2 GPS/GIS Incident Log Introduction The Incident Log Module allows you to track when and where happenings such as Chemical Applications, Irrigation Repairs, Grounds Work, and Vandalism occur. The Incident Log will also allow you to mark occurrences on scanned drawings, blueprints, photographs or AutoCad DXF files so you may view patterns and distinguish problem areas. Happenings may be manually entered into the Incident Log or information may be captured from Work Orders and Chemical Applications. If a checkmark was placed by Incident Logging on the Software Options Tab in the System Utilities - Software Registration & Configuration, you will be given to the opportunity to Log Incidents when saving Work Orders and Chemical Applications. 2 GPS/GIS Incident Log
3 Incident Browse Table The Incident Browse Table displays a list of Incident Dates, Descriptions, Activity Codes and Activity Descriptions for all Incidents that have been logged. On screen controls permit you to browse through the file by Date, Incident Description or Project/Labor Activity in either ascending or descending sequence. If GPS Longitude and Latitude coordinates have been entered, use the location on Google Maps. tool to display the Incident Inquiry Icon is available for quick lookup of incident history. A Horizontal Scroll Bar at the bottom of the Incident Browse Table allows you to view additional Incident information. Menu and Toolbar Functions provide access to the following procedures and reports: PROCEDURES Add Incident Edit Incident Delete Incident Incident Source Inquiry REPORTS Incident Summary Incident Map GPS/GIS Incident Log 3
4 Adding a New Incident From the Incident Log Browse Table, click on the NEW tool and the Incident Log - Add/Edit Panel will appear on screen. FIELD Date Description Prop No. Equip/Locn or Product Act Code Incident Photo Gallery GPS/GIS Map References Longitude Latitude Map File Name DESCRIPTION Date of Incident. Description of Incident. Property Number Reference. Equipment Description, Location or Product Name. Activity Code Indicator of work performed. Listing of Photos pertaining to this Incident. Map Layer Reference of this Incident. Longitude Reference where Incident occurred. Latitude Reference where Incident occurred. Name of Incident Map File. 4 GPS/GIS Incident Log
5 Enter the Date and Description of the incident. If this Incident relates to a specific Equipment Item or Property, click on the Property Number field, click on the LOOK-UP tool and select the Equipment or Property from the displayed list. Upon returning to the Incident Log - Add/Edit Panel, the Equipment Description and GPS Coordinates associated with the Equipment or Property will be displayed. Enter the Equipment, Location or Product Name if different than the displayed value. Enter an optional Activity Code (from the Project/Labor Code File) describing the work activity performed. If the Activity Code is not known, click on the Activity Code field and click on the LOOK-UP tool and select the Activity Code from the displayed list. 16 photos pertaining to this Incident can by added to the Incident Photo Gallery. Click on the Add Photo button, then select the photo to be added to the gallery and click on Open. Photos must exist in the Data Directory\PICTURES sub-directory before they can be added to this Incident. After adding photos, the Incident MUST BE saved or the attached image list will be lost. Next, select a GPS/GIS Map Reference or Layer Name from the drop-down list. If you have created your own Incident Layer List using the Configuration Editor, your custom Layer Names will appear in this list. Incident Mapping If using the Incident Mapping features, you may specify the GPS Longitude and Latitude coordinates of the Incident if different than displayed, or you may select Incident Coordinates from a Picture or Map. To select Incident Coordinates from a Picture or Map, click on the Map File Name field and click on the LOOK-UP tool. The DrawView Browse Table will be displayed showing only those drawing files specified as Maps. Next, select a Map from the displayed list and click on the PICTURE tool to view the Map. Once the map is displayed, use the RED LINE RECTANGLE or RED LINE CIRCLE tools to mark up to ten (10) Incident locations on the map. After marking Incident Locations, click on the SAVE tool and select an Incident Layer Name from the displayed list. Click on ACCEPT to save the marked incident locations and return to the Incident Log. Click on ACCEPT when entry is complete. GPS/GIS Incident Log 5
6 Editing an Existing Incident From the Incident Log Browse Table, position the scroll bar on the Incident to be changed and click on the EDIT tool. The Incident Log - Add/Edit Panel will appear with the selected information displayed. Once the information is displayed, you can make any necessary changes. Click on the ACCEPT when changes are complete. Deleting an Incident From the Incident Log Browse Table, position the scroll bar on the Incident to be deleted and click on the DELETE tool. The Delete Confirmation Window will appear asking for confirmation of the delete request. Incident Inquires If this Incident was recorded as a result of a Chemical Application or a Work Order, then you may be able to view the Source Document for this Incident. From the Incident Log Browse Table, position the scroll bar on the Incident to be queried and click on the INQUIRY tool. Source Documents that have been deleted from your system cannot be viewed. 6 GPS/GIS Incident Log
7 Incident Summary Report The Incident Summary Report prints the Incidents for All or Specific Maps within a specified time period. From the Incident Log Browse Table, click on the Reports Toolbar Menu, then choose Incident Summary. Enter the Date Range indicating the time period to be reported. If Incidents on a specific Map are to be reported, select the Map Name from the drop-down list. If a Map is not selected, all qualifying Incidents will be reported. If Specific Map Layers are to be reported, click on Specific Map Layers, and select the Layer Names from the displayed list. If Specific Map Layers are not selected, all Layers will be reported. If Specific Equipment or Property is selected, enter all or part of the Property Number or Description of the Property to be reported and click on the FIND, NEXT, or PREVIOUS tool. You can also use the LOOK-UP tool to locate the Property. If Groups are to be reported, click on the Equipment or Property Group Selection, and select the Groups from the displayed list. If Groups are not selected, all Property will be reported. Select if All Projects, the Project Only, or the Project and Activity are to be reported. If the Project Only or the Project and Activity is selected, click the mouse in the Project field and click on the LOOK-UP tool to locate the Project/Activity. Click on the PRINT tool to begin printing. See Sample Reports - Appendix A-77 GPS/GIS Incident Log 7
8 Displaying an Incident Map A graphical presentation of Incidents occurring during a specified time period can be created using the Incident Map Function. From the Incident Log Browse Table, click on the Reports Toolbar Menu, then choose Incident Map. Enter the Date Range indicating the time period to be displayed. Select a Map Name from the drop-down list. If Specific Map Layers are to be displayed, click on Specific Map Layers, and select the Layer Names from the displayed list. If Specific Map Layers are not selected, all Layers will be displayed. If Specific Equipment or Property is selected, enter all or part of the Property Number or Description of the Property to be displayed and click on the FIND, NEXT, or PREVIOUS tool. You can also use the LOOK-UP tool to locate the Property. If Groups are to be displayed, click on the Equipment or Property Group Selection, and select the Groups from the displayed list. If Groups are not selected, all Property will be displayed. Select if All Projects, the Project Only, or the Project and Activity are to be displayed. If the Project Only or the Project and Activity is selected, click the mouse in the Project field and click on the LOOK-UP tool to locate the Project/Activity.
