3 I. Lgging In: Lgin t Enter emplyment address Enter Passwrd (prvided by Wise, unless user changed it) II. Wisexfer.cm Navigatin Menu Patient List The patient list will ppulate upn lgin. Lcate a patient using ne f the fllwing methds: Click the letter f the patient s last name in the alphabet list. Lcate the patient Select the view buttn t view patient infrmatin. Enter the first r last name int the Search bx. A drp list is generated based n the characters entered. Select a name frm the list t view the patient infrmatin. Enter the patient s identificatin number (electrnic medical recrd number) int the search bar. Enter the numeric prtin nly, minus any alpha characters. Matching entry will be display, click the name t view the patient infrmatin. Selecting a patient will prvide access t the Patient and Rcpia tabs. The Patient tab displays the patient demgraphics The fllwing is prvided dependent n hspice EMR interface: Medicatins: Pending - is default view displays medicatin rders frm the last 7 days that have nt been filled. Filled All medicatins (rder and prfile) that have been filled. All lists all medicatins (n filters). NOTE: If a checkbx is displayed next t the med name check it t send the prper verbiage t the pharmacy stating the med is Hspice Related. Allergies Diagnsis Sync with DrFirst: If infrmatin is nt available in DrFirst, click this buttn and the sync feature refreshes the data. The Rcpia tab prvides access t the e-prescribing system fr the hspice patient. Page 3

4 Medicatin Orders Infrmatin will be displayed if a medicatin interface is in place between the hspice EMR and Wise. Prvides a list f medicatin rders received frm the EMR fr the last 4 days. Buttns are available t hide/shw filled rders and remved rders. Filters available by Team r Dctr. If lgged in as a prvider, display is defaulted t yur rders If lgged in as a Clinician, select the desired Team r Dctr. Once prescriptin has been cmpleted in Rcpia yu can click n the remve buttn t hide any rders that have been addressed. Prvider can launch Rcpia t create a prescriptin by clicking the patient name. Rcpia Use t access e-prescribing sftware withut ging thrugh a specific patient s accunt. E-prescribing Accessing Rcpia t e-prescribe fr a hspice patient Frm the patient demgraphics page in wisexfer.cm: Click the Rcpia tab, which links yu t the e-prescribing sftware fr that specific patient. 5 The Patient Summary screen will display. This serves as the patient s hmepage. It huses the patient demgraphics, medicatins, allergies, prblems /diagnsis, and medicatins. **Nte: If a yellw exclamatin pint is lcated t the right f the Patient Name (see example belw), this indicates the patient demgraphic infrmatin in yur system differs frm the infrmatin fund in the PBM file. N Actin is necessary, but yu can click the symbl and it will allw yu t accept the inf displayed as crrect and the symbl will n lnger display.** Chsing a Pharmacy If this is the first erx fr the patient r if the default pharmacy needs t be changed, click the [Change] link There are three ways t add a pharmacy t a patient s prfile: Favrites List: cntains nly the pharmacies the user has previusly selected t be in their favrites list. Practice List: cntains nly the pharmacies lcated in the first three numbers f the practice s zip cde and thse that have been added t the practice favrites. All List: cntains all available pharmacies in the Rcpia database. Enter the search criteria fr the pharmacy The less infrmatin entered the mre successful the results will be Page 5

6 Click Find. Once the desired pharmacy is lcated click n the pharmacy name t attach it t the patient s recrd. 24 indicates the pharmacy is pen 24 hurs a day (E) indicates the pharmacy accepts electrnic prescriptins (C) indicates they accept cntrlled substance prescriptins electrnically. Other designatins are available in the legend n the webpage If having prblems lcating a knwn pharmacy, cnsider the fllwing: If the pharmacy name has hyphens r apstrphes, enter characters up t that pint. If entire state r large city is used, the pharmacy list will display multiple pages f retail and mail rder pharmacies, be sure t lk fr Next link belw list n right side f list t access subsequent pages. Prescribe a medicatin frm the Medicatin List Click Prescribe (next t patient s name) If the patient has an active medicatin, prceed with this step. If this is a new medicatin, r if the medicatin was saved t a grup practice favrites list, prceed t the next steps (See Using the Favrites List n page 7. This methd can nly be used if the patient has an active medicatin. Find the desired medicatin in the patient s active medicatin list n the Patient Summary screen. Renew: allws the prescriptin t be sent exactly as previusly input int the system. Once clicked, the erx will appear in the pending prescriptins. Yu will NOT be taken t the Enter details screen. Prescribe: displays the Enter details screen s mdificatin can be made t the prescriptin (sig, duratin, quantity, refills, pharmacy, etc.) Stp: allws a stp date fr the medicatin. Prmpts fr a reasn fr stpping the med. Medicatin Histry is: If the Medicatin Histry has nt yet been btained frm the primary insurance cmpany/frmulary, the Unknwn r Incmplete ptin will be selected by default; which will be the case fr us, since we are nt using the Frmulary at this time. If the meds listed has been synchrnized with the selected Frmulary then the Cmplete buttn will be selected. Page 6

7 Prescribing a New Medicatin Enter the first several letters f the drug in the Prescribe a Medicatin bx: Click Find. A list f matching entries will display, multiple pages may be available dented by the Mre link at the bttm f the list. Lcate the desired frm and strength in the list. Brand names are capitalized. Generics are listed in all lwercase. Page 7

8 OTC next t the strength indicates the med des nt require a prescriptin. Schedule xx dentes a cntrlled substance. Click n the drug frm/strength t cntinue t the Enter details screen t create the prescriptin. Warnings may display Warning may be allergy alerts, drug t drug interactins r age alerts. Review any alerts prvided, click Cancel if apprpriate Click Prescribe Anyway t cntinue with prescriptin. The Details frm will display Nurses will need t select the apprpriate prvider If pharmacy needs t be changed fr this prescriptin nly, a different pharmacy can be selected here using the [Change] link withut changing the patient s default pharmacy. Select sig frm drp lists, if desired selectins are nt available; enter sig in Directins t Patient. Maximum Daily Dse may be required fr cntrlled substances Page 8

9 Only enter Duratin if a specific date is knwn when the patient will n lnger take the med. If Duratin is entered, the medicatin will be autmatically remved frm the patient s Active Medicatins nce the date has passed. 10 Creating a Favrite The easiest way t create a favrite is while yu are writing an erx: Click the [Prescribe] link next t the patients name Enter the first several letters f the drug in the Prescribe a Medicatin bx: Click Find. Click t select a med frm the medicatin list Enter the Sig infrmatin in the Details frm Click Cntinue In the Review f the Prescriptin screen, click the Add t Favrites buttn Page 10

11 Click Create and the prescriptin will be added t yur favrites list. Name yu can click and drag t select the name and rename the favrite by whatever name yu prefer Click Create. Using the Favrites List Select the medicatin yu intend t prescribe and then click Use. *Nte: D nt select the View/Edit buttn which will result in a mdificatin f the favrites list. If yu wish t make a ne-time mdificatin, please click Use and then make the change in the pending prescriptins area (see belw). Yu have the ability t chse Prescribe Anyway when warnings are received. Yu will receive a cnfirmatin message that the prescriptin was created (see), and the prescriptin will autmatically be sent t the prescribing physician s pending prescriptins queue. Page 11

12 Wrking with Prescriptin Reprts (pending prescriptins) View the pending prescriptin Click the Prescriptin Reprt in the header bar. Nurses/Prviders make ne-time mdificatins t the prescriptin Prviders sign and send the prescriptin t the pharmacy, The Prescriptin Reprt Search Criteria will display: Prvider defaults t view erx frm all prviders, use drp list t narrw results Patient: Select All Patients r Current t display desired results Status: Pending status is selected by default; click ther ptins t display desired results. If Cmpleted ptin is selected, date bundaries will display. Select the desired dates. Drug Type: Defaults t displaying bth scheduled and nn-scheduled drugs Once desired ptins have been selected click Display Reprt. Page 12

13 T mdify the prescriptin Click Mdify in the Actins list next t the prescriptin. The Sig bx will display, make desired changes. If the ptin(s) yu want are nt present in the sig, yu shuld free text the instructins in the Directins t Pharmacist and Directins t Patient sectins. Whatever is entered in Directins t Patient will shw n the prescriptin label n the bttle. Click Cntinue Review f Prescriptin screen will display Click OK Page 13

14 Prviders signing and sending the prescriptin If prescriptin is nt fr a cntrlled substance, the 1 st step authenticatin is all that is needed t send the prescriptin t the pharmacy: 1. Review the prescriptins. 2. Select the Serial # checkbx fr the desired prescriptin(s). 3. Enter yur signature passwrd (passwrd prvided t yu) 4. Click Send If the erx was fr a cntrlled substance, cmplete the 2 nd level f authenticatin: Select the checkbx fr the medicatin Ensure the crrect device is selected frm yur tken list Enter signing passphrase (this is the passwrd yu created during the identity prfing/nbarding prcess) Enter Tken PIN (this rtates t a new PIN every 30 secnds) Once signing passphrase and tken PIN have been entered, the Sign and Send ptin will becme active and can be clicked. Select Tken (hard r sft tken) Signing Passphrase Tken PIN Page 14

15 Signing Multiple Prescriptins at Once In Rcpia, Click Prescriptin Reprt Rcpia User Manual Select yur name under the Prvider drp dwn Select the All Patients radi buttn Select the Pending prescriptins radi buttn Click Display Reprt All the pending prescriptins will then be listed and yu can select the serial # checkbxes, enter yur signature passwrd, and send. If any were fr cntrlled substances, it will display the EPCS validatin screen. Select the med check bxes Use the drp list t select the desired tken Enter yur signing passphrase (yu created it during yur EPCS nbarding prcess) Enter the OTP (ne-time tken pin) Click Sign and Send NOTE: if there were cntrlled substance prescriptins fr multiple patients, each patient will be displayed with their cntrlled erx s; yu ll need t select tken, enter signing passphrase and OTP fr each patient independently. Once a patient s erx s have been sent, EPCS will autmatically display the next patient s meds t sign and send. Yu shuld be returned t the patient summary screen and a message shuld display stating the prescriptins were sent. Page 15

16 E-prescribing fr nn-wise patients (i.e. palliative care patients) Click n the Rcpia link, in the Navigatin Menu lcated alng the tp in wisexfer. The Select Patient screen will be displayed Click Add New Patient Yu will be instructed t enter the data fr the new patient. Required fields are in red, and the blded items here are required fr EPCS: First Name City Hme Phne Last Name State Date f Birth Address Zip Sex Yu can enter as much infrmatin as yu have available. Click Submit Patient Data Scrll back t the tp f the page, yur new patient s infrmatin will appear in the Patient Demgraphic Infrmatin sectin. Next, under Patient Advisr, yu will fill ut Active/Current Allergies r Indicate N Knwn Drug Allergies (NKDA) by clicking n it. If an allergy r any demgraphics need altered at a later date, click n Change Demgraphics which is t the right f the patient s name. Yu will nw fill ut the Pharmacy data, by clicking n Change t the right f the Pharmacy field. Enter as little pharmacy infrmatin as pssible (i.e.: Nate s Specialty Pharmacy just enter Nate, twn, state) Click Find Chse the pharmacy by clicking n the name f the apprpriate pharmacy. Yu will nw cntinue by clicking n Prescribe, which is t the right f the patient s name, as yu wuld a regular hspice patient. *Be sure the custm Pharmacist ntes fr Hspice Billing with BIN, PCN and Grup Number is nt included in the prescriptin infrmatin fr these nn-hspice patients. T find this patient quickly in the future: Click the Select Patient link in the header Enter the patient s last name in the search bx and click Find. Lcate the desired patient frm the list returned and click n their name t display the patient summary page. Page 16

17 Renewal Requests frm Pharmacy Smetimes yu may receive renewal requests frm the pharmacy. The request message will be displayed as shwn belw. Click n the renewal request link. The renewal infrmatin will display: All the requests are displayed, yu may chse t view the requests fr a particular prvider by using the View Messages fr drp bx at the tp f the messages bx. Page 17

18 Select the desired actin (deny, change, renew w/refill ptins, remve) Select any Phamacist Ntes t include (range f entries fr patient t call prvider, n lnger prviding care fr patient, etc) Click Pefrm - renewal request will be remved frm display. NOTE: The renewal requests may be turned ff fr yur practice. If yu wuld like the requests turned ff fr all prviders, send an t DrFirst@wisep.cm. T Return t Wisexfer Hmepage Click the Patient List link in the Navigatin Menu n the tp f the page t return t wisexfer at any time. IV. Trubleshting Unable t lgin- Being redirected t lgin screen when trying t lgin If yu are trying t lgin t the Wisexfer website, and the lgin screen cntinually displays: Click the arrw beside yur lgin inf (right side f screen) and chse Lg Out. Attempt lgin again. This shuld reset the settings and allw yu t lgin and cntinue withut issue. Page 18

19 Unable t access Wisexfer site If yu use Internet Explrer t e-prescribe n yur virtual private netwrk (VPN), but try t send scripts frm a different netwrk, IE will prduce errrs when trying t e-prescribe. Please lg in t yur VPN t send scripts. Null Value Errr If the client states they are getting a null value errr, regardless f the number prvided with the errr, the prblem is the prvider s cache/brwsing histry needs t be cleared. The prvider can try 2 things: 1. Rebt the cmputer- this may nt clear the histry entirely s if null value errr persists, have the prvider try ptin Clear the brwser histry manually: a. Internet Explrer: i. Click the Tls buttn, Rest n the Safety Menu, click Delete Brwsing Histry Check Temprary Internet Files Check Ckies Click Delete b. Mzilla Firefx: c. Ggle Chrme: ii. Click Menu buttn (3 hrizntal lines n far right side f address bar) iii. Chse Histry iv. Click Clear Recent Histry v. Click Menu buttn (3 vertical dts n far right side f address bar) vi. Chse Histry vii. Click Clear Brwsing Data viii. Pp-up will display with items t clear Page 19

Click Clear brwsing data Sessin Time Out errr message When attempting t sign prescriptins n the 2 nd level authenticatin fr EPCS a message is received, Cntrlled Substance Prescriptin Signing Screen Sessin timed ut. Please return t yur e-prescribing applicatin and re-submit yur rder. This is related t using Internet Explrer; please have them cntact their IT department t ensure IE ptins are prperly set. Wrkarund t slve issue, use either Ggle Chrme r Mzilla Firefx. Unable t sign & send 2 nd level authenticatin fr EPCS If using Internet Explrer, if security settings have nt been mdified it will nt activate the Sign and Send ptin. Have them cntact their IT department t ensure IE ptins are prperly set. Wrkarund t slve issue, use either Ggle Chrme r Mzilla Firefx. Make sure yu are lgged int yur hspice virtual private netwrk (VPN) if applicable. Unable t change a prvider fr a prescriptin fr a patient When using a favrite prescriptin r creating a new prescriptin fr a patient, it cntinues t assign the erx t a specific prvider. A Respnsible Prvider has mst likely been selected inadvertently fr the patient. Please click the [Change Demgraphics] link beside the patient name. Lcate the Respnsible Prvider Drp List lcated tward the bttm f the frm Select the blank ptin. Click Submit Patient Data. Yu shuld nw be able t select the desired prvider. Page 20

22 Truble signing and sending a prescriptin, r truble activating a physician by the administratr: Recmmendatin: 1) Add *ui.epcsdrfirst.cm as trusted site 2) Add *ui.epcsdrfirst.cm t the firewall 3) Make sure brwser is allwing third party ckies frm DrFirst 4) If prxy server is used make sure the time ut setting is at least 5 minutes. Sending multiple prescriptins at nce Sending multiple nn-cntrlled substances at nce frm the pending prescriptins list: Frm the pending prescriptin list, up t 10 nn-cntrlled substances can be sent t the pharmacy at ne time. After the first 10 are signed and sent, the prvider will be returned t the pending prescriptins list t sign and send any remaining prescriptins. Sending EPCS fr multiple patients frm the pending prescriptins list: When the selected prescriptins frm the pending list cntain EPCS fr multiple patients, DrFirst will display the 2 nd level authenticatin prmpts fr nly ne patient at a time. Once the signing passphrase and OTP cde has been entered and Sign and Send is selected, DrFirst will autmatically guide the prvider t the next patient name n the list t sign/send. (As with nn-cntrlled substances, up t 10 EPCS are allwed fr a single patient). After sign-ff fr all EPCS patients have been cmpleted, the user will be returned t the pending prescriptins list. The OTP (ne time pin) numerical cde n the tken is nly valid fr ne sign/send actin; if a prvider is signing fr multiple patients, a new tken pin is required fr each patient signff. With a hard tken, the prvider has t wait 30 secnds fr a pin refresh. Hwever, with the smartphne sft tken app a new pin can be frced befre 30 secnds is cmplete by clsing and pening the app. Page 22

23 When clicking the Cntinue buttn t cmplete my erx, nthing happens. This issue has been reprted when using Mzilla Firefx, adding t the trusted sites has crrected the prblem. Perfrm the fllwing steps: First, pen Firefx and click n the hamburger (3-line) menu at tp right (see the arrw belw): Click Optins (see arrw): Click Security Page 23

24 Click Exceptins Under Address f Website enter Click Save Changes Trying t send an erx t a pharmacy ther than the patients default pharmacy When the sig frm is displayed, click the Change link t select the pharmacy fr the current erx. Enter/review the sig as usual When the erx is created, the pharmacy will nly be updated fr the current med. Page 24

25 I m receiving a Red Alert Warning when trying t send an EPCS. DrFirst has implemented a new Red Alert Warning message if the same device is being used t e- prescribe AND as a tken. Fr example: if a prvider is using the sft tken app n the same smartphne being used t write an e-prescriptin. **The DEA prefers the tken and website t be accessed frm 2 separate devices, hence the warning. DrFirst has stated that it is allwable fr ne device t be used, althugh it is preferable t use 2 separate devices- ne as a tken, and ne t write the e-prescriptin (fr example, a cmbinatin f tablet and smartphne, r pc and smartphne, etc.)** I m receiving the errr, "A prescriptin with the same prescriptin id was already submitted t EPCS. Please use a different prescriptin id.", when trying t sign an EPCS. This errr is received if a prir attempt was made t sign and send the erx and a transmissin errr ccurred. Unfrtunately, the current prescriptin will need t be re-created. Delete the erred prescriptin. I m receiving the errr in the 2 nd level f authenticatin "Patient State Required fr Cntrlled Substance Prescriptins." This errr is received if the pharmacy initiated a renewal fr a cntrlled substance. Renewal requests cannt cme frm the pharmacy. Delete the renewal request Generate a new script Assigning Pharmacy after a prescriptin was created Althugh when creating a script the user is prmpted t assign a pharmacy, ne des nt have t be assigned fr the prescriptin t be generated. Hwever, if a pharmacy is nt assigned when the prvider attempts t sign and send the prescriptin, an errr will be received requiring the patient recrd t be accessed and a pharmacy assigned. Click [Change] and select a Pharmacy. Page 25

26 Undeliverable message n sent prescriptin The pharmacy has 1 hur t acknwledge receipt f cntrlled substance prescriptin. If an acknwledgement is nt received, the prescriptin will be marked as undeliverable. If the pharmacy if clsed when the erx is received the message will als be marked undeliverable. The pharmacy will verify the message when it pens (hwever the undeliverable message will still display). Once a message has been cnfirmed by the pharmacy, the Acknwledge link shuld be selected fr that erx, s the prescriptin will be remved frm the Undelivered Reprt. (Detailed instructins are prvided under Hw t remve Undeliverable Message). **DrFirst recmmends the prvider r designee cntacts pharmacy t cnfirm receipt. User can als track prescriptin status by using the Prescriptin Reprt link in the header sectin; Narrw results in the Prescriptin Reprt sectin by selecting Prvider, All patients, status f Undeliverable and desired date range. A list f any Undeliverable prescriptins will display; click the signed and sent link and windw will display with prescriptin infrmatin, bttm f display will include lg f when the script was created thrugh delivery. Hw t remve Undeliverable message: If Dr. First des nt receive cnfirmatin that a prescriptin has been delivered t a pharmacy within 1 hur f the delivery f the erx, it is marked as UNDELIVERABLE. This message will remain until the undeliverable message has been acknwledged. If yu have any messages marked as undeliverable when yu access Rcpia, yu will see the fllwing message: Click the [View Undeliverable Prescriptins] link and any undeliverable messages will display. Click the signed, sent link at arrw belw: Page 26

27 This will display the electrnic message detailing the tracking infrmatin f the prescriptin as shwn belw: If the prescriptin was cmpleted and verified, clse windw and click ACKNOWLEDGE link n far right side t remve frm undeliverable errrs reprt If it was nt verified, clse windw and click ACKNOWLEDGE link n far right t remve frm undeliverable errrs reprt, pharmacy will need t be cntacted t see if erx was received r if the erx needs t be Resent. This indicates DrFirst des nt recgnize the allergy; yu can search fr a matching entry frm the list. If nne is fund, this allergy will nt be used t determine any interactins. A yellw triangle with an exclamatin mark is displayed beside a med in a patient s med list. This indicates the NDC received frm the medicatin rder was an ld NDC and DrFirst replaced this with a med having a current NDC. If yu click n the icn, it will tell yu the name f the med DrFirst chse. Yu need t determine whether the drug it was replaced with is the same as what yu requested. If s, n actin is needed.
