1 New CallAhead Setup Version : Available with v1.43 Are you brand new to CallAhead? Is your database hosted by Marathon? If so, those who are hosted on our servers will be able to follow the steps below to enable the CallAhead module. Or are you Self Hosted? Those on their own server will need to contact our Sales Department to switch over to the new CallAhead module. Are you switching from the older version of CallAhead? If so, please contact our Sales Department to switch you to the new CallAhead module. Steps for Setting up the New CallAhead Module: 1. Go to Company > CallAhead Setup. Only those users that have the access right Purchasing Rights in the Access Template will be able to see this option.
2 2. Pick your Time Zone : Click on the blue Manage Timezones link to set the timezone of each of your physical branch offices. This is the same screen you would get as if you went to Tools > Timezone Manager. CallAhead uses the order s branch s time zone when figuring out what time to send the calls out. 3a. Choose your Call Window : Enter an acceptable time window for making scheduled calls or sending out texts. It will still allow you to Send Calls Now even if it is outside of the time range you enter here. However, if you schedule calls outside of this time window, they will not be sent.
3 3b. Enter an External URL: If you host the software on your own server you will also see an External URL field in this window. Please verify that this is the URL you would use to access the software OUTSIDE of your internal network. 4. Create a CallAhead Account : This sets up the account which is used by our Accounting Department to keep track of the number of minutes/texts that are used each month. You must enter your name and date to accept terms and conditions before proceeding.
4 5. Verify or Acquire a Phone Number : This is the number that will be on the CallerID when notification calls are sent out. After you click Choose, enter the phone number that you d like to verify including any extension that needs to be dialed before you will reach a live person. If you do need to enter an extension, typically you have to wait a few seconds for the automated system to prompt you to dial the extension. Enter the number of seconds to wait prior to dialing the extension.
5 Click Verify and it will bring back a verification code that must be entered by the person who answers the phone number you are verifying. Your screen will automatically refresh to show the verified number once the code is entered Click on Select to choose that phone number as your default company wide number. Be sure to always click on the Test link prior to using any of these numbers
6 You can always enter an area code and acquire a new number instead of verifying an existing phone number. 6. Provision an SMS Number : This is the phone number your text messages will come from. You cannot use an existing phone number, this must be a newly acquired phone number. Type in the local area code you would like the number to have and click Acquire New Number. This will automatically find a new phone number in that area code to use. If a number in your desired area code is not available, you may have to wait a day or two until one becomes available. Click Select to choose that number as the default company wide number for SMS messages Remember to click on the Test link to test this number as well. 7. Set up Branch Specific Numbers : Use this section to either acquire a new number or verify an existing calling/sms number for each branch. This is optional. The company wide default numbers will default for all branches. You can verify a new voice number for each branch or leave this default. Same for SMS, the company wide will default, or you can acquire a new number for one or more branches. Click the Choose link and you will see all pool of all previously verified and acquired phone numbers to choose from. These are available to use for each branch. Click Select to choose a number for that branch.
7 8. Set up Sub Accounts for Each Branch : This only has to be done if you require that Marathon send separate bills for each of your branch offices.
