6 2 Get Started 2.1 Istallatio This sectio cotais the essetial iformatio for gettig started with Commuicator. Ed users eed to esure they are usig valid drivers for video (for example). Your service provider provides the dowload of the istaller. Widows OS X 2.2 Sig I Double-click the istaller executable ad follow the istallatio istructios. Lauch Commuicator. Double-click the disk image. Copy the applicatio ito the Applicatios folder. Lauch Commuicator. Whe you first lauch the applicatio, you are prompted to sig i. 1) If displayed, eter the logi Uiform Resource Locator (URL) provided by the service provider. 2) Eter your Reywood user ame ad password (i PIV mode, oly a PIN is eeded). 3) Select whether you would like Commuicator to remember your password. 4) Select whether you would like Commuicator to sig you i automatically o subsequet lauches. 5) Click Sig I. You ca also access Help ad Prefereces directly from the logi widow. NOTE: If you choose automatic sig i, you are automatically siged i ad take to the Mai widow upo subsequet Commuicator lauches. Otherwise, you are preseted with the Sig I scree whe lauchig the applicatio. I the Mai widow, your default tab whe sigig i depeds o service provider cofiguratio; otherwise, Commuicator remembers the tab you were o at sig out ad opes that same tab at sig i. The Logi widow offers the last used userame, but the password shall be automatically filled i oly if you have checked the Save password checkbox. If multiple people use the same machie, oly the last password is etered as a security measure. If you chage the userame i the Logi widow through editig it, or usig the drop-dow list to pick aother oe, Commuicator will ot fill i the password; you are always expected to type it i. 7 After loggig i, a pop-up dialog may appear iformig you about emergecy calls, ad aother about chagig your locatio for emergecy calls. You may also see a baer i the Mai widow related to emergecy calls. Depedig o your service provider settigs, emergecy calls may ot be allowed. I this case, callig a emergecy umber displays a pop-up dialog. A otificatio message i the Mai widow may also display. It is ot a supported cofiguratio to ru may desktop cliets at the same time with the same accout. 2.3 Mai Widow Whe you start Commuicator for the first time, your Cotacts list is empty. Use the Search ad Dial field to fid people ad add them to your Cotacts list. Cotacts ca also be added maually by clickig the Add butto. Cliet widows ca also be set to be always usig the Mai widow meu optio. Note also, that depedig o your service provider settigs, the order of the left pae icos may vary. The left pae call settigs ico ad meus are visible depedig o your service provider settigs. The dial pad is also itegrated with the Mai widow. Commuicator uses tabs for ew chat sessios. The Search ad Dial field allows searchig for cotacts as well as makig calls usig phoe umbers or SIP URIs (ative desktop oly). SIP URIs must use the format user@domai or sip:user@domai. The table that follows the images describes the key icos used i the Mai ad Commuicatios widows. 9 Ico What it meas The grey presece ico idicates that the user is offlie ad the oly available cotact method is callig or leavig a chat message. This ico idicates that the cotact is busy o a call. This is a automated presece status. This ico idicates that the cotact is busy i a meetig. This is a automated presece status. The Busy I Call status overrides the Busy I Meetig status so this oe is oly see if there is a meetig but o call. Commuicator ca automatically update your presece to the followig: Busy I Call Busy I Meetig (Widows oly) Available (desk phoe) Available (mobile) Away o mobile Offlie ad busy i call Locatio Your locatio is automatically determied by your public IP address; however, you ca maually set the text to appear for your locatio ad time zoe usig the locatio dialog box. 2.4 Commuicatios View After startig commuicatio with oe or more cotacts, a ew tab is displayed for chat. The call widow is also itegrated with the Mai widow chat tab by default.. You ca separate a tab o to a differet Commuicatios widow by draggig ad droppig it outside of the Mai widow. From this view, you ca perform the followig actios: Escalate a chat to iclude audio, video, ad desktop sharig Ed a audio or video call Ope the dial pad Mute your microphoe Adjust your speaker volume Place a call o hold Trasfer a call If you are usig several moitors, Commuicator opes the Commuicatios widow as well as otificatios o the same moitor as the Mai widow. As of Release , Commuicator limits the umber of active commuicatios to spare resources. The limit is 20 active commuicatios o Widows ad o OS X. If the maximum is reached, the mai widow s top sectio wars user with the followig message: The maximum amout of commuicatio widows has bee reached. Please close some to ope ew oes. 10 2.5 Start Chat Start a chat tab usig oe of the followig methods: 2.6 Sed File 2.7 Sed Double-click a cotact from the Cotacts list or search results. Left-click oe or more cotacts from the Cotacts list or search results ad click the Chat butto (ative desktop oly) Right-click oe or more cotacts from the Cotacts list or search results ad click the Chat butto. O the Commuicatios History list, double-click a chat etry. I a Commuicatios widow, click the Chat butto (this does ot ope a ew tab). I a oe-to-oe chat, trasfer files by clickig the Sed File butto i the Commuicatios widow or use the drag ad drop method so that they are moved to the Commuicatios widow. Right-click a cotact from the Cotacts list or search results ad select the meu optio. The cotact must have a address defied for this feature. 2.8 Make Audio or Video Call Make a audio or video call usig oe of the followig methods: Left-click oe or more cotacts from the Cotacts list or search results ad click the Call, Call from Phoe, or Video butto. The meu items deped o service provider settigs. Right-click oe or more cotacts from the Cotacts list or search results ad click the Call, Call from Phoe, or Video. The meu items deped o service provider settigs. Eter a phoe umber i the Search ad Dial field. - Press ENTER to start a VoIP call. - Click the Call, Call from Phoe, or Video butto. Ope the dial pad, eter a phoe umber, ad the click the Call, Call from Phoe, or Video butto. O the Commuicatios History list, double-click a call etry. I the Commuicatios widow, click the Call, Call from Phoe, or Video butto. Whe viewig a cotact s profile, click the Call, Call from Phoe, or Video butto. 11 2.9 Share Your Applicatio or Desktop Share your desktop by followig these steps: 1) Click the Start Sharig butto i the bottom of the Commuicatios widow (if share pael is ot visible). The Share butto is visible by default i My Room also. This butto is available whe your service provider has eabled share o your accout. The share selector widow opes. 2) Select the applicatio to share or the etire scree of a particular display ad click the Start Sharig butto. I additio, participats ca share whe eabled by their service provider. NOTE: To share your desktop, you must eter your web collaboratio credetials i Prefereces Credetials, uless your service provider has automated provisioig i use. For more iformatio, see sectio 21 Persoal Idetity Verificatio Support Commuicator Desktop supports Persoal Idetity Verificatio (PIV) o Widows oly. If you have a PIV card ad the associated card reader is attached to your PC, you ca log i to Commuicator by oly providig a PIN related to your PIV card. Other Commuicator fuctioality is ot impacted. Prefereces. You ca participate i desktop sharig sessios by aother user eve without havig your ow sharig credetials Active Commuicatios Active commuicatios appear at the top of the Cotacts list i the Mai widow (ative desktop oly). This area provides a easy view to see the people with whom you are commuicatig. By default startig i Release , the call widow is show i the Active Commuicatios area i the Mai widow (where the call ca be fully cotrolled i the desktop cliet). It reduces the umber of commuicatios widows; however, a separate call widow ca still be opeed usig a Active Commuicatios meu. The followig is also available i this area: Double-click a active commuicatio item to brig this Commuicatios widow to focus if the call widow is separately show. If the call widow is itegrated, you ca use a meu optio to show it separately. See who has set you a chat message, but oly after you accept the chat sessio. Before the chat sessio is established, the chat items are ot visible i active commuicatios but a history badge is visible. Ed a call. Mute the microphoe. Place a call o hold. As a service provider optio i Release ad owards, more buttos ca be added to the active Commuicatios area: Coferece Call trasfer Call park 2.11 My Room Whe eabled, you ca use the buttos for faster access to the services. You ca right-click the More ico of a active Commuicatios item (ico with three dots) for additioal optios while a left click offers additioal call maagemet optios for this call as well as other optios whe available. My Room is a always available ad permaet room you ca use to chat with ayoe that jois. If you assig a coferece bridge to your profile i Prefereces Credetials, the i your room, you ad your attedees ca click the Call or Video butto to have Commuicator automatically dial i to the coferece ad eter the appropriate etry codes. Note, if your service provider has auto-provisioig eabled, the you caot edit these details. If your service provider has silet dialig eabled, the you caot hear ay DTMF toes whe dialig ito My Room (the call is made automatically). If a coferece bridge is ot specified, you caot iitiate a call i your room. You ca ivite others to your room by draggig ad droppig them from the Cotacts list ito the My Room tab. You ca also use the right-click meu o the My Room ico i the top-right corer of the Mai widow or the My Room iformatio area to copy a ivitatio lik for guest users (people without Commuicator). They ca the click the lik ad joi the meetig through a web browser. Guest users must be separately accepted for each sessio. Cotacts joi your room by right-clickig your ame o their Cotact list ad selectig Joi Room or by a ivitatio you set. My Room Ivitatio meu results i workig liks for guest users oly. Commuicator users are recommeded to use Copy My Room Ivitatio liks; however, the liks may ot work i all applicatios as they were origially iteded for Outlook Select Audio Devices If you have multiple audio devices available for your microphoe or speakers, select the preferred audio device before startig a call. Widows 1) Click the Commuicator logo i the Mai widow title bar. 2) Select Prefereces. 3) Select Audio. 4) Set a playback device (speakers). 5) Set a recordig device (microphoe). 6) Click OK REYNWOOD COMMUNICATIONS OF NY/NJ, LLC PAGE 12

13 OS X 1) Select Commuicator from the mai meu. 2) Select Prefereces. 3) Select Audio. 4) Set a playback device (speakers). 5) Set a recordig device (microphoe). 6) Click OK. If Use default is selected, the Commuicator uses the default device set i the operatig system prefereces. For Widows, if Default Commuicatio Device is defied, it is selected over the Default Device. If you are usig headsets, you ca also select a separate device tha the headset for alertig icomig calls. Note that o OS X it is recommeded to disable Use ambiet oise reductio i System Prefereces to reduce echo REYNWOOD COMMUNICATIONS OF NY/NJ, LLC PAGE 13

14 3 Cotacts Cotacts are the people with whom you commuicate ad, i most cases, you see their presece ad share your presece with them. There are three types of cotacts: 3.1 Add Cotacts Actual people with whom you commuicate. Cofereces Audio or video coferece bridges that you use to commuicate with others. Silet dialig ito the bridge also applies to these cotacts if eabled by your service provider. Groups Cotaiers of cotacts ad/or cofereces. There is o hard coded limit o the umber of cotacts. The more cotacts are added the more memory ad processig is eeded. The more cotacts are added, the more difficult it is to fid people without searchig. Live search ca be used istead of a very large local cotact list while keepig memory ad processig requiremets to a miimum. Whe you sig i for the first time, there are o cotacts o your cotact list. Add a ew cotact at ay time by selectig the Add Cotact item from the meu or choose the Add Cotact butto from the Mai widow. I the Add Cotact dialog box, eter the cotact s iformatio ad the click Add Cotact. By default, your presece iformatio is always shared with a ew cotact if a Extesible Messagig ad Presece Protocol (XMPP) address is provided. If you are acceptig cotacts via a buddy request, you may see the cotact card after acceptig the buddy request, depedig o the service provider settigs. Whe receivig a buddy request, there are two buttos for acceptig ad rejectig the request. Dismissig the buddy request widow oly igores the request for the duratio of the logi sessio. It reappears after the ext logi. However, you ca always share your presece iformatio later by selectig Subscribe o the right-click meu for a specific cotact i the cotact / directory list. Note that the cotact must accept your subscriptio request for you to establish the presece relatioship successfully. The ewly added cotact appears o your cotact list. Add a coferece cotact by clickig the same butto you did for Add Cotact ad choosig the Add Coferece meu optio. A coferece cotact is a special cotact used for coferece bridges to avoid rememberig PIN codes ad coferece umber, for example, recurrig cofereces. Just create a cotact for the weekly coferece, add a coferece bridge umber ad PIN, ad joi the coferece just by right-clickig the cotact or choosig it ad clickig the Call butto. Choose the Add Group meu optio to add a ew group to the cotact list. Cotact card telephoe umber fields ca also have SIP URIs (work, mobile, extesio, persoal, ad coferece bridge). 15 3.2 Edit Edit a cotact by selectig the cotact first. After you select the cotact, right-click aywhere i the area of the selected cotact ad a meu of optios appears which allows you to either view or edit the cotact profile. I View mode, click the Edit butto to go to Edit mode. This base priciple is the same for ormal cotacts, coferece cotacts, ad groups. Note that depedig o your service provider settigs all or o cotact card fields may be editable. Depedig o your service provider settigs, you may also see a butto for sychroizig the cotact card with the Telephoy Directory or the sychroizatio may take place automatically (ative desktop oly). Whe the maual sychroizatio butto (cloud ico) is visible, there is o automated sycig of the cotact card details with server iformatio. To sychroize the cotact card data, click o the cloud ico. 3.3 Filters Usubscribe removes the presece relatioship betwee you ad that cotact. This meas you do ot see the cotact s presece iformatio ad your cotact does ot see yours. To re-establish the presece relatioship, select Subscribe. A usubscribed cotact remais o the cotact list ad is always show without a ico. Ay cotact that is ot presece-eabled is show i the same way. Delete cotact removes the cotact from your cotact list. View Profile opes the Cotact Iformatio dialog box where you ca add, edit, or remove iformatio. This works for both ormal ad coferece cotacts. For groups, choose the Edit meu optio to reame a group. Oce doe with all chages, click the Save butto. You ca filter cotacts i two ways: Use the filter field to search by cotact ame. The cotact list is filtered i real time as you type. Alteratively, use the filter meus available by right-clickig the Cotacts ico i the left pae to display oly specific types of cotacts such olie cotacts (ative desktop oly). You ca also sort cotacts based o first or last ame or choose whether to display the cotact s avatar ad availability status i the cotact list. Favorite filterig works slightly differetly i Release ad later: Whe you make a cotact your favorite, the favorite group shows o top of the cotact list ad caot be hidde. Whe you delete all your favorite cotacts, the favorite group does ot show aywhere. Whe you have eve oe favorite marked, you see the group REYNWOOD COMMUNICATIONS OF NY/NJ, LLC PAGE 15

16 4 Presece For each cotact you have subscribed to, you ca see their presece. Similarly, your cotacts ca see your presece o their cotact list. Presece meas that your frieds are able to see whether you are available to commuicate, for example, I m busy or I m available. This was a Preview feature i Release This ico idicates that the user is i a call but is ot logged i to XMPP (presece ad chat). This was a Preview feature i Release The avatar i this versio is ot completely i real time. The avatars are retrieved at logi, whe the cotact is added, ad whe the cotact comes olie. Double-click the avatar to chage it. A File Explorer view opes. If you see a error message at the top of the Mai widow XMPP Uavailable, it meas that the XMPP coectivity has bee lost for chat ad presece; however, you ca still make calls. You should cotact your service provider. Have the Outlook caledar automatically chage your presece to Busy I Meetig by eablig this i the Prefereces Geeral tab (ative desktop oly). The presece update is oly triggered by appoitmets ad meetigs that are i the Show me as busy state. The XMPP address of a cotact caot be chaged. 17 Locatio i presece is doe based o the IP address that the machie is usig. The IP address is mapped to a physical locatio. BroadSoft is workig with the mappig provider to improve the accuracy of the locatio. Chage the locatio maually by clickig the avatar (if presece cotrols are ot already expaded) ad the the locatio ico to go to the maual locatio ad chage the view. Sapshot of presece status is also available i search results ad Commuicatios widow for cotacts who are ot buddies. 18 5 Chat 5.1 Chat View Whe you iitiate a chat, the Chat tab iside the Mai widow opes. Chattig with a cotact is possible oly whe you are both olie. If your cotact iitiates a chat, you see a pop-up otificatio i the bottom right-had corer of the scree. If you close the Chat tab ad ope it agai, set chat messages are show i the tab as chat history. Whe eabled by your service provider, a typig otificatio is also show. Whe the chat opes, you see the cotact s iformatio at the top of the scree.. At the top of the message area, there are four liks: Yesterday, Last week, Last moth, ad All history. From these liks, you ca load history from your local storage ad differet time frames. You ca delete the history usig the drop-dow meu. I the text field, you ca add a smiley emotico. Smiley emoticos ca also be added by maually eterig the correspodig characters that represet that particular emotico. You ca sed text by pressig ENTER. Emojis are also supported ad are redered as ordiary emoticos whe received. To eter a lie break i the text field, you ca use the followig key commads: CTRL+ENTER (COMMAND+ENTER o Mac) SHIFT+ENTER ALT+ENTER Use either oe of the short commads, CTRL+C or CTRL+V, or right-click the selectio for a meu to copy or paste the text to or from the Chat tab. It is also possible to chat with users i other domais. BroadCloud also supports Google federatio. Group chat is ot supported i Google federatio, so the group chat optio with these cotacts is show i grey. All set ad received chats are stored locally i the chat history ad a optioal message history feature provides multi-device ehacemets so that messages set or received i other ow devices would also be show. 5.2 File Trasfer File trasfer fuctioality is accessible oly through the Chat tab. 1) To ope the File Selectio dialog box, click the Sed File butto located to the side of the text field. 2) Select the file to be set from the dialog ad the click Ope. You ca also drag ad drop a file ito the Chat tab. 3) Oce the file offer is issued ad durig its trasfer, you ca cacel the trasfer (at ay time) by clickig Cacel. 4) Accept a icomig file trasfer by clickig the Accept butto. 5) Reject the file trasfer offer by clickig the Declie butto. After the file trasfer has completed, the received files ca be opeed or viewed i the file maager by usig the File received, click to ope, ad Show i folder liks. 19 5.3 Group Chat Start a group chat by multi-selectig ad right-clickig the Mai widow cotact list. More people ca be added later to the chat by drag ad drop. Oly the ower ca add more participats. A group chat works the same way as a oe-to-oe chat i a tabbed view. All messages from ayoe are set to everyoe else. All cotacts eed to be olie to be able to participate i a group chat. You caot ivite a offlie cotact or a cotact that is ot o a device that supports group chat. This does ot affect the group chat i ay way. A group chat history is saved both i My Room ad i ad hoc chat rooms ad is available to view later i the Messages tab of the Mai widow. I the text field, the cotacts ames appear i differet colors to easily distiguish betwee who is writig. Oly the ewest chat room messages are stored o the server. Oe-to-oe chat messages are oly saved locally. Whe the optioal Message History feature is eabled by your service provider, messages set from your other devices are also show. Deletig a chat room is ot supported. Chat rooms ca be moderated by the ower. Use the right-click meu optios to remove a participat from your chat room. If eeded, the removed participat ca joi later. The removal also applies to desktop share sessios. Typig otificatios are ot supported i group chats. 20 6 Audio ad Video Calls The followig table describes additioal Commuicatios widow icos ad explais what you ca do with them, for voice ad video calls. Adjust the volume bar to adjust the volume. Draggig it all the way to the left mutes your speakers. Use this ico to access the Call Optios meu. I the Call Optios meu, you ca fid differet actios to use for a call depedig o your settigs ad your service provider. I the Optios meu, there are the followig optios: Trasfer a call to a third party (ative desktop oly). Put the call o hold. Note that if you hold the call, the other party caot uhold. This freezes a video call to the last frame of the video feed. I both voice ad video calls, this is commuicated to all parties by a otificatio appearig i the middle of the scree. Hide or show your ow video. Add participats to the call (ative desktop oly). As a alterative, i geeral available Feature Access Codes (FACs) for call maagemet work durig calls, for istace *55 for direct trasfer to voice mail, but the ogoig call must be put o hold ad a ew call must be made to the FAC umber. Usig DTMF for the same purpose does ot work. Whe establishig a call to a cotact, you ca choose several ways to call. Select the cotact you wish to call ad press the Call ico. This calls the default umber. If you rightclick o the cotact you wish to call, you ca choose the umber to call from a right-click meu. There ca be several phoe umbers available i the meu. The work phoe is the default ad top most umber is followed by mobile ad other umbers. This also applies to the trasfer ad coferece widows. However, i certai cases the trasfer/coferece default umber ca differ from other call optios i other meus. The default call type ca also be selected usig accessibility meus (Calls Dialig service). This cotrols the default call type whe usig call buttos. Dial a umber or SIP URI of format user@domai or sip:user@domai i the combied Search ad Dial field to make a call (ative desktop oly). Oce you type your umbers, Commuicator searches for cotacts o both the local cotact list ad the eterprise directory. You caot have two simultaeous calls with the same perso. Commuicator will ot add video to a audio call without ed user coset. This also applies to blid video call trasfer cases where audio-oly music o hold is utilized; this may result i the trasferred call beig reduced to audio. 6.1 Call From Computer Select a cotact from your cotact list to start commuicatio ad click the desired commuicatio butto. Type a phoe umber i the Search ad Dial field at the top of Commuicator widow (search or commuicate) to commuicate with someoe who is ot o your cotact list. 6.2 Call From Phoe The secod optio to commuicate i the row of commuicatio buttos is the Call from Phoe. Whe you click this butto, the desk phoe istatly starts rigig ad the call is established from your desk phoe. This depeds o your service provider cofiguratio as other devices may also rig. Whe your service provider is cofigured to also iitiate a call from computer (SIP call) to the same machie that iitiated a call from phoe, that icomig (SIP) call will be accepted ad will alert if it does ot have the same idetity as the call from phoe. For remote calls iitiated usig Commuicator, you ca also have mid-call cotrols such as hold/resume, trasfer, ad add participat. Automatic Busy I Call presece also works with the Call from Phoe feature. Depedig o your service provider settigs, it is also possible to cotrol calls iitiated without Commuicator i the Active Commuicatios view. The same mid-call cotrols are also available i this case. I case of a icomig call, the actual aswerig actio must happe with the other device. 6.3 Aswer Call Whe someoe is callig you, you see a pop-up otificatio o your scree. You ca choose to aswer, silece the icomig call, ad the ope a chat sessio with the caller, reject the call, or silece the icomig call by closig the pop-up otificatio widow. If you silece the call, the rigtoe is sileced but the caller does ot see aythig o their ed. You ca aswer or reject the call after silecig it oly if you have chose the chat optio. If you close the icomig call pop-up otificatio to silece a icomig call, the you do ot have a optio to aswer or reject it ay more. Whe choosig the chat optio, chat is oly eabled after the call has bee aswered or rejected. If you reject the call, it causes the lie to soud busy at the caller s ed ad they kow that you rejected the call. Whe someoe is callig you with a video, you see the same pop-up otificatio; however, the optios are aswer with video, aswer as voice oly, silece ad chat, reject, or silece (by closig the pop-up widow). 22 6.4 Cotact Name Lookup for Icomig Calls Commuicator performs a local cotact search for icomig calls. If the umber matches oe of the cotacts o the Commuicator cotact list, the ame is show o the icomig call scree alog with the alert. Both the display ame ad phoe umber are show whe available. If there is o match to a local cotact, Commuicator looks for a match i the Telephoy Directory ad other available directories, ad if a match is foud, the available iformatio is show for the icomig call. If there is o match i the Telephoy Directory, the display ame is take from the available iformatio i the icomig call. Wheever you retrieve your call logs/history, Commuicator does a lookup i the local cotacts ad populates the ame if a match is foud. 6.5 Missed Call or Commuicatio Whe you have oe or more missed calls or other types of commuicatios, there is a otificatio o the left-had side of the avigatio pae i the Mai widow. Clickig the ico takes you to the missed commuicatio i the Commuicatios History view. 6.6 Full Scree i Video Call Full scree mode ca be activated by clickig the Full Scree butto or by double-clickig aywhere o a video. Exitig full scree mode is doe by pressig the Esc key (o both Widows ad OS X) or by double-clickig the widow. Exitig full scree makes the video call go back to its origial state (eve if there was resizig of the widow previously before goig full scree). I a full-size widow, you ca see a similar Optios meu at the top. It has the same fuctioality as it does i the ormal view. Whe you move the mouse, the top bar ad lower commuicatio buttos appear o top of the video. 6.7 Multiparty Sessios You ca have may participats i a call, either i a My Room or i a ad hoc multiparty call (ative desktop oly). Add more participats by draggig ad droppig them o to the Commuicatios widow or by selectig the Coferece meu item via the Commuicatios widow meu butto. By choosig the meu item, you ca also add participats with just a telephoe umber. I cotrast to usig My Room, which uses your permaet chat ad collaboratio rooms ad coferece bridge, you ca start ad hoc multiparty sessios by either selectig multiple cotacts o the cotact list ad startig a chat, by callig them, or by expadig a oe-to-oe sessio ito a multiparty sessio by draggig ad droppig a cotact ito the Commuicatios widow. I a ad hoc sessio, the room used is a temporary oe that is deleted oce the sessio eds (that is, whe the last participat leaves). Voice coferecig does ot use a bridge but istead uses the Reywood N-Way Callig supplemetary service i a sequetial fashio. Commuicator dials out to all participats ad takes everyoe off hold after the last attedee aswers. I ewer deploymets with the Video Server (UVS), the ad hoc room created for the sessio has a limited lifetime ad becomes iactive whe idle for too log. I this case, participats are able to rejoi the ad hoc sessio if they drop out for some reaso. A cosequece of this is that, i ad hoc group calls, participats who are o loger i the call are still visible i the participat list. The existig call is put o hold ad you ca chage betwee these two calls by usig the Hold ad Uhold buttos. 6.9 Call Trasfer Blid call trasfer is available i the Commuicatios widow; choose the Trasfer Call meu item to trasfer the call to someoe else (ative desktop oly). Atteded call trasfer is also available i the same widow, first call someoe to check if the called party ca take the icomig call ad the trasfer the icomig call to the desired called party Message Waitig Idicatio ad Visual Voice Mail (Preview) Depedig o your service provider settigs, you ca have either Visual Voice Mail (preview feature) or Message Waitig Idicatio (MWI) view i your cliet. The MWI service allows you to receive a otificatio for a waitig voice mail or video mail. By clickig o the message ico i the upper part of the Mai widow, Commuicator calls the predefied mailbox umber to allow the user to liste to the voice mail or view the video mail. With this view, you oly have two history tabs: oe for calls ad aother for chat. It is also possible to call voice mail from the dialer by log pressig the 1 ico i the dialer. Whe visual voice mail is eabled, a third tab is available, showig visual voice mails. Click o idividual mails to liste to them. Video mail is supported as a preview feature if eabled by your service provider. Missed calls are idicated by a ico i the Mai widow. Missed video ad audio calls are idicated with a differet ico. Note that the MWI ico is i the same place whe it idicates a ew voice mail. Visual voice mail is also supported whe eabled by your service provider. You ca see all voice mails i a list ad play them iside the Mai widow. 24 6.12 Call Pull A parked call is visible o your desktop i the Active Commuicatios area so that you ca easily retrieve it, but oly for the duratio of the Reywood Call Park aoucemet. After the aoucemet is over, the parked call disappears from the Active Commuicatios area (sice the triggerig call is discoected). After the call disappears from the Active Commuicatios area, the user must remember the extesio to which the call has bee parked to retrieve it usig the Mai widow meu (or feature access code), uless the call was parked to the oe s ow extesio. If the call is ot retrieved after a certai time, the the server calls the parkig user. Call Pull allows you to pull a ogoig call from oe of your devices to aother oe where the Call Pull feature is used (ative desktop oly). Call Pull ca also be used with Feature Access Codes (FACs), i this case, *11. I this release, user iterface support has bee added to the desktop so that a ed user does ot have to remember FACs Call Recordig Cotrols You ca use call recordig cotrols i this release (ative desktop oly). Depedig o your service provider s cofiguratio, call recordig ca be iitiated whe a call starts or dyamically durig a call (ad start, stop, pause cotrols may be available). Additioally, there is a audio idicatio that call recordig is ogoig as well as a visual idicatio. Feature Access Codes ca also be used to cotrol call recordig whe eabled i the cofiguratio. Recorded calls are accessed outside of Commuicator; that is, you caot view them usig the cliet. Depedig o your service settigs, call recordig behavior is oe of the followig (this caot be cotrolled i the cliet but i the self-provisioig portal): Always recordig idicatio (ico) i the Commuicatios widow as well as the Active Commuicatios user iterface (UI). Always with pause/resume recordig idicatio (ico) i the Commuicatios widow as well as i the Active Commuicatios UI (oly pause/resume meus available). If you are ot the ower, you ca oly see the XMPP (chat) participat list or the full participat list alog with mobile participats (depedig o your service provider settigs) Forced Logout Depedig o your service provider settigs, you may see a pop-up sayig that you have bee logged out due to aother istace of the cliet loggig i (ative desktop oly). Some of these add-is (for istace Jabra) caot be used at the same time with the stadard HID add-i. These vedor-specific add-is would be istalled durig ew headset istallatio; however, the stadard HID add-i should remai i the prefereces list. If for some reaso it has disappeared, addig the respective.dll file back to the add-i folder should make it visible agai i the prefereces. If later o you would like to chage to aother headset, the vedor-specific add-i could be disabled from prefereces to agai use the stadard HID or some other ew add-i by aother headset provider. Startig with Desktop Release , web pop allows you to get more iformatio about a icomig call by clickig o the web pop butto of the icomig call toaster. You ca also do the same for outgoig calls usig meus. This opes your default web browser with a predefied URL that provides more iformatio about the other party. You ca also chage this URL i Prefereces, if allowed by the service provider. 29 7 Applicatio or Desktop Share To share your desktop or idividual applicatio: 1) I the Commuicatios tab, click the Start Share butto. This does ot yet start the share. 2) Select either to share your etire display or oe of your ope applicatios ad click Start Sharig. The share widget appears to let you cotrol share settigs such as Preview that shows you what participats are seeig ad Pause that pauses sharig. 3) To stop sharig, click the Stop ico. While sharig, all other commuicatios mechaisms are also available except for video callig ad file trasfer. Participats caot hide a share without closig the Commuicatios widow. Video call is also available while sharig. Desktop sharig works the same way i both My Room ad i ad hoc sessios. For participats without Commuicator, use the separate Desktop Share Ivitatio lik, if available, by right-clickig the My Room butto. Share selector is ot dyamically updated while the selector is ope ad miimized applicatios are ot available i the list of applicatios to share. If you are first i a video call ad the start share, your ow video is ot show due to limited space available, but you ca make it visible usig the Mai widow meu i the bottom right-had corer by selectig Show Ow Video. If you are usig dual moitors, you ca choose which moitor to share. You ca check the primary moitor i the operatig system settigs. You ca also remove desktop share participats. They are also removed from the group chat at the same time. If eeded, the removed participats ca joi later. Depedig o your service provider settigs, you may have to provide desktop share credetials maually. I additio, participats ca share whe eabled by the service provider by clickig o the Share butto; however, the room ower ca prevet this at ay time. Oly oe perso ca share at ay oe time i a sessio. 30 8 My Room My Room is started by clickig o the My Room ico o the top right-had side of the Mai widow. My Room is started automatically usig your permaet chat room. Add more participats by draggig ad droppig them ito the Commuicatios tab or the Coferece meu. Otherwise, they ca joi your room by right-clickig your ame o their cotact list ad choosig the Joi Room meu optio. Oce people have joied the chat room, they ca click o the Call butto of that widow to joi the coferece. The room ower ca also share their desktop. To use the full fuctioality of My Room (desktop sharig, coferecig, ad chat combied), you may have to maually eter your desktop sharig credetials, your coferecig umber, ad your PIN i the Prefereces Credetials widow. This depeds o your service provider settigs. I additio to the ower of the room, participats ca also share the desktop but oly the ower ca add more participats. This applies to both My Room ad ad hoc sessios. 1) To see a Cotext meu, right-click the My Room ico o the left-had side of the avigatio pae (ative desktop oly). 2) To modify credetials ad coferece bridge iformatio, select Cofigure to go to the prefereces. If your service provider has automatic provisioig eabled, the this meu item is ot preset. 3) Select My Room Ivitatio to copy a ivitatio lik to the operatig system clipboard (depedig o your service provider setup, this meu optio may ot be available). Paste this lik, for istace, to meetig ivitatio s to allow Commuicator participats to joi the coferece i oe click from, for example, Outlook, or Office applicatios. Note that some applicatios may ot recogize the Commuicator lik. You ca also copy the My Room Ivitatio to the default cliet (this text does ot cotai the Commuicator lik) ad go to the My Room prefereces via a right-click meu optio. The lik has two parts: oe for Commuicator users ad aother oe for users with some other cliet. Depedig o your service provider settigs, the ivitatio ca also cotai a lik to the desktop sharig sessio. The ivitatio always cotais a dial-i umber ad PIN for users who do ot have Commuicator. The desktop share lik, whe available, allows ayoe to joi a desktop share sessio from a stadard web browser. My Room is the oly way to use the permaet rooms. Ay other multiparty commuicatios, such as selectig multiple cotacts, ad right-clickig for a coferece call, or draggig ad droppig for a oe-to-oe chat, is doe usig ad hoc rooms. Ad hoc rooms are deleted oce the sessio is over. All My Room sessios start as chats but call ad/or share ca be added to the sessio while i progress. File trasfer ad video coferecig are ot supported i My Room or ad hoc sessios. 8.2 Guest Cliet Previously it was ot possible to joi a full My Room sessio with a web browser. Guest cliet allows you to do that. This feature is especially iteded for users outside of the compay. Geerate separate ivitatios for guest users usig My Room right-click meu items as described i the previous sectio. My Room ivitatios are geerated usig separate meu items ad are iteded for Commuicator users. Guest users ca joi a sessio with audio i the web browser by requestig a callback usig the provided dial-i umber ad coferece PIN as well as use group chat ad sharig iside the web browser. However, guest cliets do ot have private chat possibility ad they ca see the chat history of messages that occurred after they joied the sessio. This takes place i the same Search field that is used for both a local ad presece-eabled cotact list search. The various directories have differet purposes with the eterprise directory havig the most data, ad ot all directories may be used i all deploymets. All search results are combied ito oe commo set of results. Persoal directory, eterprise commo, ad group commo directories caot be modified from the cliet side. Oly read access is provided. A sapshot of the presece status of the cotact i the results list is show, but this presece is ot updated after the search operatio. Persoal directory provides your ow special cotacts that are ot i the eterprise directory, for istace, parter compay s umbers while group commo cotais, for example, the group s cotacts such as favorite pizza taxi. Commuicator automatically searches the local cotacts ad presece-eabled cotact list i additio to the eterprise ad other directories at the same time. As soo as there are results from the eterprise ad other directories, these results are show o a separate list i the Mai widow. Additioally, there may be other search result groups from other search sources such as Lightweight Directory Access Protocol (LDAP) or Outlook (ative desktop oly). Commuicator also supports Hiragaa characters i search for the Japaese market. Search results are displayed differetly depedig o the results of the cotact list ad directory search: If LDAP search (Corporate directory) or Outlook search are eabled, there are more result groups. If there are o results for a certai search source (for example, local cotacts, Outlook, LDAP, or Reywood Telephoy Directory), the that group is differet i the UI. The eterprise directory searches all available fields for the search strig. By default, it waits for 1.5 secods before it seds the search request to the server to miimize uecessary load o the server. Clickig a visual voice mail dowloads the message so you ca play it. Commuicator saves a call history for placed, received, ad missed calls. The call history makes it easy for you to redial ad call back whe you have missed a call or you wat to easily dial a cotact with whom you have recetly spoke. Each call has a separate etry i the list. Chat history for group chats, both i My Room ad i istat group chat, are stored locally o the desktop cliet, just like i oe-to-oe chat, but oly for the time the user is joied ito the sessio. Double-click o a ame i the list to call back directly (this calls back the same way you previously spoke, for example, if you were i a video call, double-clickig starts a ew video call). Double-clickig a icomig call item i the Calls tab makes a call. To clear the missed chat idicator, you must ope the missed chat. You do ot eed to cofigure the SIP address for SMTP-based accouts (for example, Google Mail). I order for the Outlook Add-i to itegrate with Commuicator, you must set a SIP address for each cotact. The SIP address for a cotact i Outlook must match the SIP URI, Istat Messagig ad Presece (IM&P) address, or field i Commuicator. This is usually doe by your Microsoft Exchage or Active Directory admiistrator. You ca check if a SIP address has bee cofigured for cotacts by lookig at the Outlook properties for a cotact. Callers dial oe umber ad ca reach you o ay phoe the user chooses. A desk phoe, cell phoe, ad/or a soft phoe may rig simultaeously. 60 25 Multi-Device Support Commuicator supports users with multiple devices, accordig to the XMPP specificatios. This is comprised of several features: Chat ivitatios set to a user are received o all devices. Oce a particular device has bee used to aswer the chat ivitatio, subsequet icomig messages oly go to that device. Oe ca retrieve oe s ow presece otificatios whe aother cliet updates the user s presece. The cliet stores this iformatio ad updates its ow presece so that it is the same as the higher priority status it received, (that is, whe the received status update is maual). If the received presece update is ot maual, it does ot react to the received update; it oly otes it. Acceptig a sharig presece ivitatio i oe cliet is also recogized by aother cliet, ad both cliets start receivig presece updates. Last set ad received messages are available o all devices whe the optioal message history feature is i use. All devices should use that feature at the same time to avoid duplicate messages. Missed chat badges are sychroized across all ow devices whe this preview feature is eabled (ative desktop oly). A ew presece subscriptio made i oe cliet is recogized i aother. If the cotact declies the ivitatio, there are presece otificatios from the server to all of the user s cliets idicatig that the subscriptio was termiated ad this iformatio is show to the user. If the cliet receives two presece authorizatio requests from two or more devices for the same user, it oly shows oe request to the user. Removig a cotact from the cotact list i oe device is recogized i aother cliet ad the cotact list is updated (that is, the cotact is removed) i the other cliet as well. If a user has may devices, each device has the same status whe show to the ed user. I additio, the cotacts o the cotact list always see the same status with updates show i the followig priority order: Busy Olie Away Offlie This meas, for example, that if oe cliet publishes a Busy status ad aother cliet publishes aother status, cotacts see the user as Busy. Compatible devices such as desk phoes are able to show presece i the same way. Commuicator keeps track of its ow presece status as well as the status of other devices ad deducts the combied presece based o these. Widows Uistallatio is performed by lauchig the Widows uistaller via the Start meu or by usig the Widows Remove programs view iside the Cotrol Pael. Widows uistallatio does ot require you to select ay optios. All files are deleted at uistallatio, except for the followig files: Registry etries Accout files are oly deleted whe explicitly allowed by the ed user o Widows. OS X Uistallig is performed by simply draggig the applicatio folder from the Applicatios directory to the trash ca; however, accout files are ot deleted. If you wat to remove accout files, they must be maually deleted. These are the file locatios for the accout directories. 64 29 Troubleshootig Why ca t I chat with cotacts from Yahoo? Chattig with users i other domais is possible, but depeds o the domai. For istace, BroadCloud supports Google federatio but ot Yahoo. However, group chat is ot supported i Google federatio, so the group chat optio with those cotacts is show i grey. Why ca t I chage the avatar? Double-clickig the avatar should ope a File Explorer view to select a file. If your XMPP coectio is lost, chagig the avatar does ot succeed. A lost XMPP coectio is idicated i the Mai widow s top otificatio area. My cotacts are all offlie ad my cliet s status bar says XMPP uavailable. What does this mea? It meas that the XMPP coectivity has bee lost for chat, as well as for presece; however, you ca still make calls. You should cotact your service provider. Why am I offlie? If you have selected Offlie status, you are show as offlie to others. Aother possibility is that you may have lost your Iteret coectio. I this case, the cliet does ot log out, but rather eters a offlie mode where a cotact list is available but commuicatio is ot possible. Why ca t I have more video resolutios available? You ca choose your video resolutio from Prefereces ad the Video tab. Your selectio is used by default for future video calls. The available resolutios are automatically preseted based o your camera. Why ca t I chage my user ame ad password? User ame ad password editig is ot supported i the cliet. To edit your user ame or password, cotact your service provider. The exceptio is logi password expiry. Whe it expires, you ca chage the password i a separate dialog widow. I the prefereces, the cliet oly supports chagig LDAP credetials. Desktop sharig credetials may also be chaged, depedig o your service provider settigs. Why does my all day caledar etry ot trigger Busy I Meetig presece status? Not all meetigs trigger a presece chage to Busy I Meetig. To trigger the presece update, the meetig must be i the Show me as busy state. Why are t all my group chat messages saved? Oly the ewest chat room messages are stored o the server, but ever for My Room for security reasos. It is doe based o the public IP address that the machie is usig. The IP address is mapped to a physical locatio. BroadSoft is workig with the mappig provider to improve the accuracy of the locatio. You ca also maually chage the locatio by clickig the avatar ad chagig the locatio ico. Why ca t I start desktop sharig? To share your desktop, you eed to have valid credetials, either by maually eterig desktop sharig credetials i the Prefereces Credetials widow, or by usig autoprovisioig to eable the desktop sharig meu items ad icos. However, you ca participate i desktop sharig sessios eve without ay sharig credetials. Your service provider settigs dictate if auto-provisioig is eabled or ot. Why ca t My Room participats share the desktop? Oly the ower of the room ca share the desktop before Release Startig i Release , participats ca also share whe eabled by the service provider. This applies to both My Room ad ad hoc sessios. I have a USB headset ad the call cotrol features are ot workig. Is there aythig special I eed to do to eable call cotrol support? I order to use headsets o Widows (ot supported o OS X), several steps are eeded: 1) Whe the cliet is started, you must accept the API coectio request from the coector/add-i device. 2) Additioally, your cliet must have the feature eabled by your service provider. 3) If your USB headset uses its ow add-i, the stadard HID add-i from BroadSoft must be disabled, as both caot be used at the same time. I additio, you must have Allow 3 rd party extesios check box checked i Prefereces Extesios tab. Why is Outlook add-i disabled? If the cotext meu does ot show add-i meu items, this could be due to the Outlook Add-i disabled by Outlook for slow loadig. The required startup procedure is as follows (reversig the order i which S4B ad Commuicator are started will ot work): 1) Start S4B. 2) Start Commuicator. You ca have it miimized or i the foregroud. Your service provider may also choose a automatic Miimize after logi feature that automatically miimizes Commuicator after logi. The origial iteded use case for S4B itegratio was to use S4B for presece ad chat ad o-et (VoIP) calls while Commuicator would be used for off-et calls with presece ad chat tured off. However, may deploymets keep the full presece ad chat fuctioality of Commuicator. Commuicator supports presece sychroizatio betwee S4B ad Commuicator for most presece statuses. The followig sectios describe the ways to make various kids of calls. O-Net Callig To make a o-et call: 1) Select a S4B cotact ad click the call butto. Alteratively, right-click a cotact ad select a o-et umber. 2) Both the S4B mai widow ad commuicatios widow are visible (as show i the followig figures). To make a off-et call: 1) Select a cotact, right-click ad select a exteral umber (see the followig list for the possible selectios). The same outcome occurs whe makig a S4B-to-S4B call while the called perso is, for example, offlie or i the DD state. Selectig a particular umber from the right-click meu will call that umber, while usig the call butto oly selects the umber to be called. You ca eable ad disable add-is i the Prefereces Extesios view. I geeral o Widows, if Default Commuicatio Device is defied i Widows settigs, it is selected over the Default Device by Commuicator for calls whe several audio devices are available (for example, USB headset ad the itegrated audio device o the PC). However, whe usig headsets, you ca select a separate device tha the headset for alertig icomig calls. The followig examples provide more iformatio o how to defie a default commuicatios device whe a USB headset is available o the PC. It is recommeded to select Use Default i the Audio tab of Commuicator Prefereces for both iput ad output devices (as show i the followig figure).
