4 4 Release Notes LAW PreDiscovery Release Notes September 5, 2012 Version The LAW PreDiscovery Release Notes provide a list of new features, resolved issues, and current issues in LAW PreDiscovery version The current issues may be addressed in an update or other future release of LAW PreDiscovery. On November 7, 2012, LAW PreDiscovery version and Early Data Analyzer version was released. This release contains a number of fixes for issues found in previous releases. Enhancements Enhancements LAW PreDiscovery version No enhancements were added to LAW PreDiscovery version or Early Data Analyzer version Enhancements LAW PreDiscovery version The following enhancements have been added to LAW PreDiscovery version and Early Data Analyzer version : New Features Annotations A "HasAnnotations" field has been added for tracking documents that contain annotations applied in LAW. This field will exist when creating new cases (ED-enabled and non-ed) and will be automatically added to any existing cases when they are opened. 6 6 Release Notes Export Embedded mail stores in Early Data Analyzer (e.g. mail store within a.zip) are now queued (and processed) in the same manner as standalone mail stores in the ED Loader queue. Archive items that pass through filters in an EDA case will now be passed to LAW as individual, top-level items versus the previous behavior of sending the entire archive and its contents. The queuing of export sets is now executed by the EDAnalyzer service, allowing users to continue utilizing the interface during this process. An Early Data Analyzer case may now be exported to more than one LAW case. A lock icon will appear above the Target LAW Case drop-down once an export set has been queued - click the button to unlock the list of cases. The exporter will now check any tagged search requests and re-run them if they are out-of-date prior to queuing the export set. An "Exclude" column has been added to the "Documents tagged with" grid in the Export tab, allowing you to exclude tagged items from the export. If a document is excluded, then its entire family is also excluded regardless of whether or not it is set to include by another tag. The Export Report has been modified to include the "Exclude" tag information. F ilte rs A new type of filter, Custom Hash Filter, has been added within the File Hash filter category (formerly known as NIST (NSRL) Filter category). This filter allows you to build a custom hash list based on a one or more folders of files (e.g. folders included as part of a corporate image) and use it as a filter for incoming documents. OCR In addition to UI enhancements made to the OCR tab, a new exception category has been added (Cannot OCR) to allow the separation of processing errors from other types of exceptions, such as no content recognized or encrypted files. The Exception report has been updated with this new exception category. P assw ords Password support has been extended to Microsoft Word and Microsoft Excel file types. Re portin g A new log, User Audit Log, has been added to the Reports tab. This log will contain a list of actions performed at a case-level with regard to searching, filtering, and tagging LexisNexis, a division of Reed Elsevier Inc. All rights reserved.

7 Enhancements 7 A count of "Pending Items" has been added to the Export Report to show information about records that have been queued but not yet exported. Se arch Search requests are now executed by the EDAnalyzer service, allowing users to continue utilizing the interface during this process. The search count and completed count has been added to the Search tab below the list of saved searches. New status indicators have been added to the Status column in the Search tab, including an "out-of-date" icon to indicate when a search needs to be re-executed due to a filter change. "MessageClass" is now included in the list of available fields for searching. Te xt In de xin g An "Index Management" button has been added to the Search tab. This tool can be used to compact and rebuild selected or all indices for a case as well as view details about the indices. The "Index Status" is now displayed in the status bar in the main user interface. The Compact Index function has been moved into the service, allowing users to continue utilizing the interface during this process ED Loader Extraction of contents from.7z files is now supported. A new setting, "Restrict compound document extraction to PDF portfolios", has been added to the ED Loader Compound Documents settings. This feature will force ED Loader to only expand PDF portfolios and no other types of supported compound documents. The PDF portfolio "wrapper" or parent will now be discarded when documents can be extracted from the file, allowing the parent/attachment relationships of documents with attachments in the portfolio to be preserved. Export A setting has been added to the Text Options in the Formats/Documents tab that can be used to insert a placeholder text file for any exported records without associated OCR, printed, or extracted text.

8 8 Release Notes Image Manipulation The Hole Removal feature in the Image Cleanup batch process has been reimplemented. This image filter can be configured via Scan > Scan Options > Configure Filters > select Hole Removal > Configure. Hole removal is also available at a page-level (Page > Enhance Image). A "Move Page(s)" function has been added to allow the re-ordering of pages in a document. This will extend the moving of pages to images stored in the serialized storage schema, which did not work in previous versions. Moving pages via drag and drop for TIFF documents stored in the multi-page storage schema is still supported. OCR The following languages are now supported for the ABBYY OCR engine: Romanian and Romanian (Moldavia). If additional languages are required that are not present, an updated ABBYY installer is available for download at ABBYYEngine91.exe that contains all available languages. PDF Conversion Native files in a LAW case may now be converted directly to PDF using the "easypdf SDK 7" printer (included with LAW 6.2 full and update installers). This function will use the existing TIFF Conversion license. Both batch and single document PDF conversions are supported. Files with text will be saved as searchable PDFs. *NOTE: Endorsing searchable PDFs will convert the PDF to image-only. If endorsed searchable PDFs are required, the recommended workflow is still convert to TIFF, endorse, and then OCR to PDF. PDF Support Text-based PDFs are now supported for raw image imports, printing (standard batch Print), conversion to TIFF using the Image Printer source application, and viewing within LAW's image viewer. *NOTE: PDF markup existing in a PDF will NOT be displayed in the image viewer in LAW or in the printed output. Scan A "Scan Toolbar" is now accessible from the Scan menu and status bar. 9 Enhancements 9 Text Dictionary The full text index dictionary for a case may now be exported to a.csv file. Click the Dictionary button within the Query Builder to access the Export button for this feature. NOTE: The dictionary may be extremely large, preventing you from opening the CSV in Microsoft Excel. Modifications Administration The Scan for Errors process was falsely detecting gaps in page IDs. The Scan for Errors Find invalid pages process was removing valid pages due to NULL values being present in the PageFilename field. Early Data Analyzer An aly sis/p roce ssin g The file identification engine was updated to version Including in this update is the ability to expand self-extractors for 7z, rar, and zip file types. D ash board The case Dashboard Analysis Status area now displays "Errors / Exceptions" and separates the counts. Export Added 64-bit version of the queuing export set process to improve speed and scalability on 64-bit operating systems. Several enhancements to the Export tab: The "Generate Export Set" button now reads "Queue Export Set". The "Clear Export Set" button has been removed and now exists in the Export Statistics as "Clear All". A "Remove Items" link has also been added for clearing the currently queued set only. The Queue Export Set function can now be cancelled if needed. The Export Progress status bar has been removed and now only shows the completion percentage. Re portin g The file size values in the reports have been changed to <0.00> GB, with a column header of "Size (GB)". Se arch

10 10 Release Notes The state of the existing search terms will no longer change when importing new search terms. Added 64-bit version of the search process to improve speed and scalability on 64bit operating systems. Several enhancements have been made to the Fields and Dictionary dialogs' UI, including dedicated search request areas in each. Taggin g A warning icon will appear if a duplicate tag name is entered in the text box (Case Settings > Tags tab) and the Add button will be disabled until a unique name is entered. When a document is group tagged, and then the tag is removed at a documentlevel, the tag will no longer get re-applied by the export process and can not be reapplied by the user when group tagging. If a date range filter or search with a group tag applied is deleted, and not all of the document tags in the group tag have been written, a prompt to either write the tags, discard the tags, or cancel will appear. Te xt In de xin g The Full Text Indexing section has been removed from the case-level Dashboard tab. See the Text Indexing new features or help file for more information. U se r In te rface Adjustments were made to improve performance when switching between tabs in the UI and opening cases. The "Commit Sources" button on the Import tab has been changed to "Start Analysis". ED Loader The dtsearch engine was updated to version See ReleaseNotes768.html for details. The file identification engine was updated to version Print Acrobat Reader X is now supported when using 'Adobe Acrobat' as the source application for conversions and E-printing. Settings have been added to the Word TIFF/PDF options for the "Reveal hidden text" feature. Fast Mode, optimized for speed, will force all text to black, and background color to white, to reveal hidden text. This setting will not tag documents detected with hidden text. Batch Printing EML files imported using an EDRM import do not render the "To" field during batch EPrint/TIFF/PDF jobs (all previous versions). Native printing/conversion using "Internet Explorer" is significantly slower than previous versions (version only). Early Data Analyzer An aly sis/p roce ssin g Calendar items are not extracted from Lotus Notes NSF files if the All Documents view has a custom formula specified that omits Calendar items (all previous versions).

12 12 Release Notes Messages extracted from Lotus Notes mail stores do not get body content if HTML is the only body format present and it is stored in a 'rawitemdata' node instead of an 'itemdata' node (all previous versions). ED Loader Calendar items are not extracted from Lotus Notes NSF files if the All Documents view has a custom formula specified that omits Calendar items (all previous versions). Inclusive tags (checked) for documents imported from EDA are not searchable and do not render correctly in the grid (version only). Messages extracted from Lotus Notes mail stores do not get body content if HTML is the only body format present and it is stored in a 'rawitemdata' node instead of an 'itemdata' node (all previous versions). The following message classes did not have supported templates for Lotus Notes: Person (Contact), Account, Group, Mailrule. These types were not typically extracted in previous versions, but are now extracted to ensure the extracted item count of the store matches the properties for the mail store that is displayed in Lotus Notes (all previous versions). The following message classes will no longer receive missing body warnings when processing Lotus Notes mail stores: Appointment, Notice, Task, Person, Account, Group, Mailrule (all previous versions). Exports PDF bookmarks are not getting created for child records when merging parents and attachments and using the 'Create bookmarks for grouped documents' PDF Conversion export option (version only). LAWtsi (touch screen interface): LAWtsi does not run properly using the desktop shortcut that was created in versions prior to 6.2. Scanning Changing the scan color mode to color defaults the scan packaging (format) to JPEG. It now defaults to TIFF with JPEG compression to allow scanning of multipage color documents as it did in previous versions (version only). When pressed, the F10 (Simplex) and F11 (Duplex) hot keys change the scan mode to Flatbed. 13 Resolved Issues 13 TIFF Conversion In rare cases due to environmental permissions issues, a batch TIFF conversion may cause a "Save: Unknown Error" message and fail to initiate (version only). Resolved Issues LAW PreDiscovery version The following reported issues have been resolved in LAW PreDiscovery version and Early Data Analyzer version : Deduplication A "Query timeout expired" error was occurring when running the Inter-Case Deduplication utility on large cases (~20M+ records). Early Data Analyzer An aly sis/p roce ssin g Timestamps for Word and Excel that normally should have been ignored (default values added when file properties are accessed) were still being added when processing in any time zone other than PST. Inventory was failing when a source folder contained a large number of files within a single folder (e.g. 200K). D ocu m e n t L au n ch Contents of certain archive formats (.gz,.z. bz2) were failing to launch from within Early Data Analyzer. Top-level files with a long source path were failing to launch. Export A "String or binary data would be truncated" error would occur when exporting from Early Data Analyzer to LAW when a source path exceeded 255 characters. EDA imports cause "key is already associated with an element of this collection" error in some cases. If the "Append case name to case path" option was not selected during LAW case creation, the Early Data Analyzer export would fail to start with an "Unable to open the specified case " error. The Expanded Count (EDA) in the Export Statistics were incorrect when the export set included embedded s and the "Include s in thread" setting was enabled.

14 14 Release Notes H e lp The help file was failing to launch when attempting to launch from within the application. OCR Updated OCR and imaging libraries are included to improve the OCR process for PDF files. The language "Italian" was missing from the list of available languages for the ABBYY engine. A timeout error was occurring when attempting to OCR larger files (e.g. 177 MB). Te xt In de xin g A dependency on Windows Management Instrumentation service was causing the indexing process to fail if this service was not found or inaccessible. ED Loader When rich text formatted MSG files were converted to MHT upon import, the MHT does not display the BCC field. Import sessions with over 1,000 sources would fail to start and a "Failed to load control 'ucprogelement' " error message would appear. An additional space was being inserted in the extracted text for XPS files between italicized and regular words, where the native file only has one space. This was resolved with an updated version of dtsearch. MIME-encoded attachments to s in Lotus Notes mail stores were not being extracted in rare cases. The body content for certain Lotus Notes messages was not being extracted. This was caused in LAW version 6.1. Attachments were failing to extract from EML messages that were originally Lotus Notes messages and later converted. Attachments would fail to extract from loose MSG files if the source file was read-only. These records would receive warnings/errors during the import process. Certain Outlook mail stores would cause the inventory to fail with an "Invalid procedure call or argument" error. PowerPoint files encoded as MIME were being treated as s with body elements extracted as attachments. Certain Excel files would fail to import with the "Detect hidden rows and/or columns for MS Excel files" setting enabled. XPS files were being incorrectly recognized as a Java Archive in some cases. The ED Loader would freeze when importing a document with a long source path (approximately 223 characters or more). An "Object reference not set " error was occurring on a large PDF portfolio (~700MB) when attempting to extract the contents LexisNexis, a division of Reed Elsevier Inc. All rights reserved.

15 Resolved Issues 15 VCF files were being recognized as text files when using the "Auto-assign suspect extensions" option. Exports Unicode content was not displayed properly when embedding text in an EDRM XML load file. The state of the "Enable logging" setting was not being retained in export profiles. The maximum length of characters for string fields is now specified in the CaseLogistix load file, preventing issues during import into the application. The token was always displaying a full path in the load file instead of a relative path to match the native document entries. An overflow error would occur when exporting an image over 32,768 pages. This has been corrected for Concordance, Concordance Direct (DCB), and Summation. Exporting to multi-page PDF with bookmarks using Combine parents/attachments would fail. Attachment records exported with the Combine parents/attachments setting enabled were failing to export if their parent records were not included. Imports Barcodes were not being captured in a field when the option was enabled during a raw image import. The file type database was being initialized unnecessarily for every document during EDRM imports, resulting in slower than expected import speeds. An issue was also corrected that caused the global file type management database (located in %LAW% \EDLoader folder) to be used instead of a case-level copy that will exist if any distributed imports have been run on a case. Licensing LAW would report the Scan Gold license was not available when using the "Any Available License" checkout. OCR The contents of the OCR Region did not match the image for Unicode documents. Reporting A "Subscript out of range" error was occurring when running the full text search report on large cases (~15M+ records). Search Saved searches failed to run if system date format is set to a non-us format (e.g. "dd/ MM/yyyy").

16 16 Release Notes Text Indexing A change in version of the software forced Unicode s to be indexed as UTF8, resulting in words in the index for s with Unicode (or in some cases, extended ANSI characters) to be indexed incorrectly. TIFF Conversion Added "This printer is currently set to black and white mode " message to msgkiller to prevent the message box from halting the conversion process in rare cases when a source application may change the color output mode of the printer. Password-protected PDFs would fail to open when specifying the correct password if the password contained an exclamation point. Unusually large HTML files (1000+ pages) converted to TIFF with the "Internet Explorer" source application may get saved to a subsequent document if a timeout is caused in the print server. Note: This does not occur if the alternate HTML rendering option is enabled or "Microsoft Word" is used for conversion. Early Data Analyzer An aly sis/p roce ssin g: 7zip processing is much slower than the current archive processing due to limitations of the toolkit used for extraction. This issue will be addressed in a future release. Export: Inclusive tags created during Early Data Analyzer imports into LAW PreDiscovery are not searchable and no checkbox is present in the grid view in LAW PreDiscovery. A patch to resolve this issue will be available soon. If you have already imported data into LAW PreDiscovery from Early Data Analyzer with , the following run command can be used to correct the underlying tag values: patches/6246/correct%20eda%20tags.zip. ED Loader: 7zip processing is much slower than the current archive processing due to limitations of the toolkit used for extraction. This issue will be addressed in a future release of LAW PreDiscovery. Version Only - ED Loader fails to capture file system timestamps, when applicable, during electronic discovery imports. The following index fields are not populated and no warning is logged: DateCreated / TimeCreated DateLastMod / TimeLastMod DateLastAccessed / TimeLastAccessed Please note, there is no issue with the capture of internal timestamps (for files that contain them), which take precedence over the system timestamps during the metadata extraction process. Examples of files that may contain internal timestamps are Microsoft Word documents and Adobe PDF files. This issue only occurs in version It does not occur in LAW PreDiscovery or earlier versions of the software. A patch to resolve this issue will be available soon.

LAWtsi (touch screen interface): Resolved in version As of LAW PreDiscovery version 6.2, the LAWtsi application should be launched using the LAWtsi.exe in the \Law50\TSI folder. However, the desktop shortcut for LAWtsi, created in previous installations of LAW PreDiscovery, points to the LAWtsi.exe in the \Law50 folder. The application will not run properly from this location. Run the LAWtsi.exe from the updated location. The next version of LAW PreDiscovery will update the desktop shortcut, if it exists, to the new location. PDF Support: The PDF conversion process may fail on certain Microsoft Office documents on supported 64-bit operating systems (Windows 7 and Windows Server 2008 R2) with 32-bit Office Currently, the workaround is to run the conversion using an alternate system configuration (32- or 64-bit operating system with Office 2007 or 32-bit operating system with Office 2010). Searchable PDFs are converted to image-only PDF files upon endorsing in LAW PreDiscovery. If you endorse the searchable PDFs, they are converted to image-only PDFs. If endorsed searchable PDFs are required, the recommended workflow is still convert to TIFF, endorse, and then OCR to PDF. Markup (e.g., comments, arrows, lines) existing in (raw image) imported PDFs will not be viewable in the LAW PreDiscovery image viewer and will not appear in the output when printed. As an alternative, the PDFs can be imported using ED Loader and, if needed, converted to TIFF or PDF. Printing: Native printing/conversion using Microsoft Internet Explorer is significantly slower than it was in the previous version of LAW PreDiscovery (version 6.1) LexisNexis, a division of Reed Elsevier Inc. 19 Current Issues 19 A patch to resolve this issue will be available soon. If feasible, consider using Microsoft Word as an alternate print source. Scanning: The File Type scanner output value may become stuck (cannot be changed from dropdown list) in certain scenarios when using the scan toolbar. Close and re-open the scan toolbar to resolve the issue. LAW will close unexpectedly when the Edit > Insert > Scanned Document function is selected if a scanner is not configured in LAW. Ensure a scanner is properly configured in LAW prior to accessing this scan function. Resolved in version When pressed, the F10 (Simplex) and F11 (Duplex) hot keys change the scan mode to Flatbed. The scan mode can be changed via the task bar at the bottom of the main interface, using the Scan Toolbar, or by clicking Scan > Scan Options.
