4 CHAPTER 1 ABOUT STANDARD ASSET TRACKING SYSTEM 1.1 Introduction The system will enable user to maintain assets, perform stock taking, calculate depreciation for each asset based on straight line method or reduce method and generate barcode labels via SATO printers. The system will run on Microsoft Windows platform for single user operation only. 1.2 Hardware Requirement SATO CL series (CL408, CL412) Printer SATO CL e series (CL408e, CL412e, CL608e and CL612e) Printer SATO CT series (CT400 and CT410) Printer SATO CX400 Printer SATO M-84 Pro 200/300/600DPI SATO DR300 Printer Denso BHT8000 Barcode Scanner 1.3 System Requirement In order to run this Standard Asset Tracking System, you must at least fulfill the following requirement: Microsoft Windows 98 or above IBM Compatible with at least Pentium IV 1.6Ghz, 2.0 G bytes free hard disk space, 128M RAM CD ROM Drive 1 serial/parallel communication port. 1.4 Label Size Requirement 30mm(P) x 70mm(W) Version 01-01, 15 March 2005, Page 1

5 CHAPTER 2 INSTALLATION 2.1 Installation of Standard Asset Tracking System Click < INSTALL SOFTWARE > button. Select the correct operating system to install. Version 01-01, 15 March 2005, Page 2

6 Click < OK > button to continue. Installation folder may default to C:\Program Files\Standard Asset Tracking System. Changes to the installation directory are optional. It is recommended to use the default directory. Adding a new group name or selecting one from the Existing Group list is optional. It is recommended to use the default Program Group. 7 Start copying files. If the file being copied is older than the file currently on the existing system, system will be prompt out a version conflict message. It is recommended to keep the existing file, click <Yes> to continue. Installation setup was completed successfully. Version 01-01, 15 March 2005, Page 4

8 Once the Installation completed, you may find the following files in the installation path. (C:\Program Files\Standard Asset Tracking System) To create a shortcut in desktop, please follow the step: a. Select AssetTrackingSystem.exe b. Right click the mouse and shortcut menu will prompt out. c. Select Send To -> Desktop (create shortcut). Shortcut icon will be displayed on the desktop Version 01-01, 15 March 2005, Page 5

9 2.2 Installation of Printer Drivers Click < PRINTER DRIVERS > button. A wizard screen will screen Click < NEXT > button to continue. Version 01-01, 15 March 2005, Page 6

10 Select the desired Printer and click < NEXT > button. If the driver is in a different folder or printer came with a driver diskette then click <Change location>. Select port, printer name and language. (It is recommended NOT TO RENAME the printer). Note: The printer driver version may change. Version 01-01, 15 March 2005, Page 7

11 If the following message is prompted, click < OK > button to continue. If you want to install Status Monitor, please tick the Install Status Monitor and click <Finish>. You have successfully installed the printer driver. Version 01-01, 15 March 2005, Page 8

12 2.3 Installation of Scanner Application On the PC, run BHT Transfer 1.13 This screen will appear. Set the option for communications. Version 01-01, 15 March 2005, Page 9

13 Click on to send the program file to download to the scanner. Ensure that the scanner is already configured and placed on the Communication Unit (CU). See the On the Scanner section below. During download, this screen will appear. On the Scanner, Power off the scanner. Go to the System Menu by pressing SF and 1 keys and together with PW. 16 CHAPTER 3 STARTING STANDARD ASSET TRACKING SYSTEM 3.1. How to start the Standard Asset Tracking System Click on the AssetTrackingSystem shortcut to run the Standard Asset Tracking System Software Login Screen This is first screen the user will see when the application starts. The user is expected to login to enter the application. Key in User ID and password. o There will be a default administrator entry created. User ID is admin and Password is admin. o At the first time login, user is strongly recommended to change the password. Click <LOGIN> to enter the application. o System will verify the User ID and password in order to allow entry o System will display current user name throughout the system. Click <Click HERE to register> to register the software. o The unregistered software can only be used up to 14 days from the date of installation. o The user must register the software in order to continue to use the software. 19 CHAPTER 4 FILE MAINTENANCE MODULE This module enables the user to maintain the application setting information, maintain users, change password etc Organization Input Organization and Remarks Click < BROWSE > to browse for company logo. o User is strongly recommended to choose a logo that is black and white color only. o There will be no verification of logo in term of color or size. 20 Depreciation Examples Option 1: All assets will depreciate in current month of date acquired. Option 2: All assets will depreciate in next month of date acquired. Option 3: User to input the cut-off day in the current month of date acquired. o E.g if cut off day is 16 and asset's date acquired is after 16 (i.e 17, 18...), depreciation will NOT start in the current month of the date acquired. But if asset's date acquired is on or before 16 (i.e 16,15,14...), depreciation will start in current month of date acquired. 24 4.9. Change Password Input old password and key in the new passwords. Click < CHANGE > to change the password. Click < CLOSE > to close this screen Settings Click < UPDATE > to update the information to the database. o Only SATO DR300 does not support logo printing. Click < CLOSE > to close this screen About This module enables the user to see the development information of the system. <System info> will show the system information and what kind of Windows resources it is using. 25 CHAPTER 5 ASSET MODULE This module enables user to add/modify/delete Asset, transfer assets to different locations, perform stock take and as well as dispose off the assets Asset Management Input Data Click < ADD > to add a new asset to the database. o After saving, system will prompt user to print an asset label. Click < MODIFY> to modify the asset and save to the database. Click < DELETE> to delete the record displayed on the screen. Click < CANCEL> to cancel the current operation. Click < ADVANCE SEARCH > to search asset records that matches more complex search criteria from the database (see below image for Advance Search Expert) Click < TRANSFER SELECTED > to transfer the selected asset records displayed on the screen to new destination. o User must highlight at least one record to transfer. After uploading from the scanner, system will verify the uploaded information against the database and display the results under Comparison Results column. Click < TRANSFER SELECTED > to transfer the selected asset records displayed on the screen to new destination. o User must highlight at least one record to transfer. 28 5.4. Asset Stock Take Click < UPLOAD > to upload the asset stock take information from the scanner. Click < CLOSE> to close this screen. After uploading from the scanner, system will verify the uploaded information against the database and display the results under Comparison Results column. Click < SAVE > to save the stock take information to the database. Click < REPORT > to print the upload stock take full detail information report. Click < CLOSE> to close this screen. 29 Stock Take Report (Upload From Scanner) If there is still existing stock take information from the previous stock take, user will be prompt to delete existing stock take information. 45 8.3. Backup/Restore Databases Click < BACKUP DATABASES > to backup the databases to Backup folder. o A dialog box will appear to prompt user to backup databases to a destination device/folder. Click < RESTORE DATABASES > to restore the databases from Backup folder. o System will display the below message box and prompt user to confirm to restore the databases. If yes, A dialog box will appear to prompt user to restore databases from a destination device/folder. After restoring, the existing LIVE databases will be stored to the <RestoreDB> sub-folder in the application folder. The restored databases will be placed in the application folder.
