in 1. If you don t want to use Auto Check-in you still need Bluetooth and Notifications turned on. Each time you enter a room where your timetabled teaching session is scheduled to be, you will get a notification on your smartphone or tablet asking you to check in: 2. You simply need to click on Yes and that is it. 3. You will then get a confirmation message: 4. If you don t get a notification request to check in, for example because you haven t enabled Push notifications, open iexeter on your smartphone or tablet and click on the Attendance tile. 5. The app will then search for the room and session you are in : Page 7 of 14

8 6. Click anywhere in the room box. You will then get a confirmation screen showing the session details: 7. Click on Check in 8. You will then get the confirmation message as usual : Page 8 of 14

9 Checkout 1. If your teaching session finishes early and you arrive at the next one and want to check in, you may still be checked in to the previous session. 2. In this situation you can check out of the previous session. This will not affect your attendance for that session, it simply clears the app for you. 3. Log into the Attendance tile and you should see this : 4. Click on Check Out. You will then get a confirmation screen : 5. Click on Check out to confirm. This will then allow the app to search for your new session if you are there at the right time for it. Page 9 of 14

10 Check-in history 1. You can see a history of your previous Check Ins. 2. Click on the previous check ins button at the bottom of the main screen in Digital Check-in : 3. This will then show a scrolling screen with all the details of your Check In history : 4. Click on any event to see its details. Page 10 of 14

11 If you have any problems Bluetooth / Notifications not turned on If you don t have Bluetooth and Notifications turned on you will see this screen: Turn on Bluetooth and Locations services in your device Settings. Don t worry about leaving Bluetooth turned on all the time, it does not drain your device battery. No internet connection If you don t have an internet WiFi connection, don t worry. Your check in will still work and it will upload your check in when you next get an internet connection: Page 11 of 14

12 Report a problem If you have any problems using Digital Check-in, please go to the nearest Info Point as soon as you can after your teaching session and they can check you in or answer other queries. If you want, and it s not disruptive to your teaching session, you can also report a problem through the iexeter app. On some of the pages in the Attendance tile you will see this link : Click on this and then you will see some hints to correct a problem you may be experiencing : If none of these work or are not relevant, click on Next and you can fill in a feedback form : Page 12 of 14
