1 Technology Resources Getting Started With SISD TECHNOLOGY Technology Resources are defined as the District s network, servers, computer workstations, telephones, peripherals, applications, databases, library catalog, online resources, Internet access, e mail, online class activities and any other technology designated for use by the District for users. The District monitors access to, and use of, the network. Employees are responsible at all times for their use of the resources. All electronic data, documents, and messages residing within any component of the SISD network are considered the property of the District. In other words, if the District buys it, provides it and supports it, it belongs to the District. District Credentials Your SISD username and password are used to log on to District devices. Credentials are assigned to users based on their job description and District assignments. Logging on provides you with access to network resources such as My Documents and shared folders as well as other services. First Time Log In Log Into the Sville Domain At the Login Window; in the Username textbox, enter your firstname.lastname. In the Password textbox, enter your social security number without dashes. At the prompt change your password. These are your District Credentials. Setting Up Your Phone Pick up the receiver of your phone and press the Message button. The default password: 1397 You will be welcomed to the system and asked to add your recorded name, personal greeting, and to change your password. A suggested greeting is as follows: You have reached the voice mailbox of (your name). I am currently teaching my class and will be unable to take your call at this time. Please leave your name, a brief message, and a number where you may be reached and I will return your call as soon as I am able. Thank you. To reach your extension from outside the district, use the prefix 552. If you need more specific instructions, see the Tutorial section of the Technology Webpage. Password Guidelines All users of the District s network must use passwords that are unique and not easily guessed. Passwords should not be easily accessible to others or stored near the computer. Password guidelines are as follows: Minimum of 8 characters in length Alphanumeric and special characters

2 KEEPING YOU CONNECTED SISD Exchange is the system and Outlook is the client currently used by SISD. Staff accounts are property of SISD. not private. actively monitored and accessible by District officials. categorized as public records. State and federal open records laws are designed to guarantee that the public has access to public records of governmental bodies including public education. School districts may be required to produce all pertinent messages as part of a formal Open Records process. Additionally, school districts are required to produce messages related to any part of the ediscovery process in any related federal lawsuit. Users should use the Microsoft Outlook program when logged into the network. SISD offers a web mail option for accessing when away from the District. This link is located under the quick link section of the District home page. To open District web mail users should log in using their regular District credentials. Personal accounts such as Gmail or Yahoo mail follow the same disclosures as stated above if accessed using the District s network. Employees should limit the use of the District s Exchange system to correspondence that supports the instructional/ educational mission of the District. LYNC LYNC is the internal messaging system used by SISD. Log in with your District Credentials. Messaging through Lync falls under the same protocols as . Securing Your Workstation Leaving a computer unsecured exposes sensitive information such as , grades, student, financial, and employee data to theft and/or alteration. Therefore, all employees should manually lock their workstation whenever leaving it unattended. Press Ctrl + Alt + Delete and select Lock Workstation. NOTE: Never share your password(s) with any other user. End of the Work Day Employees should log off at the end of the work day and leave computers running. SISD pushes updates during the night. Updates may cause the computer to reboot so users should not leave documents or programs open. Users risk having files lost or corrupted if left open and active. Employee Address firstname.lastname@sville.us Network Drives There is space on the network that is reserved for your work related documents. Once logged on to the network, you have access to the drive(s) allocated for your position. It is a Best Practice to save documents to your network drives and not the (C:) drive on your computer. The benefit of saving your files to the network is that if your computer crashes or a fatal error occurs, you will not lose documents saved to the network because they are backed up nightly and the files may be accessed from any district computer. My Documents > My Documents is only accessible to the individual to house personal work related documents. Users can create folders within My Documents to help organize your documents. All employees have a My Documents folder. Shared Network Drives > Campuses and departments within SISD have a shared network drive(x) with folders that are accessible to employees who work within that campus or department. The documents saved to the share drive should not be confidential in nature. WARNING, the documents on the shared drive(s) can be viewed, modified or deleted by anyone who has access to the drive.

Stephenville ISD web pages provide access to various programs and services from any remote location. Every campus subscribes to specific software and/or web based programming and may/may not be available beyond the network. Aesop Aesop is the automated system for absence management and substitute placement. Aesop may be accessed through the Quick Links on the district homepage. Users receive an with your username and password. Skyward SISD uses Skyward finance and student accounting modules. All employees have access to Skyward s Employee Access portal for online access to various HR and payroll accounting records. Professional staff members assigned to teaching positions also have access the Skyward Gradebook module. Follow the link to Skyward under STAFF on the District homepage. Skyward Gradebook The first time login for is firstname.lastname with password sville. Select a new password at the change your password prompt. Skyward Employee Access Users will receive an with your personal log in and password generated by the program. Any employee experiencing difficulty with Employee Access should contact the SISD finance department. Eduphoria Eduphoria is a web based program used by SISD for technology work orders (HelpDesk), document storage/online forms (Formspace), and PDAS. The link to Eduphoria is under STAFF on the District homepage. Log in using your District Credentials. OnCourse OnCourse is SISD s online lesson planner. Teacher webpages are also created in this program. Teachers will receive campus specific procedures from their principal/designee with regard to submitting, updating, etc. The link to the lesson planner is under STAFF on the District homepage. The default log in is firstname.lastname and the password is sville. Log in and reset your password. My Big Campus (MBC) My Big Campus is a site that allows students to explore the educational benefits of social networking, online searches, closed messaging, and other online tools behind the safety of Stephenville ISD Internet filters. All staff members and students have accounts automatically created through their SISD network profile. Access MBC from the STAFF section of any District/ campus web page. Choose your campus and log in using District credentials. Note: All District and campus locations begin with the word Stephenville.

4 PROVIDING MORE SERVICES Discovery Education SISD has a subscription with Discovery Education through the Education Service Center, Region XI. This site has numerous videos and other instructional resources. SISD staff and students are assigned rights and privileges through policies associated with their distinct role within the District. Students have more limited rights to Internet programs and searches than professional staff. Employees user names and passwords should be protected and secured at all times. Users are responsible for the security of their respective user names and passwords to protect themselves from abuse or other harmful consequences. Checking Out District Equipment SISD provides a variety of equipment for check out to support instructional programming; Digital and digital video cameras, LCD projectors, laptop computers, FLIP video cameras, and speakers. Employees may request these devices for use with projects, presentations, workshops, and conferences. Contact the SISD Technology Office for availability and terms of use.
