1 This document is specific to version 31.4 of ProviderLink and provides an overview of new features and enhancements that have been added in this application release. NEW FEATURES New Auto Forward Option for Messages and Faxes Facility Administrators can use the ProviderLink routing rule process to create a new routing rule on a mailbox that will auto forward online messages and faxes/attachments sent to that mailbox to a designated location. A History and Audit Trail log will be created for each forwarded incoming fax and online message. To create a routing rule to auto forward messages and faxes: 1. Go to the Main Window screen, on the menu bar select Setup>Mailboxes>View Mailboxes>Add/Edit Mailbox>Routing Rules>New to access the Add/Edit Routing Rules screen. 2. Enter a Rule Description. 3. From the Conditions drop-down list, select Always. 4. From the Actions drop-down list, select Forward Message and Attachments. The application displays the Facility Search criteria option. 5. Perform a facility search to select the facility fax-only contact or online mailbox, which will be used to forward the online messages. 6. Click Save to create the routing rule. Note: For an attachment to be forwarded to a fax-only destination, it must be in the format listed below. If the attachment is not in the correct format the attachment WILL NOT be forwarded. Also, documents added by the File option to a patient folder will not be auto forwarded to an external fax server. (Note: Files are only fowarded to an online ProviderLink mailbox. Only TIF, PDF and E-Forms are forwarded to a fax-only contact.) TIF PDF E-Forms New Report Available - Unread Messages By Worklist View The Unread Messages by Worklist View report provides detailed information, sorted by worklist that includes the total number of unread messages and the dates when the messages were received. 1
2 To create an Unread Messages by Worklist View report: 1. Go to the Main Window screen, on the menu bar click Reports. 2. Select Dashboards from the drop-down list. The Dashboards screen displays. 3. Select Unread Messages by Worklist View from the drop-down list. The screen refreshes and displays the report. New Domain Administrator Role For organizations with multiple facilities under one domain, a new Domain Administrator role was created to allow access to ALL of the facilities in that domain and will have the ability to restrict facility administrators access to only their assigned facility. A user assigned as a Domain Administrator, has permission to: Create or Manage new Domain Administrators for Top Level Organization. Create or Manage a Facility Administrator for a single Facility or multiple Facilities. Create or Manage a User for a single Facility or multiple Facilities. A user assigned as a Facility Administrator, has permission to: Manage new Facility Administrator in their Facility. Create or Manage new Users in their Facility. However, a Facility Administrator: Cannot edit and fields or checkboxes for Domain Admin users. Cannot edit the Facility or Domain Admin check boxes for any user. Cannot assign Faciltiy Administrators to their respective facilities. Only a Domain Admin can assign the Facility Admin role to a user. 2
3 Can edit all other fields for Facility Admins and regular users. ENHANCEMENTS Message Results Screen Now Displays Facility and Mailbox Information When performing a message search, the search results for the To and From field now display the facility name and mailbox. This allows a user to easily identify the department/group that either sent or received an internal facility message. To access the message search results to view the facility and mailbox information: 1. Go to the Main Window screen, on the menu bar click Lookup>Message. 2. Enter the search criteria, and then click Search. The Search Results screen displays. New Warning Message For Non-Attachable Documents The system will display a message, on the Create Message screen, to warn users that they are attaching a 3
4 document to a message that is not the file type: 1) E-Forms, 2) PDF, or 3) TIF (i.e., faxes) and that the attachment will not be sent if the recipient is a fax-only facility. The warning message reads: The form <document Name> has the following warning. This document will not be received by Fax only contacts. Audit Trail - Move and Delete Document Entries Added An Audit Trail entry is now created when a facility administrator moves and/or deletes a patient document. To view the new audit trail entry feature, go to either: 1. the View Patient Information screen, click History Items in the Status section. The Message History screen displays. Click Audit Trail on the menu bar to open the View Audit Trail screen. The move and delete document information is listed in the Audit Entry field. 2. the Audit Trail Search screen, on the Main Window menu bar, click Lookup > Audit Trail; the Audit Trail Search screen displays. Enter the search criteria. The search results are displayed at the bottom of the Audit Trail Search screen. Domain Administrator Information Now Available Users can now view the name and contact information for their facility domain administrator in addition to their facility administrator, located on the My Administrator screen. To access the Domain Administrator information: 1. Go to the Main Window, click Help > My Administrator on the menu bar. The My Administrator screen displays. 4
5 New Subject Field on Message Template Facility administrators can now create a message template that includes a subject line and an option to overwrite the subject on existing messages. Once created, a message template is available to users by clicking Template on the menu bar on the Create Message screen. To add a subject and/or overwrite existing subjects on a message template: 1. Go to the Main Window screen, on the menu bar click Setup>Templates. 2. On the Templates screen. click New on the menu bar to create a new template, or click on the template name or description to edit an existing template. 3. Enter the name of the template. 4. Enter the message subject. 5. Check the Overwrite current subject box, if you want to overwrite the existing subject line in a message. 6. Enter text to appear in the message, if needed. 7. Click Save to create or change the template. Download Print Application Screen Updated Users can now easily download the latest version of the ProviderLink Virtual Print Driver from the Download Print Application screen within the Help system. On the download screen, users will select one of two versions of the driver to download depending on how they login to ProviderLink (Covisint Connect and Administration Portal or ProviderLink Support web site/customer Login). To access the download screen: 1. Go to the Main Window screen, on the menu bar click Help. 5
6 2. Select Download Print Application from the drop-down list. 3. The download screen opens in a new window. Additional instructions are included on the screen to help the user determine which version to download, system requirements, installation instructions, and links to download the virtual print driver and installation guide. 6
